Overview

What the Agiled Zapier integration does for a services business

Agiled is a business management tool that keeps your CRM, projects, invoices, contracts and bookings in one account. Plugging it into Zapier, an automation service, means an event in Agiled (a deal changing stage, a document signed, an invoice paid) can write, update or look up records on its own, in Agiled or in another app, without anyone copying data by hand.

Think of a consultancy that sells by quote. Three results come up again and again. A project ready the minute the client says yes: Estimate Accepted starts the automation and Create Project opens the project shell, so nobody forgets to set it up after a sales call. The first invoice drafted from a signed contract: Document Signed hands over to Create Invoice, which only needs an account, a description and a price. A proposal drafted when a deal reaches the right stage: Deal Stage Changed feeds Create Document, which asks for a title and a type.

Now the limits. None of the 104 visible operations deletes a record, and none reacts to a deletion: cleaning up stays a manual job. Products, pipelines and forms can be created and updated, but no visible trigger fires when one of them appears. Records that existed before the automation went live are never picked up either.

No Agiled page exists yet on the n8n or Make side of this site. To weigh the tools on criteria rather than hype, read n8n vs Zapier and Make vs Zapier.

Vocabulary

Zapier vocabulary in one minute

Seven words come back on every line of this page. Here they are in plain English, once.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that creates, updates or sends something in an app for you.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is pushed by the app the moment the event happens.
Filter
A step that lets the Zap continue only when the incoming data meets a condition you set, and stops it otherwise.
Search step
A step that looks up a record that already exists in an app, so the steps after it can reuse what it found.
Cost

What an Agiled Zap really costs

Zapier bills completed actions, not events. With Agiled that rule plays in your favour, because every trigger on this app is instant.

  • Agiled on the free planYes, it is not reserved to paid plans
  • Tasks on the free plan100 per month
  • Steps per Zap on the free plan2 (one trigger, one action)
  • Cost of a trigger0 tasks
  • Agiled triggers that wait for the polling grid0 of 40

The trigger never costs a task, and neither does Zapier listening for new events. Each action that succeeds counts once, so a Zap with three actions uses three times what a one-action Zap uses; an action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but only two-step Zaps: one trigger, one action. Add a second action, a filter or a search and the Zap needs a paid plan. The polling grid below does not touch Agiled: its triggers fire straight away on any plan.

Connect

Connect your Agiled account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your Agiled account linked once, then reused by every Zap step that touches Agiled.

  2. 02

    Pick Agiled

Type Agiled in the search box of the dialog, select it in the results, then confirm with Add connection. A new browser tab opens on the Agiled side for the sign-in.

  3. 03

    Sign in and grant access

Log in to Agiled in that tab and allow Zapier to use the account. You need an Agiled account, plus read or write rights on any record you do not own but want the Zap to touch.

First Zap

Your first Agiled Zap: from accepted estimate to kickoff task

GoalWhen a client accepts an estimate, open a project in Agiled and add its kickoff task.

  1. 01

    Build: choose the trigger

Start a new Zap, pick Agiled as the app and Estimate Accepted as the event, then select the Agiled connection made earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent accepted estimates of your account, so you map fields on a real one rather than a blank.

  3. 03

    Add Create Project

Add an action, pick Agiled and Create Project. Name is the only required field: map something from the estimate so each project is easy to recognise.

  4. 04

    Add Create Task

Add a second action with Create Task. Title is required; type the kickoff step your team always starts with. This second action makes the Zap multi-step, so it needs a paid plan.

  5. 05

    Test each step, then publish

Run every step once and read what came back before going further. When the project and task look right, click Publish to switch the Zap on.

Triggers

The 40 Agiled triggers, all instant

40 events start a Zap when something happens in Agiled, and 40 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Deal Stage Changed

Instant trigger

In Zapier“Triggers when Agiled emits deal.stage_changed.”

Starts a Zap when a deal in Agiled moves from one pipeline stage to another. Each step forward in your sales process can set off its own follow-up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a deal reaching the proposal stage prompts a Create Document step that prepares the proposal for the account manager.
Watch out
a change of status has its own trigger, Deal Status Changed, so pick the one matching the move you track.
2

Deal Status Changed

Instant trigger

In Zapier“Triggers when Agiled emits deal.status_changed.”

Fires whenever the status of an Agiled deal changes, as opposed to its position in the pipeline. It is the narrower signal for outcomes rather than progress.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a sales lead wants a heads-up in another tool as soon as any deal's status flips.
Watch out
if only one status matters, a filter has to sit behind the trigger, and that makes the Zap multi-step on a paid plan.
3

Document Signed

Instant trigger

In Zapier“Triggers when Agiled emits document.signed.”

Picks up the moment a client signs a document held in Agiled, such as a contract. For a services firm, that signature is often the real start of the job.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a signed contract should open the paperwork that follows, for example a Create Invoice step for the deposit.
Watch out
documents signed before the Zap went live are never picked up, so handle that backlog by hand.
4

Estimate Accepted

Instant trigger

In Zapier“Triggers when Agiled emits estimate.accepted.”

Runs when a client accepts an estimate you prepared in Agiled. That yes is usually the point where planning, staffing and billing need to begin.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a consultancy wants a project shell ready on acceptance, with Create Project as the action.
Watch out
it reacts to acceptance only; drafts and edits go through New Estimate and Updated Estimate.
5

Leave Approved

Instant trigger

In Zapier“Triggers when Agiled emits leave.approved.”

