What the Gong Zapier integration actually does

Connecting Gong to Zapier lets you build a Zap, an automation that starts on one event and then carries out one or more steps for you. On the Gong side you get one starting event, a call that Gong has finished processing, and three steps that write engagement events into a deal's activity timeline.

Three results people build with it. A reaction to every processed call: New Call fires as soon as Gong is done with a call, so whatever comes next starts without anyone checking the dashboard. A record of shared material: Add a "Content Shared" Event Into Gong's Activity Timeline notes that a rep sent a proposal or a contract to the buyer side. A trace of what the buyer did with it: the "Content Viewed" and "Custom Action" actions log that a prospect opened the deck, or signed, or downloaded something you named yourself.

What Zapier does not do here matters just as much. There is no search step for Gong, so a Zap cannot look up an existing call, user or deal first. You cannot create a call, edit one, or pull a transcript through these four operations. And the only trigger is the processed call: nothing fires when a deal moves or a rep changes.

Each Gong action that goes through costs one task; one that fails is not counted. The free plan stops at two steps: one trigger, one action. Add a filter or a second action and the Zap becomes a multi-step Zap, which needs a paid plan. The interval grid below only concerns polling triggers. New Call is instant, so a Gong Zap never waits for the next check, even on the free plan. Looking for new calls costs nothing either.

Connect Gong to Zapier in three steps

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. You need a Gong account first, plus read or write access to anything you do not own but want the Zap to touch.

    Pick Gong and start the link

    Type Gong in the search box of the dialog, select it in the results, then click Add connection. A new browser tab opens on the Gong side to let you sign in.

    Sign in and grant access

    Log in to Gong in that tab and allow Zapier to use the account. Back in Zapier, the connection shows up in your list and every Gong step of every Zap can reuse it.

    From your Zapier dashboard, create a new Zap. The editor opens on an empty trigger card waiting for an app and an event.

    Set New Call as the trigger

    Pick Gong, then New Call, then your Gong connection. Since it is instant, the editor shows a lightning bolt on the card.

    Test the trigger

    Run the test: Zapier brings back the three most recent calls of the account. Choose a real one, so the next steps are mapped on true data.

    Add the filter

    Click the plus icon, choose Filter, then set the field to look at, the rule and the value. A text rule only reads text, so pick the rule type carefully.

    Add the Gong action

When a Gong Zap breaks

Zapier attaches no help article to Gong, so what follows comes from the general rules of Zapier and from the fields the actions require.

Without an app-specific help article, the cases below come from two places: what any Zap can and cannot see, and the required fields of the three actions.

  • Past calls never show up

    A Zap only reacts to what happens after you switch it on. Calls Gong processed last week stay out of it; moving that backlog is a separate job.
  • A sudden wave gets held back

    When a trigger returns a huge batch at once, after a bulk import or a migration, Zapier's flood protection can hold the runs instead of firing them all.
  • The property counters are left empty

    Each action asks how many dynamic properties to show for the object and for the event. Both are required, so an empty box stops the step: type 0 instead.
  • More than five properties

    The counters accept up to 5 properties each. If your content carries more details than that, choose the five that a rep would actually read.

Gong Zapier integration: frequent questions

01Is the Gong Zapier integration free?
Yes, it works on the free plan, because Gong is not a premium app on Zapier. The free plan gives you 100 tasks a month and an unlimited number of Zaps, but each Zap stays at two steps: one trigger and one action. A Gong Zap with a filter or a second action becomes a multi-step Zap and then needs a paid plan. For a single New Call trigger followed by one Gong action, the free plan is enough to start and see whether the events you log are useful.
02How many tasks does a Gong Zap use?
One task per Gong action that completes successfully, and nothing else. The New Call trigger itself never costs a task, and an action that fails is not counted against the plan. So a Zap made of New Call and one timeline event costs one task per processed call that reaches the action. A Zap with three actions eats three tasks per run. A filter in front of the action saves tasks, since calls stopped by the filter never reach a billed step.
03Does Gong trigger Zapier in real time?
Yes. New Call is an instant trigger: Gong itself tells Zapier as soon as a call is processed, so the Zap starts straight away whatever your plan. The interval grid of the free plan, 15 minutes between checks, does not apply here. In the editor you can recognize it by the lightning bolt on the trigger card. What you cannot change is the type: whether a trigger is instant is decided by the app, not by a setting in Zapier.
04What does it take to connect Gong to Zapier?
A Gong account, plus access to whatever you do not own and want the Zap to touch. The link itself happens from the Apps page of Zapier with + Add connection, then Gong signs you in a new tab and asks you to grant access. For the actions, prepare the material too: the shared and viewed events need the name, the ID and a direct URL of the content, taken from the system where it lives, and every action asks for an email.
05Why does a Gong timeline action fail on the property fields?
Because the two property counters are mandatory even when you have nothing to add. Every timeline action asks how many dynamic properties to display for the object and for the event, with a maximum of 5 each. Leave one of these boxes empty and the step cannot run. Type 0 in both when you only want the event itself, then raise the number later if reps ask for more detail next to it.
06What if the Gong operation you need is missing on Zapier?
Then this integration cannot do it, because what you see here is the whole visible list: one trigger and three actions. There is no search step, no way to create or edit a call, and no other trigger. Hidden operations kept in Zapier's data are not offered in the editor, so they are no workaround. The realistic options are to rethink the flow around the processed call, or to check what the same app offers on another automation platform.
07Zapier, Make or n8n for Gong?
It depends on the criterion, not on a winner. Zapier is quick when the need fits its four Gong operations and you want a guided editor with an instant start on every processed call. If you need an operation that is not in that list, compare what the Gong pages for Make and n8n list. Check also how each platform bills a run, since on Zapier only successful actions count as tasks.
