What the DataMerge Zapier integration does for your pipeline

Connecting DataMerge to Zapier hands the research grind to a robot. You start from a web domain and get back the company profile, its parent company, its subsidiaries or the people worth calling. DataMerge uses AI agents to build that data. Zapier moves it to where your team works.

Here is what it produces in practice. More accounts that look like your best customers, from Find Lookalike Companies. A shortlist of decision makers at a target account, narrowed by job title and location, from Search for Contacts. A full picture of a corporate group, branches included if you want them, from Find Companies in Hierarchy.

What Zapier cannot do here: start from DataMerge. The app has no trigger at all, so nothing that happens in DataMerge can kick off an automation. Your starting point lives elsewhere (a CRM, a form, a spreadsheet) and DataMerge always comes second. Keep one more thing in mind: DataMerge spends its own credits on some operations, on top of your Zapier tasks. A mobile number found costs 4 credits, a company looked up by DataMerge ID costs 1, and reading a contact by record ID costs nothing. Plan your settings with both meters in view.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for it. DataMerge has none, so the trigger comes from elsewhere.
Action
What the Zap does once it has started: the step that writes, sends or moves something for you, such as a DataMerge enrichment.
Task
The unit Zapier bills. One task equals one action your Zap completes successfully, and your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger reports to Zapier on its own, the moment the event happens.
Filter
A step that lets the Zap go on only when the incoming data meets the condition you set, and stops it otherwise.

On the Zapier side, the trigger is free, and so is checking for new data, however often it happens. Every action that succeeds is one task. An action that fails is not counted. The free plan gives you 100 tasks a month but caps every Zap at two steps: one trigger, one action. Add a filter, a DataMerge search or a second action and you have a multi-step Zap (anything beyond that pair), which needs a paid plan.

    Go to Apps

    In your Zapier account, open the Apps page and hit + Add connection. Every account you link to Zapier is managed from that one page, DataMerge included.

    Pick DataMerge

    Search for DataMerge in the dialog, select it, then click Add connection. You need an existing DataMerge account before you get here, since Zapier only links accounts.

    Sign in and allow access

    Log in to DataMerge in the tab that opens and grant Zapier access to the account. If the Zap will touch data someone else owns, make sure you have read or write rights on it.

First Zap

Your first Zap: turn every won deal into new prospects

GoalEach deal marked as won in your CRM sends its company domain to DataMerge, which returns similar companies to target next.

    Set the starting event

    In the Build phase, pick your CRM and its won-deal event. Test it: Zapier pulls the three most recent items from the account, so you map fields on a real deal.

    Add a filter

    Use the plus icon to add Filter. Pick the domain field, a text rule that checks it exists, then Configure & test. Deals without a website stop right there.

  3. 03

    Plug in DataMerge

    Add Find Lookalike Companies and map the domain into the seed domains field. The step starts the job and only hands back results once DataMerge has finished.

    Test every step

    In the Test phase, run each step once and read what came back. A malformed domain shows up now, before the Zap runs on live deals.

    Publish

Enrich Contacts

Action

In Zapier“Enrich specific contacts by LinkedIn URL or by first name + last name + domain. Returns when complete (async with webhook).”

Got names but no way to reach them? This action fills in contact details from a LinkedIn profile URL, or from first name, last name and domain. Results arrive once processing is done.

When to use it
a webinar ends and you want reachable details for every attendee who left a LinkedIn link.

Find Lookalike Companies

Action

In Zapier“Find similar companies using seed domains and filters. Starts the job and returns the result when complete (async with webhook).”

Feed it a few seed domains and DataMerge goes hunting for companies that resemble them, with extra filters on top. The seed domains are required.

When to use it
a SaaS team just landed three logos in the same niche and wants a target list built from them.
Watch out
by default the seed companies can come back in the results. A setting excludes all of them.

Enrich Company Data

Hand over one or more domains and get back full company profiles when the job completes. It can also return the global ultimate parent, the company at the very top of the group.

When to use it
a marketing agency signs a new client and wants its company record filled before kickoff.
Watch out
the global ultimate option cannot be combined with a country code.

The 3 DataMerge searches

3 search steps look for data that already exists in DataMerge, so a later step can use it.

A search step reads back data DataMerge already holds. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Some action fields also offer + Add search step, which inserts the search right before and wires its result into the field. Three settings decide what happens next.

Find Company by ID

Search

In Zapier“Fetch a company by DataMerge ID (charges 1 credit) or by record_id (free).”

