Overview

What the Channex Zapier integration actually does

Channex is a channel manager for hotels and vacation rentals: it keeps your availability and prices in step across Booking.com, Airbnb and other channels. Plugged into Zapier, it reports what happens on those channels (bookings, cancellations, messages, reviews, sync errors) and lets you answer on four fronts.

Reviews that never sit unanswered. New Review starts the Zap and Respond to Review posts your reply under it. That suits a rental manager who reads reviews on the phone between two check-ins and would rather approve a template once than type the same thanks again.

Sync problems you hear about first. Sync Error, Rate Error and Disconnect Channel all fire the moment Channex notices the issue. A revenue manager gets the alert while fixing it still changes something, not when a guest calls.

Airbnb requests handled in order. Reservation Request, Airbnb Inquiry and Alteration Request cover the Airbnb-only part of the flow, and Reply to Message answers in the thread once you have the thread ID.

Now what Zapier does not do with Channex. There is no search step, so a Zap cannot go and look up a booking or a review by itself: every ID an action needs comes from the trigger or gets typed by hand. No action creates or edits a booking, a rate or an availability either. If that is what you are after, look at the Channex Make integration before you commit to one tool.

Vocabulary

Zapier words, explained in one minute

Eight words come back all over this page. Here they are in plain English, once.

Zap
The automation you build in Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for it.
Action
What the Zap does after it starts: the step that writes, sends or changes something for you in an app.
Task
The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
Instant trigger
A trigger the app reports itself: it calls Zapier the moment the event happens. All 23 Channex triggers work this way.
Polling trigger
The opposite: Zapier asks the app for new items on a timer and keeps what it has not seen yet. Channex has none.
Filter
A step that lets the Zap carry on only when what arrived meets your condition, and stops it quietly otherwise.
Connection
Your Channex account linked to Zapier once, then reused by every step of every Zap that touches Channex.
Cost

What it costs to run Channex on Zapier

Channex is not a premium app, so it works from the free plan. What you pay for is tasks, and only actions make them.

  • Trigger0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month, two-step Zaps
  • Premium appNo, free plan works

The trigger itself never costs a task, so a quiet New Booking Zap costs nothing. Each action that goes through counts once; one that fails is not counted. The free plan gives you 100 tasks a month and two-step Zaps only: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. The interval grid below applies to polling triggers only, and since every Channex trigger is instant, your Zaps start right away whatever the plan.

Connect

Connect Channex to Zapier in three steps

  1. 01

    Open the connections page

In your Zapier account, go to Apps and click + Add connection. Before that, make sure you have a Channex account, plus read or write access on any property you do not own but want the Zap to touch.

  2. 02

    Pick Channex

Type Channex in the search box of the dialog that opens on the Apps page, select it in the results, then click Add connection to move on to the Channex sign-in.

  3. 03

    Sign in and grant access

Sign in to Channex in the tab that opens and grant Zapier access to the account. Every step that uses Channex then reuses this connection, so you only do this once.

First Zap

Your first Zap: reply to reviews you choose

GoalEach new review starts the Zap, a filter keeps only the ones your rule allows, and Respond to Review posts the reply.

  1. 01

    Build: pick the trigger

Start a new Zap, choose Channex as the app and New Review as the event, then select the Channex connection you added earlier.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent reviews of the account, so you set up the rest on a real one rather than on empty fields.

  3. 03

    Add the filter

From the plus icon, add a Filter step and set the field to watch, the rule and the value. Pick a text rule for text: a mismatched rule is why a filter never passes.

  4. 04

    Add Respond to Review

Choose Channex again, event Respond to Review. Fill Review ID from what the trigger test brought back, after checking the review identifier is really there, and write the Reply, fixed text or text built from the review.

  5. 05

    Test, then publish

Test the action once and check the reply in Channex. Then click Publish: from now on, every new review goes through the filter, and a filter means a paid plan.

Triggers

The 23 Channex triggers

23 events start a Zap when something happens in Channex, and 23 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Accepted Reservation

Instant trigger

In Zapier“Triggers when a reservation is accepted. Only for Airbnb.”

Starts the Zap as soon as a reservation gets accepted. This one listens to Airbnb only, so bookings from other channels never reach it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a host who accepts requests by hand and wants the arrival routine to begin from that acceptance, not from memory.
Watch out
declined requests go to Declined Reservation; build a second Zap if both outcomes matter.
2

Alteration Request

Instant trigger

In Zapier“Triggers when a alteration request is created. Only for Airbnb.”

