What the Leads AI Zapier integration actually does
Leads AI looks after the inboxes of Meta products and the leads that come in from ads, with an AI agent handling part of the conversation. Zapier listens to it. When something happens in Leads AI, such as a new lead, a message or a stage change, Zapier passes that event on to another app without you copying anything by hand.
Three results come up again and again. First, a lead list that fills itself: New Lead drops every fresh contact into a sheet or a CRM the minute Leads AI records it. Second, a pipeline mirror: Lead Stage Changed and Lead Tags Changed keep another tool in step with how each lead moves. Third, a conversation log: New User Message, New Bot Message and New Human Message let you keep a copy of who said what, and spot when a person had to step in for the bot.
Now the part the app page does not spell out. Zapier only reads from Leads AI here. There is no action and no search, so a Zap cannot create a lead, move a stage, add a tag or send a reply inside Leads AI. Every Leads AI Zap starts in Leads AI and ends somewhere else. If you need to write back into the app, Zapier is not the route for it today.
Before you commit, it helps to see how the other platforms frame the same job. If you are still choosing a tool, see our n8n vs Zapier and Make vs Zapier comparisons and our Zapier review.
Zapier words in one minute
Eight words come back on every line of this page. Here they are in plain terms.
- Zap
- The automation you build in Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something in another app for you.
- Task
- What Zapier bills: one action your Zap finishes successfully. The number on your plan is a count of those.
- Polling vs instant
- A polling trigger is checked on a timer by Zapier. An instant trigger is reported by the app itself, the moment the event happens.
- Filter
- A step that lets the Zap go on only when the incoming data meets a condition you set, and stops it otherwise.
- Search step
- A step that looks up something already stored in an app so later steps can reuse it. Leads AI offers none.
- Connection
- Your Leads AI account linked to Zapier once, then reused by every step and every Zap that touches the app.
What a Leads AI Zap really costs
The Leads AI trigger never costs a task. Only the action in your other app is billed, and only when it succeeds.
- Trigger0 tasks, whatever the volume
- Each successful action1 task
- Failed actionNot counted
- Free plan100 tasks a month, two-step Zaps
- Premium appNo
On the free plan you get 100 tasks a month and as many Zaps as you like, but each Zap stops at two steps: one trigger, one action. Add a filter to keep only some leads and the Zap becomes multi-step, which needs a paid plan. Leads AI is not a premium app, so it works right away from the free plan. The interval grid below applies to polling triggers only; all 9 Leads AI triggers are instant and ignore it.
Connect Leads AI to Zapier in three steps
- 01
Open your Apps page
In your Zapier account, go to Apps and click + Add connection. Have your Leads AI login at hand, plus access to any inbox you do not own yourself but want the Zap to watch.
- 02
Pick Leads AI
Type Leads AI into the search box of the dialog, select it, then click Add connection. A new browser tab opens on the Leads AI side so you can sign in there.
- 03
Sign in and grant access
Log in to Leads AI in that tab and allow Zapier to reach the account. The connection then shows on your Apps page, and every Leads AI step you add later reuses it.
Your first Leads AI Zap
GoalSend each new Leads AI lead to a sheet, keeping only the ones that match your rule.
- 01
Create the Zap and pick the trigger
Start a new Zap, choose Leads AI as the app, then New Lead as the event. Select the Leads AI connection you added in the previous section.
- 02
Test the trigger
Run the test. Zapier brings back the three most recent leads of the account, so you map the next steps on a real one instead of a blank.
- 03
Add a filter
Click the plus icon, choose Filter, then fill the three boxes: the field to look at, the rule, the value to compare with. This step makes the Zap multi-step, so a paid plan.
- 04
Add the action
Add your spreadsheet app and its new-row action, then map the lead fields that came back from the test into the columns you want.
- 05
Test, then publish
Run each step once and read what came back. When the row lands where you expect, click Publish to switch the Zap on for good.
The 9 Leads AI triggers
9 events start a Zap when something happens in Leads AI, and 9 of them are instant: the app calls Zapier straight away, whatever your plan.
New Calendar Event
Instant triggerIn Zapier“Triggers when a new calendar event is created.”
Each time a calendar event is created in Leads AI, this trigger hands it to Zapier, so the booking can be copied into the calendar or the list your team already checks.
Note Created
Instant triggerIn Zapier“Triggers when a new note is created.”
Notes are where people jot down context about a lead. This trigger picks up every new one and lets you copy it into a shared document or a team channel, so the context does not stay locked in one app.
New Lead
Instant triggerIn Zapier“Triggers when a new lead is created.”
This is the trigger most Leads AI Zaps start from. A lead appears in the app, and Zapier receives it straight away, ready to be written into a sheet, a CRM or any tool that stores contacts.
New Bot Message
Instant triggerIn Zapier“Triggers when the bot sends a message.”
Whenever the AI agent of Leads AI sends a message, Zapier gets a copy. That gives you an outside record of what the bot actually told people, which is handy for reviewing its answers later.
New Human Message
Instant triggerIn Zapier“Triggers when a human agent sends a message.”
Here the event is a person, not the bot, replying from Leads AI. Tracking it tells you when someone on the team had to take over a conversation, and lets you keep that reply somewhere else too.
New Email Sent
Instant triggerIn Zapier“Triggers when a new mail is sent.”
An email goes out from Leads AI and Zapier hears about it immediately. You can log the send in another tool, so the history of contact with a lead is not split between two places.
New User Message
Instant triggerIn Zapier“Triggers when a user sends a message.”
The other side of the chat: a lead or customer writes in, and that message reaches Zapier as soon as it lands. It is the trigger to use when the incoming question matters more than the reply.
Lead Stage Changed
Instant triggerIn Zapier“Triggers when a lead stage is changed.”
Leads move through stages in Leads AI. The moment one moves, this trigger reports it, so another tool can follow the same pipeline without a manual update after every call or chat.
Lead Tags Changed
Instant triggerIn Zapier“Triggers when tags for a lead is changed.”
Tags are the quick labels put on a lead. When the tags of a lead change, Zapier is told at once, which lets you mirror those labels elsewhere or start a follow-up in another app.
When a Leads AI Zap breaks
No help article is attached to Leads AI on Zapier, and no app-specific limit is published. What breaks comes from Zapier itself.
These four cases cover what goes wrong most often with a read-only app like this one. If a Zap still misbehaves, see our Zapier troubleshooting guide.
Old leads never show up
A Zap reacts only to what happens after it is switched on. Leads, notes or messages that existed before publishing are never picked up.A big import gets held back
When a trigger suddenly sends a huge batch, after a bulk import for instance, Zapier's flood protection can hold those runs back. The filter never passes
Filter rules are typed: a text rule only works on text, a number rule only on numbers. Picking the wrong type stops every run.The Zap will not stay two steps
Adding a filter or a second action turns the Zap multi-step. On the free plan that is not available, so the Zap needs a paid plan.
