What the Accountable CRM Zapier integration actually does
It links Accountable CRM (Zapier also calls it the 90-Day Sales platform) to the other tools you use, without code. A Zap, the automation you build on Zapier, listens for something in one app and then writes something in another. Here, the CRM can be the place where the Zap starts, the place it writes to, or both.
Three results people usually build first. A handover list that fills itself: a deal logged with New Sale becomes a to-do through Create Task, so onboarding starts the day the contract lands. A CRM that keeps up with your forms: a sign-up in a web form runs Create or Update Contact, and nobody types the same lead twice. Call notes that stay visible: each New Note can post a line into the team chat, so the sales manager reads it without opening the CRM.
Now the part the app page does not spell out. Zapier cannot edit or delete a sale, a task, a note or a follow-up in Accountable CRM: the actions only create, and contacts are the one record they can update. There is a single search, on contacts, so you cannot look up an existing deal or task by name from a Zap. And no trigger fires when a sale or a task changes, only when one is created. If your process lives on status changes, check that first.
The good news is speed. All six triggers are instant, which matters more than anything on a free plan, because the free-plan delay simply never applies to them. If you are still weighing tools, the Make vs Zapier comparison sets out the criteria, and the Zapier review covers the platform itself.
Zapier vocabulary in one minute
Eight words come back on every line of this page. Here they are in plain English, once.
- Zap
- The automation you build on Zapier: one starting event, then one or more steps that run every time that event happens.
- Trigger
- The event that starts the Zap, such as a new sale in Accountable CRM. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you in an app.
- Task
- What Zapier bills: one action your Zap completes successfully. The number on your plan is a count of those.
- Polling vs instant
- A polling trigger is checked on a timer. An instant trigger is reported by the app the moment it happens. Every trigger here is instant.
- Filter
- A step that lets the Zap continue only when the incoming item meets your condition, and stops it otherwise.
- Search step
- A step that looks up something that already exists in an app, so the steps after it can use what was found.
- Connection
- Your Accountable CRM account linked to Zapier once, then reused by every step that talks to the app.
What it really costs in tasks
Watching Accountable CRM is free. Only finished actions count.
- Free plan100 tasks a month, unlimited Zaps
- Steps on the free planOne trigger and one action
- Premium appNo, available on the free plan
- Instant triggers6 out of 6, no waiting
The trigger never costs a task, and neither does checking for new data. Each action that succeeds counts once, so a Zap with three actions uses three times what a one-action Zap uses. An action that fails is not billed. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps per Zap: add a filter, a search or a second action and you need a paid plan. Since Accountable CRM is not a premium app, the free plan is enough to start.
Connect Accountable CRM to Zapier in three steps
- 01
Open your connections
In your Zapier account, go to the Apps page and click + Add connection. You need an existing Accountable CRM account, plus access to any record you want the Zap to touch.
- 02
Pick Accountable CRM
Type Accountable CRM in the search box of the dialog, select it, then click Add connection. A new browser tab opens on the CRM side, ready for your login.
- 03
Sign in and allow access
Log in to Accountable CRM in that tab and grant Zapier access to the account. The connection now shows on the Apps page, and every later Zap reuses it.
Your first Zap: a closed sale becomes an onboarding task
GoalEach time a rep logs a sale in Accountable CRM, a task appears so nobody forgets the kickoff.
- 01
Create the Zap
From the Zapier editor, start a brand new Zap. It has two steps only, so this one stays on the free plan with room to spare.
- 02
Set the trigger
Choose Accountable CRM as the starting app and New Sale as the event, then select your connection. Being instant, it reacts as soon as the deal is saved.
- 03
Test with a real deal
Run the trigger test. Zapier brings back the three most recent sales of the account, so you can pick a real one to map from.
- 04
Add the task
Add Accountable CRM again as the action, event Create Task. Map the values of the sale into the task so the owner knows which deal it concerns.
- 05
Test, then publish
Test the action once and check the new task in the CRM. Then click Publish: from now on, each new sale counts as one task.
Accountable CRM triggers
6 events start a Zap when something happens in Accountable CRM, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.
New Activity
Instant triggerIn Zapier“Triggers when a new activity is created in the 90-Day Sales platform.”
Starts your Zap whenever someone logs an activity on a contact in Accountable CRM, so the rest of your tools learn about calls and meetings without anyone copying them over.
New or Updated Contact
Instant triggerIn Zapier“Triggers when a contact is created or updated in the 90-Day Sales platform.”
