Overview

What the Good Grants Zapier integration actually does

The Good Grants Zapier integration links the platform where you run your grant cycle (submissions, review, funding) to the other apps your team already uses. Something happens in Good Grants, Zapier notices, and a step runs somewhere else. Or the other way round: an event elsewhere writes into Good Grants for you.

Three results people build first. A review queue that fills itself: Application Submitted starts the Zap and Create Assignment hands the file to your reviewers. Money that follows the decision: Grant Status Changed feeds Create Allocation through a filter on the approved status, so funds get earmarked once the decision is recorded, not on every status change. A clean applicant record: User Registered or User Updated keeps your contact list in step with who signs up.

What Zapier does not do here matters just as much. It never goes back in time: applications that existed before you switched the Zap on stay where they are. No visible action deletes anything in Good Grants. And none of the three searches offers a find-or-create variant, so a missing record stops the Zap rather than being created on the fly.

Good news on speed: all 15 triggers are instant, so a free-plan account gets the same reaction time as a paid one. If you want to weigh the same app on another tool, there is a Good Grants Make integration page, and our n8n vs Zapier comparison sets out the criteria.

Vocabulary

Zapier vocabulary in one minute

Eight words you will see in the editor. Read them once, the rest of the page uses them without a reminder.

Zap
The automation you build: one trigger, then one or more actions that run each time that event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier sits and waits for it.
Action
What the Zap does after it starts: the step that writes, sends or changes something for you.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's quota counts these.
Polling vs instant
Polling: Zapier checks the app on a timer. Instant: the app calls Zapier the moment the event happens. Good Grants is all instant.
Filter
A step that lets the Zap carry on only when the incoming data meets your condition, and stops it otherwise.
Search step
A step that looks up a record that already exists, so the steps after it can reuse what it found.
Connection
Your Good Grants account linked to Zapier once, then reused by every step that talks to Good Grants.
Cost

What a Good Grants Zap costs you

Zapier bills completed actions, not events. The trigger itself is free, and so is the waiting.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • TriggerNever costs a task
  • Failed actionNot counted

Each action that succeeds counts as one task, so a Zap with three actions uses three times as much as a Zap with one. An action that fails is not counted. Good Grants is not a premium app: it runs on the free plan, which gives you 100 tasks a month and Zaps of two steps only. Add a filter, a search or a second action and the Zap becomes multi-step (anything beyond one trigger plus one action), which needs a paid plan. The polling grid below does not concern you here, since every Good Grants trigger is instant.

Connect

Connect your Good Grants account to Zapier

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. You need a Good Grants account, plus read or write rights on any program you don't own and want the Zap to touch.

  2. 02

    Find Good Grants

Type Good Grants in the search box of the dialog that appears, select it in the results, then click Add connection. Zapier then hands you over to Good Grants to sign in.

  3. 03

    Sign in and grant access

Log in to Good Grants in that tab and allow Zapier to reach the account. From then on, every step that uses Good Grants offers this connection, so you link it once.

First Zap

Your first Good Grants Zap, step by step

GoalEvery submitted application that meets your condition goes straight to a reviewer panel.

  1. 01

    Build the trigger

In the editor, choose Good Grants as the app and Application Submitted as the event. Name the trigger and give the slug of one existing application, used for the sample.

  2. 02

    Test it

Run the test and read what comes back. Testing a trigger brings back recent items from your account, so you map the next steps on a real application.

  3. 03

    Add the filter

Click the plus icon, pick Filter, then fill the three boxes: the field to check, the rule, the value. Note: this filter makes the Zap multi-step, so it needs a paid plan.

  4. 04

    Add Create Assignment

Choose Good Grants again with Create Assignment. Map the application from the trigger, then pick the score set, the reviewers and the round. Test this step once before going further.

  5. 05

    Publish

Click Publish to switch the Zap on. It reacts only to applications submitted from now on, not to the ones already waiting in Good Grants.

Triggers

The 15 Good Grants triggers

15 events start a Zap when something happens in Good Grants, and 15 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Action Task Created

Instant trigger

In Zapier“Triggers when an action flow task is created.”

Starts the Zap when Good Grants creates a new task in an action flow. You hear about the task as soon as it exists.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a program officer wants a heads-up in the team channel each time a compliance check lands on their desk.
Watch out
setup asks for a name for the trigger and the token of an existing action task, used only to show a sample, so create one task first.
2

Action Task Submitted

Instant trigger

In Zapier“Triggers when an action flow task is submitted.”

