Overview

What the FreshBooks Zapier integration actually does

It links your FreshBooks account to Zapier so that something happening in FreshBooks (a client added, an invoice paid, an expense logged) starts an automation, or so another step can write into FreshBooks for you. Most of its triggers are instant: 14 of the 17 fire the moment the event happens, even on the free plan.

Three results people build first. Estimates that leave on their own: New Estimate catches the draft, Send Estimate emails it to the client. Projects that open with the client: New Client fires, Create Project sets up the job so time can be logged against it. A paper trail for every payment: New Invoice Payment fires when money lands, and Create Invoice PDF produces the document you file.

What it does not do matters just as much. The only deletion on offer is Delete Checkout Link: nothing removes an invoice, a client or an expense. Three triggers are not instant (New Credit Note, New Filtered Invoice, New Staff Member), so they wait for Zapier's next check. And no Zap reaches back into the invoices you already had before switching it on.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap, such as a new invoice in FreshBooks. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that creates, sends or updates something for you, in FreshBooks or elsewhere.
Task
The unit Zapier bills. One task is one action that completes successfully, and your plan's quota counts exactly those.
Polling vs instant trigger
A polling trigger is checked by Zapier on a timer. An instant trigger is pushed by the app itself, so it never waits for a check.
Filter
A step that lets the Zap carry on only when what arrived meets a condition you set, and stops it quietly otherwise.
Search step
A step that looks up something already in FreshBooks, like a client or an invoice, so the next steps can reuse what it found.

The trigger never costs a task, and neither does Zapier looking for new data. Each action that goes through counts once, so a Zap that creates a PDF and then sends the invoice eats two tasks per run. A failed action is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but only two-step Zaps: one trigger, one action. Add a second action, a filter or a search step and the Zap becomes multi-step, which needs a paid plan.

Connect FreshBooks to Zapier in three steps

a bill comes in with only the supplier's name, and Create Bill needs the vendor.

the Find or Create Vendor version registers a new supplier whenever the lookup finds no match.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps that depended on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking it turns the search into its find-or-create version: the setting above disappears and the fields needed to create the missing item show up.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first one (the default), stop the Zap, or pass all of them on at once.
When it breaks

When a FreshBooks Zap breaks

Zapier attaches no help article to FreshBooks, so the traps below come from how Zapier works and from the fields of the app itself.

Most surprises are not errors on screen. They are Zaps that ran on the wrong thing, ran twice or never ran. If one keeps failing, the Zapier troubleshooting page is the next stop.

  • Past invoices are never picked up

    A Zap only reacts to what happens after you switch it on. Invoices, clients or expenses that already existed stay where they are; moving them is a separate job.
  • A Zap that triggers itself

    A Zap that writes into the place its own trigger watches, like Updated Invoice then Create or Update Invoice on one business, can set itself off again and eat your tasks fast.
  • A bulk import gets held back

    Import hundreds of clients at once and the trigger may return a huge batch. Zapier's flood protection can hold it back instead of running everything.
  • Same item, only one run

    On the three polling triggers, Zapier remembers what it has already seen, so a credit note or staff member never starts the Zap twice.
  • Decimal durations fail

    Create Time Entry wants the duration in whole seconds. A value with decimals makes the step fail.
  • Paid bills resist edits

    On a bill paid in part or in full, Update Bill refuses lines whose total falls under the amount already paid.

01Is the FreshBooks Zapier integration free?
Yes, within the limits of the free plan. FreshBooks is not a premium app, so you can connect it without paying. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap can only have two steps: one trigger and one action. As soon as you add a second action, a filter or a search step, the Zap becomes multi-step and needs a paid plan. That is the real line to watch with invoicing workflows, where sending often follows creating.
02How many tasks does a FreshBooks Zap use?
One task per action that succeeds, and nothing else. The trigger is free, and so is Zapier checking FreshBooks for new data, however often it looks. A Zap that creates an invoice PDF and then sends the invoice uses two tasks each time it runs. An action that fails is not counted. Watch the update triggers: an estimate edited five times runs the Zap five times, and each successful action on each run is billed again.
03Do FreshBooks triggers run in real time?
Fourteen of them do. Of the 17 triggers, 14 are instant: FreshBooks tells Zapier the moment the event happens, so the Zap starts at once on every plan, free included. The other three, New Credit Note, New Filtered Invoice and New Staff Member, are polling triggers. Zapier checks them on a timer that depends on your plan: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise.

In Zapier, open Apps, click + Add connection, pick FreshBooks, then sign in on the tab that opens and grant access. Every FreshBooks step afterwards asks for the business in a required Account field, so if your login covers several businesses, pick the right one on each step, or the Zap works on the wrong books.
05Why does a Find Invoice step find nothing?
Usually because the invoice number was typed without its leading zeros. A search by invoice number expects the full number, zeros included: searching for 10 instead of 0000010 returns nothing. By default, a search that finds nothing stops the Zap and skips the steps that depend on it. Map the full number from an earlier step, or switch on the setting that lets the Zap carry on when no result is found.
06What if the FreshBooks action you need does not exist?
Then the integration cannot do it, and no setting will unlock it. The visible list is 17 triggers, 25 actions and 7 searches; for example, nothing deletes an invoice, a client or an expense, and the only deletion is Delete Checkout Link. Check whether a find-or-create search or one of the Create or Update actions covers the need. If not, the gap is real and another tool may have to fill it.
