Overview

What the Adventure Office Zapier integration actually does

Adventure Office is booking and operations software built for outdoor businesses: reservations, online bookings, waivers, payments. Connected to Zapier, it becomes a starting point. Something happens in Adventure Office, and a chain of steps runs in your other tools without anyone copying data by hand.

Three results people usually build. A guiding company gets a row in a shared sheet each time a client signs a waiver, through Waiver Signed, so the trip leader checks one single list on the morning of departure instead of a stack of emails. A paddleboard rental shop pushes every new web question into its team chat with Inquiry Created, so nobody lets a lead sit overnight. A ski school exports a trip from its period view with Calendar Event Exported and drops it into the shared calendar the instructors already open every day.

Now the limit, and it is a big one. The app has no action and no search on Zapier. A Zap can read what happens in Adventure Office, never create a booking, edit a customer or look one up there. If your plan needs data to flow into Adventure Office, this integration will not carry it.

Vocabulary

Zapier words, in one minute

Seven terms come back all over this page. Here is what each one means in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. With this integration, it is always something happening in Adventure Office.
Action
What the Zap does once started: the step that writes, sends or moves something for you. Here it always lives in another app.
Task
The unit Zapier bills: one action your Zap completes successfully. The number on your plan counts exactly those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment the event happens.
Filter
A step that lets the Zap carry on only when what arrived matches a condition you set, and stops it the rest of the time.
Connection
Your Adventure Office account linked to Zapier once, then reused by every Zap and every step that needs it.
Cost

What it really costs

Adventure Office is not a premium app, so it works on the free plan. The bill only depends on what happens after the trigger.

  • Premium appNo, available on the free plan
  • Free plan100 tasks a month, Zaps of two steps
  • Cost of a triggerNothing, only successful actions count
  • Instant triggers6 of 7, no interval applies

The trigger never costs a task, and neither does Zapier checking for new items. Each action that succeeds counts once, so a Zap with three actions eats three times what a one-action Zap does, while a failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. Add a second action or a filter and you have a multi-step Zap, which needs a paid plan.

Connect

Connect your Adventure Office account

  1. 01

    Open your Apps page

In Zapier, go to Apps and click + Add connection. You need an Adventure Office account first, with access to whatever the Zap will read if someone else owns it.

  2. 02

    Find Adventure Office

Type the name in the dialog, pick Adventure Office from the results, then click Add connection. A new browser tab opens on the Adventure Office side.

  3. 03

    Sign in and allow access

Log in to Adventure Office in that tab and grant Zapier access to the account. The connection now shows on your Apps page, and every Zap you build reuses it.

First Zap

Your first Zap: a signed waiver lands in a sheet, then an email goes out

GoalEach time a guest signs a waiver, add it to a tracking sheet and email the trip leader.

  1. 01

Create the Zap and pick the trigger

Start a new Zap, choose Adventure Office as the app and Waiver Signed as the event. Then pick the connection you just made.

  2. 02

Name the Zap for Adventure Office

Fill in the required Zap Name with a word you will recognise later, such as waivers-sheet. Adventure Office uses it to refer to this Zap on its side.

  3. 03

    Test the trigger

Run the test. Zapier brings back the three most recent waivers from your account, so you map the next steps on a real one rather than a blank.

  4. 04

Add the sheet and the email

Add a Google Sheets step that writes a row, then a Gmail step for the trip leader, and map what the trigger returned into both. Two actions make this a multi-step Zap, so a paid plan.

  5. 05

    Test each step, then publish

Test the row and the email one at a time and read what came back. When both look right, click Publish to switch the Zap on.

Triggers

The 7 Adventure Office triggers

7 events start a Zap when something happens in Adventure Office, and 6 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Customer List Exported

Instant trigger

In Zapier“Triggers when Export to Zapier is clicked after selecting a Customer List in Targeted Marketing.”

This one starts on a human gesture. A staff member selects a customer list in Targeted Marketing, clicks Export to Zapier, and the Zap gets that list to send wherever your marketing lives.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you build a segment for a spring promotion and want it in your email tool without downloading a file.
Watch out
it asks for a Zap Name, a unique word that Adventure Office uses to refer to this Zap, so two Zaps should never share one.
2

Customer List Transfer

Polling trigger

In Zapier“Triggers when used in a Zapier Transfer.”

Unlike the export triggers, this one only comes into play in a Zapier Transfer, the Zapier feature that sends a list you already have instead of waiting for new events. Here, that list is a customer list you pick.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
you are setting up a Zapier Transfer on an existing customer list, rather than reacting to new events.
Watch out
the list to transfer is a required choice, so the list has to exist in Adventure Office before you set this up.
3

Calendar Event Exported

Instant trigger

In Zapier“Triggers when Export to Zapier is clicked after selecting a Trip in Operations Period View.”

Your operations team picks a trip in the Operations Period View, clicks Export to Zapier, and that trip becomes the starting point of a Zap. Nothing moves until someone presses the button.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a rafting outfitter pushes the trips it has confirmed into the shared calendar its guides already read on their phones.
Watch out
the Zap Name is required here too, and since the export is manual, a trip nobody exports never reaches Zapier.
4

Customer Created or Updated

Instant trigger

In Zapier“Triggers when a customer is created or updated.”