Kicks off when a manager approves an employee's leave request in Agiled. The absence is now confirmed, so the rest of the team can plan around it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an operations lead adds a Create Task step that reminds someone to cover the absent person's client work.
Watch out
approval, cancellation, rejection and new requests are four separate triggers, and one Zap listens to one of them.
6

Leave Cancelled

Instant trigger

In Zapier“Triggers when Agiled emits leave.cancelled.”

Reacts when an existing leave request in Agiled is called off. Whatever was planned around that absence may now be pointless.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an earlier Zap created a cover task, and an Update Task step now changes it so nobody does the work twice.
Watch out
Update Task needs the task itself, so a Find Task search usually comes first, which puts the Zap on a paid plan.
7

Leave Rejected

Instant trigger

In Zapier“Triggers when Agiled emits leave.rejected.”

Goes off when a leave request is turned down in Agiled. The employee will have questions, and they deserve a single place to ask them.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a Create Ticket step opens an internal ticket, so the follow-up conversation with HR stays traceable.
Watch out
because the event is instant, the ticket may exist before the manager has even spoken to the employee.
8

Leave Requested

Instant trigger

In Zapier“Triggers when Agiled emits leave.requested.”

Starts the moment an employee files a leave request in Agiled, before anyone approves or rejects it. It is the earliest point to react to an absence.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a small team where the manager wants every request turned into a Create Task reminder so none sits unanswered.
Watch out
requests filed before publication stay invisible to the Zap, so check the queue once by hand.
9

New Account

Instant trigger

In Zapier“Triggers when Agiled emits account.created.”

Fires each time an account is added to Agiled. Accounts are the records your estimates, invoices and payments hang from, so a new one often means a new client.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an agency wants a Create Project step to open a first project for every new client account.
Watch out
if another Zap creates accounts with Create Account, this trigger sees those as well.
10

New Appointment

Instant trigger

In Zapier“Triggers when Agiled emits appointment.created.”

Reacts as soon as a new appointment is created in Agiled. The booking can then feed your preparation work instead of waiting in a calendar.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a business coach wants a Create Task step to prepare each session the moment it gets booked.
Watch out
a moved session fires Updated Appointment, not this trigger, so the prep task keeps its old timing unless a second Zap follows changes.
11

New Contact

Instant trigger

In Zapier“Triggers when Agiled emits contact.created.”

Hands Zapier every contact newly added to Agiled, the person-level record that sits next to accounts. It is the natural entry point for any people-based sync.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
copy each new contact into the tool your marketing team sends its newsletters from.
Watch out
a Zap that also runs Create Contact in the same account can create the very contacts it listens for and loop.
12

New Deal

Instant trigger

In Zapier“Triggers when Agiled emits deal.created.”

Opens a Zap whenever a deal is created in Agiled, before it moves through any stage. The opportunity exists, and nothing has been done with it yet.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a sales manager adds a Create Task step that assigns a discovery call on every fresh deal.
Watch out
deals created by Create Deal in another Zap show up here too, so keep the two Zaps from feeding each other.
13

New Employee

Instant trigger

In Zapier“Triggers when Agiled emits employee.created.”

Picks up each employee record added to Agiled. A new hire usually means accounts to open, equipment to order and people to introduce.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
onboarding, where a Create Task step per new hire gives the manager a checklist to work through.
Watch out
staff added before the Zap went live never trigger it, so existing employees need a one-off manual pass.
14

New Estimate

Instant trigger

In Zapier“Triggers when Agiled emits estimate.created.”

Sends a Zap off as soon as an estimate is drafted in Agiled, long before the client answers. Every quote leaving the business passes through it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a finance lead keeps a copy of every quote in a spreadsheet to follow the pipeline value.
Watch out
a draft and a signed-off estimate are different events, and for confirmed work Estimate Accepted is the cleaner start.
15

New Expense

Instant trigger

In Zapier“Triggers when Agiled emits expense.created.”

Catches every expense entered in Agiled, whether billable to a client or not. Costs become visible outside Agiled without anyone re-typing them.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a bookkeeper wants each expense mirrored in the accounting tool as soon as a consultant records it.
Watch out
a bulk import of past expenses can arrive as one burst, which Zapier's flood protection may hold back.
16

New File

Instant trigger

In Zapier“Triggers when Agiled emits file.created.”

Triggers on each file added to Agiled. Deliverables, scans and attachments can then travel on to wherever the team archives them.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a design studio keeps a backup of client deliverables in its storage service, one copy per upload.
Watch out
Create File in another Zap adds files that Agiled reports here, so think about loops before chaining both.
17

New Form Submission

Instant trigger

In Zapier“Triggers when Agiled emits form_submission.received.”

Starts the Zap every time someone fills in one of your Agiled forms. A web enquiry becomes something the rest of your process can act on.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an event agency forwards each booking request to its team chat so someone answers while the lead is warm.
Watch out
Submit Form, if another Zap uses it, creates submissions that land here as well.
18

New Invoice

Instant trigger

In Zapier“Triggers when Agiled emits invoice.created.”

Runs whenever an invoice is created in Agiled, whether a person or another Zap made it. Billing leaves a trace outside Agiled from day one.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
send a copy of every new invoice to the accountant's tool so the books never lag behind.
Watch out
the invoice may still change; Updated Invoice covers edits and Paid Invoice covers settlement.
19

New Project

Instant trigger

In Zapier“Triggers when Agiled emits project.created.”