Picks up a request to alter an existing Airbnb reservation the moment it is created. Like the other request triggers, it is Airbnb only.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a team that wants the person on duty warned the second an alteration request lands, instead of spotting it later in the inbox.
Watch out
no action here accepts or refuses the request, so the decision itself stays manual.
3

ARI Changes

Instant trigger

In Zapier“Triggers when a ari changes is happened.”

Fires every time Channex reports ARI changes. The official description says nothing more, so run a test on your own account to see what one event carries.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a revenue manager who wants a written trail of each change outside Channex.
Watch out
every action behind it is a task, and how often it fires depends on your own account; estimate the volume before publishing.
4

Booking (Any Event)

Instant trigger

In Zapier“Triggers when a booking revision is created (new, modified or cancelled).”

Catches each new revision of a booking, whether it is new, modified or cancelled, in a single trigger.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
one running log of everything that moves on your bookings, without building three separate Zaps for New Booking, Modified Booking and Cancelled Booking.
Watch out
any action behind it runs for all three kinds of event; a filter narrows that down, but turns the Zap into a multi-step one.
5

Cancelled Booking

Instant trigger

In Zapier“Triggers when a booking is cancelled.”

Reacts only when a booking is cancelled, which keeps the Zap silent on new and modified bookings.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a housekeeping coordinator who needs to free up a cleaning slot as soon as a stay drops out of the calendar.
Watch out
cancellations made before the Zap was published are never sent afterwards.
6

Modified Booking

Instant trigger

In Zapier“Triggers when a booking is modified.”

Hands Zapier a booking every time it gets modified on a channel, after its first creation.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a front desk that prepares arrival sheets ahead and must know when a stay it already planned has changed.
Watch out
one booking can be modified several times, and each change runs the Zap again, so each one costs its actions.
7

New Booking

Instant trigger

In Zapier“Triggers when a new booking is created.”

Opens the Zap on each booking newly created in Channex, and on that event only.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
an owner who wants an internal alert or a line in a booking log for every new stay, without checking each channel.
Watch out
later changes and cancellations of that booking have their own triggers and do not fire this one again.
8

Booking Unmapped Rate

Instant trigger

In Zapier“Triggers when a booking is created or modified with unmapped rate.”

Warns you when a booking is created or modified with a rate that has no mapping in Channex.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
whoever looks after the channel setup and wants each mapping gap flagged by the very booking that exposes it.
Watch out
it fires on modifications too, so the same stay can raise it more than once until the rate is mapped.
9

Booking Unmapped Room

Instant trigger

In Zapier“Triggers when a booking is created or modified with unmapped room.”

Same idea on the room side: a booking arrives, or gets changed, carrying a room with no mapping in Channex.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
right after you add a room type on a channel, to catch the first booking that lands on it before the mapping is finished.
Watch out
pair it with Booking Unmapped Rate; they cover two different gaps and neither replaces the other.
10

Declined Reservation

Instant trigger

In Zapier“Triggers when a reservation is declined. Only for Airbnb.”

Reports a reservation that was declined. Airbnb is the only channel this trigger covers.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
keeping a record of declined requests next to accepted ones, to review your acceptance choices at the end of a season.
Watch out
it only covers declines; the request itself shows up earlier, through Reservation Request.
11

Disconnect Channel

Instant trigger

In Zapier“Triggers when a channel is disconnected by system.”

Signals that one of your channels was disconnected. The official wording is precise: a disconnection made by the system.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
an owner selling on several channels who cannot afford one of them going quiet without anyone noticing.
Watch out
send it to a person, not to an automatic reply; no action in this integration reconnects a channel.
12

Disconnect Listing

Instant trigger

In Zapier“Triggers when a listing is disconnected.”

Goes off when a listing gets disconnected: the listing, not the whole channel.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a manager running many listings on one channel who needs to know exactly which one dropped, rather than hunting through them.
Watch out
a whole channel going down is a separate event, Disconnect Channel, so set up both if you want the full picture.
13

Airbnb Inquiry

Instant trigger

In Zapier“Triggers when a new inquiry is created. Only for Airbnb”

Brings each new Airbnb inquiry into Zapier as soon as it is created. Other channels are out of scope.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a small team that wants every inquiry seen fast by whoever is on duty, evenings and weekends included.
Watch out
the label says Airbnb Inquiry in the editor, not Inquiry; search for the full name when picking the event.
14

New Channel

Instant trigger

In Zapier“Triggers when a new channel is created.”

