What the Bettermode Zapier integration actually does

Connecting Bettermode to Zapier means one event in your community (a member joins, a post goes up, a badge is handed out) sets off a chain of steps you defined once. Bettermode is a community platform you embed in your own product, and Zapier is the layer that reacts to what happens inside it.

Three uses fit this app well. A welcome that never forgets anyone: New Member Added starts the Zap and Send Direct Message greets the newcomer from an admin account. A join queue that clears itself: Space Join Request fires and Approve Space Join Request lets the person in, with a filter in between if only some requests qualify. Recognition that follows activity: Member Badge Assigned starts the Zap and Add Member to Space opens a private space to badge holders.

The good news for a free plan: 15 of the 16 triggers are instant, so your Zap reacts right away whatever you pay. The odd one out is Search Valid Space for Post Type, which Zapier checks on a timer.

Now what Zapier does not do here. It has no trigger for a new badge being created, only for a badge being given or taken back. It cannot delete a post or a space, even though it can tell you when one disappears. And it never looks back: nothing that happened before you switched the Zap on will be picked up.

    In your Zapier account, go to Apps and click + Add connection. A connection is your Bettermode account linked to Zapier once, then reused by every step that touches Bettermode.

Your first Zap: approve the right join requests

The three settings every search exposes

  1. Successful if no search results are found?
    Left as is, a search that finds nothing stops the Zap and skips the steps that depended on it. Turned on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create: the setting above disappears and the step asks for what it needs to create the missing item.
  3. If multiple search results are found?
    Three exits when several items match: keep the first one (the default), stop the Zap, or pass all of them on.
When it breaks

When a Bettermode Zap breaks

Zapier does not attach any help article to Bettermode, and no limit specific to the app is documented. What breaks is the general behavior of Zaps, applied to a community.

Here are the four cases to know. If one of them sounds familiar, the Zapier troubleshooting page is the next stop.

  • The past is not replayed

    A Zap only reacts to what happens after you publish it. Members who joined last month will never go through your new welcome Zap; moving them is a separate job.
  • The Zap that feeds itself

    Create Reply under New Reply Created, or Update Member under Member Updated: the Zap writes where its trigger watches, starts again, and burns through your task count.
  • Bulk imports get held back

    Importing a batch of members at once can make a trigger return a huge pile in one go. Zapier's flood protection may hold that batch back instead of running it.
  • No double run on the timed trigger

    Search Valid Space for Post Type is checked on a timer, and Zapier remembers what it already saw, so the same space does not start the Zap twice.

01Is the Bettermode Zapier integration free?
Yes, Bettermode is not a premium app, so it works on the free plan. That plan gives you 100 tasks per month and unlimited Zaps, but each Zap is limited to two steps: one trigger and one action. 04What does connecting a Bettermode account require?
An account on the Bettermode community, plus read or write access on anything you do not own and want the Zap to touch. You add it from the Apps page of Zapier with + Add connection, search for Bettermode, sign in in the tab that opens and grant access. Choose an account that can see the admins too, since Send Direct Message asks for an admin as the sender. One connection then serves every Zap you build on Bettermode.
05Why does a Bettermode action keep asking for a member ID?
Because several fields expect a member ID: Assign Badge, Revoke Badge, Update Member, Suspend Member, Remove Member and the recipient of Send Direct Message. If your trigger does not carry that ID, insert Search Member before the action, or use + Add search step from the field itself. Keep in mind that the extra search step makes the Zap multi-step, so it needs a paid plan. Write the search once and the ID flows through on its own.
06What if the operation you need is missing?
