What the Businessmap Zapier integration actually does for your board

Zapier sits between Businessmap and your other tools. A Zap (the automation you build on Zapier) waits for an event on your board, then writes something back into Businessmap or into another app, every time, without you copying a card by hand. Your Kanban board stays the place where the work lives, and the busywork around it goes away.

Three results people usually build first. Cards that appear on their own: a form, a ticket or a row somewhere else becomes a card in the right lane and column through New Card. A board that keeps its own checklist: Card Events Trigger catches a fresh card and Add Subtask drops in the steps your team never forgets twice. Time that gets logged: Log Time for Card books hours on a card from whatever tool your people already fill in.

Now the tip that saves the most time. Of the 2 triggers, only Card Events Trigger is instant: Businessmap tells Zapier right away, even on the free plan, while New Board waits for the interval of your plan. Zapier itself never points this out.

What Zapier does not do here: there is no trigger dedicated to a card being moved, and none at all for a card being blocked. Card Events Trigger fires for every card event on the board (created, details changed, moved, deleted), and you keep the one you want with a filter, which makes the Zap a paid one. The trigger never costs a task, however often Zapier checks. Each action that goes through counts as one task, and one that fails costs nothing. The catch: the free plan only builds two-step Zaps. Add a filter to sort card events, a search to find a card, or a second action, and you are on a multi-step Zap that needs a paid plan. That is the real price of sorting card events on this board: not a task count, but the paid plan the extra step requires.

    Open your connections

    In Zapier, go to the Apps page of your account and click + Add connection. A connection is your Businessmap account linked once, then reused by every step that touches it.

    Pick Businessmap

    Type Businessmap in the search box of the dialog, select it, then click Add connection. A new tab opens on the Businessmap side so you can sign in there.

    Sign in and grant access

    Log in with an account that can reach the boards you want to automate, then grant Zapier access. Boards you do not own need read or write rights for your user, or the Zap will not see them.

    Build the trigger

    Create a Zap, pick Businessmap as the app and Card Events Trigger as the event, choose your connection, then the Board it should watch. That board is the only required setting here.

    Test with a real card

    Run the test: Zapier brings back the three most recent items from your account. Pick one that was a card creation, so you can see what the event field holds.

    Add the filter

    Click the plus icon, choose Filter, and set it so the event field exactly matches Card created. Without it, every move, edit or deletion would get a subtask too.

    Add the subtask

    Add Businessmap again with Add Subtask, pick the same Board, map the Card ID from the trigger, and write the Description of the step you want on every card.

    Test, then publish

    Test the action once and open the card in Businessmap to check the subtask landed. Then hit Publish. Remember the filter makes this a multi-step Zap, so it runs on a paid plan.

Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one

Watch out
boards created before the Zap was switched on are never picked up, so set it up before the next launch, not after.

Card Events Trigger

Instant trigger

In Zapier“Triggers when new event happens on the board. This trigger will fire for all events on your board. You will have to use "Filter" to check the exact value for the "event" parameter and proceed only if it matches exactly the trigger you expect. These are the possible values for the trigger filter: "Card created", "Card details changed", "Card moved", "Card deleted"”

Listens to one board and fires on anything that happens to its cards: a card created, its details changed, a card moved or a card deleted. It is the trigger Zapier itself puts forward for this app.

Sends a card to the archive, or brings it back, depending on the Action you pick. You only need the Card ID next to that choice.

Flags a card as blocked and records why, so the whole team sees it is stuck. Board, Card ID and a Block Reason are all mandatory.

Fetches a file attached to a card and hands the next step a direct link to a copy stored on Zapier's side. You give it the File URL.

Action

In Zapier“Log working time on a card for specific user, column and lane. Card must not be in "Backlog" or "Requested" sections.”

Books working time on a card for a user, a lane and a column, on the date you give in YYYY-MM-DD format, with a unit and a duration.

When to use it

Drops a new card straight into the lane and column you choose on a board. You pick Board, Workflow, Lane and Column, then map what the card should say from the trigger.

When to use it
turn an inbound request from a form or a helpdesk into a card in the intake column.

Add Comment

Action

In Zapier“Adds a card comment.”

Posts a comment on a card, which keeps the conversation next to the work instead of in somebody's inbox. Only two things are required: the Card ID and the text.

When to use it
copy a customer reply from your support tool onto the matching card.

Add Subtask

Hangs a subtask under an existing card, with the description you write or map. The card must already exist, so the Card ID usually comes from the trigger or a search.

When to use it
attach the same review step to every card your sales team creates.

Lifts the blocked flag from a card. It needs nothing but the Card ID, and no reason to explain the release.

When to use it
release the card as soon as the dependency it was waiting on gets closed elsewhere.

Changes a card's details and, despite the name, is also the way to move a card to another lane or column. Board, Card ID and Workflow are required.

Attaches a file to a card, from a link or from file content passed by an earlier step. You also set the filename people will see in the card attachments.

When to use it

Searches

Businessmap searches

9 search steps look for data that already exists in Businessmap, so a later step can use it.

