Overview

What the BirdSend Zapier integration actually does

It links your BirdSend account, the email tool built for content creators, to Zapier. A reader's behavior in BirdSend (a click, an open, a new tag, a sequence signup) starts an automation, and that automation can tag, subscribe or unsubscribe contacts back in BirdSend for you.

Three results worth building first. Segments that sort themselves: Contact Clicks an Email Link spots who clicked your offer, and Apply Tag to Contact marks them as interested. Sequences that start at the right moment: Contact Is Tagged fires when a buyer gets their tag, and Subscribe Contact to Sequence drops them into onboarding. Clean exits: Unsubscribe Contact removes someone from all mailings when another step of your Zap says they should be gone.

What Zapier does not do here matters just as much. None of the five triggers is instant: all poll, so on the free plan a click can wait up to 15 minutes before your Zap reacts. There is no action to send an email or a broadcast; BirdSend's Zapier side is about contacts, tags, forms and sequences. And a Zap never reads the clicks or opens that happened before you published it.

Vocabulary

Zapier vocabulary in one minute

Eight words you will see in the editor. One read, and the rest of this page gets easier.

Zap
The automation you set up on Zapier: one event to start it, then one or more steps that run every time that event happens.
Trigger
The event that starts a Zap, such as a reader clicking a link in your email. Once the Zap is on, Zapier watches for it.
Action
What the Zap does once started: the step that changes something in an app, like adding a tag to a BirdSend contact.
Task
What Zapier bills: one action that completes successfully. The number on your plan counts nothing else.
Polling vs instant
Polling: Zapier checks the app on a timer for anything new. Instant: the app calls Zapier itself. Every BirdSend trigger polls.
Filter
A step that lets the Zap carry on only when the incoming data meets your condition, and stops it quietly otherwise.
Search step
A step that looks up something already in an app, such as a contact by email, so later steps can use what it found.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action, a filter or a search makes it one, and it then needs a paid plan.
Cost

What a BirdSend Zap really costs

BirdSend is not a premium app, so it runs on the free plan. You pay in tasks, and only for actions that work.

  • Free plan100 tasks per month, unlimited Zaps
  • Free plan Zap size2 steps: one trigger, one action
  • BirdSend on the free planYes, it is not a premium app
  • Filters and searchesMake the Zap multi-step, so paid plan

The trigger costs nothing, and neither do Zapier's checks on BirdSend for new clicks or tags. Each successful action counts once: tagging a clicker and then subscribing them to a sequence is two tasks per reader. A failed action is not counted. The free plan's real limit is shape: one trigger, one action. Add a second action, a filter or a Find Contact step and the Zap becomes multi-step, which needs a paid plan.

Connect

Connect BirdSend to Zapier in 3 steps

  1. 01

    Start from your Apps page

In Zapier, open Apps and click + Add connection. A connection is your BirdSend account linked once, then reused by every Zap that works with BirdSend.

  2. 02

    Pick BirdSend

Search for BirdSend in the dialog, select it and click Add connection. A new tab opens on BirdSend so you can sign in with the account whose list your Zaps will touch.

  3. 03

    Sign in and allow access

Log in to BirdSend and grant Zapier access. If the list belongs to someone else's account, you need read or write access on what the Zap is meant to change.

First Zap

Your first Zap: turn clickers into a pitch sequence

GoalEvery reader who clicks your course link gets tagged and enters your sales sequence.

  1. 01

    Build: set the trigger

Create a Zap, choose BirdSend and Contact Clicks an Email Link. Pick your connection, set the email type (broadcast or sequence), then the email and the link to watch.

  2. 02

    Test the trigger

Run the test. Zapier pulls the three most recent matching items from your account, so you map the next steps on a real reader rather than a placeholder.

  3. 03

    Add Apply Tag to Contact

Add Apply Tag to Contact, map the contact email from the trigger and choose a tag such as "course-interested". Both fields are required.

  4. 04

    Add the sequence step

Add Subscribe Contact to Sequence, map the same email and pick your sales sequence. This second action makes the Zap multi-step, so it needs a paid plan.

  5. 05

    Test, then Publish

Test both actions and check the contact in BirdSend. Then click Publish. From then on, each reader who clicks that link costs two tasks.

Triggers

The 5 BirdSend triggers

5 events start a Zap when something happens in BirdSend. Zapier checks for them at the interval your plan allows.

