Overview

What the Elastic Email Zapier integration actually does

It links your Elastic Email account to Zapier so that something happening in your mailing (a new contact, an open, a click, an unsubscribe) can start a chain of steps on its own. Or the other way round: Zapier adds, removes or emails your contacts without you opening Elastic Email.

Three results people build with it. A follow-up that rides on intent: someone clicks the pricing link of a newsletter, Specific Link Clicked picks it up, and Send Email sends a one-to-one message. A cleaner list: Contact Unsubscribed spots the opt-out and Delete Contact From List pulls that address out of the list you keep for sales. A welcome that goes out on its own: Contact Added to List spots a newcomer on a list and Send Email writes to that one person.

Now what Zapier does not do here. None of the 8 triggers is instant: every single one is checked on a timer, so nothing reacts the second a contact clicks. There is no find-or-create shortcut either, so a search that finds nothing will not create the contact for you. And a Zap never looks back: opens and clicks from before you switched it on stay where they are.

If you are still weighing tools, our n8n vs Zapier and Make vs Zapier comparisons set the criteria side by side.

Vocabulary

Zapier words, in one minute

Seven terms come back on every line of this page. Here they are in plain English.

Zap
The automation you build: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in Elastic Email that starts the Zap. Once the Zap is on, Zapier sits and waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills you on: one action your Zap completes successfully. Your plan counts these.
Polling vs instant
Polling: Zapier asks the app for new items on a timer. Instant: the app calls Zapier the moment it happens. Elastic Email is all polling.
Filter
A step that lets the Zap carry on only when what arrived matches your condition, and stops it otherwise.
Search step
A step that looks up something that already exists, like a contact, so the next steps can use what it found.
Cost

What it really costs

Elastic Email is not a premium app (one Zapier reserves for paid plans), so it runs on the free plan.

  • Premium appNo
  • Tasks on the free plan100 per month
  • Steps on the free plan2 (one trigger, one action)
  • Instant triggers0 of 8

The trigger costs nothing, however often Zapier checks your account for new opens or clicks. Each action that succeeds is one task; an action that fails is not counted. In a Zap with three actions, each success is billed on its own. The free plan gives 100 tasks a month and Zaps of two steps only: one trigger, one action. Add a second action, a filter or a search and you have a multi-step Zap, which needs a paid plan. The polling interval also depends on the plan, as the grid shows.

Connect

Connect Elastic Email to Zapier in 3 steps

  1. 01

    Open your Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your Elastic Email account linked once, then reused by every step that touches it.

  2. 02

    Pick Elastic Email

Type Elastic Email in the search box of the dialog, select it, then click Add connection. You need an existing Elastic Email account at this point: it is the one your Zaps will read from and write to.

  3. 03

    Sign in and grant access

Sign in to Elastic Email in the tab that opens and allow Zapier to use the account. If the lists or campaigns you plan to touch belong to someone else, make sure your login can read or write them.

First Zap

Your first Zap: follow up on a pricing click

GoalWhen a reader clicks one precise link in a campaign, find that contact and send a personal follow-up.

  1. 01

    Build: choose the trigger

Create a Zap, pick Elastic Email as the app and Specific Link Clicked as the event. Select your connection, then the campaign and the link you want to watch.

  2. 02

    Test the trigger

Run the test. Zapier pulls the three most recent clicks on that link from your account, so you map the next steps on a real one rather than on a blank.

  3. 03

    Add the search

Add Find Contact and map the recipient email from the click. This makes the Zap multi-step, so a paid plan is needed from here.

  4. 04

    Add the follow-up email

Add Send Email. Fill in the subject, a verified From address and the To field with the email the search found. Test this step and read what came back.

  5. 05

    Publish

Click Publish to switch the Zap on. From now on, each new click on that link is picked up at the next check of your plan.

Triggers

Elastic Email triggers on Zapier

8 events start a Zap when something happens in Elastic Email. Zapier checks for them at the interval your plan allows.

1

Contact Added

Polling trigger

In Zapier“Triggers when a new contact with Active or Engaged status is added to your Elastic Email account.”

Starts your Zap when a fresh contact lands in your Elastic Email account with an Active or Engaged status. Contacts sitting in other statuses are left aside.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a SaaS team wants every new signup in Elastic Email copied as a contact for an onboarding sequence, whatever list it joined.
Watch out
it watches the whole account; if you only care about one list, use Contact Added to List instead.
2

Contact Added to List

Polling trigger

In Zapier“Triggers when a new contact with Active or Engaged status is added to a specific list in your Elastic Email account.”

