Overview

What the Accelevents Zapier integration actually does

Accelevents runs your virtual, hybrid or in-person events. Plugged into Zapier, it does two things: it tells your other tools when a ticket is bought, when ticket details change or when someone checks in, and it can take a person from another tool and add them as a ticket holder on a ticket type you pick.

Three results people build first. A front-desk alert: User Check In fires as a guest is scanned, and your team chat gets a line so the host knows who just walked in. A buyer list that stays current: New Ticket Purchase Trigger sends every sale to a CRM or a spreadsheet, and Update Ticket Info follows up when the buyer fixes a name or swaps the holder. A guest list fed from elsewhere: a sign-up form for sponsors or speakers ends in Import Ticket Holder/Buyer, so those people land on the right ticket type without a CSV.

What Zapier does not do here matters just as much. There is a single action, so a Zap cannot create an event, cancel a ticket, change a holder or check someone in. There is no search either: a Zap cannot look up an existing attendee before acting, which means duplicates are yours to watch. Anything beyond those four operations stays inside Accelevents.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here they are in plain English.

Zap
The automation you set up on Zapier: one trigger, followed by one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for that event.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills. One task is one action that finished successfully, and your plan counts those.
Polling vs instant
Polling: Zapier checks the app on a timer for new items. Instant: the app calls Zapier itself the moment the event occurs.
Filter
A step that lets the Zap continue only when the incoming data matches a condition you set, and stops it otherwise.
Search step
A step that looks up something already stored in an app so later steps can reuse it. Accelevents offers none.
Connection
Your Accelevents account linked to Zapier once, then reused by every step that touches Accelevents.
Cost

What an Accelevents Zap really costs

Short version: the trigger is free, every successful action is a task, and Accelevents is not a premium app.

  • TriggerFree, never a task
  • Successful action1 task each
  • Free plan100 tasks a month, 2-step Zaps
  • Premium appNo, works on Free

A ticket sale or a check-in arriving costs nothing. You pay one task each time an action goes through, and a failed action is not counted. A Zap with three actions eats three times what a one-action Zap does. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. The polling grid below does not touch Accelevents, since its three triggers are instant.

Connect

Connect your Accelevents account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need an Accelevents account first, plus access to any event you do not own yourself but want the Zap to touch.

  2. 02

    Pick Accelevents

Type Accelevents in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the Accelevents side, where the rest of the setup happens.

  3. 03

    Sign in and grant access

Log in to Accelevents in that tab and allow Zapier to reach the account. The connection is saved once and every later Accelevents step reuses it, so you never repeat this.

First Zap

Your first Accelevents Zap: ping the team when a VIP checks in

GoalWhen a guest checks in at the door, keep only VIP holders and post a short line in the team chat.

  1. 01

Create the Zap and pick the trigger

Start a new Zap, choose Accelevents as the app and User Check In as the event, then select the connection you just made.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent check-ins of the account, so you can map later steps on a real guest rather than a blank.

  3. 03

    Add the filter

From the plus icon add Filter, pick the ticket field, choose a text rule and type the VIP label. This makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add the chat action

Add the message step in your chat tool, pick the channel the hosts watch and drop the guest name from the trigger into the text.

  5. 05

    Test, then publish

Test each step once and read what came back. When the message looks right, click Publish to switch the Zap on for every check-in that follows.

Triggers

Accelevents triggers on Zapier

3 events start a Zap when something happens in Accelevents, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Ticket Purchase Trigger

Instant trigger

In Zapier“Triggers when the new event ticket is purchased. This trigger will pull the event tickets details.”

Every fresh ticket order starts the Zap and passes the ticket details along, which is the natural entry point for anything that should follow a sale: a welcome email, a CRM record, a row in the finance sheet.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your sales team wants each new buyer of a conference pass in their pipeline the minute payment clears.
Watch out
only sales made after the Zap is published come through; orders taken before that are never sent.
2

Update Ticket Info

Instant trigger

In Zapier“Triggers when buyer or holder ticket info is updated.”

Fires when the buyer or the holder details on a ticket change, so a corrected name or a handed-over seat does not stay stale in the tools downstream.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a company buys five seats under one manager, then fills in the real attendee names a week later, and your badge printer list needs those names.
Watch out
if a later step writes back into the same ticket, the edit can set this trigger off again and loop.
3

User Check In

Instant trigger

In Zapier“Triggers when a user checks in.”

