Agorapulse Zapier integrationAutomate Agorapulse with Zapier.

The Agorapulse Zapier integration offers 2 triggers and 2 actions, and no search step. Both triggers are instant, so a failed post or a fresh inbox message reaches your Zap without waiting, and Agorapulse is not a premium app: the free plan is enough to start.

Overview

What the Agorapulse Zapier integration actually does

Linking Agorapulse to Zapier lets your social media workspace kick off work in other tools, and lets other tools drop drafts and publishing notes back into it. Zapier sits in the middle: it receives an Agorapulse event, then runs the steps you picked. Four operations are on the menu, and every one of them works inside a single Agorapulse organization.

A rescue draft for every failed post. A freelance social media manager juggling several brands hooks Published or Failed Publishing Post to Create Draft, with a filter in between that keeps only failures. The broken post comes back as a draft to rework instead of a gap in the calendar.

Launch dates on the publishing calendar. An e-commerce marketing lead keeps product launches in a project tool. Each new launch card becomes a colored entry through Create Note, with a start and an end date, so the whole team sees the busy weeks before scheduling anything.

Inbox messages that land with support. A customer care team uses New or Updated Inbox Item to push messages into its helpdesk the moment they arrive, or the moment someone changes their labels.

What Zapier does not do here: there is no search, so a Zap cannot look up an existing post, draft or profile. No action publishes a post either: Create Draft stops at the draft, and a human still hits publish in Agorapulse. Agorapulse has no dedicated page on n8n or Make on this site yet; the n8n vs Zapier and Make vs Zapier comparisons cover the trade-offs between platforms.

Vocabulary

Zapier vocabulary in one minute

Seven words cover everything on this page. Each one is explained once here, then used as is.

Zap
The automation you build on Zapier: one starting event, then one or more steps that run every single time that event happens.
Trigger
The event in an app that starts the Zap, such as a post failing in Agorapulse. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, like creating a draft.
Task
The unit Zapier bills: one action your Zap finishes successfully. The number on your plan is a count of those.
Instant vs polling
An instant trigger is reported by the app the moment it happens. A polling trigger is checked by Zapier on a timer. Both Agorapulse triggers are instant.
Filter
A checkpoint between steps: only what meets your condition, say a failed post rather than a published one, gets through.
Connection
Your Agorapulse account linked to Zapier once, then reused by every step that touches Agorapulse in any of your Zaps.
Cost

What an Agorapulse Zap really costs

The trigger never costs a task. Only a completed action does, and an action that fails is not counted.

  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo, works on the free plan
  • Agorapulse triggers2, both instant

The free plan gives 100 tasks a month and unlimited Zaps, but only two-step Zaps: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. A few apps and actions take more than one task when they complete. The interval grid below concerns polling triggers only, the ones Zapier checks on a timer. Agorapulse has none, so the grid never slows it down, even on the free plan.

Connect

Connect Agorapulse to Zapier in 3 steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account, then click + Add connection. A dialog opens with a search box that lists every app Zapier can link to your account.

  2. 02

    Pick Agorapulse

Type Agorapulse in the dialog, select it in the results, then click Add connection. A new browser tab opens on the Agorapulse sign-in screen, where the rest happens.

  3. 03

    Sign in and grant access

Log in with the Agorapulse account that the Zaps should act on, then allow Zapier to access it. If the posts or calendars belong to someone else, you need read or write rights on them first.

First Zap

Your first Agorapulse Zap: failed posts become drafts

GoalWhen a scheduled post fails, keep only the failures and turn each one into a fresh draft to fix.

  1. 01

    Build the trigger

Create a Zap, pick Agorapulse as the starting app and Published or Failed Publishing Post as the event, then choose your Organization.

  2. 02

    Test it on real posts

Run the trigger test. Zapier brings back the three most recent items of the connected account, so you map the next steps on a real post rather than a blank sample.

  3. 03

    Add the filter

From the plus icon, add a Filter and set the condition so only failed publications go through. This turns the Zap into a multi-step one, which needs a paid plan.

  4. 04

    Add the draft action

Add Agorapulse again with Create Draft, pick the Organization and the mandatory Type, then map the content of the failed post into the draft.

  5. 05

    Test, then publish

Test each step once and read what came back. When the draft shows up in Agorapulse as expected, click Publish to switch the Zap on.

Triggers

Agorapulse triggers on Zapier

2 events start a Zap when something happens in Agorapulse, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New or Updated Inbox Item

Instant trigger

In Zapier“Triggers when an inbox item is received and when its labels or sentiment analysis is modified.”

Your Zap starts whenever a message lands in the Agorapulse inbox, and again when someone changes its labels or when its sentiment analysis shifts. That second case matters: a message tagged later by a teammate can start the same Zap a second time.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a community manager who wants every message tagged as a complaint copied straight into the support team's ticket queue.
Watch out
the Organization field is mandatory, so the connected account has to belong to the organization whose inbox you watch.
2

Published or Failed Publishing Post

Instant trigger

In Zapier“Triggers when a post is published or failed publication.”

