What the GoCanvas Zapier integration actually does
It links GoCanvas, where your crews fill in mobile forms, to the rest of your tools through Zapier. A form uploaded from a phone can start a chain of steps elsewhere, and a record created elsewhere can become a job waiting on a technician's device. No code, one connection, four operations to pick from.
Three outcomes cover most of what people build here. First, a finished form that tells someone: New Submission fires when a crew member uploads a completed inspection, and the next step posts it in a chat channel or a spreadsheet row. Second, a job that appears on a phone: Create Dispatch turns a row, a ticket or a booking from another app into a prefilled GoCanvas form ready for the field. Third, reference data that stays in step: Sync Reference Data With Google Sheets syncs a GoCanvas reference data file with the Google Sheet your office already maintains.
Cleanup has its own action too. Delete Dispatch removes a job that was cancelled upstream, so nobody drives out for nothing.
Now the honest part. Zapier cannot search GoCanvas: there is no step to look up an existing submission or Dispatch. It has one trigger only, so it reacts to uploaded submissions and nothing else (no event for a new user, a new app or an edited Dispatch). And it never reaches back to submissions sent before your Zap was switched on.

- Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time that event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is on, Zapier sits and waits for it to happen.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
- Task
- The unit Zapier bills. One task equals one action that completes successfully, and your plan counts those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app itself the moment it happens.
- Filter
- A step that lets the Zap continue only when the incoming data meets your condition, and halts it otherwise.
- Connection
- Your GoCanvas account linked to Zapier once, then reused by every step in every Zap that touches GoCanvas.
- Multi-step Zap
- Any Zap beyond one trigger plus one action. A second action or a filter makes one, and it needs a paid plan.

Zapier bills tasks, and a task is an action that goes through. A submission arriving costs nothing. Posting it to Slack costs one. A three-action Zap eats three per submission, and an action that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a filter and you need a paid plan. Since New Submission is instant, the polling grid below never slows it down.
Connect GoCanvas to Zapier in three steps

Open your connections
In Zapier, go to the Apps page of your account and click + Add connection. You need a GoCanvas account first, plus access to any app or Dispatch owned by a colleague that the Zap should touch.

Pick GoCanvas
Type GoCanvas in the search box of the dialog, select it, then click Add connection. A new tab opens on the GoCanvas side, which is where the actual sign-in happens.

Sign in and grant access
Log in with your GoCanvas credentials and allow Zapier into the account. From then on, every GoCanvas step in every Zap reuses this connection, so you only do this once per account.
Your first GoCanvas Zap: failed inspections to Slack

Create the Zap
Start a new Zap and choose GoCanvas as the app that starts it, with New Submission as the event. Pick your connection from the list.

Choose the inspection app
In App Name, select the GoCanvas App your crews fill in. Leave Trigger Mid Workflow off unless you want the Zap to run after each Handoff.

Test the trigger
Run the test. Zapier pulls in the three most recent submissions of that app, so you map fields on a real inspection rather than a guess.

Add the filter
Click the plus icon, add Filter, and point it at the result field you spotted in the test sample. Use a text rule for a text answer. This step makes the Zap multi-step.

Add Slack and map
Add Slack as the action, choose the channel, then drop the site name, inspector and result from the submission into the message.

Test, then publish
Test the Slack step, check the message that came back, then click Publish. From that moment, every new failed inspection gets posted.

When a GoCanvas Zap breaks
Zapier attaches no help article to GoCanvas, so the traps below come from the operations themselves and from Zapier's general limits.
Most failures here show up at setup, not months later. If a Zap stops for a reason not listed, the Zapier troubleshooting page walks through the usual suspects.
No fields to map
The chosen GoCanvas App has no submission yet. Upload one test form from a device, then test the trigger again so Zapier can read its fields.Create Dispatch refuses to run
Dispatch is not enabled for that GoCanvas App, or every field was left empty. Switch Dispatch on in GoCanvas and map at least one field.Old submissions never arrive