Covers the other end of that same flow: a task someone has completed and sent back. Your Zap reacts to the submission, not to the creation, which is usually the moment that matters to whoever waits on it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a scholarship coordinator wants the file to move forward the minute a recipient returns the acceptance task.
Watch out
it asks for the same two settings as Action Task Created, so give each trigger a name you can tell apart later.
3

Allocation Created

Instant trigger

In Zapier“Triggers when a new allocation is created.”

Fires when money is earmarked for an application, that is, when someone records an allocation against one of your funds. The Zap gets the new allocation while the decision is still fresh.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your finance lead wants a line in their own ledger every time the board commits funds to a community project.
Watch out
the sample comes from the slug of an existing allocation, so test on a program where funds have already been allocated.
4

Application Created

Instant trigger

In Zapier“Triggers when a new application is created.”

Reacts as soon as a new application is created in Good Grants. Submission is a separate event, covered by Application Submitted.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a foundation wants to welcome early starters and send them its eligibility guide while they draft.
Watch out
a created application is not a finished one; if your next step needs a complete file, start from Application Submitted instead.
5

Application Moderated

Instant trigger

In Zapier“Triggers when the entry moderation status is changed.”

Each time the moderation status of an entry changes, you get a new run, so the Zap follows the file through moderation.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
eligibility screeners want each decision logged where the program manager can see it without logging in to Good Grants.
Watch out
setup wants the slug of an existing application to build its sample, so keep a test entry handy.
6

Application Submitted

Instant trigger

In Zapier“Triggers when a new application is submitted.”

Fires when an applicant sends in a finished application, the point where your review work really begins. This is the trigger behind the example Zap above.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a community foundation sends every submitted file straight into a reviewer assignment, with no one copying slugs by hand.
Watch out
the trigger needs a name and an application slug for its sample; pick one that went through submission so the test looks like real traffic.
7

Application Tagged

Instant trigger

In Zapier“Triggers when an application is tagged. This trigger works on a queue-based system and there could be a delay in receiving the response if there are lots of jobs in the queue.”

Starts when a tag is added to an application. Tags become a switch your team flips by hand inside Good Grants, and Zapier does the follow-up work.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
reviewers tag their strongest applications for the board pack, and the Zap gathers them in one place.
Watch out
Good Grants handles tagging through a queue, so when many jobs pile up the event can reach Zapier with a delay. Plan for it before promising anyone instant results.
8

Application Updated

Instant trigger

In Zapier“Triggers when an application is updated.”

Runs when an existing application is updated. Broad by design: if you only care about one kind of change, a narrower trigger or a filter will spare you tasks.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
you keep an external report of every live application and want it current when applicants edit their answers.
Watch out
pair it with Update Application on the same records and the Zap edits what it watches, then sets itself off again.
9

Assignment Created

Instant trigger

In Zapier“Triggers when a new assignment has been created.”

Fires when a reviewing assignment appears, meaning a reviewer has been paired with applications to score. Useful whether the assignment came from your team or from a Zap.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
let each volunteer reviewer know their pile is ready, in the tool they actually read, the minute it is assigned.
Watch out
the sample needs the slug of an existing assignment; in a brand new program, create one by hand before testing.
10

Grant Status Changed

Instant trigger

In Zapier“Triggers when the grant status for an application changes.”

The grant status of an application moving from one value to another is what this trigger watches. Pair it with a filter on the status you care about and it can drive the money side.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
once a file is approved, the Zap prepares the award letter for the grants manager to sign.
Watch out
it fires on every change, not just the one you care about; a filter narrows it down, but that makes the Zap multi-step.
11

Payment Created

Instant trigger

In Zapier“Triggers when a new payment is created.”

A new payment record appearing in Good Grants is the signal here. The Zap hears about the payment as soon as it is created.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
accounts payable wants each scheduled grant payment mirrored in its own system the day it is recorded.
Watch out
setup asks for a payment slug for the sample, so wait until at least one payment exists before you build.
12

Payment Status Changed

Instant trigger

In Zapier“Triggers when the status of a payment for an allocation changes.”