Fires on each project created in Agiled. It is the hook for anything that should exist alongside a project from its first minute.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a project manager wants the same starter tasks on every project, added with Create Task.
Watch out
several Create Task actions make the Zap multi-step, and each task created is one task off your plan.
20

New Task

Instant trigger

In Zapier“Triggers when Agiled emits task.created.”

Every task created in Agiled reaches Zapier. Work assigned there can reach people who live in another to-do tool.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
copy tasks assigned to developers into the board they actually work from.
Watch out
if the same Zap writes back to Agiled with Create Task, it sets itself off again and again and drains your task count.
21

New Ticket

Instant trigger

In Zapier“Triggers when Agiled emits ticket.created.”

Gets the Zap going as soon as a support ticket is created in Agiled. Client problems surface where the support team already looks.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a support lead pushes each new ticket into the team's chat channel so the first reply comes quickly.
Watch out
a migration that imports old tickets in one go can trip Zapier's flood protection.
22

New Time Entry

Instant trigger

In Zapier“Triggers when Agiled emits time_entry.created.”

Catches each time entry logged in Agiled. Hours recorded there can feed payroll, a client timesheet or a capacity report.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a freelancer keeps a separate timesheet for one client who insists on receiving it in their own format.
Watch out
a Create Time Entry action in the same Zap would create the entries it reacts to and loop.
23

Paid Invoice

Instant trigger

In Zapier“Triggers when Agiled emits invoice.paid.”

Fires once an invoice in Agiled becomes paid. The money is in, which is often the signal to unlock the next piece of work.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
close the sales loop by updating the deal behind the invoice with Update Deal.
Watch out
Update Deal needs to know which deal, so a Find Deal search in between makes the Zap multi-step.
24

Payment Received

Instant trigger

In Zapier“Triggers when Agiled emits payment.completed.”

Reacts whenever Agiled records a completed payment. The editor lists it as Payment Received, and it follows the payment record rather than the invoice.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
log each incoming payment in the treasury sheet the finance team follows.
Watch out
Paid Invoice may fire for the same money, so pick one of the two to avoid double lines.
25

Task Status Changed

Instant trigger

In Zapier“Triggers when Agiled emits task.status_changed.”

Wakes up when a task's status changes in Agiled, and only then. Progress on work becomes a signal other tools can use.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a team lead wants a message in chat whenever a review task moves forward.
Watch out
other edits to the task belong to Updated Task, which is broader and therefore noisier.
26

Updated Account

Instant trigger

In Zapier“Triggers when Agiled emits account.updated.”

Fires on a change saved to an Agiled account. The client company in Agiled stops drifting from its copy in your other tools.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keep the company record in your marketing CRM aligned with what account managers edit in Agiled.
Watch out
an Update Account action in that same Zap writes to the record being watched and wakes the trigger again.
27

Updated Appointment

Instant trigger

In Zapier“Triggers when Agiled emits appointment.updated.”

Picks up appointments that change after they were booked. Moves and edits reach other tools without a manual heads-up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a training company updates the shared room planner whenever a session gets edited.
Watch out
Reschedule Appointment in the same Zap edits the appointment this trigger watches, which loops.
28

Updated Contact

Instant trigger

In Zapier“Triggers when Agiled emits contact.updated.”

Listens for edits to a contact's record in Agiled. The person you know in Agiled stays the person your other tools know.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keep the subscriber copy in your newsletter tool current when a colleague corrects a contact.
Watch out
Update Contact pointed at the same contact makes the Zap retrigger itself.
29

Updated Deal

Instant trigger

In Zapier“Triggers when Agiled emits deal.updated.”

Fires whenever an Agiled deal is updated. It is the broadest of the deal triggers, so expect it often.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
mirror deal edits in the reporting sheet the founders use to follow the pipeline.
Watch out
a Paid Invoice Zap that runs Update Deal will set this one off too, which is fine as long as this Zap does not write back.
30

Updated Document

Instant trigger

In Zapier“Triggers when Agiled emits document.updated.”

Reacts when a document in Agiled is edited. Drafts in progress can alert whoever has to check them.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
notify the partner who reviews contracts each time a draft changes.
Watch out
the signature has its own trigger, Document Signed, so use that one for the final step.
31

Updated Employee

Instant trigger

In Zapier“Triggers when Agiled emits employee.updated.”

Fires when an employee record changes in Agiled. Staff details stay consistent wherever HR keeps a copy.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
HR maintains a staff directory in another tool and wants it to follow edits made in Agiled.
Watch out
no visible action updates employees, so this trigger cannot be looped from Agiled itself.
32

Updated Estimate

Instant trigger

In Zapier“Triggers when Agiled emits estimate.updated.”

Picks up edits saved on an Agiled estimate. Quotes evolve in negotiation, and the copies elsewhere should follow.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keep the quote tracker spreadsheet matching the latest version the client saw.
Watch out
Update Estimate in the same Zap writes to what this trigger watches and restarts it.
33

Updated Expense

Instant trigger

In Zapier“Triggers when Agiled emits expense.updated.”

Starts when an expense is edited in Agiled. Corrections made after the fact are no longer lost on the way to accounting.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an accountant wants fixes made by consultants to reach the books, not only first entries.
Watch out
an Update Expense action on the same record turns the Zap into a loop.
34

Updated File

Instant trigger

In Zapier“Triggers when Agiled emits file.updated.”

