What the AeroLeads Zapier integration actually does
AeroLeads is a prospecting tool that digs up contact details for people and companies you want to sell to. Hooked to Zapier, it becomes a starting point: each new prospect in your AeroLeads account can kick off work in your other apps. It only starts things. It never receives anything back from Zapier.
Three setups people actually build with it. A shared prospect log: New Prospect feeds a spreadsheet the sales team already reads, so nobody exports lists by hand anymore. A team ping: Auto Add New Prospect starts a Zap that drops a message in a chat channel the moment a prospect is added, which is handy when a rep wants to call while the lead is fresh. A CRM handoff: either trigger pushes the prospect into the CRM your account managers work from, so AeroLeads stays the research tool and the CRM stays the record.
Now the limits. Zapier cannot write anything into AeroLeads: there are no actions, so you cannot create, update or tag a prospect from another app. There is no search either, so a Zap cannot look up an existing AeroLeads prospect halfway through. Data flows one way, out of AeroLeads.
Hack'celeration has no n8n or Make page for AeroLeads yet. If you are weighing platforms, the n8n vs Zapier and Make vs Zapier comparisons lay out the criteria (pricing model, hosting, how much logic you need) without picking a winner for you.
Zapier vocabulary in one minute
Seven words come back on this page. Here they are in plain English, once.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every single time that trigger event happens.
- Trigger
- The event in an app that starts a Zap. Once the Zap is switched on, Zapier sits and waits for that event to show up.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something in another app on your behalf.
- Task
- The unit Zapier bills you for. One task is one action your Zap completed successfully, and your plan is a monthly count of those.
- Polling vs instant
- A polling trigger gets checked on a timer, so it waits. An instant trigger is pushed by the app itself the moment the event happens.
- Filter
- A step that lets the Zap continue only when the incoming data meets a condition you set, and quietly stops it the rest of the time.
- Multi-step Zap
- Any Zap with more than one trigger and one action. A second action or a filter turns a Zap into one, and it then needs a paid plan.
What an AeroLeads Zap really costs
AeroLeads is not a premium app, so it runs on the free plan. Both its triggers are free to run: watching for prospects never costs a task.
- Free plan100 tasks per month, unlimited Zaps
- Zap length on free2 steps: one trigger, one action
- Trigger cost0 tasks, however often Zapier checks
- Premium appNo, AeroLeads works on the free plan
You pay in tasks for what happens next. Each action that succeeds counts once, so a Zap that logs a prospect and then pings Slack spends two tasks per prospect, and a Zap with three actions spends three. A failed action is not counted. A few apps and actions take more than one task, so check the receiving side too. The free plan stops at two steps, one trigger and one action: add a filter or a second action and you need a paid plan.
Connect your AeroLeads account to Zapier
- 01
Open your connections
In your Zapier account, go to the Apps page and click + Add connection. A connection is your AeroLeads account linked to Zapier once, then reused by every Zap step that touches AeroLeads.
- 02
Pick AeroLeads
Type AeroLeads in the search box of the dialog, select it, then click Add connection. You need an existing AeroLeads account for this to go anywhere, since Zapier does not create one for you.
- 03
Sign in and grant access
A new tab opens on AeroLeads. Sign in, then give Zapier access to the account. Once the tab closes, AeroLeads shows up in your connections list and every new Zap can reuse it without asking again.
Your first AeroLeads Zap, step by step
GoalEvery prospect added in AeroLeads lands as a row in a Google Sheets log, then the team gets a Slack message about it.
- 01
Create the Zap
Start a new Zap and pick AeroLeads as the app that starts it. Choose Auto Add New Prospect as the event, then select the AeroLeads connection you set up earlier.
- 02
Test the trigger
Run the trigger test. Zapier brings back the three most recent prospects of your account, so you can pick a real one and map from actual data instead of guessing.
- 03
Add the log row
Add Google Sheets as the first action and map the prospect details from AeroLeads into the columns of your sheet. Test the step and check the row that came back.
- 04
Add the team message
Add Slack as a second action and write the message, pulling in the prospect details from the trigger. Two actions make this a multi-step Zap, so it needs a paid plan.
- 05
Publish
Click Publish to switch the Zap on. From that moment, every new prospect costs two tasks: one for the row, one for the message.
AeroLeads triggers on Zapier
2 events start a Zap when something happens in AeroLeads, and one of them is instant: the app calls Zapier straight away, whatever your plan.
Auto Add New Prospect
Instant triggerIn Zapier“Automatically zaps your newly created prospect.”
This one fires as soon as a prospect is created in your AeroLeads account and passes it straight to the next step. It is the faster of the two, and the only one AeroLeads pushes to Zapier on its own.
New Prospect
Polling triggerIn Zapier“Triggers when a new prospect is added.”
Here Zapier itself goes back to AeroLeads, asks for the latest prospects, and keeps only the ones it has not seen yet. Each new one starts the Zap once, and Zapier remembers it so it never fires twice for the same person.
When an AeroLeads Zap breaks
Zapier links no help article to AeroLeads, so the known traps are the general ones. They still bite.
Most AeroLeads Zaps fail quietly rather than loudly: nothing happens, or too much happens. The four cases below cover what the platform documents. When a Zap misbehaves in ways that go beyond them, the Zapier troubleshooting page walks through the usual checks.
Your old prospects never show up
A Zap only reacts to what happens after it is switched on. Prospects that already existed in AeroLeads stay where they are; moving that backlog is a separate job.A big import gets held back
When a trigger suddenly returns a huge batch, after a bulk import for instance, Zapier's flood protection can hold it back instead of running every prospect through. The same prospect does not repeat
On the polling trigger, Zapier keeps track of what it has already seen, so one prospect never starts the Zap twice. A missing repeat is expected, not a bug.A loop eats your tasks
A Zap that writes into the place its own trigger watches sets itself off again and again. AeroLeads has no actions, so the loop only bites when another app is both start and target.