A search step finds a card, a column or a user that already exists, so the next step can reuse its ID. Searches sit at the bottom of the event list in the editor, under SEARCH. Each one adds a step, so a Zap with a search is a paid Zap.

Looks for a card where one field matches exactly what you pass in. Exact means exact: a near miss returns nothing.

When to use it
retrieve the card of a customer before commenting on it.
Watch out

Pulls a card's details from the custom ID your team gives cards, rather than the internal number Businessmap assigns. No internal number to look up first.

When to use it
your other tools store a reference like a ticket code and you need the matching card.

In Zapier“Get all cards. Paging is supported and page size is 200 cards.”

Returns the cards of a board, page by page, with up to 200 cards on each page. Board ID and Page number are both required.

When to use it
copy the state of a board into a tracking spreadsheet.
Watch out
a big board spans several pages, and one step reads only one.

Search

Reads the comments of a card from its Card ID, so you can quote or forward the discussion somewhere else. It reads, it never writes.

When to use it
include the latest comment in the summary email you send to a client.

Fetches everything about one card when you already hold its internal ID, typically from a trigger or a previous step. One card per run.

When to use it
enrich a short event with the full card before writing it to a report.

Lists the columns of a given board and workflow, both of which you must set. Useful when a later step needs a column you cannot hard-code.

When to use it

Returns details of one or several Businessmap users, the piece you need when a later step expects a person rather than a name. Log Time for Card is the obvious case, since it books time for a specific user.

Search

In Zapier“Get card attachments by card ID.”

Lists the files attached to a card, given its Card ID, and hands what it finds to the next step. The files themselves stay put.

When to use it
chain it with Download Attachment to archive every file of a closed card.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that comes back empty stops the Zap and the steps that need its result are skipped. Switch it on and the Zap carries on without the data.
  2. Create Card if it doesn't exist yet?
    Only on Find Card. Ticking it turns the search into Find or Create Card: the setting above disappears and Zapier asks for what it needs to create the missing card.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When the Businessmap Zap breaks

Zapier ties no help article to this app, so what follows are the limits that hit every Zap, read through a Businessmap board.

  • Old cards are ignored

    A Zap only reacts to what happens after you switch it on. Cards and boards that already existed are never picked up; moving that backlog is a separate job.
  • The Zap that feeds itself

    Card Events Trigger fires on details changed. If the same Zap then runs Update/Move Card on that board, it restarts itself in a loop and burns tasks fast.
  • Bulk imports get held back

    When a trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can pause it instead of running every item.
  • No duplicates on New Board

    On a polling trigger, Zapier remembers what it has already seen, so the same board does not start the Zap twice.

01Is the Businessmap Zapier integration free?
Yes, Businessmap is not a premium app, so it runs on the free Zapier plan. That plan gives you 100 tasks a month and unlimited Zaps, with polling every 15 minutes. The limit that matters most: free Zaps have two steps only, one trigger and one action. As soon as you add a filter to sort card events, a search to find a card, or a second action, the Zap becomes multi-step and needs a paid plan.
02How many tasks does a Businessmap Zap use?
Only completed actions count. The trigger costs nothing, even on a polling trigger checked often, and an action that fails is not billed. A Zap that adds a subtask to each new card spends one task per card. If it also posts a comment, that is two tasks per card, since every successful action is counted on its own. Searches and filters add steps, which is a plan question more than a task question.
03Does Businessmap trigger Zaps in real time?
One of its two triggers does. Card Events Trigger is instant: Businessmap tells Zapier the moment a card is created, changed, moved or deleted, whatever your plan. New Board is a polling trigger, so Zapier checks for new boards on a timer: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. On a paid plan you can also run a check by hand from the editor.
04What do you need to connect Businessmap to Zapier?
A Businessmap account and access to the boards you plan to automate. In Zapier you open the Apps page, click Add connection, pick Businessmap, sign in in the tab that opens and grant access. Boards you do not own need read or write rights for your user. Then pick the board in the step and test it on a real card. Check access before building, since most actions start by asking for a Board.
05Why does a Card Events Trigger Zap run on every card change?
Because that trigger fires for every event on the board, not only the one you have in mind. The event field tells you which one it was: Card created, Card details changed, Card moved or Card deleted. Add a filter right after the trigger that lets the Zap continue only when the event exactly matches the value you want. The filter makes the Zap multi-step, so plan for a paid Zapier plan.
06What if the Businessmap operation that fits the job is missing?
Check first whether two existing steps combine into it. Moving a card has no action of its own, yet Update/Move Card handles it. Finding a column or a lane by name goes through Get Columns and Get Lanes. If the gap is real, it is usually on the trigger side: a card moving has no trigger of its own, so the workaround is Card Events Trigger plus a filter on Card moved. A blocked card is not among the events that trigger reports at all.
07Zapier, Make or n8n for Businessmap?
It depends on your criteria rather than on a winner. On Zapier, Businessmap comes as a ready-made app with 23 visible operations and one instant card trigger.
