What the Celoxis Zapier integration does for your projects

Connecting Celoxis to Zapier lets project data travel without anyone retyping it. A change in Celoxis, a new task or an updated issue status, can start an automation, and other tools can create or update projects, tasks and time logs in Celoxis in return.

Three outcomes cover most needs. First, projects that set themselves up: Create Project opens a project from a signed deal or a form, and Create Task adds the work inside it. Second, status that stays in sync: Updated Task, New Task Update and Issue Status Updated tell your other tools the moment work moves, while Update Task and Update Project push changes back. A trigger never costs a task, and Zapier waiting for events costs nothing either. Each action that succeeds counts once, so a Zap that creates a project and then two tasks uses three tasks per run. A failed action is not counted. The free plan includes 100 tasks a month and unlimited Zaps, limited to two steps: one trigger and one action. A filter, a search or a second action turns the Zap into a multi-step Zap, which needs a paid plan. The polling grid below does not apply to Celoxis: its six triggers are all instant.

    Create a Zap, choose Celoxis as the app that starts it and New Project as the event. Then select the Celoxis connection you made earlier.

    Add the filter

    Add a Filter step and fill its three boxes: the field to check, the rule, the value. Pick a text rule for text. The filter makes the Zap multi-step, so a paid plan is needed.

Find Task

an approval comes in from another tool and the Zap needs the matching task before moving it on.
Watch out
Find or Create Task is the same search with the creation box ticked, and two tasks with the same name fall under the multiple-results setting.

The three settings every search exposes

  1. Successful if no search results are found?
    On its default, a search that finds nothing stops the Zap and the steps depending on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into a find-or-create: it drops the setting above and asks for the fields needed to create the missing item. All three Celoxis searches offer it.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first, which is the default, stop the Zap, or pass all of them on at once.
When it breaks

When a Celoxis Zap breaks

Zapier links no help article to Celoxis, so the cases below are the general Zapier limits, applied to Celoxis.

Two of them are loops, which are easy to build by accident with an app that can both trigger and act on the same objects. If a Zap still goes wrong, the Zapier troubleshooting guide is the next stop.

  • No catch-up on older items

    A Zap only reacts to what happens after you publish it. Projects, tasks and issues that existed before are never picked up; moving them is a separate job.
  • The task loop

    New Task followed by Create Task, or Updated Task followed by Update Task, sets the Zap off again on its own output and burns through tasks.
  • The project loop

    A Zap that starts on New Project and runs Create Project creates a project each time, which starts the Zap once more.
  • Bulk changes get held back

    When a trigger suddenly returns a huge batch, after a bulk import or a migration, Zapier's flood protection can hold the runs back.

Yes, on the Zapier side. Celoxis is not a premium app, so it works on the free plan, which includes 100 tasks a month and unlimited Zaps. The limit is the size of each Zap: the free plan builds two-step Zaps only, one trigger and one action. Add a filter, a search such as Find Project, or a second action, and the Zap becomes multi-step, which needs a paid plan.
02How many tasks does a Celoxis Zap use?
One task per action that succeeds, nothing for the trigger. A New Project Zap that runs Create Task uses one task per project. Add a second Create Task and each run costs two. Waiting for events costs nothing, however many arrive, and a failed action is not counted. A few apps and actions take more than one task when they complete, so watch the count in the first days after publishing.
03Are Celoxis triggers real time on Zapier?
Yes. All six Celoxis triggers are instant: Celoxis tells Zapier the moment an issue, a project, a task or a task update appears or changes, and the Zap starts right away, whatever your plan. The polling interval of the plan grid, 15 minutes on the free plan, does not apply. In the editor, a Zap built on an instant trigger shows a lightning bolt. The type is set by the app, not by you.

05Why does the editor show Find or Create App for Celoxis issues?
Because the find-or-create variant of Find Issue carries that label. It is not a separate operation: it is the Find Issue search with the Create X if it doesn't exist yet? box ticked. The same goes for Find or Create Project and Find or Create Task. Once ticked, the search no longer offers the setting that lets a Zap carry on when nothing is found, and asks instead for the fields needed to create the missing item.
06What if the Celoxis operation you need is missing?
Check first whether a search plus an action covers it: Find Project followed by Update Project, or Find Task followed by Update Task, handles many update cases. For what has no operation at all, such as a trigger on a changed project, an issue update or any deletion, the step stays in Celoxis. Another automation platform may expose different operations for the same app, so compare before building around the gap.
