Overview

What the Nutrient Document Web Services API Zapier integration actually does

It plugs a document workshop into your automations. Another app reports that a file exists, then Nutrient Document Web Services API (a developer tool built to process documents) converts it, pulls text or tables out of it, fills it, signs it or locks it. You point each step at a file link, and the processed document comes out of the step.

Three results come back again and again. A clean PDF from anything: Word, Excel or PowerPoint files, images, HTML pages or a live web address go through Convert Microsoft Office File to PDF, Convert Image to PDF or Convert URL to PDF. Data you can reuse: scanned invoices or forms go through Extract Text With OCR, Extract Tables From PDF to Excel or Extract Key-Value Pairs From PDF, so a later step can write the result somewhere useful. A document ready to send out: Fill PDF Form, Apply Watermark to PDF, Apply Redactions to PDF and Cryptographically Sign PDF With Invisible Digital Seal finish the job before the file leaves.

Now the part the app page does not spell out. Nutrient has no trigger at all, so it can never start a Zap by itself: something else has to bring the file in (a storage folder, a form, an email tool). It has no search step either, so nothing on this page looks up an existing document. And every action wants a file link Nutrient can open from the outside, not a file sitting in a private folder.

If you are still choosing a platform, the n8n vs Zapier comparison is the place to weigh both tools before you build anything.

Vocabulary

Zapier words in one minute

Seven words come up on every line below. Here they are in plain English, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for it. Nutrient offers none.
Action
What the Zap does once started: the step that writes, sends or changes something for you. All 35 Nutrient steps are actions.
Task
The unit Zapier bills: one action that completes successfully. The number on your plan counts exactly those.
Polling vs instant
A polling trigger is checked on a timer by Zapier. An instant trigger is reported by the app itself, the moment the event happens.
Filter
A step that lets the Zap go on only when what arrived meets your condition, and stops it there otherwise.
Connection
Your Nutrient account linked to Zapier once, then reused by every step of every Zap that calls the app.
Cost

What a Nutrient Zap really costs

Nutrient is not a premium app, so it works from the free plan. What you pay for is tasks, and only actions make them.

  • Premium appNo, available on the free plan
  • Free plan100 tasks per month, unlimited Zaps
  • Free plan limitTwo steps: one trigger, one action
  • BilledEach Nutrient action that succeeds

The trigger from the other app costs nothing, however often Zapier checks it. Each Nutrient action that succeeds counts as one task; one that fails is not counted. Chain a conversion and a watermark and every file eats two tasks. The free plan stops at two steps (one trigger, one action), so a second Nutrient action or a filter makes it a multi-step Zap that needs a paid plan. A few apps and actions take more than one task when they complete.

Connect

Connect your Nutrient account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need a Nutrient account first, plus access to any file you do not own but want the Zap to process.

  2. 02

    Pick Nutrient in the dialog

Type Nutrient Document Web Services API in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the Nutrient side.

  3. 03

    Sign in and grant access

Log in to Nutrient in that tab and allow Zapier to use the account. The connection then shows up in your list, and every Nutrient step of every Zap reuses it.

First Zap

Your first Zap: Word files in, PDFs out

GoalEvery Word or PowerPoint file dropped in a folder becomes a PDF, without anyone opening it.

  1. 01

    Build: choose the starting event

Create a Zap and pick the app that receives your files, here a storage folder, as the trigger. Nutrient cannot play that role, it has no trigger.

  2. 02

Test the trigger on a real file

Run the test: Zapier brings back the three most recent items from the connected account. Pick one that is an actual Office file so the mapping is done on real data.

  3. 03

Add a filter on the file type

Click the plus icon, choose Filter, then set the field, the rule and the value. Keep it to text rules on a text field. This step makes the Zap multi-step, so a paid plan is required.

  4. 04

    Add the Nutrient action

Choose Nutrient Document Web Services API, then Convert Microsoft Office File to PDF. Map the file link from the trigger into Microsoft Office File URL, and check that this link opens the file from outside.

  5. 05

    Test, then publish

Test the Nutrient step and read what came back before going further. Then click Publish: from now on, each new file that passes the filter goes through the conversion.