Fires when a file stored in Agiled is updated. Mirrored copies elsewhere can be refreshed rather than left stale.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a studio keeps its backup folder in step with files edited in Agiled.
Watch out
Update File on the same file sets this trigger off again, so keep that action in a different Zap.
35

Updated Invoice

Instant trigger

In Zapier“Triggers when Agiled emits invoice.updated.”

Watches for edits on an invoice in Agiled. A corrected amount or description no longer slips past whoever keeps the accounts.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
tell the accountant an invoice changed after it was created.
Watch out
payment is a separate event; Paid Invoice handles that, so do not rely on this one for cash tracking.
36

Updated Payment

Instant trigger

In Zapier“Triggers when Agiled emits payment.updated.”

Responds when a payment record changes in Agiled. Cash figures elsewhere can be corrected the moment someone fixes an entry.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
update the treasury sheet when the finance team fixes a payment entered with the wrong amount.
Watch out
Update Payment in the same Zap sends the change straight back to this trigger.
37

Updated Project

Instant trigger

In Zapier“Triggers when Agiled emits project.updated.”

Tracks edits made to a project in Agiled. Client-facing tools can show the same picture as the internal one.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an agency refreshes the status page it shares with clients whenever the project changes.
Watch out
a paid-invoice Zap that runs Update Project also wakes this trigger, so check that two Zaps do not answer each other.
38

Updated Task

Instant trigger

In Zapier“Triggers when Agiled emits task.updated.”

Triggers on a saved change to a task in Agiled. Any edit counts, which makes it the widest of the task triggers.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keep a copy of tasks in a second to-do app aligned with Agiled.
Watch out
when only progress matters, Task Status Changed is narrower and spares you a filter.
39

Updated Ticket

Instant trigger

In Zapier“Triggers when Agiled emits ticket.updated.”

Follows a support ticket when it is edited in Agiled. The conversation around a client issue can follow it into other tools.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keep the account manager informed when a ticket on a key client changes.
Watch out
Update Ticket on that same ticket creates a loop that burns tasks fast.
40

Updated Time Entry

Instant trigger

In Zapier“Triggers when Agiled emits time_entry.updated.”

Spots a logged time entry once someone changes it in Agiled. Corrected hours reach the billing side instead of the original guess.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a freelancer fixes hours at the end of the week and wants the client timesheet corrected too.
Watch out
Update Time Entry inside that Zap would write back to the entry and start it over.
Actions

The 43 Agiled actions, grouped by what they do

Agiled gives you 43 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Book Appointment

Action

In Zapier“Books an appointment through an Agiled booking page.”

Books a slot through an Agiled booking page. It needs the booking page, the event type, the invitee's name and email, and a start time.

When to use it
a lead who asked for a demo in a chat tool gets booked without email ping-pong.
Watch out
the booking page and the event type must already exist, otherwise the step stops.
2

Cancel Appointment

Action

In Zapier“Cancels an Agiled appointment.”

Cancels an existing appointment in Agiled; only the appointment is required, so the step is short to set up.

When to use it
a deal marked lost cancels the follow-up meeting that was booked with the prospect.
Watch out
nothing undoes a cancellation from Zapier, so add a filter if the condition is not clear-cut.
3

Create Account

Action

In Zapier“Creates a account in Agiled.”

Adds an account to Agiled, and a name is the only field it insists on. That account then becomes the anchor for estimates, invoices and payments created later in the same Zap or by hand.

When to use it
a client marked as won in your sales tool becomes an Agiled account without anyone retyping the company name.
Watch out
run a Find Account search first if the client might already exist, or you end up with duplicates.
4

Create Booking Page

Action

In Zapier“Creates a booking page in Agiled.”

Publishes a page where people can book time with you in Agiled. A title is required, and an Active option switches the page on or off.

When to use it
each new consultant onboarded gets a booking page of their own without an admin doing it.
Watch out
Book Appointment depends on booking pages, so this action often comes first in a setup Zap.
5

Create Contact

Action

In Zapier“Creates a contact in Agiled.”

Creates a person in Agiled from a first name and a last name, both required. A Has Portal Access option decides whether that person can log in to the client portal.

When to use it
sign-ups from a webinar tool land in Agiled as contacts the account managers can follow up.
Watch out
leave portal access off by default and switch it on only for people who should see client documents.
6

Create Deal

Action

In Zapier“Creates a deal in Agiled.”

Opens a sales opportunity in Agiled. It asks for a name and for the pipeline the deal belongs to, and both fields are required.

When to use it
a qualified lead from your ads tool becomes a deal that sales can move through the stages.
Watch out
the pipeline must already exist in Agiled; Create Pipeline or a Find Pipeline search can provide it.
7

Create Document

Action

In Zapier“Creates a document in Agiled.”

Starts a document in Agiled, such as a proposal or a contract draft, from a title and a type. Both fields are required.

When to use it
a deal changing stage produces the draft proposal that the account manager then completes.
Watch out
Send Document can follow it in the same Zap, but test the email on your own address first.
8

Create Document Template

Action

In Zapier“Creates a document template in Agiled.”

Saves a reusable document template in Agiled from a name and a type. Active and Default options decide whether it is offered and preselected.

When to use it
seldom; mostly to install the same template set in a freshly opened Agiled account.
Watch out
only one template can sensibly be the default, so leave that box alone unless you mean it.
9

Create Estimate

Action

In Zapier“Creates a estimate in Agiled.”

