What the Adalo Zapier integration does for your no-code app

It connects the database behind your Adalo app to Zapier, a tool that links apps together without code. Adalo stores everything in collections (users, orders, bookings, whatever your app tracks). Zapier can watch a collection for new or edited records, and it can write new records or update existing ones from the outside.

Three results makers usually wire up first. A back office that fills itself: New Record sends each new sign-up or order from your app to a spreadsheet or a CRM, so the team works where it already works. An app fed by your other tools: Create Record adds a record to a collection whenever a form, a payment tool or an email parser produces one. Status changes that travel both ways: Updated Record tells another tool when a record changes, and Update Record pushes a change back into the app.

Both triggers are polling triggers, so speed depends on your plan: every 15 minutes on the free plan, down to one minute on Team and Enterprise. Nothing here reacts the instant a user taps a button.

What Zapier does not do for Adalo: there is no search step, so no Adalo step on Zapier looks a record up. Update Record asks for the record's ID, and the Zap has to be given that value. The trigger never costs a task, and Zapier's checks of your collections are free however often they run. Every action that succeeds counts once, so a Zap with two actions uses twice the tasks of a Zap with one. A failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. A filter or a second action turns it into a multi-step Zap, which needs a paid plan.

    Open your connections

    In Zapier, open the Apps page of your account and click + Add connection. You do this once; every later Zap, and every step inside it that touches Adalo, reuses the same connection.

    Pick Adalo

    Search for Adalo by name in the dialog, select it, then click Add connection. A new tab opens on the Adalo side, and that is where the sign-in of the next step happens.

    Sign in and allow access

    Log in to Adalo in that tab and grant Zapier access. Use an account that can reach the app you want to automate, including apps built by a teammate that you do not own.

    Create the Zap

    Start a new Zap, choose Adalo and New Record as the event, then select your connection, the App and the collection that stores your users.

    Test the trigger

    Run the test. Zapier pulls the three most recent records from that collection, so pick a real user to build the rest of the Zap on.

    Add a filter

    Click the plus icon, pick Filter and set the field, the rule and the value. A text rule only works on a text field, so match the rule to the field type.

    Add the message

    Add the team chat app as the next step and map the fields of the user record into the message. Test it once and check what arrives before going further.

    Publish

    Click Publish to switch the Zap on. The filter makes it a multi-step Zap on a paid plan; remove it if you want to stay free.

  • Existing records never come through

    A Zap only reacts to what happens after you publish it. Users and orders already in your collections stay where they are; moving them is a separate job.
  • Updated Record loops on itself

    If the Zap writes back into the collection its own trigger watches, each update starts a new run and your monthly task count drains fast.
  • A big import stalls

    After a bulk import into a collection, a trigger that returns a huge batch at once can be held back by Zapier's flood protection.
  • A record does not run twice

    Both triggers are polled, and Zapier remembers the records it has already seen, so the same record never starts the Zap a second time.

01Is the Adalo Zapier integration free?
Yes. Adalo is not a premium app on Zapier, so it works on the free plan. That plan includes 100 tasks a month and unlimited Zaps, with one limit people rarely notice: each Zap is capped at two steps, one trigger and one action. Add a filter or a second action and Zapier asks for a paid plan. A simple Zap such as New Record into a spreadsheet row fits comfortably on the free tier while you validate the idea.
02How many tasks does an Adalo Zap use?
One per successful action and none for the trigger. When a new record starts a Zap with one action, that run costs one task. A Zap with three actions costs three tasks per run. Zapier's checks of your collections are free, however frequent, and a failed action is not counted. The number to watch is how many records your app creates or edits each month, multiplied by the actions that follow each trigger.
03Does Adalo send data to Zapier in real time?
No. Both Adalo triggers, New Record and Updated Record, are polling triggers. Zapier goes to check your collection on a timer: every 15 minutes on the Free plan, every 2 on Professional and every minute on Team or Enterprise. So a record created in the app reaches the next tool after the next check, not at the instant the user taps the button. The paid plans also let you run a check by hand from the editor while you test.
04What does connecting Adalo to Zapier require?
An Adalo account and a Zapier account. You add the connection once from the Apps page in Zapier, sign in to Adalo in the tab that opens and grant access. Zapier then works with the access of that account, and every Adalo trigger and action asks you to pick an App and a Collection, so connect a login that reaches the app and the collections you want to automate. If a teammate owns the app, check that your login has access to it before you connect.
05Why does an Adalo Updated Record Zap keep running?
Usually because the Zap writes back into the collection its own trigger watches. Updated Record reacts to edits, so if an Update Record step changes a record in that same collection, the change counts as a new edit and starts another run. Each run that completes an action costs a task, so the monthly count drains fast. Point the update at another collection, or add a filter that lets through only the edits you care about; the filter makes the Zap multi-step, which needs a paid plan.
06What if the Adalo action you need is not on Zapier?
Zapier offers two Adalo actions, Create Record and Update Record, and nothing else: no delete and no search. If the operation you need is missing, check first whether creating or updating a record covers what you want to achieve, even if it means rethinking how your app stores that information. Otherwise, look at another automation tool, which may expose a different set of Adalo operations; this page only documents what Zapier offers, so verify on that tool's side before switching.
