Overview

What the iLovePDF Zapier integration actually does

It lets Zapier drive iLovePDF's PDF tools without you opening the site. A step in your automation merges, compresses, converts, stamps, locks or unlocks a file, or sends it out for signature. Then iLovePDF reports back when that job is done, or when it failed, and that report can start the next automation.

Three results people build with it. A lighter deliverable: a merged contract pack goes straight into Compress PDF, so the file that leaves the office is lighter to share and store. A branded, locked handout: an Excel or PowerPoint export passes through Office to PDF, then Watermark PDF and Protect PDF, and nobody edits the slide deck you sent a prospect. A signature loop that chases itself: Send Signature Request goes out, Send Reminder nudges whoever has not signed, and Download Signed Files plus Audit PDF File collect the result.

What it does not do matters just as much. There is no search: Zapier cannot look up a file already sitting in your iLovePDF account and reuse it. And the 14 triggers do not watch your account in general. Each one reports on a processing job, completed or failed, for the tool it is named after. In practice, a trigger here is the second half of a job an earlier action started.

iLovePDF advertises more than 25 tools; Zapier exposes 19 of them as actions. If you are weighing platforms, the iLovePDF Make integration covers the same app on Make, and Make vs Zapier puts the two side by side.

Vocabulary

Zapier words you will meet on this page

Eight terms, one line each. Everything below reuses them without explaining them again.

Zap
The automation you build: one trigger, then one or more actions that run every time the trigger event happens.
Trigger
The event that starts the Zap. Once the Zap is on, Zapier waits for it and does nothing until it happens.
Action
What the Zap does after it starts: the step that converts, stamps, sends or downloads something on your behalf.
Task
Zapier's billing unit: one action that completed successfully. Not the same thing as the iLovePDF job a Task Event reports on.
Instant vs polling
An instant trigger is pushed by the app the moment it happens. A polling one is checked by Zapier on a timer. All 14 here are instant.
Filter
A step that lets the Zap continue only when what arrived matches a condition you set, and stops it otherwise.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter makes it one, and it then needs a paid plan.
Connection
Your iLovePDF account linked to Zapier once, then reused by every step in every Zap that touches iLovePDF.
Cost

What it really costs in tasks

The trigger never costs a task. Only an action that goes through is billed, and an action that fails is not counted.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps only
  • TriggerNever costs a task
  • Instant triggers14 of 14

So a Zap that waits for Task Event: Merge PDF and runs Compress PDF costs one task per merged file. Add Protect PDF after it and each run costs two, because every successful action counts on its own. The free plan gives you 100 tasks a month and unlimited Zaps, but only two steps per Zap: one trigger, one action. A second action or a filter makes it a multi-step Zap, and that needs a paid plan. The polling grid below does not touch this app, since all its triggers are instant.

Connect

Connect iLovePDF to Zapier in three steps

  1. 01

Open Apps and start a connection

In your Zapier account, go to the Apps page and click + Add connection. You need an iLovePDF account first; Zapier links an existing one, it does not create it.

  2. 02

    Pick iLovePDF

Type iLovePDF in the search box of the dialog, select it, then click Add connection. One connection is enough: every Zap and every step that uses iLovePDF will reuse it.

  3. 03

    Sign in and grant access

A tab opens on iLovePDF. Sign in with the account whose files you want processed, then let Zapier access it. If the files belong to someone else, make sure you can read them before you build anything.

First Zap

Your first Zap: watermark and lock every converted Office file

GoalEach time Office to PDF finishes, stamp the new PDF and put a password on it before anyone shares it.

  1. 01

    Build: set the trigger

Create a Zap, pick iLovePDF and the Task Event: Office to PDF event. In Event type, choose Task Completed, so failed conversions never reach the next steps.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items from your account. Pick one and read what came back, since that is what you will map into the actions.

  3. 03

    Add Watermark PDF

Add iLovePDF again with Watermark PDF. Map the processed file from the trigger test into PDF File. Turn on Mosaic only if you want the stamp repeated across the page.

  4. 04

    Add Protect PDF

Add Protect PDF as the third step, feed it the watermarked file and type the password. This second action makes the Zap multi-step, so it needs a paid plan.

  5. 05

    Test, then Publish

Test each action once and check the output before going further. Then click Publish. From that point, every converted Office file costs two tasks: one per action.

Triggers

The 14 iLovePDF triggers

14 events start a Zap when something happens in iLovePDF, and 14 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Task Event: Compress PDF

Instant trigger

In Zapier“Triggered when a task is completed or fails, such as when files are processed by action event: Compress PDF.”

