Overview

What the Agentcis Zapier integration actually does

Agentcis is a CRM built for education and migration agencies. Plugged into Zapier, it can start an automation when a client, a lead or a prospect is added, and it can receive work too: adding a contact or changing a field on one that already exists. Five operations in total, all available on the free plan.

A team alert for every fresh prospect. The New Prospect trigger hands the record to whatever comes next, so the counselor on duty hears about it without opening the CRM.

A shared spreadsheet of signed clients. With New Client as the starting point, a recruitment manager gets one row per student who crossed the line, ready for whoever follows enrolments.

Contacts that arrive from outside. A form, a webinar tool or another CRM can feed Add Contact, and Update Contact keeps a field current when something changes elsewhere.

None of these needs code: each one is a trigger, sometimes a filter, and one action.

What Zapier does not do here: there is no search step for Agentcis, so a Zap cannot look up an existing record before writing to it, and there is no instant trigger. Every trigger waits for Zapier's next check. If you weigh the platforms against each other, the Make vs Zapier comparison lays out the criteria side by side.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are in plain English.

Zap
The automation you set up on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in Agentcis that starts the Zap. Once the Zap is switched on, Zapier sits and waits for it to happen.
Action
What the Zap does once it has started: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills. One task is one action that your Zap carries out successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked on a timer for new items. An instant trigger is pushed by the app the moment it happens. Agentcis only has polling ones.
Filter
A step that lets the Zap continue only when the incoming record meets a condition you set, and quietly stops it otherwise.
Connection
Your Agentcis account linked to Zapier once, then reused by every step in every Zap that touches Agentcis.
Cost

What an Agentcis Zap really costs

Agentcis is not a premium app, so it works on the free plan. The bill is counted in tasks, not in checks.

  • Free plan tasks100 per month
  • Free plan Zap size1 trigger + 1 action
  • Premium appNo
  • Cost of a trigger check0 tasks

The trigger never costs a task, and neither does Zapier checking Agentcis for new records, however often it looks. Each action that goes through counts once: a Zap with two actions burns twice as much as a Zap with one. An action that fails is not counted. The free plan gives 100 tasks a month, as many Zaps as you like, and a check every 15 minutes. The catch: it only builds two-step Zaps, one trigger and one action. Add a filter or a second action and the Zap becomes a multi-step Zap, which needs a paid plan.

Connect

Connect your Agentcis account in three steps

  1. 01

    Open the connections page

In your Zapier account, go to Apps and click + Add connection. A dialog opens with a search box: type Agentcis and pick it from the list. You only do this once.

  2. 02

    Sign in to Agentcis

Click Add connection. A new tab opens on Agentcis, where you sign in with the account the Zaps will act for. Use the account that actually sees the clients and leads you want to automate.

  3. 03

    Grant access and check

Allow Zapier to access the account. The connection then shows up under Apps, and every future Agentcis step can reuse it instead of asking you to sign in again.

First Zap

Your first Zap: flag hot prospects in Agentcis

GoalWhen a prospect lands in Agentcis and matches a condition you choose, update a field on the matching contact.

  1. 01

Create the Zap and pick the trigger

Start a new Zap, choose Agentcis as the app and New Prospect as the event, then select your connection. Give the Zap a name you will recognize later.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent prospects of your account, so you map fields on a real record instead of a blank one.

  3. 03

    Add the filter

Click the plus icon, choose Filter, then set the field to look at, the rule and the value. Pick a text rule for text, a number rule for numbers.

  4. 04

    Add the Agentcis action

Add Update Contact, map the prospect's details into its fields, and test the step once to read what came back before going further.

  5. 05

    Publish

Click Publish to switch the Zap on. Remember it has three steps, so it needs a paid plan to run. From then on, Zapier checks for new prospects on its own.

Triggers

Agentcis triggers

3 events start a Zap when something happens in Agentcis. Zapier checks for them at the interval your plan allows.

1

New Client

Polling trigger

In Zapier“Triggers when a new client is added.”

Fires when a new client is added in Agentcis, and passes that client's record to the next step of the Zap. It is the event that says a student or applicant has moved past the prospecting stage.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
feeding a client list in a spreadsheet or an accounting tool, so finance knows about each new signature without asking the counselors.
Watch out
clients that existed before the Zap was switched on are never picked up, so an initial import is a separate job.
2

New Lead

Polling trigger

In Zapier“Triggers when a new lead is added.”

Starts the Zap each time a lead appears in your Agentcis account, which makes it the earliest signal the CRM can send. Whatever the lead carries becomes available to map in the following steps.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
pinging the admissions team in a chat tool so that someone calls the lead back while the interest is still fresh.
Watch out
a bulk import of old leads can return a huge batch at once, and Zapier's flood protection may hold it back.
3

New Prospect

Polling trigger

In Zapier“Triggers when a new prospect is added.”