Actions

The 35 Nutrient actions, grouped by what they do

Nutrient Document Web Services API gives you 35 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Page to PDF

Action

In Zapier“Add blank pages to a PDF in your application or workflow with a flexible PDF API.”

Slips a blank page into an existing PDF at the position you choose. Counting starts at 0, so 0 puts it before the current first page.

When to use it
reports printed double-sided need an empty back page after the cover.
Watch out
Insert Position is required; leave it empty and the step stops.
2

Add Annotations to PDF

Action

In Zapier“Programmatically import annotations into your PDF documents”

Places comments, highlights or stamps on a PDF from an annotations file written in Instant JSON.

When to use it
an approval workflow should stamp the document with the reviewer's notes before filing.
Watch out
a JSON file that does not follow the Instant JSON format will not import.
3

Convert HTML to PDF

Action

In Zapier“Convert an HTML file to PDF”

Renders an HTML file into a PDF, so a page you designed for the browser becomes something you can print or attach.

When to use it
your tool already produces receipts or certificates as HTML files.
Watch out
it expects a link to an HTML file, not raw HTML pasted into the field.
4

Convert Image to PDF

Action

In Zapier“Converts JPG, PNG, TIFF, HEIC, WebP,SVG, GIF, TGA, EPS to PDF.”

Wraps a picture into a PDF. JPG, PNG, TIFF, HEIC, WebP, SVG, GIF, TGA and EPS are all accepted.

When to use it
phone photos of receipts must be filed as PDFs for accounting.
Watch out
HEIC photos straight from an iPhone work, but the link to them still has to be public.
5

Convert Microsoft Office File to PDF

Action

In Zapier“Converts Office to PDF. Supports DOCX, DOC, PPTX, PPT, XLSX, XLS, RTF, ODT”

Produces a PDF from a Word, Excel or PowerPoint file, old formats included, and also from RTF and ODT.

When to use it
contracts are drafted in Word but must leave the company as PDFs nobody can edit by accident.
Watch out
a link that opens an online editor is not a direct file link.
6

Cryptographically Sign PDF With Invisible Digital Seal

Action

In Zapier“Cryptographically sign a PDF document with an invisible digital seal. Get a PDF file with a digital signature that validates in PDF readers.”

Adds a digital signature that does not show on the page but that PDF readers can validate.

When to use it
certificates or invoices must prove they have not been altered since they left.
Watch out
a password-protected PDF will not be signed, so sign before you secure.
7

Convert Doc/Docx to Image

Action

In Zapier“Convert DOC/DOCX files to JPG/PNG/TIFF”

Snaps a Word document into a JPG, PNG or TIFF picture.

When to use it
a one-page notice written in Word has to be posted where only images display, like a screen in reception.
Watch out
it accepts .doc and .docx only, and WebP is not on its output list.
8

Duplicate PDF Page

Action

In Zapier“Make a copy of one or more pages in a PDF document”

Copies one or several pages inside the same PDF. You describe the pages as a list or ranges, for example 1,3,5 or 2-4.

When to use it
a signature page or a terms page has to appear twice, once for each party.
Watch out
Pages to Duplicate is required, so a Zap that leaves it empty stops at this step.
9

Flatten PDF Annotations

Action

In Zapier“Flatten preexisting annotations in PDF files to prevent unauthorized edits”

Merges existing annotations into the page itself, so nobody can move or remove them afterwards.

When to use it
a filled form or a commented contract is final and must not be touched again.
Watch out
flattening is meant to be final, so keep the editable original elsewhere.
10

Create PDF Form

Action

In Zapier“Easily build PDF forms in your application or custom workflow”

Turns a flat PDF template into a form people can type into, following a separate JSON file that says where each field sits.

When to use it
an intake sheet or order form only exists as a printed-style PDF and should become fillable.
Watch out
both the template and the structure file need a public link.
11

Fill PDF Form

Action

In Zapier“Integrate our PDF Form Filler API to import and fill PDF forms in your application or workflow.”

Writes data into the fields of a fillable PDF, using a JSON file in the Instant JSON format.

