Overview

What the Accompa Zapier integration is for

Accompa is a cloud tool for managing product requirements. Through Zapier it works both ways: Accompa reports when a record is created or changed, and a Zap can create a record, update one or look one up. Every operation works on records of an Accompa object you pick, such as requirements or feature requests.

Three results teams typically get out of it. A product channel that hears about every new requirement. New Record pushes each fresh entry to chat, so nobody has to refresh Accompa. Feature requests that file themselves. A form or a support tool starts the Zap, and Create Record drops the request into the right Accompa object. Status that flows back. When work moves forward elsewhere, Find Record locates the requirement by key or title and Update Record changes it, with no copy and paste.

What Zapier does not do here: there is no delete action and no find-or-create option on the search. The search value accepts letters and digits only, so a title with punctuation will not match. And every trigger, action and search asks which Accompa object to work on, so a Zap never spans several objects at once.

Weighing tools first? The n8n vs Zapier comparison and the Zapier review go through it criterion by criterion.

Vocabulary

Zapier words, explained once

Eight terms carry this page. Here they are without jargon.

Zap
The automation you build on Zapier: one trigger, followed by one or more actions that run each time the trigger fires.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills: one action completed successfully. The number on your plan counts these.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is reported by the app the moment the event happens.
Filter
A step that lets the Zap continue only when the incoming data meets your condition, and stops it otherwise.
Search step
A step that looks up something that already exists, so the next steps can use what it found.
Connection
Your Accompa account linked to Zapier once, then reused by every step that talks to Accompa.
Cost

What an Accompa Zap costs

Accompa is not reserved for paid plans: it works on the free plan. The bill comes from the actions, not from the trigger.

  • Free plan100 tasks a month, two-step Zaps
  • TriggerNever counted
  • Search or filterMakes the Zap multi-step
  • Trigger type2 instant, 0 polling

The trigger never costs a task, and checking for new data costs nothing. Each action that goes through counts once, so a Zap with two actions uses twice as much as a Zap with one. Failed actions are not counted. The free plan offers 100 tasks a month and unlimited Zaps, but each Zap stops at two steps. Put Find Record in front of Update Record, or add a filter, and you have a multi-step Zap, which needs a paid plan.

Connect

Connect Accompa to Zapier in 3 steps

  1. 01

    Find Accompa

Open Apps in your Zapier account and click + Add connection. In the dialog, search for Accompa and pick it. You need an Accompa account before you start.

  2. 02

Click Add connection. A tab opens on the Accompa side: sign in with the account whose records the Zap will read or change. Records you do not own need read or write access granted to that account.

  3. 03

    Allow access

Grant Zapier access to the account. The tab closes and Accompa shows up on your Apps page, ready for every Zap you build with it. One connection per account is enough.

First Zap

Your first Zap: announce new requirements in Slack

GoalEach new record in the requirements object posts a message to the product team's channel, but only when it is marked high priority.

  1. 01

    Set the trigger

Create a Zap, pick Accompa and New Record, choose your connection, then select the object to watch, for example requirements.

  2. 02

    Test it

Run the test. Zapier brings back the three most recent records of that object, so you map fields on a real requirement rather than a placeholder.

  3. 03

    Add the filter

Click the plus icon, choose Filter, then pick the field your team uses for priority, a text rule and the value to keep. The filter makes the Zap multi-step, so a paid plan is required.

  4. 04

    Post the message

Add the Slack action, pick the channel and place the record title and key in the text. Test the step and read the message that arrived.

  5. 05

    Publish

Publish to switch the Zap on. Requirements created earlier stay out; only records added from now on reach the product channel.

Triggers

The 2 Accompa triggers

2 events start a Zap when something happens in Accompa, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Record

Instant trigger

In Zapier“Triggers when a new record is created in Accompa.”

Starts the Zap whenever someone adds a record to the Accompa object you chose, whether that is a requirement, a feature request or another object your workspace uses. The Zap receives the fresh record and can pass its fields to any app that follows.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
open a matching ticket in the engineering tracker each time a product manager logs a new requirement.
Watch out
one trigger watches one object; covering requirements and feature requests means two Zaps, each with its own object selected.
2

Updated Record

Instant trigger

In Zapier“Triggers when a record is updated in Accompa.”

Fires when an existing record in the chosen object changes. It is the trigger for anything that should follow the life of a requirement: a new status, a reworded description, a priority that moves up after a customer call.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keep a release spreadsheet in step with Accompa, so stakeholders read the latest status without logging in.
Watch out
a Zap that updates the same object it watches retriggers itself, so never pair this trigger with Update Record on that object without a filter.
Actions

The 2 Accompa actions

Accompa gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Record

Action

In Zapier“Creates a new record.”

Adds a new record to the Accompa object you select, filled with data from earlier steps. It turns input collected anywhere into a proper entry in your requirements base.