Drafts a quote in Agiled for an account. The account, a description and a price are all required, so the earlier steps have to carry those three values.

When to use it
a deal reaching the quote stage gets a first estimate that the salesperson only has to check and send.
Watch out
without an Agiled account to attach it to, the step fails, so add Find Account before it when needed.
10

Create Event Type

Action

In Zapier“Creates a event type in Agiled.”

Defines a kind of meeting in Agiled from a name, with Active and Paid options to control availability and payment.

When to use it
preparing the meeting types that Book Appointment will need later, for instance when a new offer launches.
Watch out
check the Active and Paid options on the first test run, before Book Appointment relies on this event type.
11

Create Expense

Action

In Zapier“Creates a expense in Agiled.”

Logs a cost in Agiled from an amount and an expense date, both required. A Billable switch marks whether the client will be charged for it later.

When to use it
receipts approved in your spend management tool become Agiled expenses ready for rebilling.
Watch out
switch Billable on only when the source step tells you the cost belongs to a client.
12

Create File

Action

In Zapier“Creates a file in Agiled.”

Registers a file record in Agiled. It wants the original name, the MIME type (the label that says what format the file is) and the size in bytes.

When to use it
files dropped in a shared folder get listed in Agiled next to the project they belong to.
Watch out
all three fields are required, so the earlier step must supply each of them.
13

Create Form

Action

In Zapier“Creates a form in Agiled.”

Builds a form in Agiled from a name, a title and a Fields JSON entry describing its questions. All three are required, with an Active option on top.

When to use it
rarely, when forms are generated from a template kept in another system.
Watch out
the fields entry is structured text, and a single typo makes the step fail.
14

Create Invoice

Action

In Zapier“Creates a invoice in Agiled.”

Issues an invoice in Agiled. Like the estimate action, it needs an account, a description and a price before it will run.

When to use it
a signed contract produces the deposit invoice on its own, so billing starts the day the work is agreed.
Watch out
a Zap that writes invoices and listens to New Invoice will loop and burn tasks.
15

Create Payment

Action

In Zapier“Creates a payment in Agiled.”

Records money received in Agiled against an account, with an amount and a payment date. All three are required for the step to go through.

When to use it
payments collected in your card processor show up in Agiled without anyone keying them in.
Watch out
Payment Received fires on these entries too, so keep that trigger out of this Zap.
16

Create Pipeline

Action

In Zapier“Creates a pipeline in Agiled.”

Builds a new sales pipeline from a name and a Stages JSON field that lists its stages. A Default option makes it the pipeline Agiled uses when none is picked.

When to use it
rarely, when a new business line needs its own sales path set up the same way each time.
Watch out
the stages field expects structured text, so test the step once on a throwaway pipeline.
17

Create Product

Action

In Zapier“Creates a product in Agiled.”

Adds an item to the Agiled product list. Only the name is required, and an Active option controls whether the product can be picked on documents.

When to use it
a new service added to your online shop appears in Agiled too, so quotes and the shop stay aligned.
Watch out
no trigger fires on new products, so nothing downstream will react to this step.
18

Create Project

Action

In Zapier“Creates a project in Agiled.”

Opens a project in Agiled. A name is all it asks for, which makes it the easiest action to place at the end of a sales Zap.

When to use it
an accepted estimate becomes a project the delivery team can staff the same day.
Watch out
map a recognisable name from the trigger, or every project looks the same in the list.
19

Create Task

Action

In Zapier“Creates a task in Agiled.”

Puts a new to-do in Agiled with a required title and an optional milestone to hang it on. Mapping the milestone files the new task under the right part of the project.

When to use it
a new employee record produces the first onboarding to-do for the hiring manager.
Watch out
paired with New Task in one Zap, it creates an endless loop that drains the task count.
20

Create Ticket

Action

In Zapier“Creates a ticket in Agiled.”

Opens a support ticket in Agiled. Only a subject is required, which means almost any event can be turned into a ticket in one step.

When to use it
a message reaching your support inbox becomes a ticket the team can assign and follow.
Watch out
map a subject that says who wrote in, or the ticket list quickly becomes unreadable.
21

Create Time Entry

Action

In Zapier“Creates a time entry in Agiled.”

Logs worked time in Agiled from a start time and an end time, both required, plus a Billable switch for hours the client pays for.

When to use it
hours tracked in a timer app flow into Agiled so invoices reflect the real time spent.
Watch out
New Time Entry fires on these entries, so do not chain the two in one Zap.
22

Reschedule Appointment

Action

In Zapier“Reschedules an Agiled appointment.”

Moves an existing appointment to new start and end times. The appointment and both times are required.

When to use it
a change of slot agreed in your support chat moves the meeting in Agiled too.
Watch out
Updated Appointment fires after this action, so never pair the two in one Zap.
23

Send Document

Action

In Zapier“Sends an Agiled document email.”

Emails an Agiled document to someone. You supply the document, a subject, a body and the recipient address, and all four are required.

When to use it
a contract created earlier in the Zap goes out to the client on the spot.
Watch out
the email leaves for real during tests, so test with your own address.
24

Submit Form

Action

In Zapier“Creates a submission for an Agiled form.”

Records a submission on an existing Agiled form. The form and a Submission Data JSON field carrying the answers are both required.

When to use it
answers collected by a survey tool are stored against the matching Agiled form for later review.
Watch out
New Form Submission fires on these entries too, so keep that trigger out of the same Zap.
25

Update Account

Action

In Zapier“Updates a account in Agiled.”

