What the Calley Zapier integration actually does

It is a one-way bridge. A Zap (the automation you build on Zapier: one starting event, then the steps that follow it) takes a person captured somewhere else and writes them into Calley, the bulk dialer that sales teams run on Android and iPhone, ready to be called.

Three results come out of the single action, Create or Update Contact. First, a fresh lead from a landing page or an ad form shows up in the right calling list, already assigned to the agent who should dial it. Second, a prospect who fills in a second form does not turn into a duplicate: the action updates the existing contact instead. Third, a sales manager can split inbound leads between reps by running one Zap per source, each pointing at a different agent.

What Zapier does not do for Calley matters just as much. There is no trigger on the Calley side, so nothing that happens in the dialer (a call placed, a prospect reached) can start a Zap. Call outcomes do not flow back to your CRM through this integration. There is no search step either, so a Zap cannot look up a Calley contact before deciding what to do.

The trigger in your other app never costs a task, however often Zapier checks it. Each contact that Create or Update Contact writes successfully costs one task, and an attempt that fails costs nothing. The free plan gives 100 tasks a month and Zaps of two steps only. Add a filter and the Zap becomes multi-step, which calls for a paid plan. Looking up new leads in the source app is free too: Zapier only bills the completed action.

    Open your apps

    Sign in to Zapier and go to the Apps page of your account. Every connection lives there, and it is where you will find Calley again if it ever needs reconnecting.

    Create a Zap and choose the app where leads appear, here an ad form with its new-lead event. Calley cannot start a Zap, so this first step always belongs to another tool.

    Test the trigger

    Run the test. Zapier brings back the three most recent leads of the connected account, so you map fields on a real person rather than on a blank template.

    Add a filter

    Add a Filter step and keep only leads whose phone field is filled in. It makes the Zap multi-step, so it needs a paid plan. On the free plan, skip it.

    Add the Calley action

    Choose Calley, then Create or Update Contact. Pick the calling list and the agent, then map the lead's name and phone number into Contact Name and Contact No.

Zapier ties no help article to Calley, so the known weak spots are the general ones, plus one that comes straight from the action's own fields.

  • Old leads never arrive

    A Zap only reacts to what happens after you switch it on. Leads already sitting in your form tool stay there, and moving that backlog into Calley is a separate job.
  • Numbers without a country code

    The Contact No. field expects international format. A local number mapped raw from a form is the first thing to fix before agents start dialing.
  • A bulk import gets held back

    When the source app suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold it back instead of pushing everything to Calley.
  • The same lead, twice?

    On a polling trigger, Zapier remembers the items it has already seen, so one new lead starts the Zap only once, even if the source is checked again and again.

01Is the Calley Zapier integration free?
Yes, it works on the free plan. Calley is not a premium app, so Zapier does not lock it behind a paid subscription. The free plan gives 100 tasks a month, as many Zaps as you like, and a check every 15 minutes on polling triggers. The catch is the size of each Zap: on the free plan, a Zap holds one trigger and one action, nothing more. A lead source followed by Create or Update Contact fits exactly. Put a filter in the middle, for instance to drop leads with no phone number, and the Zap needs a paid plan.
02How many tasks does a Calley Zap use?
One task per contact written successfully. The trigger in your other app costs nothing, and neither do the checks Zapier runs to look for new leads. Only the Calley action is billed, once each time it goes through. When it does not go through, that attempt is not counted against your plan. So your task count simply follows the number of contacts pushed into Calley. Add a second action to the same Zap, say a message to your sales channel, and each run then costs two tasks instead of one.
03Is Calley on Zapier real time?
That depends on the app that starts the Zap, because Calley has no trigger of its own. If that app offers an instant trigger, it tells Zapier the moment a lead comes in and the contact reaches Calley right away, whatever your plan. If it relies on a polling trigger, Zapier checks for new leads on a timer: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. 04What does it take to connect Calley to Zapier?
A Calley account and a Zapier account, nothing more. The connection takes three moves: open the Apps page in Zapier, click + Add connection and pick Calley, then sign in to Calley in the new tab and allow access. Prepare the Calley side beforehand. The action asks for a calling list and an agent, both required, so set them up in your Calley panel before building the Zap. If the lists were created by a colleague, make sure your own account has rights on them.
05Why should Calley phone numbers include the country code?
Because the Contact No. field asks for it. The field description says numbers work best in international format, with the country code in front, and shows a +91 example. Lead forms tend to collect numbers the way people type them: local format, spaces, sometimes a leading zero. Mapping that raw value straight into Calley is the trap. Ask for the country code on the form itself, or check a few test leads before publishing, so the dialer gets numbers agents can actually use.
06What if the Calley operation you want is not on Zapier?
Then this integration will not cover it, and it is better to know early. On Zapier, Calley offers a single action, Create or Update Contact, with no trigger and no search. Anything that should start from Calley, such as reacting to a finished call or reading a contact back, has no ready-made step here.
