Overview

What the Customerly Zapier integration does for you

Connecting Customerly to Zapier lets a Zap (an automation you build on Zapier: one trigger, then one or more actions that run every time) follow your leads and users through their life in Customerly, and write leads, users and tags in from other tools. Five moments of a contact become signals you can act on.

Tags that drive playbooks. New Tag on a User fires the moment someone is tagged, and Add User Tag can answer with another tag, so one label set by support pulls a user into the success team's segment.

Contacts that arrive complete. Create/Update Lead and Create/Update User write people in from a form, a checkout or a CRM, matching them on email so an existing contact is updated rather than duplicated.

Lifecycle moments you can see. New Lead, New User, Lead Converted to User and Unsubscribe tell other tools when a visitor becomes a lead, a lead becomes a customer, or someone opts out. A SaaS team can celebrate conversions in its sales tool without exporting anything.

What the integration does not do: there is no search step to look up a contact, and no action removes a tag, deletes a contact or sends a message. If you are comparing tools, the Customerly Make integration covers the same app on Make.

Vocabulary

Zapier vocabulary in one minute

Eight words keep coming back on this page. Here they are once, in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that trigger event happens.
Trigger
The event that starts the Zap, here a new lead, a new user, a conversion, a new tag or an unsubscribe. Once the Zap is on, Zapier waits.
Action
What the Zap does once it has started: the step that writes something for you, such as tagging a user.
Task
The unit Zapier bills. One task is one action your Zap completed successfully, and your plan's allowance counts those.
Instant trigger
A trigger the app reports itself: Customerly calls Zapier the moment the event happens, so nothing waits for a scheduled check.
Polling trigger
The other kind, which Zapier checks on a timer. Customerly has none, which is why the plan's check interval never slows it down.
Filter
A step that lets the Zap carry on only when what arrived matches the condition you set, and stops it quietly otherwise.
Connection
Your Customerly account linked to Zapier once, then reused by every step of every Zap that touches Customerly.
Cost

What a Customerly Zap really costs

Short version: triggers are free, completed actions are billed.

  • Free plan100 tasks a month, unlimited Zaps
  • Steps on the free planTwo: one trigger, one action
  • Premium appNo, works on the free plan
  • Instant triggers5 out of 5, whatever the plan

A trigger never costs a task, so watching five kinds of lifecycle events is free in itself. You pay when an action completes: each Create/Update Lead, Create/Update User or Add User Tag that works is one task, and one that fails is not counted. Customerly is not a premium app, so it runs on the free plan, with 100 tasks a month and unlimited Zaps. The limit that bites first is the shape: the free plan builds two-step Zaps only, one trigger and one action. A filter or a second action makes the Zap multi-step, which requires a paid plan.

Connect

Connect your Customerly account in three steps

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You do this once: every Zap that touches Customerly reuses the same connection afterwards.

  2. 02

    Pick Customerly

Type Customerly in the search box of the dialog, select it, then click Add connection. You need a Customerly account, plus access to anything you do not own yourself and want the Zap to touch.

  3. 03

    Sign in and grant access

A tab opens on Customerly. Sign in with the account that holds your leads and users, then grant Zapier access to it. That is the last gesture before your first Zap.

First Zap

Your first Zap: route churn-risk users to the success team

GoalWhen support tags a user as churn-risk, add the success-call tag so the success team's segment picks them up.

  1. 01

    Build the trigger

Start a new Zap, choose Customerly as the app and New Tag on a User as the event, then select your connection. Instant triggers need no schedule to set.

  2. 02

    Test on a real tag

Run the test. Zapier brings back the three most recent items of the connected account, so you map from a real tagged user instead of guessing what one looks like.

  3. 03

    Add the filter

Add a filter step: continue only when the tag is “churn-risk”. Use a text rule. The filter also stops the loop, since the tag the Zap adds fires the same trigger. It makes the Zap multi-step, so paid.

  4. 04

    Add Add User Tag

Add Customerly with Add User Tag. Map the user's email from the test and type “success-call” as the tag to attach. Nothing else is required.

  5. 05

    Test, then Publish

Test the action and check the user's tags in Customerly. Then click Publish to switch the Zap on. Users tagged before that moment are not picked up.

Triggers

Customerly triggers

5 events start a Zap when something happens in Customerly, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Lead Converted to User

Instant trigger

In Zapier“Triggers when a lead has been converted to user.”

Starts a Zap the moment a lead in Customerly turns into a user. It marks the step from prospect to customer.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a SaaS sales team that wants every conversion announced in its CRM so the account owner can take over.
Watch out
a contact created straight as a user never was a lead, so it never fires this trigger. Use New User for those.
2

New Lead

Instant trigger

In Zapier“Triggers when a new lead is created.”

Fires as soon as a new lead is created in Customerly. Zapier puts it among the app's featured triggers, and it is the natural entry point of a prospecting flow.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
a B2B agency that wants each fresh lead pushed to its sales pipeline while the visitor may still be on the site.
Watch out
Create/Update Lead creates a lead when the email is unknown, which fires this trigger again. A Zap that starts here and writes leads can feed itself.
3

New Tag on a User

Instant trigger

In Zapier“Triggers when a user is tagged.”

Goes off whenever a user receives a tag. Tags become switches: whoever sets one in Customerly sets off whatever the Zap does next.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
handing churn-risk users to the success team, as in the Zap above.
Watch out
Add User Tag fires this trigger too. A Zap that starts here and tags again loops unless a filter keeps only the tag you care about.
4

New User

Instant trigger

In Zapier“Triggers when a new user is created.”

