4HSE Zapier integrationAutomate 4HSE with Zapier.
The 4HSE Zapier integration gives you 2 actions, 0 triggers and 0 searches. 4HSE receives people from your other tools and can historicize them, but it never starts an automation on its own. Below: what each step asks for, what it costs, and where it breaks.

What the 4HSE Zapier integration actually does for you
The integration lets another app write into 4HSE through a Zap, the automation you build on Zapier: one event somewhere starts it, then one or more steps run. On the 4HSE side you get two of those steps, Create Person and Historicize Person, both working on people inside a 4HSE project. Nothing in 4HSE can kick off a Zap, so 4HSE always sits at the end of the chain.
A safety roster that fills itself. HR keeps hires in a spreadsheet. Each new row becomes a person in the right 4HSE project through Create Person, with first name, last name, person code and the Is Employee flag taken straight from the columns. No one retypes the list.
Contractors registered before they reach the site. A subcontractor sends their crew through an intake form. The same action creates each worker in the project with Is Employee set to no, so the roster separates staff from outside people from the first day.
A clean project when someone leaves. The day a departure is logged in your HR tool, Historicize Person runs on that person code in that project. The roster stays current without a monthly cleanup session.
What Zapier does not do with 4HSE: it cannot react to anything that happens inside 4HSE, because the app exposes no trigger. It cannot look a person up either (no search), and it offers no step to edit or delete someone beyond these two actions. If a flow needs 4HSE to speak first, compare what the other platforms expose in Make vs Zapier and n8n vs Zapier.
Zapier vocabulary in one minute
Eight words come back on every Zapier screen. Here they are in plain English, with how they apply to 4HSE.
- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. 4HSE offers none, so another app plays this part.
- Action
- What the Zap does once it has started: the step that writes, sends or moves something. Create Person is one of them.
- Task
- The unit Zapier bills: one action your Zap completes successfully. The number printed on your plan counts those and nothing else.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app the moment it happens. Your source app decides which.
- Filter
- A step that lets the Zap go on only when what arrived meets the condition you set, and stops it right there otherwise.
- Connection
- Your 4HSE account, linked to Zapier one time and then reused by every step that writes into 4HSE, in any Zap you build.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A second action, a filter or a search makes it one, and it then needs a paid plan.
What a 4HSE Zap really costs
4HSE is not a premium app, so it works on the free plan. Billing only looks at completed actions.
- Trigger check0 tasks
- Successful 4HSE action1 task each
- Free plan100 tasks a month, 2-step Zaps
- Premium appNo
The trigger never costs a task, however often Zapier checks the source app. Each Create Person or Historicize Person that goes through counts as one task; one that fails counts for nothing. The free plan gives 100 tasks a month and Zaps of two steps only. Add a filter in front of the 4HSE step, or a second action, and you are on a multi-step Zap that needs a paid plan. That limit usually shows up the day you want to skip rows that are not real hires.
Connect 4HSE to Zapier in three steps
- 01
Open Apps and start a connection
In your Zapier account, go to the Apps page and click + Add connection. A dialog appears with a search box: type 4HSE and pick it from the list of results.
- 02
Sign in to 4HSE in the new tab
Click Add connection. A tab opens on 4HSE. Sign in with your 4HSE account, then grant Zapier access to it. The connection is saved and every 4HSE step in every Zap reuses it.
- 03
Check rights on shared projects
The account you signed in with needs read or write access to any project it does not own but that the Zap should touch. Sort that out in 4HSE before building, so the first test does not hit a project the account cannot reach.
Your first Zap: from an HR sheet to a 4HSE project
GoalEach new hire typed into a Google Sheets roster lands in a 4HSE project as a person, with no copy and paste.
- 01
Pick the starting app
Create a new Zap. Since 4HSE has no trigger, choose Google Sheets and its new-row event as the starting point, then select the roster spreadsheet and the tab your HR team fills in.
- 02
Test the trigger on real rows
Run the test. Zapier brings back the three most recent rows of the sheet, so you map the next step on a real hire rather than on an empty sample.
- 03
Add Create Person
Add an action, choose 4HSE and the Create Person event, then pick your 4HSE connection. Paste the Project ID of the onboarding project in its box.
- 04
Map the required fields
Map the sheet columns to Person Code, First Name and Last Name, and set Is Employee. Leave Unique Code on true if your people are identified by their code in 4HSE.
- 05
Test, then publish
Test the 4HSE step once and open the project in 4HSE to see the person appear. Then click Publish: from now on, every new row runs the Zap.
The 2 actions of the 4HSE Zapier integration
4HSE gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Historicize Person
ActionIn Zapier“Historicize a person in a project.”
Moves one person of a 4HSE project into history, using two values only: the Person Code and the Project ID, both required.
Create Person
ActionIn Zapier“Creates a person in a project”
Adds a new person to a 4HSE project from whatever your trigger app carries: Person Code, Project ID, First Name, Last Name and Is Employee are all required.
When a 4HSE Zap breaks
Zapier attaches no help article to 4HSE and lists no limit of its own for it. What breaks is general Zapier behavior, plus the required fields.
Four cases cover most surprises. When a run fails, the Zap history shows which step stopped; the Zapier troubleshooting guide walks through reading it.
Past hires never arrive
A Zap only reacts to what happens after you switch it on. People already in the sheet stay out of 4HSE: moving that backlog is a separate job.A missing person code stops the step
Person Code and Project ID are required on both actions. A row or form entry without a code gives the 4HSE step nothing to work with.A bulk import gets held back
Paste hundreds of rows at once and the trigger returns a huge batch. Zapier's flood protection can hold it back instead of creating everyone.A loop eats your tasks
If the Zap also writes back into the sheet its trigger watches, it sets itself off again and again and burns through the task count fast.
