Nexinvoice Zapier integrationAutomate Nexinvoice with Zapier.

The Nexinvoice Zapier integration offers 1 trigger, 1 action and 1 search. New invoices collected by Nexinvoice can start a Zap, a search finds an invoice, and one action changes its status, so the bills you gather stop waiting on someone to copy them by hand.

Overview

What the Nexinvoice Zapier integration is for

Nexinvoice gathers invoices from many sources in Brazil, with a focus on water, energy and gas suppliers. Linked to Zapier, it can start a Zap (an automation you set up once: one trigger, then one or more actions) and receive a status change back. Data travels both ways, but through only three operations.

Three results you can build. A running list of every new invoice in your spreadsheet, started by Get Invoices, so the finance view fills itself. An email to a person you choose for each new invoice, again started by Get Invoices and passed to your mail tool. And a status change in Nexinvoice once the bill is handled elsewhere, through Update Invoice Status, provided an earlier step hands it the Invoice Id; Find Invoice, which looks for invoices awaiting payment, can sit before it, and the test shows what it returns.

What Zapier does not do for Nexinvoice. There is no instant trigger: Get Invoices is checked on a timer, so nothing arrives the moment Nexinvoice collects a bill. There is no action to create, delete or attach anything; the only write is a status update. And the search has no find-or-create variant, so a missing invoice cannot be created on the fly.

Vocabulary

Zapier vocabulary in one minute

Eight terms keep coming back on this page. Here they are in plain words.

Zap
The automation itself: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. For Nexinvoice, that is Get Invoices, once the Zap is switched on.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you.
Task
The unit Zapier bills. One action that completes successfully is one task, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant trigger is reported by its app the moment the event happens.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
Search step
A step that looks up something already in an app, so the steps after it can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A filter, a search or a second action makes one, and it needs a paid plan.
Cost

What a Nexinvoice Zap really costs

Nexinvoice is not one of the apps Zapier keeps for paid plans, so a simple Zap runs on the free plan.

  • Free plan100 tasks a month, unlimited two-step Zaps
  • BilledEach successful action, never the trigger
  • Paid plan needed forFind Invoice, a filter or a second action

Get Invoices costs nothing, however often Zapier checks it. Each action that succeeds is one task; an action that fails is not counted. The free plan builds two-step Zaps only: Get Invoices plus one action works there. Find Invoice is a search step, so any Zap that uses it is multi-step and needs a paid plan, and so does a Zap with a filter or a second action. How often Get Invoices is checked depends on the plan:

Connect

Connect Nexinvoice to Zapier in three steps

  1. 01

    Open the Apps page

In your Zapier account, open Apps and click + Add connection. You need a Nexinvoice account, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Pick Nexinvoice

Type Nexinvoice in the search box of the dialog, select it in the results, then click Add connection. A new browser tab opens so you can reach your Nexinvoice account.

  3. 03

    Sign in and grant access

Sign in to Nexinvoice in that tab and grant Zapier access to the account. The trigger, the search and the action of every Zap then reuse this one connection.

First Zap

Your first Zap: an email for each new Nexinvoice invoice

GoalEach new invoice that Get Invoices brings back sends an email to a person you choose, in a two-step Zap that fits the free plan.

  1. 01

    Set the trigger

Create a Zap, choose Nexinvoice and Get Invoices, and select your connection. Testing brings back the three most recent invoices of the account, so you map fields on a real one.

  2. 02

    Keep it at two steps

One trigger and one action is all the free plan builds, and this Zap needs nothing more. If you later want only some invoices to go out, a Filter step does that, but it makes the Zap multi-step, which needs a paid plan.

  3. 03

    Add the email action

Choose your email app and its send event, then map what you want in the subject and body from the invoice that the test brought back.

  4. 04

    Test each step

Run each step once and read what came back. Check that the subject and body carry the invoice details you mapped, and fix any empty field before you switch the Zap on.

  5. 05

    Publish

Click Publish to switch the Zap on. From then on Zapier checks Get Invoices at your plan's interval, and invoices from before are left alone.

Triggers

The Nexinvoice trigger

1 event starts a Zap when something happens in Nexinvoice. Zapier checks for them at the interval your plan allows.

1

Get Invoices

Polling trigger

In Zapier“Triggers when you want to get new invoices from Nexinvoice.”

Starts your Zap with each new invoice Nexinvoice has collected, so whatever follows (a row, a message, a record in another tool) works from that invoice. It is the only way Nexinvoice can kick off a Zap, so every Zap that reacts to Nexinvoice begins here.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
you want every incoming utility bill logged or announced somewhere without opening Nexinvoice.
Watch out
only invoices that appear after the Zap is published are picked up, and the same invoice does not start the Zap twice.
Actions

The Nexinvoice action

Nexinvoice gives you 1 action. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Update Invoice Status

Action

In Zapier“Update invoice to set all protocols and change status”

Changes the status of an existing invoice in Nexinvoice and sets its protocols, using the Invoice Id you pass in. It creates nothing: it works on an invoice you already have.