This one reacts to the outcome of a scheduled post: it starts the Zap when Agorapulse publishes it, and also when publication fails. Both results come through the same trigger, so a filter is what separates good news from bad.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
logging every published post in a client report sheet, or alerting the account owner the minute a post fails.
Watch out
without a filter, successes and failures run the same actions and each one is billed as a task.
Actions

Agorapulse actions on Zapier

Agorapulse gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Draft

Action

In Zapier“Create a new post draft”

Drops a new post draft into Agorapulse, ready for someone to review, edit and schedule. Nothing goes live on its own.

When to use it
a copywriter fills a content brief in a form or a spreadsheet, and the text appears as a draft for the social team.
Watch out
the Type of the draft is mandatory, so the Zap fails if no step provides it.
2

Create Note

Action

In Zapier“Create a publishing note”

Places a publishing note on the Agorapulse calendar: a title, a color and a date range that frame the posts around it.

When to use it
marking a sale period, a trade show or a product launch pulled from a project tool, so nobody schedules against it.
Watch out
Title, Color, Start date and End date are all mandatory, so the previous step must supply both dates.
When it breaks

When an Agorapulse Zap breaks

Zapier links no help article to Agorapulse, and no rate limit specific to the app is documented. The failures below are the ones every Zap can hit.

Most problems show up once the Zap meets real traffic. Here is what to check first.

  • Old posts are never picked up

A Zap only reacts to what happens after you switch it on. Posts published or failed before that day stay out, and moving the backlog is a separate job.
  • A Zap that sets itself off

If a Zap writes into the very place its own trigger watches, it starts itself again and again and burns through your task count fast.
  • A sudden flood held back

If a whole batch of inbox items or posts lands at once, after a bulk import or a migration, Zapier's flood protection can hold the Zap back.
  • A filter that never lets anything through

Filter rules are typed: a text rule only works on text, a number rule only on numbers. Picking the wrong type is why a filter never passes.

FAQ

Agorapulse Zapier integration: frequent questions

01Is the Agorapulse Zapier integration free?
Yes, as long as the Zap stays at two steps. Agorapulse is not a premium app, so it works on Zapier's free plan, which includes 100 tasks a month and unlimited Zaps. The catch is the shape of the Zap: the free plan allows one trigger and one action, nothing more. A Zap that adds a filter, for example to keep only failed posts, or a second action, becomes multi-step and needs a paid plan. Check what your scenario really needs before building it on the free tier.
02How many tasks does an Agorapulse Zap use?
One task per action that completes, and nothing for the trigger. A Zap that turns each failed post into a draft costs one task per failure. If the same Zap also creates a calendar note, every run costs two, because each successful action is counted on its own. An action that fails is not billed. The bigger risk is upstream: the publishing trigger fires on successes as well as failures, so without a filter every published post also triggers the action and spends a task.
03Does Agorapulse send events to Zapier in real time?
Yes, both triggers are instant. Agorapulse tells Zapier the moment an inbox item arrives or changes, and the moment a post is published or fails, so the Zap starts right away. The interval grid of Zapier plans, 15 minutes on the free one, only applies to polling triggers, and Agorapulse has none. In the editor, a Zap built on an instant trigger shows a lightning bolt. This is the main reason the free plan works well with this app.
04What does it take to connect an Agorapulse account?
An Agorapulse account and access to the organization the Zap should work in. You add the connection from the Apps page of Zapier, sign in to Agorapulse in the tab that opens, then grant Zapier access. Every Agorapulse step then asks for an Organization, and that field is mandatory. The connected account therefore needs access to that organization. For posts or calendars owned by a colleague, you also need read or write rights on them.
05Why does an Agorapulse inbox Zap run twice for the same message?
Because the inbox trigger fires on updates, not just on arrivals. New or Updated Inbox Item starts the Zap when a message is received, then again when its labels change or when its sentiment analysis is modified. A message that arrives and gets tagged by a teammate a moment later can therefore start two runs. If only new messages should count, add a filter that checks what changed, keeping in mind that a filter makes the Zap multi-step and needs a paid plan.
06What if the Agorapulse operation you need does not exist?
Then Zapier cannot do it with this app today. The integration offers two triggers and two actions, and no search step, so a Zap cannot look up an existing post, update a scheduled one or publish directly. The closest workaround is often Create Draft, which leaves the final publish to a person. If the missing piece is central to the process, compare what the other automation platforms expose for Agorapulse before committing, since the operation list differs from one platform to the next.
07Zapier, Make or n8n for Agorapulse?
It depends on the criterion, not on a winner. On Zapier, Agorapulse comes with two instant triggers and two actions, works on the free plan, and needs no technical setup beyond signing in. That suits a team that wants a failed-post alert or a calendar note running quickly. If you need operations Zapier does not expose, such as searching existing posts, or heavier branching, look at what Make and n8n list for the app and how each one bills runs before choosing.