Fires when a channel is created in your Channex account.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
an agency that runs properties for several owners and wants a setup checklist started each time a channel gets added, so nobody forgets the mapping.
Watch out
channels that already existed before you published the Zap are not sent; only the ones created afterwards count.
15

New Message

Instant trigger

In Zapier“Triggers when a new message is created.”

Every message newly created in Channex starts the Zap, whatever the conversation it belongs to.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
forwarding guest messages to the person on call, or sending a first acknowledgement through Reply to Message.
Watch out
if your own replies come back as new messages, the Zap answers itself in a loop; test once on a real thread before you publish.
16

New Review

Instant trigger

In Zapier“Triggers when a new property review is created.”

A property review lands in Channex, and the Zap starts with it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
the base of the reply Zap described above, New Review followed by Respond to Review, for managers who want no review left without an answer.
Watch out
a review edited later goes through Updated Review, and its publication through Published Review, not through this one.
17

Non Acked Booking

Instant trigger

In Zapier“Triggers when a booking is not acked.”

Flags a booking that has not been acked, in plain words not acknowledged.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
operations staff who must step in while a booking is still waiting for its acknowledgement, before it becomes a problem at check-in.
Watch out
treat it as an alarm for a human; none of the four actions acknowledges a booking for you.
18

Published Review

Instant trigger

In Zapier“Triggers when a property review is published.”

Kicks in once a property review gets published, a different moment from its creation, which New Review covers.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
teams that only want to reply, or alert the owner, once a review is public and visible to future guests.
Watch out
do not run New Review and Published Review into the same reply Zap, or one review may get two answers.
19

Rate Error

Instant trigger

In Zapier“Triggers when a rate error is happened.”

Raises a hand when a rate error happens in Channex.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a revenue manager who needs price errors in front of a human quickly, not discovered when a guest points them out.
Watch out
Rate Error and Sync Error are two separate events; plan one Zap per trigger, since no catch-all covers both.
20

Reservation Request

Instant trigger

In Zapier“Triggers when a reservation request is created. Only for Airbnb.”

A reservation request created on Airbnb sets off the Zap here, before you accept or decline it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
hosts who review requests one by one and want each of them seen while there is still time to answer.
Watch out
the outcome comes later, through Accepted Reservation or Declined Reservation; this one only fires on the request.
21

Sync Error

Instant trigger

In Zapier“Triggers when a sync error is happened.”

Lets you know the moment a sync error happens in Channex, as a trigger of its own, separate from rate errors.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
the person in charge of the channel setup, who would rather get errors in a team channel than find them by chance.
Watch out
an error that happened before the Zap went live will not be sent; check Channex once by hand when you switch it on.
22

Updated Channel

Instant trigger

In Zapier“Triggers when a channel is updated.”

Reacts each time an existing channel is updated in Channex.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
several people touch the channel setup, and you want a trace of every update, to know where to look when something shifts.
Watch out
a burst of changes means a burst of Zap runs; only the actions behind it cost tasks.
23

Updated Review

Instant trigger

In Zapier“Triggers when a new property review is updated.”

Catches a property review that changed after it was created.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
making sure a reply you already posted still fits once the review has moved, by sending the update to whoever wrote that reply.
Watch out
wiring it straight to Respond to Review can answer the same review twice; keep a human check in between.
Actions

The 4 Channex actions

Channex gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Mark as No Show

Action

In Zapier“You can mark a reservation as a no-show from 00:00 (midnight, in property's local time) on the planned check-in date, up to 48 hours later, provided that: the status of the reservation allows modifications; the reservation isn't overbooked. Only for Booking.Com and Expedia..”

Marks a reservation as a no-show, for Booking.com and Expedia only. Required fields are the Booking ID and Waived Fees, which says whether the property waives the no-show fees.

When to use it
a property that records no-shows the same way every time.
Watch out
it works from 00:00 property time on the planned check-in date, up to 48 hours later, if the status allows changes and the stay is not overbooked.
2

Reply to Guest Review

Action

In Zapier“Respond to a Guest Review in the system.”

Answers a guest review in Channex. Besides the Review ID, three fields are mandatory: the Public Review text, Is Reviewee Recommended, and Scores, entered as a category plus a rating.