This one starts your Zap when a compression job finishes, whether it worked or not. You decide which outcome counts in the Event type box: Task Completed or Task Failed.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a sales team compresses proposals before sending them, and the lighter file should move on to a password step automatically.
Watch out
if this Zap's action is Compress PDF too, every result restarts it, and the loop eats tasks fast.
2

Task Event: Extract PDF Text

Instant trigger

In Zapier“Triggered when the Extract PDF Text action completes with a success or error status”

Fires once iLovePDF has finished pulling text out of a PDF, with a success or an error status. It closes the loop on an Extract PDF Text step you launched earlier.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an operations lead extracts invoice text for analysis and wants a second Zap to react only when the text is ready.
Watch out
Event Type is required, so a Zap set to Task Completed will never hear about the extractions that failed.
3

Task Event: HTML to PDF

Instant trigger

In Zapier“Triggered when a task is completed or fails, such as when files are processed by action event: HTML to PDF.”

Reports the end of a web-page-to-PDF conversion. Pick Task Completed to pass the snapshot along, or Task Failed to be warned when a page could not be captured.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a compliance analyst archives landing pages as PDFs and needs to know which captures did not come through.
Watch out
iLovePDF warns that heavy pages can end in a Zapier time-out, so a Task Failed version of this Zap is worth having.
4

Task Event: Image to PDF

Instant trigger

In Zapier“Triggered when a task is completed or fails, such as when files are processed by action event: Image to PDF.”

Your Zap starts here when photos or scans have been turned into a PDF, or when that conversion broke. It is the follow-up to an Image to PDF action.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a field inspector's JPG photos become one report, and that report should get page numbers before it goes to the client.
Watch out
one Zap watches one outcome; build a second one with Task Failed if you also want to catch the errors.
5

Task Event: Merge PDF

Instant trigger

In Zapier“Triggered when a task is completed or fails, such as when files are processed by action event: Merge PDF.”

Fires when several PDFs have been combined into one document, or when the merge could not be done. The combined file is then ready for whatever comes next.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a real estate team assembles a closing pack from separate documents and needs it compressed before emailing it.
Watch out
choosing Task Completed keeps failed merges out of the next step, which is usually what you want.
6

Multi Task Event

Instant trigger

In Zapier“You can select multiple tools to trigger the events.”

The catch-all. Instead of one trigger per tool, you select several tools in Tools to Listen and one Zap hears about all of their completed or failed jobs.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an admin wants a single error watch for every iLovePDF tool the team automates, set to Task Failed.
Watch out
both Event type and Tools to Listen are required, so pick every tool you care about before testing.
7

Task Event: Ocr PDF

Instant trigger

In Zapier“Triggered when a task is completed or fails, such as when files are processed by action event: Ocr PDF.”

OCR is the step that makes a scanned PDF searchable, and this trigger tells you that job is over. It fires on success or on failure, depending on your choice.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a records clerk scans signed paper forms and wants the readable version sent straight into text extraction.
Watch out
the trigger only knows about OCR jobs; scans you never ran through Ocr PDF will not show up.
8

Task Event: Office to PDF

Instant trigger

In Zapier“Triggered when a task is completed or fails, such as when files are processed by action event: Office to PDF.”

Starts the Zap once a Word, Excel or PowerPoint file has been converted to PDF, or once the conversion failed. It pairs with the Office to PDF action.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a consultant converts a client deck and the PDF must be watermarked and locked before it leaves the firm.
Watch out
test it after a real conversion so the sample you map from is an actual PDF, not an old item.
9

Task Event: PDF to PDF/A

Instant trigger

In Zapier“Triggered when a task is completed or fails, such as when files are processed by action event: PDF to PDF/A.”

Fires when a PDF has been converted to PDF/A, the archiving format, or when that conversion stopped with an error. Useful as proof that the archive copy exists.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a finance team archives closed contracts and wants a follow-up step only for the ones that converted cleanly.
Watch out
Allow Downgrade is on by default in the action, so a completed conversion may have fallen back to a lower conformance level; switch it off if you need a strict one.
10

Task Event: PDF to JPG

Instant trigger

In Zapier“Triggered when a task is completed or fails, such as when files are processed by action event: PDF to JPG.”

Reports a finished or failed PDF to JPG job, where pages become images or the images inside the PDF get pulled out as JPG files.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a marketer turns a brochure into page images for social posts and wants to know when the batch is ready.
Watch out
a Task Failed version is the only way to hear about errors; the completed version stays silent on them.
11

Task Event: Protect PDF

Instant trigger

In Zapier“Triggered when a task is completed or fails, such as when files are processed by action event: Protect PDF.”