Changes the details of an existing Agiled account; the account itself is the only required field, everything else is optional.

When to use it
company details corrected in your marketing CRM flow back to Agiled without a second edit.
Watch out
the account has to be identified, which usually means a Find Account step just before.
26

Update Booking Page

Action

In Zapier“Updates a booking page in Agiled.”

Alters a booking page, including whether it is active. The booking page is required.

When to use it
a consultant going on approved leave sees their booking page switched off for the period.
Watch out
switch it back on with a second Zap, for example on Leave Cancelled.
27

Update Contact

Action

In Zapier“Updates a contact in Agiled.”

Edits a person already stored in Agiled. The contact is required, and the Has Portal Access switch can grant or remove portal access.

When to use it
a client whose contract ends loses portal access automatically, with no admin to remember it.
Watch out
Updated Contact fires after the edit, so keep that trigger out of this Zap.
28

Update Deal

Action

In Zapier“Updates a deal in Agiled.”

Modifies a deal already in Agiled. Only the deal is required, so the step can change as little or as much as you map.

When to use it
a paid invoice updates the deal it came from, closing the loop between billing and sales.
Watch out
the deal has to be identified, often by a Find Deal step first.
29

Update Document

Action

In Zapier“Updates a document in Agiled.”

Changes an Agiled document you point it at; the document is the only required field.

When to use it
a contract draft is refreshed after the deal it belongs to changes terms.
Watch out
a signed document may not be the one to edit, so check what Document Signed already caught.
30

Update Document Template

Action

In Zapier“Updates a document template in Agiled.”

Reworks a template, with Active and Default switches to control availability. The template itself is required.

When to use it
rotating which template is preselected for the next batch of contracts.
Watch out
switching the default changes what every new document starts from.
31

Update Estimate

Action

In Zapier“Updates a estimate in Agiled.”

Rewrites parts of an existing quote. The estimate is the only required field.

When to use it
a price adjusted in your quoting spreadsheet is carried into Agiled so the client sees the right figure.
Watch out
Updated Estimate wakes after this step, so the two cannot live in the same Zap.
32

Update Event Type

Action

In Zapier“Updates a event type in Agiled.”

Reshapes an event type, with Active and Paid switches. The event type is required.

When to use it
turning a free intro call into a paid session when demand grows.
Watch out
the event type has to be identified, so a Find Event Type search usually comes first and makes the Zap multi-step.
33

Update Expense

Action

In Zapier“Updates a expense in Agiled.”

Revises an expense in Agiled, with the Billable switch at hand. The expense itself is required.

When to use it
an expense the client agreed to cover is flipped to billable once the approval lands.
Watch out
Updated Expense will fire on this change, so watch for loops.
34

Update File

Action

In Zapier“Updates a file in Agiled.”

Touches up a file record held in Agiled. The file is required.

When to use it
a file replaced in shared storage keeps its Agiled entry current for the team.
Watch out
Updated File fires after this step, so keep that trigger elsewhere.
35

Update Form

Action

In Zapier“Updates a form in Agiled.”

Revises a form, notably its Active option, which takes it offline or back online. The form is required.

When to use it
closing a registration form automatically once an event is fully booked.
Watch out
an inactive form stops collecting answers, so double-check the condition that turns it off.
36

Update Invoice

Action

In Zapier“Updates a invoice in Agiled.”

Corrects an invoice that already exists in Agiled. You point the step at the invoice and fill only what should change.

When to use it
a correction agreed with the client updates the invoice instead of issuing a new one.
Watch out
Updated Invoice reacts to this edit, so keep it out of the same Zap.
37

Update Payment

Action

In Zapier“Updates a payment in Agiled.”

Amends a payment already recorded in Agiled. The payment is the only required field.

When to use it
a refund noted in your payment processor adjusts the matching Agiled payment the same day.
Watch out
a Find Payment search usually has to come first, which makes the Zap multi-step.
38

Update Pipeline

Action

In Zapier“Updates a pipeline in Agiled.”

Adjusts a sales pipeline. The pipeline is required, and the Default option can promote or demote it as the one used by default.

When to use it
switching which pipeline is the default when a seasonal offer starts or ends.
Watch out
changing the default affects every deal created afterwards without a pipeline.
39

Update Product

Action

In Zapier“Updates a product in Agiled.”

Tweaks a product entry, including the Active option that keeps it on or off the list. The product is required.

When to use it
a service retired from the shop is deactivated in Agiled so nobody quotes it again.
Watch out
products have no trigger of their own, so nothing else will react to this change.
40

Update Project

Action

In Zapier“Updates a project in Agiled.”

Alters a project already open in Agiled. The project is the only required field.

When to use it
a deposit received moves the project forward without a manual edit from the project manager.
Watch out
Updated Project fires after this step, so keep it in a different Zap.
41

Update Task

Action

In Zapier“Updates a task in Agiled.”

Edits a to-do in Agiled; the task is required and its milestone can be changed.

When to use it
a task completed in another to-do tool is updated in Agiled so both lists agree.
Watch out
never in the same Zap as Updated Task, which would restart it endlessly.
42

Update Ticket

Action

In Zapier“Updates a ticket in Agiled.”

Revises a support ticket in Agiled; the ticket is all it requires.