Watches for prospects created in Agentcis and launches the Zap with each new one. Zapier remembers what it has already seen, so the same prospect never starts the Zap twice.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
adding each prospect to an email sequence in your marketing tool, so the nurturing starts without a manual export.
Watch out
if the same Zap writes prospects back into Agentcis, it can set itself off again and burn through tasks.
Actions

Agentcis actions

Agentcis gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Contact

Action

In Zapier“Add a new contact.”

Creates a brand new contact in Agentcis from data that came from another app earlier in the Zap.

When to use it
a webinar registration or a website form should land in the CRM without retyping.
Watch out
with no Agentcis search available, the Zap cannot check first whether that person already exists.
2

Update Contact

Action

In Zapier“Update existing contact field.”

Changes a field on a contact that is already in Agentcis, leaving the rest of the record as it was.

When to use it
a status changed in another tool and the CRM should reflect it without anyone retyping it.
Watch out
the Zap must already carry what identifies the contact, since no earlier search step can find it.
When it breaks

When an Agentcis Zap breaks

Zapier publishes no help article dedicated to Agentcis, and no Agentcis-specific limit is documented. What breaks is what breaks on every Zapier app.

Four situations account for most of the surprises. Each one is easy to avoid once you know it exists, and the Zapier troubleshooting guide covers the general fixes.

  • No catch-up on old records

A Zap only reacts to what happens after it is switched on. Clients, leads and prospects already in Agentcis are never picked up; moving them is a separate job.
  • The Zap that feeds itself

A Zap that writes into the very place its own trigger watches sets itself off again and again, and the task count drops fast.
  • A bulk import held back

After a migration or a big import, a trigger can suddenly return a huge batch. Zapier's flood protection may hold it back instead of running everything.
  • Duplicates are filtered out

On a polling trigger, Zapier keeps track of what it has already seen, so the same record does not start the Zap twice. Expect one run per new item.

FAQ

Agentcis Zapier integration: frequent questions

01Is the Agentcis Zapier integration free?
Yes, as long as the Zap stays at two steps. Agentcis is not a premium app, so the free plan can run a Zap with one Agentcis trigger and one action, up to 100 tasks a month. The moment you add a filter or a second action, the Zap becomes multi-step and requires a paid plan. No price is quoted here because plan grids change often; check the current figures on Zapier before committing.
02How many tasks does an Agentcis Zap use?
One per action that succeeds, nothing for the trigger. Zapier checking Agentcis for new clients or leads costs nothing, however often it looks. If a new prospect starts a Zap that adds a row to a sheet and then sends a message, that run costs two tasks. A failed action is not counted against the plan. Before scaling, run the Zap for a while and look at how many runs it actually triggers, since every new client, lead or prospect that passes the trigger becomes at least one task per action in the chain.
03Do Agentcis triggers fire in real time?
No. All three Agentcis triggers are polling triggers: Zapier asks Agentcis for new items at a fixed interval, every 15 minutes on the free plan, 2 on Professional and 1 on Team or Enterprise. The type comes from the app's own API and cannot be switched to instant from the editor. On paid plans you can also run a check by hand. In practice this means a lead created in Agentcis can take up to the full interval of your plan before the Zap reacts. For a callback reminder, that delay is usually fine; for anything urgent, plan around it.
04What do you need to connect Agentcis to Zapier?
An Agentcis account, plus read or write access to any record you do not own but want the Zap to touch. The connection is made once from the Apps page with + Add connection, then a sign-in in the tab that opens and an access grant. Every Agentcis step in every Zap reuses that same connection. If a teammate owns the records, connecting your own account may not be enough. Check which records the account actually sees before building the first Zap on it.
05Can a Zap check whether a contact already exists in Agentcis?
Not with the Agentcis integration alone, because it has no search step. Add Contact always creates a new record, so two runs with the same person create two contacts. Update Contact needs the Zap to already carry what identifies the contact, typically because the trigger itself handed over that record. If that duplicate risk matters, feed Add Contact only from a source that sends each person once, such as a form with a single submission per person.
06What if the Agentcis operation you want is missing?
Then Zapier cannot do it on this app today: the editor offers three triggers and two actions, nothing more. Watching for new clients, leads or prospects and adding or updating contacts is the full list. Anything else, like changing an application stage, means looking at another platform or at whatever Agentcis exposes outside Zapier. Before giving up, list exactly which record changes you want to react to: sometimes one of the three existing triggers, combined with a filter on a field, already covers the case.
07Zapier, Make or n8n for Agentcis?
It depends on the criteria that matter to you. Zapier gives a ready-made connection with five operations and a free plan, which suits a small team that wants something running fast. Make and n8n are the usual alternatives when a team weighs simplicity against control over the flow. Compare the number of operations each one offers for Agentcis, the trigger delay, and who maintains the workflow. None of these is a verdict: a team with a developer may accept a longer setup for more control, while an agency without technical staff will usually value the shorter setup.
