Overview

What the MyKlub Zapier integration does for your courses

MyKlub is an e-learning platform for trainers and coaches. Linking it to Zapier works both ways: MyKlub tells your other tools when a learner signs up, buys a course or a coaching session, passes a quiz, finishes a course or is deleted. And your other tools can enrol a learner in a course or a coaching session without you doing it by hand.

A buyer list you never rebuild by hand. Training Purchased by a Learner adds each new buyer to your buyers spreadsheet, the moment the purchase happens, with no export to run.

A follow-up that lands while the course is fresh. Training Ended fires when a learner completes one of your courses. That is the right time to ask for feedback or suggest the next step.

Enrolments that start somewhere else. Manually Import a Learner puts a person into one of your MyKlub courses from another tool, for example a payment or a form you already use. Its coaching twin does the same for a coaching session.

What Zapier does not do here: there is no search step for MyKlub, so a Zap cannot check whether a learner already exists before importing them. There is no action to unenrol, edit or delete a learner either. Both actions add someone, so any removal stays a manual step in MyKlub.

Vocabulary

Zapier words, in one minute

Seven terms come back on this page. Here they are once, in plain English.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts your Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
Action
What the Zap does once it has started: the step that writes, sends or creates something for you in an app.
Task
The unit Zapier bills you for: one action your Zap completes successfully. Your plan allowance is a count of those.
Instant vs polling
An instant trigger is reported by the app itself the moment the event happens. A polling trigger is checked by Zapier on a timer.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
Connection
Your MyKlub account linked to Zapier once, then reused by every step of every Zap that touches MyKlub.
Cost

What a MyKlub Zap really costs

MyKlub is not a premium app, so it works from the free plan. You pay in tasks, and only completed actions count.

  • TriggerFree, never counted
  • Each successful action1 task
  • Free plan100 tasks a month, unlimited two-step Zaps
  • Filter or second actionMulti-step Zap, paid plan

The trigger never costs a task, however many learners sign up. Each action that goes through is one task: a Zap that adds a buyer to a sheet and posts in chat uses two per purchase. A failed action is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger, one action. A second action or a filter turns it into a multi-step Zap, which needs a paid plan.

The grid below is how often Zapier checks a polling trigger on each plan. All six MyKlub triggers are instant, so it does not apply to them.

Connect

Connect your MyKlub account to Zapier

  1. 01

Open Apps and add a connection

In your Zapier account, open the Apps page and click + Add connection. You need a MyKlub account, plus read or write access on anything you do not own yourself and want the Zap to touch.

  2. 02

    Find MyKlub and confirm

Type MyKlub in the search box of the dialog, pick it from the results, then click Add connection. A new browser tab opens on the MyKlub side, where the setup finishes.

  3. 03

    Sign in and grant access

Sign in to MyKlub in that tab and grant Zapier access to the account. Every later step that uses MyKlub, in this Zap and the next ones, reuses that single connection.

First Zap

Your first MyKlub Zap: new buyers to a sheet and the team

GoalEach time a learner buys one of your courses, add them to a buyers spreadsheet and tell the team in chat.

  1. 01

Create the Zap and pick the trigger

Create a new Zap, choose MyKlub as the app and Training Purchased by a Learner as the event, then select your MyKlub connection.

  2. 02

    Test the trigger

Run the test: Zapier brings back the three most recent items from your MyKlub account, so you map fields from a real purchase, not a blank sample.

  3. 03

    Add the spreadsheet row

Add an action with your spreadsheet and its add row event. Put each field from the MyKlub step in the column where it belongs.

  4. 04

    Add the chat message

Add a second action for your team chat. That makes it a multi-step Zap, which needs a paid plan. On the free plan, keep only the row.

  5. 05

    Test each step, then publish

Run each action once and check the new row in the sheet and the message in chat. When both look right, click Publish to switch the Zap on.

Triggers

MyKlub triggers: six events, all instant

6 events start a Zap when something happens in MyKlub, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Coaching Session Purchased by a Learner

Instant trigger

In Zapier“Triggers when a learner subscribes to a coaching session.”

Starts your Zap when a learner signs up for one of your coaching sessions. It is the event that deserves a personal reaction from you.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
send yourself a chat note with the fields the test brings back, so you can prepare the first session.
Watch out
purchases made before the Zap is switched on are not picked up; only the ones after count.
2

Learner Deleted

Instant trigger

In Zapier“Triggers when you delete a learner.”

Fires when you delete a learner in MyKlub. It is the only exit signal the integration gives you, so it is the one to hook any clean-up on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
log the removal in the spreadsheet where you keep your learner list, so it does not drift away from MyKlub.
Watch out
learners deleted before the Zap was switched on are not picked up.
3

Training Ended

Instant trigger

In Zapier“Triggers when a learner completes one of your training courses.”

Runs when a learner completes one of your training courses. It marks the end of the journey, which makes it the natural start for whatever comes next.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
email a short feedback survey, or suggest the next course, while the learner still has the content in mind.
Watch out
if you use the free plan, keep it to one action, since a second one makes the Zap multi-step.
4

Quiz Completed by a Learner

Instant trigger

In Zapier“Triggers when a learner validates an assessment.”