When to use it
the bill was dealt with in another tool and Nexinvoice should reflect it.
Watch out
Invoice Id is required, so an earlier step has to carry it; check at the test that it really does.
Searches

The Nexinvoice search

1 search step looks for data that already exists in Nexinvoice, so a later step can use it.

A search step looks up something that already exists in Nexinvoice and hands it to the next steps. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not a single clean match.

1

Find Invoice

Search

In Zapier“Finds new invoices to payment”

Looks for invoices in Nexinvoice that are still awaiting payment and passes what it finds to the steps after it. No input field is documented for it on Zapier, so the test is where you see what it brings back.

When to use it
your Zap starts in another tool and needs an unpaid Nexinvoice invoice to work on.
Watch out
a search makes the Zap multi-step, so it needs a paid plan; check at the test which invoice comes back and whether it carries an Invoice Id.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and skips the steps that depended on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking this turns a search into a find-or-create. Find Invoice has no find-or-create variant on Zapier, so this box is not offered for it.
  3. If multiple search results are found?
Three ways out: keep the first match (the default), stop the Zap, or hand all the matches on at once.
When it breaks

When a Nexinvoice Zap breaks

Zapier links no help article to Nexinvoice and lists no limit specific to it, so the cases below are the general limits of any Zap built on it.

  • Old invoices are not picked up

A Zap only reacts to what happens after it is switched on. Invoices Nexinvoice collected before publishing never start it; moving that backlog is a separate job.
  • Writing where the trigger watches

As a general precaution: a Zap that writes into the very place its own trigger watches can set itself off again and again and use up tasks fast.
  • A sudden batch can be held back

After a bulk import or a migration, Get Invoices may return a huge batch at once, and Zapier's flood protection can hold it back.
  • The same invoice does not fire twice

Get Invoices is a polling trigger: Zapier keeps track of what it has already seen, so the same invoice does not launch the Zap twice.

FAQ

Nexinvoice and Zapier: common questions

01Is the Nexinvoice Zapier integration free?
Partly. Nexinvoice is not among the apps Zapier reserves for paid plans, so it works on the free plan, which gives 100 tasks a month and an unlimited number of Zaps of two steps each. Get Invoices followed by one action fits that limit. Find Invoice does not: a search step makes the Zap multi-step, and multi-step Zaps need a paid plan. The same goes for a filter or a second action. In practice, alerts and logs of new invoices fit the free plan, while a status update preceded by Find Invoice needs a paid plan.
02How many tasks does a Nexinvoice Zap use?
One task for each action that completes successfully. Get Invoices costs nothing, and Zapier checking it for new invoices costs nothing either, however often it looks. An action that fails is not counted against your plan. A Zap that logs each invoice in a spreadsheet and also emails someone uses two tasks per invoice when both actions succeed. A few apps and actions on Zapier take more than one task, so check your task count after your first real runs rather than guessing it.
03Does Nexinvoice send invoices to Zapier in real time?
No. Get Invoices is a polling trigger: Zapier goes and looks at regular intervals, and the interval depends on your plan. It is 15 minutes on Free, 2 on Professional and 1 on Team and Enterprise. There is no instant version of this trigger, and the type cannot be changed from the editor. On paid plans, the checking interval can be adjusted and a check can be run by hand from the editor when you need a new invoice to come through sooner.
04What is required to connect Nexinvoice to Zapier?
A Nexinvoice account, plus read or write access on anything you do not own yourself and want the Zap to touch. You make the connection once, from the Apps page of your Zapier account: click + Add connection, search for Nexinvoice, click Add connection, sign in to Nexinvoice in the tab that opens and grant Zapier access. The trigger, the search and the action of all your Zaps then share that connection, so there is nothing to redo when you build the next one.
05Why does Update Invoice Status need a step before it?
Because its only required field is Invoice Id, the unique ID used to update the invoice, so the action has to be told which invoice to change. That value has to come from an earlier step of the Zap. Find Invoice, the app's only search, looks for invoices awaiting payment and can sit before the update. Run the test of each step and check that an Invoice Id really reaches the field before publishing, since that is the invoice whose status will change.
06What if the Nexinvoice operation you need is not there?
Open the Nexinvoice app page on Zapier, which shows the current list of operations. Today it holds one trigger (Get Invoices), one action (Update Invoice Status) and one search (Find Invoice). If the step you are after is not on that list, a Zap cannot run it as a Nexinvoice operation. When the missing piece is on the receiving side, look at the operations of the other app in the Zap instead: Get Invoices can start a Zap toward any app that Zapier connects.
07Zapier, Make or n8n for Nexinvoice?
Pick on criteria, not on a ranking. Coverage first: on Zapier, Nexinvoice brings one polling trigger, one search and one status action, so check whether Make or n8n offer Nexinvoice and with which operations. Then timing: the free plan checks Get Invoices every 15 minutes, and faster checks come with paid plans. Then shape: alerts on new invoices fit a free two-step Zap, while adding Find Invoice makes the Zap multi-step and therefore paid on Zapier.