1

Contact Is Created

Polling trigger

In Zapier“Triggers when a new contact is created.”

Starts your Zap whenever a new contact is created in your BirdSend list. It is the broadest of the five, since it does not wait for a click, a tag or a sequence.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a podcaster wants every new subscriber copied to the tool where guest requests and listener notes live.
Watch out
readers who joined before you publish the Zap are never picked up.
3

Contact Is Tagged

Polling trigger

In Zapier“Triggers when contact is applied with a certain tag.”

Runs when a given tag is applied to a contact. If tags are how you segment your audience, this is the trigger that lets one tag set off a chain of follow-ups.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a YouTuber tags buyers of a preset pack and wants them moved into a customer sequence.
Watch out
never let the same Zap apply the tag it watches, or it keeps setting itself off.
4

Contact Opens an Email

Polling trigger

In Zapier“Triggers when contact opens a certain email.”

Reacts when a reader opens a chosen email. Softer than a click, it still tells you who is paying attention to a particular message.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a newsletter writer wants readers who opened the paid-tier announcement tagged for a later, softer pitch.
Watch out
like the click trigger, it requires you to choose between a broadcast and a sequence email before anything else.
5

Contact Subscribes to Sequence

Polling trigger

In Zapier“Triggers when contact subscribes to a certain sequence.”

Fires when someone joins a sequence you pick, your automated series of emails. It is the moment a reader commits to a mini-course, an onboarding or a launch series.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a coach removes the "cold lead" tag as soon as someone starts the free email course.
Watch out
the sequence is a required setting, so one Zap follows one sequence.
Actions

The 5 BirdSend actions

BirdSend gives you 5 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Apply Tag to Contact

Action

In Zapier“Apply a certain tag to contact.”

Adds one or more tags to a contact, found by email. Tags and email are required.

When to use it
mark readers by what they bought, clicked or attended, so later sequences can target them.
Watch out
if the email is not in BirdSend yet, this action creates the contact.
2

Remove Tag From Contact

Action

In Zapier“Remove a certain tag from contact.”

Takes a tag off a contact. You name the tag and the contact email, both mandatory.

When to use it
when a lead becomes a buyer, drop the "prospect" tag so your sales emails stop reaching them.
Watch out
it only removes the tag; it does not unsubscribe the contact.
3

Add Contact to Form

Action

In Zapier“Add contact to a form.”

Adds a contact to one of your BirdSend forms. You give the form and the email, both required.

When to use it
buyers from your checkout tool should enter your list through the same form as your opt-in page.
Watch out
if no contact has that email yet, BirdSend creates one.
4

Subscribe Contact to Sequence

Action

In Zapier“Subscribe contact to a sequence.”

Starts a contact on one of your sequences. The sequence and the contact email are both required.

When to use it
a webinar registrant should get your replay sequence without you lifting a finger.
Watch out
an unknown email creates a new contact, so a typo in your mapping adds a fake reader.
5

Unsubscribe Contact

Action

In Zapier“Unsubscribe contact from all mailings.”

Unsubscribes a contact from all your mailings at once. Only the email is required, which makes it quick to wire and easy to misuse.

When to use it
someone asks your support inbox to stop all emails and you want it applied right away.
Watch out
it covers every mailing, not a single sequence.
Searches

The 4 BirdSend searches

4 search steps look for data that already exists in BirdSend, so a later step can use it.

A search step looks up something that already exists in BirdSend and hands it to the steps that follow. You find them at the bottom of the Action event list, under SEARCH. Adding one makes the Zap multi-step. Three settings decide what happens when the lookup does not go as planned.

1

Find Contact

Search

In Zapier“Finds a contact by email.”

Looks up a BirdSend contact from an email address and passes the result down the Zap.

When to use it
before tagging, check that a buyer is already on your list so the Zap can stop for strangers.
Watch out
with the default setting, an unknown email halts the Zap at this step.
2

Find Field

Search

In Zapier“Finds a field by key.”

Retrieves one of your custom fields by its key, so a later step knows which field it is dealing with.

When to use it
a Zap that works with your custom contact data needs that field identified first.
Watch out
it searches by key, not by the label you see in your forms.
3

Find Sequence

Search

In Zapier“Finds a sequence by searching.”

Searches your sequences and returns the one that matches, ready for a subscribe step further down.