When to use it
a fix shipped in your bug tracker updates the client's ticket so support can close it.
Watch out
Updated Ticket fires on this edit, so do not chain them in one Zap.
43

Update Time Entry

Action

In Zapier“Updates a time entry in Agiled.”

Amends logged hours, including whether they are billable. The time entry is required.

When to use it
hours approved by a client are switched to billable in Agiled once the approval arrives.
Watch out
Updated Time Entry reacts to this change, so keep the two apart.
Searches

The 21 Agiled searches

21 search steps look for data that already exists in Agiled, so a later step can use it.

A search step finds a record that already exists in Agiled and hands it to the next steps. In the editor they sit under the SEARCH heading at the bottom of the Action event list. Any search makes the Zap multi-step, so it needs a paid plan, and how strict the matching is depends on Agiled, not Zapier. Agiled offers no find-or-create variant.

1

Find Account

Search

In Zapier“Finds account records in Agiled.”

Looks up an existing account so a later step can attach an estimate, an invoice or a payment to it. How close the match must be is decided by Agiled.

When to use it
before Create Invoice, when the trigger comes from another app that knows the client but not its Agiled record.
Watch out
an unknown client stops the Zap unless the first setting is on.
2

Find Appointment

Search

In Zapier“Finds appointment records in Agiled.”

Retrieves an appointment already booked in Agiled and passes it on to the following steps.

When to use it
just ahead of Reschedule Appointment or Cancel Appointment, which both need to know which appointment to change.
Watch out
several matches mean the first one wins by default, so check the third setting.
3

Find Booking Page

Search

In Zapier“Finds booking page records in Agiled.”

Pulls up a booking page, with an Active field that narrows the lookup to pages currently live.

When to use it
feeding Book Appointment the booking page it requires when the source app only knows the consultant's name.
Watch out
an inactive page is not much use for booking, so keep the Active field set.
4

Find Contact

Search

In Zapier“Finds contact records in Agiled.”

Fetches a contact already stored in Agiled, so a later edit lands on the right person rather than a new one.

When to use it
before Update Contact, so a newsletter unsubscribe changes the right record in Agiled.
Watch out
if nothing matches, the Zap stops unless the first setting is switched on.
5

Find Deal

Search

In Zapier“Finds deal records in Agiled.”

Locates a deal so it can be updated further down the Zap. It is the missing link between billing events and sales records.

When to use it
between Paid Invoice and Update Deal, so the paid invoice updates the correct opportunity.
Watch out
with several deals per client, the default keeps only the first match.
6

Find Document

Search

In Zapier“Finds document records in Agiled.”

Brings back a document stored in Agiled so it can be emailed or edited later in the Zap.

When to use it
before Send Document, when the trigger only tells you which client is concerned and not which file.
Watch out
an empty result stops the email step, which is often the safer outcome.
7

Find Document Template

Search

In Zapier“Finds document template records in Agiled.”

Picks out a document template already saved in the account and passes it on.

When to use it
ahead of Update Document Template, to switch which template is the default for new contracts.
Watch out
template names that look alike can return several results, so set the third setting deliberately.
8

Find Estimate

Search

In Zapier“Finds estimate records in Agiled.”

Retrieves an existing estimate so the next steps can work on it rather than create a duplicate.

When to use it
before Update Estimate, when a price changes in the quoting spreadsheet your sales team keeps.
Watch out
an estimate not found stops the Zap by default, which avoids editing the wrong quote.
9

Find Event Type

Search

In Zapier“Finds event type records in Agiled.”

Hunts down a meeting type, with an Active field to keep only the ones still in use.

When to use it
supplying the event type Book Appointment demands when the request comes from a chat tool.
Watch out
if two event types share a name, the first match wins unless the third setting says otherwise.
10

Find Expense

Search

In Zapier“Finds expense records in Agiled.”

Locates an expense already recorded in Agiled, so a correction or a billable switch reaches the right cost.

When to use it
before Update Expense, to mark a cost billable once the client agrees to cover it.
Watch out
similar expenses can match together, so decide what happens with several results.
11

Find File

Search

In Zapier“Finds file records in Agiled.”

Searches Agiled for a file record so a later step can update it instead of adding a copy.

When to use it
ahead of Update File when a document is replaced in your shared storage.
Watch out
a search makes the Zap multi-step, so this file sync needs a paid plan.
12

Find Form

Search

In Zapier“Finds form records in Agiled.”

Fetches one of your Agiled forms so a submission or an edit can target it.

When to use it
before Submit Form or Update Form, both of which need the form to be identified.
Watch out
a form with no match stops the Zap, so test with a form that really exists.
13

Find Invoice

Search

In Zapier“Finds invoice records in Agiled.”

Brings up an invoice already issued in Agiled and passes it down the Zap.

When to use it
before Update Invoice when a correction arrives from your accountant by email.
Watch out
the Zap stops on an empty result unless you tell it otherwise in the first setting.
14

Find Payment

Search

In Zapier“Finds payment records in Agiled.”

Tracks down a recorded payment so it can be corrected later in the Zap.

When to use it
ahead of Update Payment when a refund is processed in your payment tool.
Watch out
two payments that look alike both match; the default keeps the first one.
15

Find Pipeline

Search

In Zapier“Finds pipeline records in Agiled.”

Identifies a sales pipeline in Agiled and hands it to the step that needs it.

When to use it
giving Create Deal the pipeline it requires when the source app has no idea which one to use.
Watch out
how close the name must be is up to Agiled, so test with the exact spelling used in your account.
16

Find Product

Search

In Zapier“Finds product records in Agiled.”