Narrower than the previous one: it reacts only when an Active or Engaged contact joins the list you pick when you set the trigger up.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
an event organizer keeps a webinar list and wants a confirmation email sent each time a registrant appears in it.
Watch out
a contact moved into the list in a bulk import can arrive as a large batch at once, which Zapier may hold back.
3

Contact Unsubscribed

Polling trigger

In Zapier“Triggers when a contact unsubscribes from Emails via campaign links or manual actions.”

Fires when someone opts out of your emails, whether they used the link in a campaign or someone unsubscribed them by hand.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a newsletter publisher wants the address pulled out of a sales follow-up list as soon as the reader says no.
Watch out
do not pair it with Unsubscribe Contact on the same account, or the Zap feeds its own trigger.
4

Contact Triggered Automation

Polling trigger

In Zapier“Triggers when a contact interacts with an automation workflow (joins list, opens email, clicks link).”

Hooks onto one of your Elastic Email automation workflows and fires when a contact interacts with it: joining the list, opening the email, clicking a link inside it.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
an online store runs a welcome workflow and wants each engaged contact flagged to the support team by email.
Watch out
the Automation field is required, so the workflow must already exist in Elastic Email before you build the Zap.
5

Email Opened

Polling trigger

In Zapier“Triggers when a contact opens an email from a campaign.”

Goes off when a contact opens an email sent from one of your campaigns.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a consultant sends a monthly digest and wants openers moved to a warmer list for a later offer.
Watch out
each open can mean one action run, so on a big send this trigger can eat the 100 free tasks quickly.
6

Link Clicked

Polling trigger

In Zapier“Triggers when a contact clicks any link in a selected campaign.”

Reacts to a click on any link inside the campaign you select. It does not care which link it was, only that the reader clicked.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a training company promotes a course and wants every clicker added to a list of warm prospects.
Watch out
the Campaign field is required, so one Zap watches one campaign; a new campaign means a new Zap or an edited one.
7

Get User Lists

Polling trigger

In Zapier“Triggers when contact lists are fetched from your Elastic Email account.”

This one fires when your contact lists are fetched from the account. It is about your lists themselves, not about what a contact does.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
an agency managing a client's account wants a Zap that starts from the lists rather than from a contact event.
Watch out
the official description says no more than that, so test it and read what comes back from your account before you build on it.
8

Specific Link Clicked

Polling trigger

In Zapier“Triggers when contacts click the specified link in the selected campaign. Returns recipient email, campaign name, clicked link, and event time.”

The precise version of Link Clicked: you pick a campaign, then one link inside it, and only clicks on that link count. It brings back the recipient email, the campaign name, the clicked link and the time of the click.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one.
When to use it
a B2B marketer wants a sales follow-up only for readers who clicked the demo link, not the blog post.
Watch out
the Campaign field is required, so pick the campaign before the link.
Actions

Elastic Email actions on Zapier

Elastic Email gives you 7 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Contact

Action

In Zapier“Add a new contact to your Elastic Email account with custom fields.”

Puts a new address into your Elastic Email account, with your own custom fields filled from earlier steps.

When to use it
a coach collects signups elsewhere and wants each one stored in Elastic Email.
Watch out
Email is required, and the Send Activation option sends an activation email to the contact if you switch it on.
2

Create List

Action

In Zapier“Create a new list in your Elastic Email account.”

Opens a brand new list in your account under the name you give it, empty or filled straight away.

When to use it
a conference team wants a fresh list per event, created the day the event is announced.
Watch out
without emails to add, tick Create Empty List or Add All Contacts, or the step has nothing to build the list from.
3

Delete Contact

Action

In Zapier“Delete a contact from your Elastic Email account.”

Removes a contact from your whole Elastic Email account, not just from a list.

When to use it
a company honours an erasure request logged in its own tools.
Watch out
Email to Delete is required and accepts several addresses; check the mapping twice before you publish.
4

Delete Contact From List

Action

In Zapier“Remove a contact from a specific list in your Elastic Email account.”

Takes an address out of one list while keeping the contact in your account.

When to use it
a sales team removes new customers from the prospect list once the deal is signed.
Watch out
List Name and Email are both required; you can pick the list or type its name by hand.
5

Send Campaign

Action

In Zapier“Send a campaign email to a list or segment.”

Fires off a campaign email to a whole list or segment instead of one person.

When to use it
a local shop announces a restock to its subscribers as soon as the stock sheet says it is back.
Watch out
Subject and From Email are required; one run reaches the whole list, so test on a small segment first.
6

Send Email

Action

In Zapier“Send a transactional email to one or more recipients. Supports CC, BCC, attachments, and templates.”

Sends a transactional email to one or more people, with CC, BCC, attachments or a template if you need them.

When to use it
an accountant sends a document receipt the moment a client's form is processed.
Watch out
Subject, From Email and To are required, and the From address must be verified in Elastic Email.
7

Unsubscribe Contact

Action

In Zapier“Unsubscribe a contact from your Elastic Email account.”