When to use it
a customer submits a feature idea through a web form and it lands in Accompa as a feature request.
Watch out
the object is mandatory and fixed per step, so pick the one your team actually triages.
2

Update Record

Action

In Zapier“Updates an existing record.”

Changes a record that already exists. You choose the object, then point at the record by its ID, a key like RE-55, taken from an earlier step or from a search.

When to use it
a developer closes a ticket in the tracker and the linked requirement switches to done.
Watch out
without a Record ID the step cannot run, so put Find Record before it when no earlier step carries that key.
Searches

The Accompa search

1 search step looks for data that already exists in Accompa, so a later step can use it.

A search step finds a record that already exists and hands it to the next steps. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not a single clean match.

1

Find Record

Search

In Zapier“Finds a record, either using record's key or it's title.”

Looks up a record in the object you pick, either by its key or by its title, and hands it to the following steps. It is how a Zap gets the Record ID that Update Record requires.

When to use it
a support tool sends a requirement title, and the Zap finds the matching Accompa record before updating it.
Watch out
the search value accepts letters and digits only; special characters are not supported, so strip them before searching.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the dependent steps are skipped. Switched on, the Zap carries on with empty hands.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create. Accompa offers no such variant, so you will not see it on this search.
  3. If multiple search results are found?
Three ways out when several records match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When an Accompa Zap breaks

Zapier links no help article to Accompa and no app-specific limit is documented. The usual failures are the ones every Zap shares.

Four cases cover most of what goes wrong. Each one has a plain cause. If a Zap still misbehaves, the Zapier troubleshooting page walks through the checks.

  • Old records never come through

A Zap only reacts to what happens after it is switched on. Records created before publication are ignored, and moving that backlog is a separate job.
  • An update loop

Updated Record plus Update Record on the same object means the Zap writes where its trigger looks, sets itself off again and again, and drains your tasks.
  • A bulk import held back

After a mass import or a migration into Accompa, a trigger can send a huge batch at once, and Zapier's flood protection can hold it back.
  • The same record twice

Zapier remembers what it has seen on a polling trigger. Both Accompa triggers are instant, not polling.

FAQ

Accompa Zapier integration: common questions

01Is the Accompa Zapier integration free?
Yes, for simple two-step Zaps. Accompa is not reserved for paid plans, so it runs on the free plan, which includes 100 tasks a month and unlimited Zaps. The limit is the shape of the Zap: one trigger, one action. A Zap that uses Find Record before Update Record, or a filter on priority, has three steps and needs a paid plan. Syncing a status back into Accompa usually takes that second shape, so plan for it early.
02How many tasks does an Accompa Zap use?
One per action that succeeds, and none for the trigger. When Accompa reports a new or updated record, that costs nothing. Each action downstream that completes counts once: a Zap that creates a record and then posts to chat uses two tasks per run. The search step itself is part of the multi-step Zap, and failed actions are not counted. So a one-action Zap uses as many tasks as there are records it handles.
03Is the Accompa integration real time?
Yes, on the trigger side. Both Accompa triggers are instant: Accompa calls Zapier as soon as a record is created or updated, so the Zap starts right away. The free plan's 15-minute polling delay does not apply to them. A Zap built on one of these triggers shows a lightning bolt in the editor. This type comes from Accompa's own setup; it cannot be switched from inside Zapier. That is the main reason Accompa Zaps feel fast even on Free.
04What does it take to connect Accompa to Zapier?
An Accompa account and access to the records the Zap will touch. Open Apps in Zapier, click + Add connection, search for Accompa, sign in on the Accompa side and grant access. That connection is then reused by every Zap. Records owned by someone else need read or write access given to your account, otherwise the object list stays empty when you set up a step. Set this up once and every later Zap picks it from a list.
05Why does Find Record miss a requirement title?
Because the search value accepts letters and digits only. Accompa does not support special characters in that field, so a title with a hyphen, a slash or an apostrophe will not match. Search by key instead when you have it, or clean the value in an earlier step. Also check the field you search by: Find Record works on the record key or on its title, and the object has to be the one that actually holds the record.
06What if the Accompa operation you need does not exist?
Check whether a combination covers it first. Accompa offers New Record and Updated Record as triggers, Create Record and Update Record as actions, and Find Record as a search, all scoped to one object. Deleting a record or acting on several objects in one step is not available. If the gap is real, no Zap setting will fill it; a tool with a more open connector may suit better. Name the missing operation precisely before switching tools.
07Zapier, Make or n8n for Accompa?
Decide on your criteria rather than a ranking. Zapier works well here for quick setups: both triggers are instant and Accompa runs on the free plan. If most of your Zaps will chain Find Record and Update Record, compare how each tool prices multi-step scenarios. If you want to run automations on your own server, n8n is designed for that. Check first whether each one offers a native Accompa connector, since this page covers only Zapier.