When to use it
answers from an online form must end up in the official PDF a client signs.
Watch out
the PDF has to be fillable already; a flat PDF needs Create PDF Form first.
12

Convert HTML to Image

Action

In Zapier“Convert HTML files to PNG/JPG/TIFF”

Draws an HTML file as a PNG, JPG or TIFF image instead of a PDF.

When to use it
a certificate or a social card is templated in HTML and must be posted as a picture.
Watch out
the HTML file itself must be public, otherwise Nutrient sees nothing to draw.
13

Convert HTML to Office

Action

In Zapier“Convert HTML files to DOCX/XLSX/PPTX”

Turns an HTML file into a DOCX, XLSX or PPTX document your colleagues can open in Office.

When to use it
an export from a web tool should land as a Word file someone will edit.
Watch out
its only required field is the public link to the .html file.
14

Convert Image to Office

Action

In Zapier“Convert Image to Office (JPG/PNG → DOCX/XLSX/PPTX)”

Reads a JPG or PNG and rebuilds it as a DOCX, XLSX or PPTX file.

When to use it
a photo of a printed table should become a spreadsheet instead of being retyped.
Watch out
only JPG and PNG are listed for this one, so convert HEIC or TIFF images first.
15

Extract Text From Image

Action

In Zapier“Build automated workflows to extract text from image files in your application using an API that leverages ML and adaptive layout understanding.”

Lifts the text out of a picture, whatever the format among JPG, PNG, TIFF, HEIC, WebP, SVG, GIF, TGA and EPS.

When to use it
field staff photograph delivery notes and the text should reach a sheet.
Watch out
the input is called Image File and wants a link, not the photo itself.
16

Import JSON to PDF

Action

In Zapier“Import annotations, form fields, and form values into your PDF documents”

Loads annotations, form fields and their values into a PDF in one go from a JSON file.

When to use it
a review tool exports comments as JSON and they should reappear on the original document.
Watch out
both the PDF and the JSON file are required, each as its own link.
17

Extract Key-Value Pairs From PDF

Action

In Zapier“Automatically identify and extract key values without manual supervision or templates. Integrate a KVP API to extract specific data like credit cards, addresses, and emails from unstructured documents.”

Spots labeled values in a document, such as an address or an email next to its label, without a template to set up.

When to use it
supplier invoices arrive in many layouts and you only want the key details.
Watch out
despite its name, the required field asks for an image file URL.
18

Linearize PDF

Action

In Zapier“Linearize a PDF for faster rendering.”

Reorganizes a PDF so the first pages show up in a browser before the whole file has downloaded.

When to use it
long catalogs are published online and visitors should not stare at a blank screen.
Watch out
it does not make the file smaller; pair it with Optimize PDF for that.
19

Merge PDF

Action

In Zapier“Merge multiple files into one document”

Glues two PDFs into a single document, the first file on top and the second right after it.

When to use it
a quote and its general terms should travel as one attachment instead of two.
Watch out
order matters: whatever you map into First PDF File URL opens the merged document.
20

Extract Text With OCR

Action

In Zapier“Extract text from images and transform scanned documents into interactive, searchable PDFs with a reliable OCR API built for seamless integration.”

Reads scanned pages with optical character recognition and gives you a searchable PDF.

When to use it
a multifunction printer sends paper scans to a folder and nobody can search them.
Watch out
it takes a PDF; for a lone photo, use Extract Text From Image instead.
21

Optimize PDF

Action

In Zapier“Optimize PDF file by applying hyper-compression that affects images within the file. Get a PDF file with up to 90% smaller footprint.”

Shrinks a PDF by compressing the images inside it, sometimes by up to 90 percent.

When to use it
scanned files are too heavy for email attachments or for a storage quota.
Watch out
the gain comes from images, so a text-only PDF barely gets lighter.
22

Convert PDF to Image

Action

In Zapier“Convert PDF files to PNG, JPG, TIFF, and WebP”

Exports a PDF as an image file in PNG, JPG, TIFF or WebP, whichever you set in Output format.

When to use it
you need a thumbnail of each new brochure for a website or a chat message.
Watch out
Output format is required and only takes jpg, png, webp or tiff.
23

Rotate PDF Pages

Action

In Zapier“Rotate a single PDF page or all PDF pages in your application or workflow with our PDF Rotate API. Set rotation to 90, 180, or 270 degrees.”