Fires after iLovePDF has put a password on a PDF, or failed to. It tells your next step the locked version is ready to send.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
HR locks payslips one by one and wants every locked file to get a page-number or archive step after.
Watch out
the help text under Event type mentions Image to PDF on this trigger; it is a copy slip in the source, the trigger still covers Protect PDF.
12

Task Event: Split PDF

Instant trigger

In Zapier“Triggered when a task is completed or fails, such as when files are processed by action event: Split PDF.”

Tells Zapier a split job is over: the PDF has been cut into page ranges or single pages, or the split failed.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
an accountant splits a monthly statement bundle per client and wants each piece converted to an archive format after.
Watch out
like Protect PDF, the Event type help text here still says Image to PDF; ignore it, the choice is the same two outcomes.
13

Task Event: Unlock PDF

Instant trigger

In Zapier“Triggered when a task is completed or fails, such as when files are processed by action event: Unlock PDF.”

Password removal is the job behind this one: the Zap starts when a password has been removed from a PDF, or when iLovePDF could not remove it.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a paralegal receives locked court exhibits and needs the open copy pushed into OCR right after unlocking.
Watch out
a completed-only Zap stays silent when an unlock fails, so pair it with a Task Failed version.
14

Task Event: Watermark PDF

Instant trigger

In Zapier“Triggered when a task is completed or fails, such as when files are processed by action event: Watermark PDF.”

Stamping done? This trigger answers when a watermark has been added to a PDF, or when the watermark step failed. The stamped copy can then go to protection or signature.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a design studio marks every proof as DRAFT and wants each stamped proof locked before the client sees it.
Watch out
the Event type help text shows Image to PDF here as well; the event itself is about Watermark PDF.
Actions

The 19 iLovePDF actions

iLovePDF gives you 19 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Compress PDF

Action

In Zapier“Reduce the file size of your PDFs for easy sharing and storage.”

Shrinks the file size of a PDF so it is easier to send and store.

When to use it
a brochure that is too heavy for an email attachment.
Watch out
placed after a Compress PDF trigger, it sets off its own Zap again and again.
2

Audit PDF File

Action

In Zapier“It downloads the audit PDF file.”

Downloads the audit PDF of a signature request, the document that traces what happened to it.

When to use it
a contract file must hold proof of who signed and when.
Watch out
it needs the Requester Token of the request, like the other signature downloads.
3

Download Original Files

Action

In Zapier“It downloads the original files.”

Retrieves the files as they were before anyone signed them.

When to use it
you need the unsigned version next to the signed one for your records.
Watch out
no Requester Token, no download; the token is the only required field.
4

Download Signed Files

Action

In Zapier“Download the signed files after they have been signed.”

Fetches the signed PDFs once everyone has signed.

When to use it
the countersigned agreement should be filed without anyone logging in to iLovePDF.
Watch out
Requester Token is required here too, so keep it from the step that sent the request.
5

Extract PDF Text

Action

In Zapier“Convert PDF content into plain text or CSV files for easy reuse, editing, or analysis.”

Pulls the text out of a PDF, as plain text, or as CSV with position and font details when Detailed is on.

When to use it
invoice text feeds a spreadsheet for a quick analysis.
Watch out
scanned pages hold no text; run Ocr PDF first.
6

HTML to PDF

Action

In Zapier“Convert webpages in HTML to PDF. Copy and paste the URL of the page you want and convert it to PDF with a click.”

Captures a web page from its URL and saves it as a PDF.

When to use it
a legal team keeps a dated copy of published terms and conditions.
Watch out
iLovePDF itself recommends small, simple pages; heavy ones can hit a Zapier time-out because processing takes too long.
7

Image to PDF

Action

In Zapier“Convert JPG, PNG, and TIFF images into high-quality PDF files.”

Converts JPG, PNG or TIFF images into PDF, either one PDF per image or a single combined file with Merge After.

When to use it
receipts photographed on a phone should land as one expense PDF.
Watch out
leave Merge After off and you get as many PDFs as images.
8

Merge PDF

Action

In Zapier“Easily combine multiple PDF files into a single, organized document.”

Combines several PDFs into one document.

When to use it
a cover letter, a quote and a terms sheet should reach the client as a single file.
Watch out
Ignore Files That Requiere a Password (sic) forces the merge even when some files are locked; check what that leaves out.
9

Ocr PDF

Action

In Zapier“Easily convert scanned PDF into searchable and selectable documents.”

Makes a scanned PDF searchable and selectable by recognizing the text in the images.

When to use it
paper delivery notes scanned at the warehouse need to be searchable later.
Watch out
the File must lead straight to the PDF; a share page that previews the scan will not work.
10

Office to PDF

Action

In Zapier“Make DOC, DOCX, PPT, PPTX, XLS, XLSX, ODT, ODP, ODS files easy to read by converting them to PDF.”