Fires on two moments in a contact's life: when the record is created, and each time it is edited afterwards. That makes it the one trigger on this app that follows changes, not only births.
New Follow-Up
Instant triggerIn Zapier“Triggers when a follow-up is created in the 90-Day Sales platform.”
Reacts the instant a follow-up is scheduled in Accountable CRM. The reminder stops living only inside the CRM and can reach the calendar or the inbox your reps actually look at.
New Note
Instant triggerIn Zapier“Triggers when a note is created in the 90-Day Sales platform.”
Hands each fresh note to the next step of your Zap, the moment it is written. Handy when the notes carry context that other people need, such as objections heard on a call.
New Sale
Instant triggerIn Zapier“Triggers when a sale is created in the 90-Day Sales platform.”
Goes off as soon as a sale is recorded. For most teams this is the trigger worth the most, because a closed deal is where the work of three other departments begins.
New Task
Instant triggerIn Zapier“Triggers when a task is created in the 90-Day Sales platform.”
Picks up every task added in Accountable CRM, whether a person created it or another Zap did. From there you can mirror it into the project tool your operations team prefers.
Accountable CRM actions
Accountable CRM gives you 7 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Activity
ActionIn Zapier“Creates a new activity in the 90-Day Sales platform.”
Logs an activity in the CRM from something that happened elsewhere, such as a booked demo or a signed form.
Create or Update Contact
ActionIn Zapier“Creates or updates a contact in the 90-Day Sales platform.”
Adds the person if they are new, or refreshes the existing record if they are already there. The only action on this app that can change a record rather than just add one.
Create Email
ActionIn Zapier“Creates a new email in the 90-Day Sales platform.”
Records an email in Accountable CRM against a contact, so the exchange shows up next to the rest of the history.
Create Follow-Up
ActionIn Zapier“Creates a new follow-up in the 90-Day Sales platform.”
Schedules a follow-up on a contact from another tool, so the next touch is planned the moment something happens outside the CRM.
Create Note
ActionIn Zapier“Creates a new note in the 90-Day Sales platform.”
Writes a note on a contact, ideal for pasting context collected by a form, a survey or a chat transcript.
Create Sale
ActionIn Zapier“Creates a new sale in the 90-Day Sales platform.”
Records a sale in Accountable CRM from a payment or an order taken in another system, which keeps revenue in the CRM honest.
Create Task
ActionIn Zapier“Creates a new task in the 90-Day Sales platform.”
Adds a to-do in the CRM so someone on the team has a clear next move, triggered by an event anywhere in your tools.
The Accountable CRM search
1 search step looks for data that already exists in Accountable CRM, so a later step can use it.
Searches sit at the bottom of the action list in the editor, under SEARCH. Using one turns the Zap into a multi-step Zap, which means a paid plan. Three settings decide what happens when the search does not find exactly one match.
Find or Create Contact
SearchFind or createIn Zapier“Finds or creates a contact in the 90-Day Sales platform.”
Looks for a contact by email address and hands it to the next steps, or creates it when it is missing. The editor may show it twice, as a search and as its find-or-create twin, but it is one entry with the creation box ticked.
The three settings every search exposes
- Successful if no search results are found?Left on its default, an empty search stops the Zap there and the steps that relied on it are skipped. Switched on, the Zap goes on without a result.
- Create X if it doesn't exist yet?Ticking it turns the search into a find-or-create: instead of stopping, the step asks for the fields needed to create the missing contact.
- If multiple search results are found?Three ways out when several contacts match: keep the first one (the default), stop the Zap, or pass all of them on.
When the Accountable CRM Zap breaks
Zapier lists no help article and no rate limit for this app. What breaks here is general Zapier behaviour, which a CRM with six creation triggers makes easy to hit.
Four cases cover almost every surprise. Read them before you publish, then keep the Zapier troubleshooting guide nearby for the day a run turns red.
Old records are never picked up
A Zap only reacts to what happens after you switch it on. The contacts and deals already in Accountable CRM stay where they are; moving that backlog is a separate job.A Zap that keeps setting itself off
Writing into the place your trigger watches restarts the Zap every time. New Note plus Create Note, or New Task plus Create Task, will eat your task count quickly.A bulk import held back
Importing a big contact list fires a huge batch at once. Zapier's flood protection can hold that batch back instead of running every item.Free plan refuses the third step
Adding a filter, the search or a second action makes the Zap multi-step. On the free plan you cannot publish it until you move to a paid plan.