When to use it
the sequence to use depends on data from an earlier step rather than a fixed choice.
Watch out
if several sequences match, the default keeps only the first.
4

Find Tag

Search

In Zapier“Finds a tag by name.”

Finds a tag by its name, so tag steps later in the Zap can point to it.

When to use it
your tag name comes from another step, for example a product name, and you need the matching BirdSend tag.
Watch out
a misspelled name finds nothing and, by default, stops the Zap.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap there and the steps relying on it are skipped. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking it turns a search into a find-or-create. BirdSend exposes no find-or-create variant on Zapier, so this box does not apply to its four searches.
  3. If multiple search results are found?
Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When a BirdSend Zap breaks

Zapier attaches no help article to BirdSend, so these are the general limits that bite this app hardest.

BirdSend's triggers watch tags and sequences, and several of its actions write tags and sequences. That overlap is where the risk sits. Go through these four cases before publishing; if a Zap still misbehaves, the Zapier troubleshooting page is your next stop.

  • The tag loop

A Zap watching Contact Is Tagged that applies that same tag with Apply Tag to Contact sets itself off again and again, and burns through your tasks.
  • No catching up on old clicks

A Zap only reacts to what happens after you publish it. Readers who clicked or subscribed earlier stay out; moving them is a separate job.
  • A big import gets held back

Importing a large list can make a trigger return a huge batch at once. Zapier's flood protection may hold it back instead of running each contact.
  • Typos create contacts

Apply Tag, Add Contact to Form and Subscribe Contact to Sequence create a contact when the email is unknown. A bad mapping adds readers who do not exist.

FAQ

BirdSend and Zapier: frequent questions

01Is the BirdSend Zapier integration free?
Yes, for simple Zaps. BirdSend is not a premium app, so it works on Zapier's free plan, which includes 100 tasks a month and unlimited Zaps. The catch is size: a free Zap is one trigger and one action. Tagging a clicker and then subscribing them to a sequence, or adding a filter or a Find Contact step, turns it into a multi-step Zap that needs a paid plan. Count the steps you need before you pick a plan.
02How many tasks does a BirdSend Zap use?
One per successful action, nothing for the rest. The trigger is free, and so are the checks Zapier runs on BirdSend for new clicks, opens or tags. A Zap that tags a reader and subscribes them to a sequence uses two tasks per reader. An action that fails is not counted. If a big launch email gets many clicks, your task count grows with each clicker, so size your plan for launch days, not quiet weeks.
03Does BirdSend trigger Zaps in real time?
No. The five BirdSend triggers are all polling triggers: Zapier checks BirdSend for new events on a timer. On the free plan that is every 15 minutes, on Professional every 2 minutes, and on Team and Enterprise every minute. Paid plans also let you run a check by hand from the editor. The trigger type comes from BirdSend's own setup with Zapier and cannot be switched to instant from your side.
04What does it take to connect BirdSend to Zapier?
A BirdSend account, plus read or write access on anything you do not own and want a Zap to change. You add it from the Apps page in Zapier with + Add connection, sign in to BirdSend in the tab that opens and grant access. Before building, create the tags, sequences and forms your Zap will point to: many BirdSend triggers and actions ask you to pick one of them, and they cannot invent one for you.
05Why does a BirdSend Zap keep running on its own?
Almost always because it writes where its trigger looks. A Zap that starts on Contact Is Tagged and applies that same tag with Apply Tag to Contact sees its own change at the next check and starts again. The same goes for a Zap watching Contact Subscribes to Sequence that subscribes contacts to that very sequence. Use different tags or sequences on each side, or add a filter, which needs a paid plan.
06What if the BirdSend operation you need does not exist?
Then the integration cannot do it as it stands. On Zapier, BirdSend has no action that sends an email or a broadcast, and no trigger for an unsubscribe. Sometimes a workaround exists with what is there: a tag can start a sequence, and the sequence sends the email. Otherwise the job needs another tool or a manual step in BirdSend, and it is better to know that before you design the whole flow around it.
07Zapier, Make or n8n for BirdSend?
It depends on your criteria, not on a ranking. On Zapier, BirdSend brings five triggers, five actions and four searches, and the free plan covers one-action Zaps; every trigger polls, so speed depends on your plan. If your flows chain many steps or lookups, compare what each tool offers for BirdSend on those exact points, along with the cost per run and the time your team will spend maintaining it.