Reacts when the status of a payment tied to an allocation changes.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a grantee relations team keeps recipients informed at each stage of their payment without chasing finance for updates.
Watch out
do not confuse it with Payment Updated, which fires whenever the payment itself is updated.
13

Payment Updated

Instant trigger

In Zapier“Triggers when the payment for an allocation is updated.”

Any edit to a payment for an allocation, whatever the change, sets this one off. It gives you the full trail of what happened to a payment after it was created.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
your auditors want a record of every edit to a grant payment, kept outside Good Grants.
Watch out
each edit is a new run, and every successful action behind it is a task; on the free plan that quota goes fast.
14

User Registered

Instant trigger

In Zapier“Triggers when a new user registers.”

Someone new registering in Good Grants starts this Zap. You get them at the very top of your funnel.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
add each new registrant to the mailing list for your next open call.
Watch out
the trigger needs a name and the slug of an existing user for its sample, so register a test account first if your space is empty.
15

User Updated

Instant trigger

In Zapier“Triggers when a user updates their profile.”

Profile edits made by users themselves are what this trigger catches. Applicants move, change email or switch organisation; this trigger tells you when they record it themselves.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
keep the contact card in your CRM current without asking applicants to tell two systems.
Watch out
a Zap that writes back with Update User on the same person can set this trigger off again and loop.
Actions

The 20 Good Grants actions

Good Grants gives you 20 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Action Task

Action

In Zapier“Create a new action task”

Adds a task at a chosen stage of an action flow for a given application, so the next person in line has something to do.

When to use it
an approved file needs a grant agreement signed, and you want that task to appear without anyone opening the application.
Watch out
you need the slug of the action stage as well as the application's.
2

Create Allocation

Action

In Zapier“Allocates funds to an applciation.”

Earmarks an amount from one of your funds for a given application. The money side of a decision, written for you.

When to use it
as soon as a grant is approved, reserve the award amount so the budget view stays honest.
Watch out
it needs the application slug, the fund and the amount; a fund that does not exist yet means creating it first.
3

Create Application

Action

In Zapier“Creates an application in Good Grants.”

Opens a new application in Good Grants on behalf of an applicant, with its title, category and season set from the start.

When to use it
a partner collects expressions of interest elsewhere and you want each one to land as a draft application.
Watch out
the applicant must already exist as a user, since the step asks for their slug.
4

Create Assignment

Action

In Zapier“Creates a reviewing assignment in Good Grants.”

Pairs reviewers with applications for scoring, inside a given score set and round. It is the step that keeps your review queue moving without a coordinator in the middle.

When to use it
send every submitted application to the same panel of three reviewers.
Watch out
score set, round and reviewers must already exist in Good Grants.
5

Create Fund

Action

In Zapier“Creates a new fund in Good Grants.”

Sets up a new fund with a name, a budget and a currency, ready to receive allocations.

When to use it
your finance system approves a new budget line and you want the matching fund in Good Grants straight away.
Watch out
the currency is a three-letter code (AUD, for example), not a symbol or a full name.
6

Create User

Action

In Zapier“Create a new user”

Adds a person to Good Grants with a name, an email and a temporary access code that serves as their password.

When to use it
invite last year's grantees to the new round without making them register again.
Watch out
the temporary access code needs at least 12 characters, or the step fails.
7

Get Allocation

Action

In Zapier“Returns an allocation by its slug.”

Fetches one allocation from its slug, so the next steps can use its details.

When to use it
a payment trigger fires and you want the allocation behind it before writing to your accounts.
Watch out
without a slug from an earlier step, there is nothing to look up.
8

Get Application

Action

In Zapier“Returns an application by its slug. The response consists of all application fields including files, attachments and contributors. Files include a download link.”

Pulls a full application from its slug, files, attachments and contributors included, with a download link on each file.

When to use it
a Zap started by a tag or a payment needs the whole application to build a summary for the board.
Watch out
it reads, it changes nothing, yet it still sits among the actions.
9

Get Attachment

Action

In Zapier“Returns an attachment for an entry. The response includes all attachment fields.”

Returns one attachment of an entry with all its fields, identified by its token.

When to use it
copy the reference letter attached to a shortlisted file into your shared archive.
Watch out
it works from the attachment token, a unique ID, not from the file name.
10

Get Fund

Action

In Zapier“Returns a fund by its slug.”

Reads a fund from its slug and hands its details to the following steps.

