What the AccountingBox Zapier integration does for you
The AccountingBox Zapier integration lets one event in AccountingBox, an invoice being submitted, start work in your other tools through Zapier. It runs one way only: AccountingBox talks, the rest of your stack listens. Nothing is written back into AccountingBox, so think of it as an alarm bell for incoming invoices rather than a two-way sync.
Three results people build with it. A heads-up for the bookkeeper: a small accounting firm sends every submitted invoice to a team channel, so whoever handles approvals sees it while the client is still on the phone. A review task that cannot be forgotten: a marketing agency turns each invoice into a task in its project tool, assigned to the person who checks supplier bills before payment. A running log: a freelance consultant adds a spreadsheet row per invoice, which gives a simple list to reconcile against the bank statement.
The best news for a free-plan reader: Invoice Submitted is an instant trigger, so the interval grid of your plan does not apply. The event reaches Zapier as soon as it happens, on Free just as on Enterprise.
Now the limits. Zapier offers no action and no search step for AccountingBox: it cannot create, update or look up anything inside the app. Every Zap built here starts in AccountingBox and ends somewhere else.
There is no AccountingBox page for n8n or Make on the site yet. To weigh the tools, the n8n vs Zapier comparison lays out the criteria, and the Zapier training covers the editor from scratch.
Zapier vocabulary in one minute
Seven words do most of the work on a Zapier screen. Here they are in plain English.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every single time that trigger event happens.
- Trigger
- The event that starts a Zap, here an invoice submitted in AccountingBox. Once the Zap is switched on, Zapier waits for it.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you. With AccountingBox, it always lives in another app.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The number printed on your plan counts those and nothing else.
- Instant trigger
- A trigger the app reports itself, calling Zapier the moment the event happens, so nothing waits for a scheduled check.
- Polling trigger
- The opposite: Zapier asks the app for new items on a timer and keeps only what it has not seen. AccountingBox does not use one.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
What an AccountingBox Zap really costs
The trigger is free. An invoice arriving from AccountingBox never costs a task, only what your Zap does with it.
- Invoice Submitted trigger0 tasks
- Each successful action1 task
- Free plan100 tasks a month, 2-step Zaps
- Polling intervalNot applicable, instant trigger
Each action that completes counts as one task, and a three-action Zap uses three times what a one-action Zap does. Failed actions are not counted. The free plan gives 100 tasks a month and unlimited Zaps, with two steps per Zap: the AccountingBox trigger and one action. A filter or a second action turns it into a multi-step Zap, which needs a paid plan. AccountingBox is not a premium app, so it runs on Free. Since its trigger is instant, the grid below does not slow it down.
Connect AccountingBox to Zapier in 3 steps
- 01
Go to Apps
In Zapier, open Apps and click + Add connection. A connection is your AccountingBox account linked to Zapier once, then reused by every Zap that listens to it.
- 02
Find AccountingBox
Search for AccountingBox in the dialog, select it and click Add connection. You need an AccountingBox account, plus access to the invoices of any company file you do not own yourself.
- 03
Sign in and allow access
Sign in to AccountingBox in the tab that opens and grant Zapier access to the account. The connection then appears in your list, ready to be picked in the trigger step.
Your first Zap: alert the team and open a review task
GoalEach time an invoice is submitted in AccountingBox, post it in the finance channel and create a review task for the person who approves payments.
- 01
Build: set the trigger
Create a Zap, pick AccountingBox as the app that starts it and Invoice Submitted as the event, then choose your connection. The editor shows a lightning bolt: this one is instant.
- 02
Test it on real invoices
Run the test. Zapier pulls the three most recent invoices of the connected account, so you map fields from a real one. Submit one first if the account is empty.
- 03
Add the channel message
Add Slack with Send Channel Message, pick the finance channel and place the invoice details from the trigger into the text. Test the step and read the result.
- 04
Add the review task
Add Asana with Create Task and assign it to the approver. Two actions make this a multi-step Zap, so it needs a paid plan; on Free, keep only one of them.
- 05
Publish
Click Publish. From that moment each new invoice starts the Zap straight away, whatever your plan, while older ones stay untouched.
AccountingBox triggers
1 event starts a Zap when something happens in AccountingBox, and one of them is instant: the app calls Zapier straight away, whatever your plan.
Invoice Submitted
Instant triggerIn Zapier“Triggers when a new invoice is submitted on our web application.”
Kicks off your Zap as soon as someone submits a new invoice in AccountingBox. It is the only door Zapier has into the app, so every automation here starts at this point: a fresh invoice entering the books, ready to be announced, logged or turned into a to-do somewhere your team already works.
When an AccountingBox Zap breaks
Zapier links no help article to AccountingBox. The failures below are the general ones that apply to any Zap built on its trigger.
Each card starts from what you see, then explains it. For anything else, the Zapier troubleshooting guide explains how to read a Zap's run history.
Earlier invoices never arrive
A Zap only reacts to what happens after it is switched on. Invoices submitted before that stay out, and moving that backlog is a separate job.A loop that eats your tasks
A Zap that writes into the very place its trigger watches sets itself off again and again. AccountingBox has no action on Zapier, so a Zap cannot write back into the invoices it watches.A bulk import gets held back
When a trigger suddenly sends a huge batch, after an import or a migration, Zapier's flood protection can hold the runs back instead of letting them all through.Free plan stops at two steps
Adding a filter or a second action to the invoice Zap makes it multi-step, and a multi-step Zap needs a paid plan. On Free, keep one trigger and one action.
