What the Mindbaz Zapier integration does for you

The integration links your Mindbaz account to Zapier so subscriber events start automations, and other tools can add, edit, unsubscribe or mail a subscriber in Mindbaz. You pick an event, you pick what follows, and Zapier runs the pair for you every time the event happens.

A one-to-one mail on sign-up. User Creation Trigger fires when someone lands in your Mindbaz database, and Send a Mail (OneShot) sends a campaign you already built to that single address. No list export, no manual send.

Sign-ups from another tool, with all their fields. A form or a spreadsheet outside Mindbaz can feed Add a Subscriber (Dynamic Fields), which accepts both the static fields and the custom ones you created in your base.

An unsubscribe log you can share. User Unsub Trigger reports each opt-out, and a spreadsheet action keeps the record where the rest of the team can read it.

What Zapier does not do here: no operation creates or designs a campaign, so every send points to a campaign that already exists in Mindbaz. The sends go to one subscriber at a time. Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event that starts the Zap, such as a new Mindbaz subscriber. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or changes something for you, like mailing a subscriber.
Task
The unit Zapier bills. One action completed successfully is one task, and your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment the event happens.
Filter
A step that lets the Zap continue only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already in an app, so later steps can use what it found, like a subscriber's identifier.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes one, and it needs a paid plan.

Each successful action counts on its own, so a three-action Zap uses three times what a one-action Zap uses. An action that fails is not counted, and a few actions take more than one task. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: add a filter or a search and you need a paid plan. Mindbaz is not a premium app, so it works from the free plan. The interval grid below is the one Zapier uses for polling triggers; it does not apply to Mindbaz, whose triggers are all instant.

    Open Apps and add a connection

    In your Zapier account, open the Apps page and click + Add connection. A connection is your Mindbaz account linked once, then reused by every step that talks to Mindbaz.

    Find Mindbaz and confirm

    Type Mindbaz in the search box of the dialog, pick it, then click Add connection. You need a Mindbaz account, plus read or write access on anything you do not own yourself and want the Zap to touch.

A search step finds a subscriber who already exists so the next steps can use their identifier. On Zapier, searches sit at the bottom of the Action event list, under SEARCH, and some fields offer + Add search step to insert one right before them. Three settings decide what happens when the result is not a clean single match.

Search for a Subscriber

Looks a person up in your Mindbaz base from their mail address and returns their record with its fields, identifier included.

When to use it
another tool only knows the address, and the step after it, a send or an unsubscribe, needs the subscriber identifier.
Watch out
the address field is required, and whether it wants an exact match is up to Mindbaz, so test with a real one.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap there and skips the steps that relied on it. Switched on, the Zap carries on without a result.
  2. Create X if it doesn't exist yet?
    Ticking this box turns a search into a find-or-create and asks for the fields needed to create the missing item. Mindbaz has no find-or-create variant listed on Zapier, so check at test whether the box shows.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one, which is the default, stop the Zap, or pass all of them on.
When it breaks

When a Mindbaz Zap breaks

Zapier lists no help article and no rate limit specific to Mindbaz. What breaks these Zaps comes from how Zapier works in general.

  • Old subscribers are not picked up

    A Zap only reacts to what happens after you switch it on. Subscribers, clicks or opt-outs from before stay out, and moving that backlog is a separate job.
  • A Zap that keeps restarting itself

    As a general rule, a Zap that writes where its own trigger looks can set itself off again and burn tasks fast. Keep trigger and write in different places, or filter.
  • A burst after a big send or import

    When a trigger suddenly reports a huge batch, after a bulk import or a large campaign, Zapier's flood protection can hold those runs back.
  • A search that finds nobody

    With the default setting, Search for a Subscriber stops the Zap when the address is not in your base, and the send or unsubscribe after it is skipped.

01Is the Mindbaz Zapier integration free?
Yes, you can run it on Zapier's free plan, because Mindbaz is not a premium app. The free plan gives 100 tasks a month and an unlimited number of Zaps, but each Zap is limited to two steps: one trigger and one action. That covers a pair like User Creation Trigger followed by Send a Mail (OneShot). Add a second action, a filter or a Search for a Subscriber step and the Zap becomes multi-step, which needs a paid plan. Plan the Zap around that two-step limit before you build it, and keep the longer flows for a paid plan.
02How many tasks does a Mindbaz Zap use?
One task per action that completes, and nothing for the trigger. Zapier does not bill the event that starts the Zap, so a click or an opt-out reported by Mindbaz costs zero on its own. Each action that succeeds counts separately: a Zap that adds a subscriber and then sends a mail uses two tasks per run. An action that fails is not counted against your plan. A few apps and actions on Zapier take more than one task when they complete, so keep that in mind when you size a plan. With busy triggers such as opens or clicks, a filter placed early keeps the count down.
03Do Mindbaz triggers run in real time?
Yes. All five Mindbaz triggers are instant: Mindbaz itself tells Zapier when the event happens, so the Zap starts right away whatever your plan. That is why the polling interval grid, 15 minutes on the free plan, does not apply to this app. In the editor, a Zap built on an instant trigger shows a lightning bolt. The type comes from the app and cannot be changed from the editor. The four other triggers behave the same way, so no Mindbaz Zap waits for a scheduled check, on any plan.
04What do you need to connect Mindbaz to Zapier?
A Mindbaz account, plus read or write access on anything you do not own yourself and want the Zap to touch. The steps: open the Apps page of your Zapier account, click + Add connection, search for Mindbaz in the dialog and pick it, click Add connection, sign in to Mindbaz in the tab that opens, then grant Zapier access to the account. The connection is then reused by every Mindbaz step in every Zap. For the send actions, also make sure the campaign you plan to send already exists in Mindbaz, since its identifier is a required field.
05Why does a Mindbaz send step ask for a subscriber identifier?
Because both Send a Mail actions and Unsubscribe a Subscriber require it: the address alone is not enough. If the step before it does not hand over that identifier, insert Search for a Subscriber, give it the mail address, and map the identifier it returns into the send. The search makes the Zap multi-step, so it needs a paid plan. Left on its default setting, a search that finds nobody stops the Zap, and the send after it is skipped. Run the test with a real address from your base to see what comes back before you publish.
06What if the Mindbaz operation you want is not listed?
Then this integration cannot do it directly. The Mindbaz page on Zapier shows the current list of triggers, actions and searches, and that list is the only thing the editor offers. Before giving up, check whether two existing steps cover the job together: Search for a Subscriber followed by Edit a Subscriber (Dynamic Fields) handles many update cases that look missing at first. Creating or designing a campaign and sending SMS are not in the current list, so those stay in the Mindbaz interface.

Decide on criteria, not on a ranking. On Zapier, Mindbaz comes with 11 ready-made operations and five instant triggers, which suits a team that wants to set up subscriber flows from the editor and pay per completed action. If what you need is outside those 11 operations, check whether Make or n8n offer Mindbaz with the step you are missing before you choose. Also count your volume: on Zapier every successful action is a task, so a busy open or click trigger feeding several actions adds up, and the plan you need follows from that count.