When to use it
before posting an allocation to your finance tool, show which fund the money comes from.
Watch out
it reads only; budget changes still happen inside Good Grants.
11

Get Payment

Action

In Zapier“Returns a payment by its slug.”

Brings back a payment from its slug, so a Zap can work with the payment record itself.

When to use it
a status change on an allocation should send the payment details to accounting in one go.
Watch out
the slug is required; map it from the payment trigger rather than typing it.
12

Get User by Email

Action

In Zapier“This returns the user by their email address. The response includes all user fields including files.”

Finds a Good Grants user from an email address and returns their full record, files included.

When to use it
an email arrives in a shared inbox and you need the sender's slug before updating their file.
Watch out
the address must match the one on the Good Grants account.
13

List Fields

Action

In Zapier“Returns a list of fields.”

Returns the list of fields set up in your Good Grants account, the building blocks of your forms.

When to use it
you need a field slug for Upload Application File and do not want to dig through the admin screens.
Watch out
it is a helper step; it reads your setup and touches no application.
14

Search Applications by Tag

Action

In Zapier“This returns a list of applications with a specific tag.”

Lists every application carrying a given tag, so one run can work on a whole batch.

When to use it
gather all files tagged for the board meeting into one review document.
Watch out
despite its name it sits among the actions, not under the search heading of the editor.
15

Tag Application

Action

In Zapier“Add tags to an existing application.”

Adds a tag to an existing application. Tags are cheap labels your team can sort and filter on inside Good Grants.

When to use it
flag every application that came through a partner form so reviewers know where it started.
Watch out
if another Zap listens on Application Tagged, this action will start it too.
16

Update Allocation

Action

In Zapier“Updates an application's existing allocation.”

Adjusts an allocation already attached to an application, for when the amount or details move after the decision.

When to use it
the board revises an award and the change should reach Good Grants without re-keying.
Watch out
the step works from the allocation slug, so keep it from the trigger or fetch it with Get Allocation.
17

Update Application

Action

In Zapier“Update an existing application in Good Grants.”

Changes an existing application, found by its slug. Handy to write back information that arrives from another tool.

When to use it
a due-diligence check finishes outside Good Grants and you want its outcome visible on the file.
Watch out
run it from Application Updated on the same files and you build a loop that burns tasks.
18

Update User

Action

In Zapier“Update a user in Good Grants”

Edits a user's record in Good Grants, identified by their slug, so the profile matches what your other systems know.

When to use it
a grantee's new email lands in your CRM and you want Good Grants to follow.
Watch out
you need the user slug, not the email; Get User by Email or Get User by Slug can find it first.
19

Upload Application Attachment

Action

In Zapier“Upload an attachment to an application.”

Puts a file on an application's attachments tab, at the position you choose in that tab.

When to use it
a signed agreement comes back from your e-signature tool and belongs next to the application.
Watch out
the file name must include its extension, and the Data box expects the file's content encoded as text, not a link.
20

Upload Application File

Action

In Zapier“Upload a file to an application file field.”

Drops a file into a specific file field of an application, rather than into the attachments tab.

When to use it
an applicant sends a missing budget sheet by email and you want it in the right field of the form.
Watch out
you need the slug of that field, plus a file name with its extension and the content encoded as text.
Searches

The 3 Good Grants searches

3 search steps look for data that already exists in Good Grants, so a later step can use it.

Searches sit at the bottom of the Action event list, under the SEARCH heading. Some action fields also offer + Add search step, which inserts a search just before and wires its result in. Good Grants offers no find-or-create variant.

1

Get Assignment

Search

In Zapier“Returns a reviewing assignment for a given slug.”

Looks up a reviewing assignment from its slug and passes its details to the steps after it.

When to use it
a reviewer replies by email and you want to see which assignment the reply belongs to.
Watch out
Good Grants matches on the slug, so a step earlier in the Zap has to provide it.
2

Get User by Slug

Search

In Zapier“This returns user information for a unique slug.”

Retrieves a user's information from their unique slug, which is how many other steps refer to people.

When to use it
an allocation trigger gives you the applicant's slug and you want their name and email for a thank-you note.
Watch out
a slug that matches nobody stops the Zap unless you change the first setting above.
3

Recuse Assignment

Search

In Zapier“Recuses a reviewer from reviewing an application.”

Removes a reviewer from reviewing a given application. Odd as it looks, Zapier lists it among the searches, so you will find it under that heading.