Fires on a brand new customer record and also on any change to an existing one. That second half matters more than it looks: a corrected phone number counts as an event.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you keep a mailing list or a CRM in step with your customer base and want edits to follow too.
Watch out
because updates fire it, one customer can start the Zap several times, and each run uses tasks. Give it its own Zap Name.
5

Inquiry Created

Instant trigger

In Zapier“Triggers when an inquiry is created.”

A fresh inquiry in Adventure Office starts the Zap. It listens for new questions only, unlike the customer and reservation triggers, which also fire on updates.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a climbing gym wants every question about private sessions posted to its staff chat before a competitor answers first.
Watch out
a Zap Name is required, and it should differ from the one used on your customer or reservation Zaps.
6

Reservation Created or Updated

Instant trigger

In Zapier“Triggers when a reservation is created or updated.”

Bookings are the heart of the app, and this trigger follows them from the first save through every later change, whether a date moves or a guest is added.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
you log every booking in a sheet that your accountant or your guides read, and want changes reflected too.
Watch out
an edited reservation sends a second run, so the receiving app may get a new row instead of an updated one. Fill in the required Zap Name.
7

Waiver Signed

Instant trigger

In Zapier“Triggers when a waiver is signed.”

The moment a participant signs a waiver, the Zap starts. For outdoor operators this is often the last box to tick before a group can head out.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a zipline park wants a running list of signed waivers that the gate staff can scan on departure day.
Watch out
the Zap Name field is mandatory, and only waivers signed after the Zap is published will come through.
When it breaks

When it breaks

No help article is attached to Adventure Office on Zapier, so the problems below are the ones every Zap runs into.

Most surprises with this integration come from timing and repetition rather than from errors. If a Zap keeps failing for reasons you cannot pin down, the Zapier troubleshooting guide walks through the usual suspects.

  • Nothing from before the Zap

A Zap only reacts to what happens after it is switched on. Bookings and waivers that already existed stay where they are, and moving them is a separate job.
  • A loop that eats tasks

A Zap writing into the very place its trigger watches restarts itself over and over. Zapier cannot write into Adventure Office, so the risk comes from another tool syncing back in.
  • Big batches get held back

After a bulk import or a migration, a trigger that suddenly returns a huge batch can be held back by Zapier's flood protection, so the Zap does not run on all of it at once.
  • No double runs on the transfer

On the one polling trigger, Customer List Transfer, Zapier remembers what it has already seen, so the same list item does not start the Zap twice.

FAQ

Adventure Office and Zapier: common questions

01Is the Adventure Office Zapier integration free?
Yes, it works on the free plan because Adventure Office is not a premium app. The free plan gives you 100 tasks a month and as many Zaps as you like, with one catch: each Zap is limited to two steps, one trigger and one action. So a waiver can feed one sheet for free, but a waiver that feeds a sheet and then sends an email needs a paid plan, because the second action turns it into a multi-step Zap.
02How many tasks does an Adventure Office Zap use?
One task per action that succeeds, and nothing for the trigger. Since Adventure Office only offers triggers, all of your tasks are spent in the other apps your Zap writes to. A Zap with one action costs one task per run, a Zap with three actions costs three. Watch the two triggers that also fire on updates, Customer Created or Updated and Reservation Created or Updated: one booking edited four times means four runs, and four times the tasks.
03Does it work in real time?
For six triggers out of seven, yes. Customer List Exported, Calendar Event Exported, Customer Created or Updated, Inquiry Created, Reservation Created or Updated and Waiver Signed are instant: Adventure Office tells Zapier the moment the event happens, whatever your plan. The exception is Customer List Transfer, a polling trigger that Zapier checks on a timer. That timer depends on the plan: 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise.
04What does it take to connect Adventure Office?
An Adventure Office account, and access to anything in it that you do not own yourself but want the Zap to read. In Zapier you open the Apps page, click + Add connection, search for Adventure Office, sign in on the tab that opens and grant access. After that, each trigger except Customer List Transfer asks for a Zap Name, a unique word Adventure Office uses to identify the Zap. Prepare one name per Zap before you start.
05Why does an export never reach Zapier?
Two of the triggers wait for a person, not an event. Customer List Exported only fires when someone selects a customer list in Targeted Marketing and clicks Export to Zapier, and Calendar Event Exported only fires when someone picks a trip in Operations Period View and does the same. If nobody clicks, the Zap sits idle. Also check that the Zap is published, and that the Zap Name it asked for is not shared with another Zap.
06What if the operation you need is not there?
Then this integration cannot do it, and that happens often here: Adventure Office has 7 triggers on Zapier but 0 actions and 0 searches. A Zap can react to a booking, a waiver or an inquiry, but it cannot create, update or find anything inside Adventure Office. If your workflow needs data written into Adventure Office, look for another route on the Adventure Office side, or a tool that offers what this integration lacks.
07Zapier, Make or n8n for Adventure Office?
It depends on three criteria rather than on a ranking. First, what the platform can do with this app: on Zapier, Adventure Office only starts Zaps. Second, how long your Zaps are: here, a trigger and one action run on the free plan, and anything longer needs a paid one. Third, volume: Zapier bills per successful action, so a busy booking season raises the task count. Check whether the other platforms offer Adventure Office at all before comparing them on price or features.