Turns one page or every page of a PDF by 90, 180 or 270 degrees.

When to use it
scans keep arriving upside down from the same copier.
Watch out
Rotate By only accepts those three angles, nothing in between.
24

Extract Tables From PDF to Excel

Action

In Zapier“Extract tables from PDF to Excel”

Same table hunt, but the result is an Excel file instead of raw data.

When to use it
a finance team wants bank statements received as PDF in a spreadsheet they can sort.
Watch out
its single required field is the PDF link, so a private file stops it before anything is read.
25

Extract Tables From PDF

Action

In Zapier“Extract tables from PDF to JSON using our data extraction API.”

Finds the tables inside a PDF and returns them as structured data rather than as a file to open.

When to use it
price lists from a supplier should feed a later step row by row.
Watch out
the output is JSON, so plan a following step that knows what to do with it.
26

Convert PDF to Office (DOCX, XLSX, PPTX)

Action

In Zapier“Convert PDF files to DOCX/XLSX/PPTX”

Goes the other way: a PDF becomes a Word, Excel or PowerPoint file you can edit again.

When to use it
a partner sends PDFs and your team needs to rework the wording.
Watch out
the field asks for a direct link to the PDF, and a preview page is not one.
27

Convert PDF to PDF/A

Action

In Zapier“Convert PDF to PDF/A with the desired conformance level to prepare it for archiving.”

Rewrites a PDF in the PDF/A archiving format, at the conformance level you pick.

When to use it
invoices or signed contracts go into long-term storage where PDF/A is the expected format.
Watch out
choose the conformance level your archive actually asks for; the page cannot tell you which one that is.
28

Convert PPT/PPTX to Image

Action

In Zapier“Convert PPT/PPTX files to JPG, PNG, WebP and TIFF”

Gives you slides as pictures: a PowerPoint deck comes out in JPG, PNG, WebP or TIFF.

When to use it
sales decks should be previewed in a newsletter or a CRM note without opening PowerPoint.
Watch out
the PPT File field wants a public or direct link, not an attachment.
29

Apply Redactions to PDF

Action

In Zapier“Permanently redact and remove sensitive information from PDFs”

Blacks out sensitive content for good, not just under a black box someone could lift.

When to use it
HR or legal documents leave the company with names or account numbers hidden.
Watch out
the removal is permanent, so run it on a copy and test it on a sample first.
30

Apply Security to PDF

Action

In Zapier“Protect sensitive documents with an easy-to-integrate PDF security API. Add password protection to PDFs, disable printing, and restrict text copying.”

Locks a PDF with passwords and restrictions, for example no printing or no copying of the text.

When to use it
price lists sent to resellers should stay readable but not copyable.
Watch out
Owner Password is required; store it somewhere safe, since it is the one that lifts the restrictions.
31

Extract Text From PDF

Action

In Zapier“Build workflows to automatically extract text from unstructured or semi-structured documents using a text extraction API that leverages ML and adaptive layout understanding.”

Pulls the readable text out of a PDF so the next step can store it, search it or send it on.

When to use it
incoming contracts should be indexed in a database by their wording.
Watch out
for a scan with no text layer, Extract Text With OCR is the better pick.
32

Convert URL to PDF

Action

In Zapier“Convert URL to PDF files”

Captures a web page, an online document or an already hosted PDF and hands back a PDF of it.

When to use it
you want a dated copy of a supplier's published conditions each time a form mentions them.
Watch out
pages behind a login are out of reach, since the address must be public.
33

Apply Watermark to PDF

Action

In Zapier“Watermarks PDF files using image file as a watermark”

Stamps an image, such as a logo or a DRAFT mark, across the pages of a PDF.

When to use it
every proposal sent before signature should carry a draft mark.
Watch out
the watermark is an image, PNG or JPG only, and it needs its own public link.
34

Import XFDF to PDF

Action

In Zapier“Import annotations, form fields, and form values into your PDF documents”

Brings annotations, form fields and values into a PDF from an XFDF file, the format many PDF editors export.

