Overview

What the Emelia Zapier integration does for your outbound

Zapier links Emelia, the cold email and LinkedIn prospecting tool, to your other apps without code. It reacts to the activities you select on your campaigns, and it can write back: add a contact to a campaign or a list, blacklist an address, mark a lead as interested, or fill a custom field.

Good news first: both Emelia triggers are instant. Emelia warns Zapier the moment an activity happens on a campaign, so the free plan's 15-minute polling never slows these Zaps down. For outbound, where a fast reply to a warm lead matters, that is the strongest argument for this integration.

Three results sales teams usually build. Replies that become pipeline: New Campaign Activity catches the activity you care about and opens a deal in the CRM. Leads fed from anywhere: a demo request form or a CRM stage change runs Add Contact to a Campaign, or its LinkedIn twin. Clean suppression: a customer who signs or asks to be left alone goes through Add Contact to Blacklist so no sequence reaches them again.

What Zapier does not do for Emelia: it does not create or edit campaigns, sequences or email copy, it does not scrape or find emails, and it never picks up activity that happened before the Zap was on. The same app is covered on Emelia n8n integration and Emelia Make integration pages if you compare platforms.

Vocabulary

Zapier vocabulary in one minute

Seven words appear on almost every line below. Here they are once, in plain English.

Zap
The automation you build: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event and nothing else.
Action
What the Zap does after it starts: the step that writes, sends or updates something for you in an app.
Task
The unit Zapier bills. One task is one action your Zap completes successfully; your plan counts those.
Instant trigger
A trigger the app reports itself, the moment the event happens. Both Emelia triggers work this way.
Filter
A step that lets the Zap continue only when the incoming data meets a condition you set, and stops it otherwise.
Search step
A step that looks up something already in an app, so the steps after it can use what it found.
Cost

What an Emelia Zap really costs

Emelia is not a premium app on Zapier, so you can build on the free plan. Zapier bills tasks, and the trigger is never one of them.

  • Free plan100 tasks a month, two-step Zaps
  • Emelia triggersBoth instant, on every plan
  • Emelia on ZapierNot premium

An Emelia activity starting the Zap costs nothing. Each action that succeeds is one task: move the prospect into a follow-up campaign, then mark them as interested, and that single activity has used two. A failed action is not billed. The free plan includes 100 tasks a month and two-step Zaps only, one trigger and one action. Add a filter, a search, or a second action, and the Zap turns multi-step, which needs a paid plan. Since both triggers are instant, the polling grid below does not apply to them.

Connect

Connect your Emelia account to Zapier

  1. 01

    Open Apps

In Zapier, go to Apps and click + Add connection. A connection is your Emelia account linked once, then reused by every step of every Zap that talks to Emelia.

  2. 02

    Select Emelia

Search for Emelia in the dialog, select it and click Add connection. A new tab opens on the Emelia side, which is where you sign in and finish the link.

  3. 03

    Sign in and allow access

Log in to Emelia in that tab and grant Zapier access. Use the account that owns the campaigns and lists you plan to automate, or one with access to them.

First Zap

Your first Zap: move engaged prospects into a follow-up campaign

GoalWhen a prospect shows the activity you picked on your Emelia cold email campaign, add them to a second, follow-up campaign so the next sequence starts while the lead is warm.

  1. 01

    Create the Zap

Create a Zap, choose Emelia as the trigger app and pick New Campaign Activity. Select the Emelia connection you made earlier.

  2. 02

    Choose campaign and activity

Pick the campaign, then tick in Activity to Trigger the activities that should start the Zap. Test the trigger: Zapier brings back the three most recent matching activities to map on.

  3. 03

    Add the campaign action

Add an action step, choose Emelia again and pick Add Contact to a Campaign. Select the follow-up campaign, never the one the trigger watches, and map the prospect's email from the activity.

  4. 04

    Test, then publish

Run the action test, check the contact in the follow-up campaign, then click Publish. From now on each matching activity costs one task and arrives without waiting for a check.