Pulls up a company DataMerge already knows, either by its DataMerge ID or by its record ID. Whatever it finds feeds the next steps.

When to use it
refresh an account profile right before a renewal call lands on the calendar.
Watch out
a lookup by DataMerge ID costs 1 credit, while a lookup by record ID is free.

Find Companies in Hierarchy

Search

In Zapier“Returns companies in the same global ultimate hierarchy for a given company ID.”

Start from a DataMerge company ID and this search lists every company in the same global ultimate hierarchy. Options add branches and divisions, or keep subsidiaries only.

When to use it
you closed one business unit of a multinational and want the sister companies next.
Watch out
asking for company names costs 1 credit per request.

Find Contact by Record ID

Search

In Zapier“Retrieve a contact by record UUID (from a previous contact search or enrichment). Never charges credits.”

Retrieves a contact using the record ID that an earlier contact search or enrichment produced. This one never spends DataMerge credits.

When to use it
reuse a contact further down the Zap without paying for a second search.
Watch out
the record ID field is required, and it only has a value if a DataMerge step created it first.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and the steps that relied on it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create. DataMerge offers no such variant on Zapier, so you will not meet it on this app.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them along at once.
When it breaks

When it breaks

Zapier documents no limit specific to DataMerge. Trouble comes from the general rules.

  • Old records are skipped

    A Zap only reacts to what happens after you switch it on. Deals already in your CRM never reach DataMerge, and backfilling them is a separate job.
  • The Zap feeds itself

    Write the results back into the list your trigger watches and every write starts the Zap again. Tasks drain fast, and DataMerge credits with them.
  • A bulk import gets held

    After an import or migration in your CRM, the trigger may return a huge batch at once. Zapier's flood protection can hold it back.
  • One record, one run

    On a polling trigger, Zapier remembers what it has already seen. The same deal never starts the Zap a second time.

DataMerge Zapier integration FAQ

01Is the DataMerge Zapier integration free?
Yes on the Zapier side, as long as your Zap stays at two steps. DataMerge is not a premium app, so it works on the free plan, which includes 100 tasks a month and unlimited Zaps. The catch is the step cap: one trigger and one action, nothing more. A filter or a DataMerge search makes it a multi-step Zap, and that needs a paid plan. DataMerge credits are a separate matter, handled in your DataMerge account.
02How many tasks does a DataMerge Zap use?
One task per successful action. The trigger is free, and Zapier does not bill for checking whether something new arrived. A Zap that chains two DataMerge actions uses two tasks every time it runs. A failed action is not counted. Do not mix this up with DataMerge credits: some operations spend them, such as 4 credits for each mobile number found, and that meter has nothing to do with Zapier.
03Does it run in real time?
That depends on the app that starts the Zap, not on DataMerge, which has no trigger. If that trigger is instant, the app tells Zapier straight away on any plan. If it polls, Zapier checks every 15 minutes on Free, every 2 minutes on Professional, and every minute on Team or Enterprise. After that, each DataMerge action starts a job and only hands back the result once it is ready.
04What do you need to connect DataMerge to Zapier?
A DataMerge account, nothing more to get going. From the Apps page in Zapier, you add a connection, pick DataMerge, sign in through the tab that opens, and grant access to the account. If the Zap will work on data someone else owns, you also need read or write rights on it. The connection is then shared by every DataMerge step in all your Zaps, so you only set it up once.
05Why does Search for Contacts reject the setup?
Check first that a contact detail is requested. On Search for Contacts and on Enrich Contacts, email enrichment or phone enrichment has to be switched on, at least one of them. The maximum number of results per company is also a required field on Search for Contacts. Think about cost before you tick phone: every mobile number found spends 4 DataMerge credits. Testing with email only keeps your first runs cheap.
06What if the operation you need is not there?
Look at the searches first. Find Company by ID, Find Companies in Hierarchy and Find Contact by Record ID read back what DataMerge already holds, and their output can feed a later action. If that still falls short, accept the scope: the integration has 4 actions and 3 searches, with no trigger, so the starting point always comes from another app. The Hack'celeration team can look at your case and suggest a setup that holds up.
07Zapier, Make or n8n for DataMerge?
It comes down to your criteria. If the job fits in one trigger and one action, the Zapier free plan covers DataMerge. If you need to filter, chain a search and an action, or read a corporate hierarchy, the Zap turns multi-step and needs a paid plan. From there, weigh what those extra steps cost you, and where your starting data already lives, since DataMerge never starts the Zap itself. No tool wins in every case.
