It connects the admin side of your Google Workspace to Zapier. A user created or updated in your domain can start an automation, and other tools can create users, move them between groups, assign roles or licenses, suspend or delete them. Know this first: it is a premium app on Zapier, so it needs a paid plan or the free trial.

    Left on its default, a search that finds nothing stops the Zap and skips the steps that depended on it. Switch it on and the Zap carries on empty-handed.
  2. Create if it doesn't exist yet?
    This box turns a search into a find-or-create on apps that offer it. Google Workspace Admin offers none on Zapier, so these searches only find.
  3. If multiple search results are found?
    Three ways out when several items match: keep the first, which is the default, stop the Zap, or pass every match along at once.

01Is the Google Workspace Admin Zapier integration free?
No. Google Workspace Admin is a premium app on Zapier, reserved for paid plans and the free trial. The free plan, with its 100 tasks a month and two-step Zaps, cannot use it. The trial lets you build and test before paying. On a paid plan, filters and search steps open up too, which matters here: Suspend User and Delete User want the user's ID, which Find User by Email can supply, and a filter can guard the destructive steps.
02How many tasks does a Google Workspace Admin Zap use?
One for each action that completes, and none for the trigger. An onboarding Zap that adds a new user to one group and assigns a license uses two tasks per hire. An offboarding Zap that suspends the user, removes them from a group and revokes a license uses three per departure. Failed actions are not billed, so a role step refused for lack of admin rights costs nothing. Count your hires and departures to size the plan.
03Does Google Workspace Admin trigger Zaps in real time?
Yes. New User and Updated User are both instant triggers: Google reports the event to Zapier as soon as it happens, so the Zap starts straight away whatever your plan. The editor shows a lightning bolt on them. The polling grid of Zapier's plans does not apply, which is useful for onboarding: the groups and license steps run as soon as the account exists, not at the next check, since no polling interval sits in between.
04What does it take to connect Google Workspace Admin to Zapier?
A Google Workspace account that can manage your domain, and a Zapier account on a paid plan or trial. You add the connection once from the Apps page, sign in to Google in the tab that opens and grant access. The role actions explicitly require administrator privileges on the connected account, and the other admin steps act on your whole domain, so connect an administrator account rather than a regular user's.
05Why does Find Group by Email return nothing?
Most of the time because the address does not match exactly. Find Group by Email is case-sensitive and needs the group's precise email, so a capital letter or a typo coming from another tool is enough to miss it. Find User by Email is more forgiving: it accepts the primary address or any alias. If a search can legitimately come back empty, switch on the setting that lets the Zap continue, otherwise it stops at that step.