Wakes your Zap when a learner validates an assessment in MyKlub. It gives you a signal in the middle of a course, not just at the start or the end.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
track progress in a spreadsheet, one row per validated assessment, to see where learners move on.
Watch out
check at the test step what the trigger brings back, before you build anything on the result.
5

Learner Registered

Instant trigger

In Zapier“Triggers when a learner registers on your subdomain.”

Triggers when someone registers on your MyKlub subdomain. It catches people at the very first step, before they buy anything.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
add the new learner to your email tool, so a welcome sequence starts on its own.
Watch out
people who registered before the Zap was switched on are not sent through it; moving that list is a separate job.
6

Training Purchased by a Learner

Instant trigger

In Zapier“Triggers when a learner subscribes to training.”

Starts a Zap when a learner subscribes to one of your training courses. Unlike registration, this one marks the start of a specific course.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keep a buyers spreadsheet up to date, or alert the team when a new learner joins a course.
Watch out
subscriptions made before the Zap is published do not come through.
Actions

MyKlub actions: put learners where they belong

MyKlub gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Manually Import a Learner

Action

In Zapier“Import a learner into one of your training courses on Myklub”

Enrols a learner in one of your MyKlub courses from another tool. It needs the training title, the learner's email, a name and a first name, all required.

When to use it
someone pays or signs up outside MyKlub and should land in the right course.
Watch out
the training title has to match a course that already exists in your account.
2

Manually Import a Learner Into a Coaching Session

Action

In Zapier“Import a learner into one of your training coaching session on Myklub”

Does the same for coaching: it places a learner in one of your coaching sessions, with the coaching title, an email, a name and a first name, all required.

When to use it
a coaching slot is sold or booked in another tool.
Watch out
check at the test step that the coaching title points to the right session.
When it breaks

When a MyKlub Zap breaks

Zapier attaches no help article to MyKlub and lists no limit of its own for it. What can go wrong comes from how Zaps work in general.

  • Past learners never arrive

A Zap only reacts to what happens after it is switched on. Learners who registered or bought before that are not picked up; moving them is a separate job.
  • A Zap that sets itself off

As a general precaution: a Zap that writes into the very place its own trigger watches can start itself again and again and burn through tasks.
  • A big batch held back

If a trigger suddenly sends a huge batch, after a bulk import or a migration, Zapier's flood protection can hold those runs back.

FAQ

MyKlub Zapier integration: your questions

01Is the MyKlub Zapier integration free?
Yes, it works on the free plan, because Zapier does not class MyKlub as a premium app. That plan gives you 100 tasks a month and an unlimited number of Zaps, but each Zap stops at two steps: one trigger and one action. A finished course that sends a follow-up email fits. The same Zap that also adds a spreadsheet row has a second action, so it becomes a multi-step Zap and needs a paid plan.
02How many tasks does a MyKlub Zap use?
One per action that completes, and nothing for the trigger. If Training Purchased by a Learner adds one row to a sheet, each purchase costs one task. Add a chat message and each purchase costs two, because every successful action is counted on its own. An action that fails is not counted against your plan. A few apps and actions take more than one task when they complete, so read the test result before you publish.
03Does MyKlub trigger Zaps in real time?
Yes. All six MyKlub triggers are instant: MyKlub tells Zapier the moment the event happens, so the Zap starts right away on any plan, free included. The interval grid that decides how often Zapier checks an app only applies to polling triggers, and MyKlub has none. In the editor, a Zap built on an instant trigger shows a lightning bolt. So on speed, a paid plan adds nothing for MyKlub.
04What does it take to connect MyKlub to Zapier?
A MyKlub account, plus read or write access on anything you do not own yourself and want the Zap to touch. Then open Apps in Zapier, click + Add connection, search for MyKlub, click Add connection, sign in to MyKlub in the new tab and grant Zapier access. You do it once and every later step reuses the connection. Before using the import actions, create the course or coaching session the learner should join.
05Why does a learner import fail even with the email filled in?
Because Manually Import a Learner needs four required fields, not one: the training title, the email, a name and a first name. The coaching version swaps the training title for a coaching title. If the previous step does not carry one of them, the import has nothing complete to send. The title must also match a course or session that exists in your MyKlub account. Test the action on a real learner before you publish.
06What if the MyKlub operation you want is not available?
Then the Zap cannot do it directly. MyKlub currently offers six triggers and two actions on Zapier, both actions add a learner, and there is no search step or action to edit or remove someone. The MyKlub page on zapier.com shows the current list of operations, so check it first. Often the job can be split: let MyKlub send the event, and let another tool do the part MyKlub does not offer through Zapier.
07Zapier, Make or n8n for MyKlub?
Choose by criteria, not by reputation. Coverage first: do six instant triggers and two import actions match what your courses need? Then length: anything beyond one trigger and one action needs a paid Zapier plan, so a follow-up that writes to three tools changes the budget. Then upkeep: who will open the Zap when a course changes, and which tool does that person already know? A setup someone can fix alone is worth more than a clever one.