When to use it
a reviewer declares a conflict of interest on a form and should leave that file at once.
Watch out
it needs the reviewer slug and the application slug.

The three settings every search exposes

  1. Successful if no search results are found?
Left as is, a search that finds nothing stops the Zap there and skips the steps that depended on it. Switch it on and the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking this turns a search into a find-or-create. None of the Good Grants searches comes with that variant.
  3. If multiple search results are found?
Three ways out when several records match: keep the first one (the default), stop the Zap, or pass all of them on.
When it breaks

When a Good Grants Zap breaks

Zapier links no help article to Good Grants, so the traps below come from how Zapier itself behaves.

Four cases to know before you publish. If one of them bites anyway, our Zapier troubleshooting page is the place to start.

  • Old applications are ignored

A Zap reacts only to what happens after you publish it. Applications already sitting in Good Grants never reach it; moving that backlog is a separate job.
  • The Zap that sets itself off

Application Updated plus Update Application on the same files: each write counts as a new change and starts the Zap again, burning through your task quota.
  • A bulk import gets held back

After a mass import or a migration, a trigger can suddenly return a huge batch. Zapier's flood protection may hold it back instead of running it all.
  • Tags that arrive late

Application Tagged goes through a queue in Good Grants. When many jobs wait, the event reaches Zapier late, even though the trigger itself is instant.

FAQ

Good Grants and Zapier: your questions

01Is the Good Grants Zapier integration free?
Yes, as long as your Zap stays at two steps. Good Grants is not a premium app, so it works on the free plan, which gives you 100 tasks a month and unlimited Zaps. The catch is the shape of the Zap: the free plan allows one trigger and one action, nothing more. A filter, a search or a second action makes the Zap multi-step, and that needs a paid plan. You will still need your own Good Grants account, which Zapier does not cover.
02How many tasks does a Good Grants Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap that turns each submitted application into an assignment uses one task per application. Add a second action and that becomes two per application. Actions that fail are not counted, and Zapier waiting for Good Grants to report an event costs nothing at all. On the free plan, 100 tasks a month means about 100 applications through a one-action Zap, fewer if a busy trigger such as Application Updated runs it.
03Does Good Grants trigger Zaps in real time?
Yes. All 15 Good Grants triggers are instant: Good Grants calls Zapier as soon as the event happens, and the Zap starts right away whatever your plan. The polling grid (15 minutes on Free, down to 1 on Team and Enterprise) only applies to apps Zapier has to check on a timer, which is not the case here. One nuance: Application Tagged goes through a queue on the Good Grants side, so it can arrive late when many jobs are waiting. In the editor, an instant Zap shows a lightning bolt.
04What does it take to connect Good Grants to Zapier?
A Good Grants account, plus read or write rights on anything you do not own and want the Zap to touch. In Zapier, open Apps, click + Add connection, search for Good Grants, click Add connection, sign in on the tab that opens and grant access. Before building, check that what your steps point to already exists in Good Grants: score sets, rounds, reviewers, funds, seasons. Most steps ask for slugs, the unique IDs of these records, and cannot create them on the fly.
05Why does Good Grants ask for a slug everywhere?
Because a slug is how Good Grants identifies each record, and its Zapier steps work from it rather than from names. Updates, uploads, tags and lookups all want the slug of the application, user, allocation or payment. Even the triggers ask for one at setup, to show a sample of what the Zap will receive. The fix is to map slugs from earlier steps instead of typing them. When you only have an email, Get User by Email returns the user, slug included.
06What if the Good Grants operation you need is not in Zapier?
Check the 38 visible operations on this page first; some sit where you would not expect them, such as Recuse Assignment under the searches. If the step really is missing, this page has no workaround to offer inside the Good Grants integration. The options are then a different workflow, a manual step inside Good Grants, or another automation tool if that operation exists there. Our agency team can look at the gap with you before you commit to a workaround.
07Zapier, Make or n8n for Good Grants?
It depends on your criteria, not on a ranking. On Zapier, the facts are clear: 15 instant triggers, 20 actions, 3 searches, and the app runs on the free plan as long as each Zap stays at two steps. If your flows need filters or several actions, budget for a paid plan. Compare the other tools on the same points: are the operations you need there, how are runs billed, and who on your team will maintain the workflow once it is live.