When to use it
hosts who review every guest with the same scoring grid and want it filled the same way each time.
3

Reply to Message

Action

In Zapier“Reply to a Message in the system.”

Sends a reply into an existing Channex message thread. Two fields are required: the Message itself and the Message Thread ID that says where it goes.

When to use it
right after New Message, to send a first acknowledgement while the team catches up.
Watch out
without a thread ID from an earlier step, you would have to type it by hand, which defeats the purpose.
4

Respond to Review

Action

In Zapier“Respond to a Review in the system.”

Posts your answer under a property review. It asks for two things only: the Review ID and the Reply.

When to use it
after New Review or Published Review, with a reply built from a template you approved once.
Watch out
each reply is a task, so a property with many reviews eats into the free plan's 100 a month.
When it breaks

When the Channex Zap breaks

Zapier ties no help article to Channex, so the failures below are the general ones, applied to how this app behaves.

Most surprises here come from timing and from loops, not from the connection itself. If a Zap misbehaves anyway, start with the Zapier troubleshooting page.

  • Nothing from before the Zap

A Zap only reacts to what happens after you switch it on. Bookings and reviews already in Channex are not picked up; moving that backlog is a separate job.
  • The reply that answers itself

A Zap that writes where its own trigger watches sets itself off again and again. New Message plus Reply to Message is exactly that shape: test it on one thread first.
  • Big batches held back

When a trigger suddenly sends a huge batch, after a bulk import or a migration, Zapier's flood protection can hold the runs back before they spend your tasks.
  • No-show outside its window

Mark as No Show only works from 00:00 on the planned check-in date, up to 48 hours later, on Booking.com and Expedia, and never on an overbooked stay.

FAQ

Channex Zapier integration: frequent questions

01Is the Channex Zapier integration free?
Yes, it works on the free plan, because Zapier does not list Channex as a premium app. The free plan gives you 100 tasks a month and Zaps of two steps: one trigger and one action. As soon as you add a filter or a second action, the Zap becomes multi-step and needs a paid plan. What you consume is tasks: each action that goes through counts once, and the trigger itself costs nothing.
02How many tasks does a Channex Zap use?
One task per action that completes successfully, and nothing for the trigger. A Zap that waits on New Booking all month without firing costs zero. A Zap built on New Review and Respond to Review costs one task per review answered. Add a second action and each review costs two. An action that fails is not counted. Triggers that bundle several events, such as Booking (Any Event), are the ones to estimate before you publish.
03Do Channex triggers run in real time?
Yes. All 23 Channex triggers are instant: Channex itself tells Zapier the moment the event happens, so the Zap starts right away. The plan interval grid (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) only concerns polling triggers, and Channex has none. In the editor, a Zap built on an instant trigger shows a lightning bolt. This is the main reason the free plan is workable here: you lose no speed by not paying.
04What does it take to connect a Channex account?
A Channex account, plus read or write access on any property you do not own but want the Zap to touch. In Zapier, open Apps, click + Add connection, search Channex, click Add connection, sign in on the Channex tab and grant access. The connection is then reused by every Zap step that works with Channex. For the actions, keep in mind that each one needs an ID, and Mark as No Show only applies to Booking.com and Expedia reservations.
05Why does Mark as No Show fail on some reservations?
Because it only works inside a narrow frame. The reservation must come from Booking.com or Expedia, and the action is accepted from 00:00, property local time, on the planned check-in date, up to 48 hours later. The reservation status must also allow modifications, and the stay must not be overbooked. Outside those conditions the action does not go through. The upside is that a failed action is not counted against your task total.
06What if the Channex action you need is not there?
Then the Zapier integration cannot do it today. The four actions cover replying to messages, responding to reviews, reviewing guests and marking no-shows. Nothing creates or edits bookings, rates or availability, and there is no search step to look items up. In that case, check whether another automation tool exposes the operation you are after, or keep that part of the work manual while Zapier handles the alerts and the replies.
07Zapier, Make or n8n for Channex?
It depends on the criterion, not on a ranking. Zapier is the quick path to a first Zap here: 23 instant triggers, ready-made actions and a free plan that already covers a one-trigger, one-action Zap. If you need operations Zapier does not offer, compare what each platform exposes for Channex. Weigh the volume of events you expect, since every Zapier action is a task. And check which side your team already works in: a Zap that runs where your other automations live is easier to keep an eye on.
