What Flexmail on Zapier does for you
The Flexmail Zapier integration links your email marketing contacts to the rest of your tools. Six Flexmail events can start an automation the moment they happen, and Zapier can create or update contacts, unsubscribe them and manage their interests, the topics a contact has signed up for in Flexmail.
Three results stand out. Clean segments: Subscribe Contact to Interest and Unsubscribe Contact From Interest move a contact in or out of one topic without touching the rest, so buyers can stop getting prospect emails. A synced address book: Create or Update Contact pushes sign-ups from your forms or your CRM into Flexmail with the right language and source. Respect for unsubscribes: Contact Unsubscribed tells your CRM or support tool at once, so nobody keeps mailing someone who left.
The best news for a free plan: every Flexmail trigger is instant. Flexmail itself tells Zapier when the event happens, so the 15-minute polling interval of the free plan does not apply to these triggers.

Zapier vocabulary, kept short
Eight words are enough to read any Zapier screen. Each one is explained once.
- Zap
- The automation you build on Zapier: one trigger, then one or more steps that run every time the trigger event happens.
- Trigger
- The event that starts the Zap, such as a confirmed opt-in in Flexmail. Once the Zap is on, Zapier waits for it.
- Action
- What the Zap does once started: the step that creates, updates or unsubscribes a contact for you.
- Task
- The unit Zapier bills: one action the Zap completes successfully. Your plan counts these every month.
- Instant trigger
- A trigger the app reports itself, the moment the event happens. All six Flexmail triggers work this way.
- Filter
- A step that lets the Zap go on only when the data meets your condition, and stops it there otherwise.
- Search step
- A step that looks up something that already exists, such as a contact by email, for the steps that follow.
- Multi-step Zap
- Any Zap beyond one trigger and one action. A filter, a search or a second action makes one, and needs a paid plan.
What a Flexmail Zap really costs
Flexmail is not a premium app, so it works on the free Zapier plan. Tasks are the only unit, and the trigger never uses one.

Each action that succeeds counts as one task; a failed one is not counted. The first Zap below runs two actions, one in Flexmail and one in your CRM, so two tasks per new contact. The free plan gives you 100 tasks a month and builds two-step Zaps only: one trigger and one action. Add a second action, a filter or a search such as Find Contact and the Zap becomes multi-step, which needs a paid plan. The polling grid below does not slow Flexmail triggers down: they are instant on every plan, Free included.
Connect your Flexmail account

Open the Apps page
In your Zapier account, go to Apps and click + Add connection. A connection is your Flexmail account linked once to Zapier, then reused by every step that needs it.

Choose Flexmail
Search for Flexmail in the dialog, select it and click Add connection. You need a Flexmail account, with access to the contacts and interests the Zap will touch.

Sign in and allow access
Sign in to Flexmail in the tab that opens and grant Zapier access to the account. Every Flexmail step you add later, in this Zap or another one, can then reuse this connection.
Your first Zap: every new contact into Prospects and your CRM
GoalWhen a contact is created in Flexmail, subscribe them to the Prospects interest, then create the matching lead in your CRM.

Build: pick the trigger
Create a Zap, choose Flexmail and Contact Created. Test it: Zapier brings back the three most recent contacts, so you map on a real one.

Add to Prospects
Add Subscribe Contact to Interest, map the contact from the trigger and pick Prospects as the Interest. That interest has to exist in Flexmail before you can pick it.

Send the lead to your CRM
Add your CRM as a second action and map the email and name from the Flexmail trigger. Two actions make this a multi-step Zap.

Test each step
Click Test on each step, then check that the contact sits in Prospects in Flexmail and that the lead shows up in your CRM.

Click Publish. The trigger is instant, so every new contact goes through straight away. With two actions, this Zap needs a paid plan.

A contact leaving one interest starts this Zap, even if they stay subscribed to your other emails. It is a softer signal than a full unsubscribe: the person narrowed what they want to hear about.
Opt-In Confirmation

Goes off once a contact confirms their opt-in. That confirmation is the moment you know the address is real and the consent is given, which makes it the safest starting point for a welcome sequence.

The Flexmail search
1 search step looks for data that already exists in Flexmail, so a later step can use it.
A search step finds a contact that already exists in Flexmail, so later steps can work on it. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the match is not clean.

The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds no contact stops the Zap there. Switched on, the Zap carries on without one.
- Create X if it doesn't exist yet?Ticking it turns the search into a find-or-create: it then asks for the fields needed to create the missing contact.
- If multiple search results are found?Keep the first match (the default), stop the Zap, or pass every match on to the following steps at once.
When a Flexmail Zap breaks
Zapier attaches no help article to Flexmail, so these cases come from Zapier's general limits and from Flexmail's own required fields and opt-in rule.