Starts the Zap when an attendee checks in, which turns the door scan into a signal the rest of your tools can act on while the event is running.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
exhibitors at a trade show want to know which of their invited prospects actually walked in.
Watch out
a large crowd at opening time sends a burst of check-ins, and each action that follows costs a task.
Actions

Accelevents actions on Zapier

Accelevents gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Import Ticket Holder/Buyer

Action

In Zapier“Import ticket holder/buyer into Acceleevnts”

Adds a person to an event as a ticket holder or buyer, under the ticket type you choose, from data that came from an earlier step.

When to use it
speakers fill in an intake form, and each one should appear on the guest list with a speaker ticket.
Watch out
Ticket Type, Email, First Name and Last Name are all required, so map every one or the step fails.
When it breaks

When an Accelevents Zap breaks

Zapier links no help article to Accelevents, so the failures below are the general ones that hit any Zap built on it.

Most problems come from what the Zap was never told to do. If a run stops for reasons not listed here, the Zapier troubleshooting guide walks through the editor checks.

  • Past tickets never arrive

A Zap reacts only to what happens after it is switched on. Tickets sold or guests checked in before publishing are not picked up; moving that backlog is a separate job.
  • The import loops on itself

Importing a holder into the event that your own trigger watches can fire the Zap again and again, burning tasks fast. Point the import at a different event or ticket type.
  • A bulk import gets held back

When a trigger suddenly returns a huge batch, for example after a mass import of attendees, Zapier's flood protection can hold it back instead of running it all at once.
  • The ticket type list is empty

The import step cannot run without a Ticket Type. If none exists yet on the target event, create it in Accelevents first, then come back to the step.

FAQ

Accelevents Zapier integration: FAQ

01Is the Accelevents Zapier integration free?
Yes, it runs on the free plan, because Accelevents is not a premium app. The free plan gives you 100 tasks a month and as many Zaps as you like. The catch is size: each Zap can only hold one trigger and one action. As soon as you add a filter, a second action or any extra step, the Zap becomes multi-step and Zapier asks for a paid plan. A plain sale-to-spreadsheet Zap stays free; a check-in alert that keeps only VIP guests does not.
02How many tasks does an Accelevents Zap use?
One task per action that succeeds, and nothing for the trigger. A ticket purchase reaching Zapier costs zero. If the Zap then writes one row, that is one task; if it writes a row, sends an email and posts a message, that is three. Actions that fail are not counted. So a launch day with many sales, followed by a three-action Zap, multiplies quickly: count your expected orders times your actions before picking a plan, rather than counting Zaps.
03Does Accelevents trigger Zaps instantly?
Yes. All three Accelevents triggers are instant: the app calls Zapier as soon as a ticket is bought, ticket info changes or a guest checks in. That means the polling interval of your plan, 15 minutes on Free, does not apply here at all. The editor shows a lightning bolt on such Zaps. You cannot switch a trigger between instant and polling yourself; that is set by the app, and Accelevents chose instant for every trigger it offers.
04What does it take to connect Accelevents to Zapier?
An Accelevents account, and access to the events you want the Zap to read or write if someone else owns them. From the Apps page of Zapier, click + Add connection, pick Accelevents, sign in on the tab that opens and grant access. That connection is then reused by every Accelevents step in every Zap. If you plan to use the import action, also check that the target event already has at least one ticket type, since that field is mandatory.
05Why does the Accelevents import step create duplicates?
Because Accelevents has no search step on Zapier, so a Zap cannot check whether a person already holds a ticket before importing them. If the same email comes through twice from your form, the import runs twice. The safer pattern is to deduplicate upstream, in the form tool or a spreadsheet, before Zapier reaches Accelevents. Also avoid importing into the event your own trigger watches, or a single entry can set off a loop that eats your task count.
06What if the Accelevents operation you need is not there?
Then that job has to stay inside Accelevents, or go through another tool. On Zapier the app offers exactly three triggers and one action, the holder import. There is no way to create an event, cancel a ticket, edit a holder or check someone in from a Zap. Before planning a workflow around those, confirm the operation appears in the editor's event list; if it does not, a custom request to Accelevents or a different automation platform is the realistic route.
07Zapier, Make or n8n for Accelevents?
It depends on the criterion that matters most to you. Zapier wins on setup speed: three instant triggers and a guided editor, usable on the free plan for simple two-step Zaps. If you need branching logic or many steps per run, compare how each platform bills those steps, since Zapier counts every successful action as a task. If hosting the automation yourself matters, add that criterion to the list. Check which of them actually lists Accelevents before deciding.