Reports each new user created in Customerly. It is the moment a contact enters Customerly as a user rather than as a lead.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
an online course platform that wants every new student added to its billing tool without a CSV export.
Watch out
if another Zap runs on Lead Converted to User, check on a test contact that the same person does not set off both.
5

Unsubscribe

Instant trigger

In Zapier“Triggers when a user unsubscribes.”

Fires when a user unsubscribes in Customerly. The opt-out stops living only inside the app, which matters as soon as another tool also emails your customers.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan
When to use it
an e-commerce brand that wants an opt-out in Customerly mirrored in its newsletter tool straight away.
Watch out
only unsubscribes after the Zap is published count. Past opt-outs need one manual sync before you switch it on.
Actions

Customerly actions

Customerly gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create/Update Lead

Action

In Zapier“Creates or updates a lead.”

Creates a lead from an email, or updates the existing one when Customerly already knows that address. One step covers both cases.

When to use it
sending webinar registrants from another tool into Customerly as leads.
Watch out
the email is required and is what the match relies on. A different spelling creates a second contact.
2

Add User Tag

Action

In Zapier“Attach a tag to an existing user or lead.”

Attaches a tag to an existing user or lead, found by email. It is the lightest way to mark someone for a segment or a playbook.

When to use it
labelling users after an event in another tool, such as a demo booked or a plan changed.
Watch out
it fires New Tag on a User, so never use it in a Zap that starts on that trigger without a filter.
3

Create/Update User

Action

In Zapier“Creates or updates a new user.”

Creates a user, or updates the one that already matches the email and user ID, so a paying customer from another tool lands in Customerly as a user.

When to use it
adding each new customer from a checkout or a billing tool.
Watch out
when nobody matches, a new user is created. Map the same email the checkout uses, or you split one customer in two.
When it breaks

When a Customerly Zap breaks

No limit specific to Customerly is documented on the Zapier side, so the risks are Zapier's general ones.

Four of them come up again and again on contact workflows. If a Zap stops anyway, Zapier troubleshooting is the place to bring it, and the Zapier training if you would rather fix it yourself next time.

  • Past contacts are never picked up

A Zap only reacts to what happens after it is published. Leads, users, tags and opt-outs from before stay out, and syncing that backlog is a separate job.
  • The tag that tags itself

A Zap that starts on New Tag on a User and ends on Add User Tag sets itself off again and again, burning tasks fast. A filter on the tag name stops it.
  • A bulk import held back

Importing thousands of leads at once can trip Zapier's flood protection, which holds the trigger back instead of running every Zap in one go.
  • A filter that never lets anything pass

Filter rules are typed: a text rule works on text, a number rule on numbers. Picking the wrong type is the usual reason a filter blocks every contact.

FAQ

Customerly and Zapier: frequent questions

01Is the Customerly Zapier integration free?
Yes, within two steps. Customerly is not a premium app, so it works on the free Zapier plan, which includes 100 tasks a month and unlimited Zaps. What the free plan does not allow is a longer Zap: one trigger and one action is the maximum. Add a filter, for example to keep a single tag, or a second action after Create/Update Lead, and the Zap becomes multi-step, which needs a paid plan. Since all five Customerly triggers are instant, the free plan does not slow them down.
02How many tasks does a Customerly Zap use?
One per completed action. The trigger is free, whichever of the five you pick, so listening to new leads, users, tags or opt-outs costs nothing until an action runs. Each Create/Update Lead, Create/Update User or Add User Tag that completes counts as one task, and one that fails is not counted. A Zap that tags every new lead uses one task per lead. A few apps take more than one task per action, so check the counter during your first runs.
03Do Customerly triggers fire in real time?
Yes, all five of them. Lead Converted to User, New Lead, New Tag on a User, New User and Unsubscribe are instant triggers: Customerly tells Zapier the moment the event happens, and the Zap starts right away whatever your plan. The check interval of Zapier's plans, 15 minutes on Free, only applies to polling triggers, and Customerly has none. In the editor, a Zap built on an instant trigger shows a lightning bolt, an easy way to confirm it.
04What do you need to connect Customerly to Zapier?
A Customerly account, plus access to anything you do not own and want the Zap to touch. In Zapier, open Apps, click + Add connection, search for Customerly, click Add connection, then sign in and grant access in the tab that opens. Before building an action, make sure the tool upstream gives you a clean email: all three Customerly actions require one, and they use it to find the person they write to.
05Why does a Customerly Zap create duplicate contacts?
Because the actions match people on email, with the user ID, and create a new contact when nothing matches. If the email mapped from the other tool differs, through a typo or an old address, Customerly sees a stranger and creates a second lead or user. Map the email field directly from the trigger rather than typing it, test with a contact you know already exists, and check that Customerly updated it instead of adding a new one.
06What if the operation you need is not on the list?
Then the integration does not offer it today: the 5 triggers and 3 actions on this page are what the Zap editor proposes, and there is no search step. If you need to remove a tag or look up a contact, that step has to happen elsewhere. Often the data you are missing already sits in the tool that sends the trigger, so map it from there. If that does not fit, the Hack'celeration team can help scope another approach.
07Zapier, Make or n8n for Customerly?
Decide on criteria, not on a winner. On Zapier, Customerly offers 8 operations, all triggers instant, and it runs on the free plan within two steps, but has no search step. Compare the same points on the other tools: which Customerly operations each one exposes, how triggers fire, what a run costs at your contact volume, and who maintains the workflow. Customerly also has a page in the Make integrations section of this site, so the two lists can be compared side by side.