Marks one or more addresses as unsubscribed in your account, so your sends stop reaching them.

When to use it
a support desk records an opt-out request made by phone and wants it applied in Elastic Email.
Watch out
the Emails field is required, and it can take several addresses at once.
Searches

Elastic Email searches on Zapier

2 search steps look for data that already exists in Elastic Email, so a later step can use it.

A search step reads what already exists so the next step can use it. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Elastic Email offers no find-or-create variant. Three settings decide what happens when the result is not a clean single match.

1

Find Contacts in List

Search

In Zapier“Search for contacts in a specific list.”

Looks inside one list and returns the contacts it holds.

When to use it
before a campaign goes out, an events team checks who is in the attendee list.
Watch out
List Name is required; pick it from the menu or type it, and it must match an existing list.
2

Find Contact

Search

In Zapier“Search for a contact by email in your Elastic Email account.”

Fetches a single contact by email from the whole account.

When to use it
a click comes in and you want the full contact record before you write to that person.
Watch out
Email is required, and Elastic Email decides whether the match must be exact.

The three settings every search exposes

  1. Successful if no search results are found?
Left as is, a search that finds nothing stops the Zap and the steps that depend on it are skipped. Switched on, the Zap goes on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create on apps that offer it. Elastic Email does not, so you will not see it here.
  3. If multiple search results are found?
Keep the first match (the default), stop the Zap, or hand all the matches to the next steps.
When it breaks

When it breaks

Zapier links no help article to Elastic Email, so the limits below are the general ones. They apply here all the same.

Read these four before you publish. If a Zap already misbehaves, our Zapier troubleshooting page is the next stop.

  • Nothing from before the switch-on

A Zap only reacts to opens, clicks and contacts that appear after you publish it. Your old campaigns are not replayed; moving that history is a separate job.
  • The Zap that feeds itself

A Zap that writes where its own trigger looks (adding contacts while watching new contacts) sets itself off again and again and burns tasks fast.
  • Bulk imports held back

A large import into a list can make a trigger return a huge batch at once. Zapier's flood protection may hold it rather than run every item.
  • Same item, one run

Zapier remembers what a polling trigger has already returned, so the same contact or click does not start the Zap twice.

FAQ

Elastic Email Zapier integration: questions people ask

01Is the Elastic Email Zapier integration free?
Yes, it works on the free plan because Elastic Email is not a premium app. The free plan gives you 100 tasks a month and Zaps of two steps: one trigger and one action. As soon as you add a second action, a filter or a search, the Zap becomes multi-step and you need a paid plan. A simple Zap with one trigger and one action therefore fits the free plan as it is.
02How many tasks does an Elastic Email Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that watches clicks and sends one email uses one task per click handled. Add a search and an email, and each run counts the successful steps separately. An action that fails is not billed. Zapier checking for new opens or clicks costs nothing either, however often it looks, so the only thing to watch is how many runs you expect per month against your 100 free tasks.
03Does Elastic Email work in real time with Zapier?
No. All 8 triggers are polling triggers, so Zapier checks your account on a timer instead of being told the second something happens. On the free plan that check runs every 15 minutes; on Professional every 2 minutes; on Team and Enterprise every minute. Paid plans also let you run a check by hand from the editor. For a follow-up email after a click, a delay of a few minutes is usually fine, but it is never instant.
04What does it take to connect Elastic Email to Zapier?
An Elastic Email account and a Zapier account. You add the connection from the Apps page, sign in to Elastic Email in the tab that opens and grant access. If the lists or campaigns you want to automate belong to a colleague, your login needs read or write access to them. For Send Email, also verify your sender address inside Elastic Email first, because the action requires a verified From address.
05Why does the Send Email step keep failing?
Check the sender first: the From Email has to be verified in your Elastic Email account. That field is required on Send Email, together with Subject and To, and the address you put there has to be verified on the Elastic Email side. Fix it there, come back to the editor and test the step again. If it still fails, check that the To field really receives an email address mapped from an earlier step and not an empty value.
06What if the Elastic Email operation you need is not in the list?
Then this integration cannot do it, since Zapier only offers the 17 operations listed on this page. Often you can get close by chaining what exists: a search such as Find Contact followed by an action like Delete Contact From List covers many clean-up jobs. If the gap is real, you will need another route, such as a different automation tool or the Elastic Email interface itself for that part.
07Zapier, Make or n8n for Elastic Email?
It depends on your criteria, not on a winner. On Zapier, the deciding facts are these: Elastic Email runs on the free plan, every trigger is polling so speed depends on your plan, and anything beyond two steps needs a paid plan. If speed of reaction, number of steps or volume of runs matter most to you, compare those same points on each tool before choosing, with your real monthly volume in hand.