Triggers

Emelia triggers on Zapier

2 events start a Zap when something happens in Emelia, and 2 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Campaign Activity

Instant trigger

In Zapier“Triggers when a new activity is detected on a campaign.”

Starts your Zap when something you chose happens on one of your Emelia email campaigns, among the activities Emelia lists for it. You pick the campaign and the activities to listen to, and the prospect's details flow into the next steps.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a SaaS sales team posts every engaged prospect in a chat channel so an account executive follows up the same day.
Watch out
one Zap covers one campaign; a new campaign needs its own Zap or a duplicate.
2

New LinkedIn Campaign Activity

Instant trigger

In Zapier“Triggers when a new activity is detected on a LinkedIn campaign.”

The same listening, applied to your LinkedIn campaigns in Emelia. It fires on the activities you tick for a given LinkedIn campaign, which keeps social prospecting visible in the tools where the rest of the pipeline lives.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a recruiting agency logs each candidate who answers a LinkedIn message in its applicant tracking sheet.
Watch out
Campaign and Activity to Trigger are both required, so leaving activities unticked means the Zap never starts.
Actions

Emelia actions on Zapier

Emelia gives you 6 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Contact to Blacklist

Action

In Zapier“Adds a contact to your Emelia blacklist. This contact will not be contacted anymore”

Puts an email address on your Emelia blacklist, so no campaign contacts it again.

When to use it
a deal is won in the CRM, and the new customer must stop receiving cold sequences.
Watch out
this is a stop for every campaign; use it for real opt-outs and customers, not for a lead you just want to pause.
2

Add Contact to a Campaign

Action

In Zapier“Add a contact to an existant campaign. If the campaign is marked as finished, it will automatically change it to running mode.”

Drops an email address into an existing Emelia campaign, alongside the contacts already in it.

When to use it
a webinar attendee who did not book a demo enters a follow-up campaign.
Watch out
if the campaign is marked as finished, adding a contact automatically switches it back to running mode.
3

Add Contact to a LinkedIn Campaign

Action

In Zapier“Add a contact to an existant LinkedIn campaign. If the campaign is marked as finished, it will automatically change it to running mode.”

Puts a prospect into an existing LinkedIn campaign, using their profile address instead of an email.

When to use it
a lead enriched in your CRM with a LinkedIn profile joins your connection campaign.
Watch out
the LinkedIn Profile URL is required, and a finished campaign goes back to running when a contact arrives.
4

Add Contact to a List

Action

In Zapier“Add a contact to an existant list. If this list is already in a campaign, we recommend you to use the "Add Contact to a Campaign" action instead.”

Stores a contact in one of your Emelia contact lists without launching any sequence by itself.

When to use it
build a list of event leads now and decide later which campaign they go into.
Watch out
when the list is already attached to a campaign, Emelia recommends Add Contact to a Campaign instead.
5

Mark a Contact From All Campaigns as Interested

Action

In Zapier“Marks a contact as Interested status in every campaigns where this contact is included”

Sets a contact to Interested in every campaign that includes them, in one step, from their email alone.

When to use it
a prospect books a call on your calendar link, and Emelia should reflect that everywhere.
Watch out
it acts on all campaigns at once, so it is not the tool to qualify a lead for just one of them.
6

Set a Custom Field to a Contact

Action

In Zapier“Sets a custom field to an existant contact in a campaign.”

Writes a value into a custom field of a contact already in a campaign, for example the company name used in your email variables.

When to use it
push the industry your CRM holds into the field your opening line personalizes on.
Watch out
you type the Field Name yourself, as in companyName, and the contact must already be in that campaign.
Searches

The Emelia search on Zapier

1 search step looks for data that already exists in Emelia, so a later step can use it.

A search step looks up a contact that already exists in Emelia, so later steps can reuse what it found. It sits at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not the expected one.

1

Search Contact

Search

In Zapier“Search a specific contact on Emelia. All the matches are returned, an empty array is returned if there isn't any match.”

Looks a contact up in Emelia by email and returns every match it finds, ready for the next steps to use.