Scans your product list, with an Active field to skip retired items.

When to use it
before Update Product, to sync a price change coming from your online shop.
Watch out
an inactive product will be ignored when the Active field is set.
17

Find Project

Search

In Zapier“Finds project records in Agiled.”

Finds a project already open in Agiled, which is what lets a payment or a sale move the right project forward.

When to use it
ahead of Update Project when a payment should move the project on to its next phase.
Watch out
clients with several projects return several results, so set the third setting with care.
18

Find Task

Search

In Zapier“Finds task records in Agiled.”

Digs out a task from Agiled so a later step can change it.

When to use it
after Leave Cancelled, to find the cover task created earlier before Update Task adjusts it.
Watch out
a missing task stops the Zap by default, which is usually what you want here.
19

Find Ticket

Search

In Zapier“Finds ticket records in Agiled.”

Spots an existing support ticket in Agiled, so news from another tool lands on the client's ticket instead of opening a second one.

When to use it
before Update Ticket, when your bug tracker marks a fix as shipped and the client should hear about it.
Watch out
with several tickets open for one client, the default keeps the first match, which may not be the one the fix concerns.
20

Find Time Entry

Search

In Zapier“Finds time entry records in Agiled.”

Fetches a logged time entry so its billable status can be changed later.

When to use it
ahead of Update Time Entry once a client approves the hours of the week.
Watch out
several entries can match the same day, so decide what the third setting does.
21

Find User

Search

In Zapier“Finds user records in Agiled.”

Finds a user of your Agiled account. It is the only search on this list with no matching create or update action.

When to use it
when a later step needs to know which teammate a record concerns, for instance to name them in a message.
Watch out
how closely a name has to match is decided by Agiled, so test with a real teammate's details.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and the steps that needed its result are skipped. Switched on, the Zap continues empty-handed.
  2. Create X if it doesn't exist yet?
Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for the fields needed to create the missing record. Agiled lists no find-or-create variant on its searches.
  3. If multiple search results are found?
Three ways out when several records match: keep the first one, which is the default, stop the Zap, or pass all of them on.
When it breaks

When an Agiled Zap breaks

Zapier attaches no help article to Agiled, and no app-specific rate limit is documented. What breaks is the general mechanics.

  • The Zap ignores older records

A Zap only reacts to what happens after it is switched on. Deals, invoices or tickets that existed before stay untouched; moving that backlog is a separate job.
  • A Zap that keeps restarting itself

Updated Task with Update Task, or New Invoice with Create Invoice: a Zap that writes where its trigger watches sets itself off again and eats your tasks.
  • A bulk import holds the Zap back

Importing hundreds of contacts or expenses at once can arrive as one big batch, and Zapier's flood protection can hold it back instead of running every item.
  • A search finds nothing and the Zap stops

By default an empty search ends the run and skips the steps after it. Turn on the first search setting if the Zap should continue anyway.

FAQ

Agiled Zapier integration: questions people ask

01Is the Agiled Zapier integration free?
Yes, Agiled is not reserved to paid plans, so it works on the free Zapier plan. That plan gives 100 tasks a month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. A simple flow such as a new ticket copied to your chat tool fits. A Zap that adds a second action, a filter or a search becomes multi-step and needs a paid plan.
02How many tasks does an Agiled Zap use?
One per action that completes, and nothing for the trigger. A Zap that listens to New Contact and runs a single action uses one task per contact. If the same Zap also runs a search and a second action, each successful action counts on its own, so the bill grows with every step you add. Failed actions are not counted, and Zapier listening for events is free. Count your actions before publishing to estimate the monthly total.
03Is Agiled to Zapier real time?
Yes. All 40 Agiled triggers are instant: Agiled tells Zapier the moment the event happens, and the Zap starts at once on every plan. The polling grid, which is 15 minutes on the free plan, does not apply to this app. In the editor, Zaps built on an instant trigger show a lightning bolt. That speed matters most on the free plan, where polling apps wait between checks. Nothing to configure.
04What does it take to connect Agiled to Zapier?
An Agiled account you can sign in to, plus read or write access on any record you do not own but want the Zap to touch. The connection is made from the Apps page of Zapier with + Add connection, then you sign in to Agiled in the tab that opens and grant access. It is done once, then reused by every Zap. If a step later fails on a record, check the rights on that record first.
05Why does Book Appointment fail in a Zap?
Most often because something it requires is missing. The action needs an existing booking page, an event type, the invitee's name and email, and a start time. If the booking page or event type does not exist yet in Agiled, create it first, by hand or with Create Booking Page and Create Event Type, then map it in the step. Test the step on a real slot before publishing the Zap.
06What if the Agiled operation you need is not there?
Check the 104 visible operations first; deletions, for instance, are not covered by any of them. If the gap is real, the work either stays manual or moves to a tool that can call Agiled more freely, which is a question of budget and skills rather than a missing button. Asking Agiled whether a new operation is planned is also worth a short email. Write down the exact gap before deciding.
07Zapier, Make or n8n for Agiled?
It depends on criteria, not on a winner. Zapier offers Agiled with instant triggers and a free entry point, which suits small teams that want quick results. Make and n8n become relevant when you need operations Zapier does not expose, or tighter control over cost at high volume. Compare how each tool bills and who will maintain the flows before choosing. A free Zapier account is enough to test one Agiled flow, since the app is not premium and its triggers are instant. Start small.