When to use it
a lawyer marks up a contract in a desktop editor and you want the marks applied to the master copy.
Watch out
it needs the XFDF file as a link, next to the PDF link.
35

Convert XLS/XLSX to Image

Action

In Zapier“Convert XLS/XLSX files to JPG/PNG/TIFF”

Photographs a spreadsheet: an Excel file becomes a JPG, PNG or TIFF image.

When to use it
a figures sheet is shared with people who never open Excel.
Watch out
pick the output format explicitly; it is required and WebP is not offered here.
When it breaks

When a Nutrient Zap breaks

Zapier attaches no help article to this app, so the known failure modes are the ones every Zap shares, plus the file link rule above.

Four cases cover most of what goes wrong. For a structured walk through a broken Zap, the Zapier troubleshooting page is the next stop.

  • Old files are never processed

A Zap only reacts to what happens after you switch it on. Files already in the folder stay untouched; converting the backlog is a separate job.
  • The Zap keeps restarting itself

If a later step saves the converted PDF back into the very folder the trigger watches, each output starts the Zap again and burns through your tasks.
  • A bulk import is held back

Drop hundreds of files at once and the trigger returns a huge batch. Zapier's flood protection can then hold it back.
  • The same file does not run twice

On a polling trigger, Zapier remembers what it has already seen. Re-saving a file with the same identity will not start the Zap a second time.

FAQ

Nutrient Document Web Services API Zapier integration: FAQ

01Is the Nutrient Document Web Services API Zapier integration free?
Yes on the Zapier side, because Nutrient is not a premium app. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. A Zap that converts a file and then watermarks it has two actions, so it needs a paid plan. You still need your own Nutrient account to connect it, since Zapier only links to an account that already exists.
02How many Zapier tasks does a Nutrient action use?
One per action that succeeds. The trigger that starts the Zap is free, and so is every check Zapier makes for new items. A conversion followed by a watermark costs two tasks per file, three if you add a third Nutrient step. An action that fails is not counted. Zapier notes that a few apps and actions use more than one task when they complete. On the free plan, the 100 tasks a month therefore mean at most 100 converted files with a one-action Zap.
03Does Nutrient work in real time with Zapier?
It depends entirely on the app that starts the Zap, since Nutrient has no trigger of its own. If that app offers an instant trigger, it tells Zapier the moment a file arrives and the Nutrient step runs straight away, whatever your plan. If it uses a polling trigger, Zapier checks on a timer: every 15 minutes on Free, every 2 minutes on Professional and every minute on Team and Enterprise. The editor shows a lightning bolt on instant triggers.
04What does it take to connect Nutrient to Zapier?
A Nutrient account, and access to the files you want to process if you do not own them. In Zapier, open Apps, click + Add connection, search for Nutrient Document Web Services API, click Add connection, then sign in to Nutrient in the tab that opens and grant access. The connection is saved once and every Nutrient step reuses it. The real prerequisite comes later: each file you feed an action must be reachable through a public or direct link.
05Why can Nutrient not open the file a Zap sends it?
Most likely because the link is not public. Nearly every Nutrient action asks for a file URL that is publicly accessible or a direct link to the file. A link that opens a preview page, a sign-in screen or an online editor gives Nutrient a web page instead of a document. Test the link in a private browser window: if the file itself does not download or display, the action will not get it either. Fix the sharing setting upstream, then test the step again.
06What if the Nutrient operation you need is not in Zapier?
Then Zapier cannot do it with this app today. The 35 actions listed on this page are everything the editor offers for Nutrient, with no trigger and no search step. Check the action list in the editor first, because names can differ from what you expect: splitting a job into two existing actions often covers the need. If it still falls short, the remaining routes are another automation platform or a developer calling Nutrient directly.
07Zapier, Make or n8n for Nutrient Document Web Services API?
It depends on your criteria, not on a winner. Zapier gives you the 35 ready-made actions described here and the simplest setup, billed per successful action. Make and n8n suit chains of many document steps where per-action billing adds up, or teams that want to call the service themselves. Compare cost per run, hosting and how much technical work your team accepts. Keep one Zapier fact in mind: as soon as two Nutrient steps follow each other, the Zap is multi-step and needs a paid plan, and each successful step counts as its own task.