When to use it
before adding a lead from your website form to a campaign, check whether the sales team is already prospecting them.
Watch out
since all matches come back, decide in the multiple-results setting which one the next step should use.

The three settings every search exposes

  1. Successful if no search results are found?
On its default, a search that finds no contact stops the Zap and skips the steps that relied on it. Turn it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
This box turns a search into a find-or-create when the app offers one. Emelia's contact search has no such variant, so a missing contact is never created here.
  3. If multiple search results are found?
Three ways out when several matches come back: keep the first one, which is the default, stop the Zap, or pass all of them on.
When it breaks

When an Emelia Zap breaks

Zapier lists no specific error for Emelia. The trouble you will meet comes from how Zapier itself works.

Four situations account for most surprises. Go through them first, and see our Zapier troubleshooting guide if a run still fails.

  • Past replies never arrive

A Zap only reacts to activity after you switch it on. Activity from before is not picked up; moving that history is a separate job.
  • A campaign that feeds itself

Add contacts to the very campaign whose activity starts the Zap and each addition can fire it again, in a loop that burns through tasks.
  • A burst of activity held back

Launching a large campaign can produce a huge batch of activity at once, and Zapier's flood protection can hold that batch back.
  • Each activity counted once

Zapier keeps track of what a trigger has already delivered, so the same activity does not start the Zap twice and bill you twice.

FAQ

Emelia Zapier integration: common questions

01Is the Emelia Zapier integration free?
Yes, within Zapier's free plan. Emelia is not a premium app, so a free Zapier account can use it, with 100 tasks a month and Zaps of two steps: one trigger and one action. As soon as you add a filter, a contact search, or a second action, the Zap becomes multi-step and needs a paid Zapier plan. You also need your own Emelia account, the one that holds your campaigns, to make the connection.
02How many tasks does an Emelia Zap use?
One for each action that succeeds, every run. The trigger never costs anything, whatever the number of activities Emelia reports. A Zap that creates a CRM deal for each selected activity uses one task per activity; if it also marks the contact as interested in Emelia, that makes two. Failed actions are not counted. On a large campaign with many activity types ticked, the task count can climb quickly, so tick only the ones that matter.
03Do Emelia triggers work in real time?
Yes. Both New Campaign Activity and New LinkedIn Campaign Activity are instant triggers: Emelia notifies Zapier as soon as the activity happens, on any plan, including Free, and the editor marks them with a lightning bolt. The polling grid of 15, 2 and 1 minutes that applies to many other apps does not concern them. That makes Emelia one of the integrations where the free plan loses no reaction speed.
04What does connecting Emelia to Zapier require?
An Emelia account you can sign in to, with access to the campaigns and contact lists you want to automate. The connection is made once from the Apps page with the Add connection button, in a tab that opens on the Emelia side, and every Zap reuses it. Create your campaigns and lists in Emelia before building, because both triggers require a Campaign and most actions require a Campaign or a Contact List.
05Why did a finished Emelia campaign switch back to running?
Because adding a contact to a campaign marked as finished automatically changes it to running mode. Both Add Contact to a Campaign and Add Contact to a LinkedIn Campaign behave this way. If a Zap keeps feeding an old campaign, that campaign comes back to life without anyone touching Emelia. To avoid it, point the Zap at an active campaign, or use Add Contact to a List to park leads until you choose where they go.
06What if the Emelia action you need is not on Zapier?
Then Zapier does not offer it today, and no setting will make it appear. The visible operations are the six actions and the contact search described on this page, with no raw API step for Emelia. Check whether a combination gets close, for example a search followed by a custom field update. If nothing fits, compare what other automation platforms offer for Emelia before you build, and decide on criteria rather than brand.
07Zapier, Make or n8n for Emelia?
Decide on criteria, not on a ranking, knowing this page only documents the Zapier side. There, Emelia brings two instant triggers, six ready actions and one search with nothing to host, and every successful action is a task, which adds up on busy campaigns. Check whether Make or n8n covers the exact Emelia operations your prospecting flow needs, how each one counts usage, and who on the team will maintain the flows.