Turns DOC, DOCX, PPT, PPTX, XLS, XLSX, ODT, ODP or ODS files into PDF.

When to use it
a project manager wants every status spreadsheet shared as a PDF nobody can tweak.
Watch out
the Office file must be a file from a previous step or a public link that opens the document directly.
11

Add Page Numbers

Action

In Zapier“Add page numbers into PDFs with ease. Choose your positions, dimensions, typography.”

Numbers the pages of a PDF, with options for facing pages and a cover page left unnumbered.

When to use it
a merged tender response needs numbering before submission.
Watch out
turn on First Cover Page if page one is a cover, or numbering starts on it.
12

PDF to PDF/A

Action

In Zapier“Convert PDF documents into PDF/A for archiving and long-term preservation.”

Converts a PDF into PDF/A, the format meant for long-term archiving.

When to use it
signed agreements go into an archive that requires PDF/A.
Watch out
Allow Downgrade is on by default and tries lower conformance levels until one works; turn it off if you need a strict level.
13

PDF to JPG

Action

In Zapier“Convert each PDF page to JPG or extract all embedded images as JPG.”

Exports each page of a PDF as a JPG, or pulls out the images embedded in it.

When to use it
a webinar slide deck needs page thumbnails for a recap post.
Watch out
switch on Files Require Password? when the source is locked, or the job fails.
14

Protect PDF

Action

In Zapier“Secure your PDF files with a strong password to protect sensitive information.”

Encrypts a PDF with the password you set in Protect With Password.

When to use it
payslips or medical reports that leave the company by email.
Watch out
Protect With Password is required, so decide where the recipient will get the password before you switch the Zap on.
15

Send Reminder

Action

In Zapier“Send a reminder email to signers who have not completed their action.”

Emails a reminder to signers who have not yet completed their part of a signature request.

When to use it
a contract is still unsigned and nobody wants to chase it by hand.
Watch out
it needs the Requester Token of the request; without it, the action has nothing to target.
16

Send Signature Request

Action

In Zapier“It will allow you to send a signature request to the signer you need. Our service sends the signature request to the email address you provide.”

Sends a PDF out for signature: iLovePDF emails the signer you name and places the signature where you say.

When to use it
an agency sends its statement of work for signature as soon as the PDF is ready.
Watch out
Pages, name, email, signature height and both positions are all required; Pages accepts formats like 1, 3-12 or 3,5,9-12.
17

Split PDF

Action

In Zapier“Divide PDFs into specific page ranges or extract every page into a separate document.”

Cuts a PDF into page ranges, or into one document per page.

When to use it
a batch of scanned forms needs one file per applicant.
Watch out
Merge After rejoins the ranges into one file, and it only applies in range mode.
18

Unlock PDF

Action

In Zapier“Remove PDF password security, giving you the freedom to use your PDFs as you want.”

Removes the password from a PDF once you give it the current one in File Password.

When to use it
locked statements from a bank must go through OCR or merging.
Watch out
without the right password the action fails, and a failed action is not billed.
19

Watermark PDF

Action

In Zapier“Add custom watermarks to your PDF files for branding or security.”

Stamps text or an image onto a PDF, for branding or to mark a status.

When to use it
proofs sent for review should all carry a DRAFT mark.
Watch out
Mosaic overrides every position setting and repeats the stamp nine times per page.
When it breaks

When an iLovePDF Zap breaks

Zapier attaches no help article to this app, so the breakages below come from the field descriptions and from Zapier's general limits.

Each case below names the cause and the fix. If yours is not on the list, Zapier troubleshooting is the place to go next.

  • HTML to PDF times out

Heavy or complex web pages take iLovePDF longer to process than Zapier waits, and the step stops with a time-out. Smaller pages go through.
  • The file link is not public

File fields take a file from an earlier step or a public URL that leads straight to the document. A link behind a login, or a preview page, fails.
  • A locked PDF without the toggle

When a source file has a password, switch on Files Require Password? in the action. Unlock PDF and Protect PDF also need their password fields filled.
  • A Zap that triggers itself

Task Event: Compress PDF feeding Compress PDF, or any trigger feeding its own tool, starts the Zap again on every result and burns through tasks.
  • Nothing from before the Zap

A Zap only reacts to jobs that finish after you switch it on. Files you processed earlier are not picked up; moving them is a separate job.
  • A big batch held back

If a large batch of jobs finishes at once, after a bulk run for instance, Zapier's flood protection can hold the trigger back.

FAQ

iLovePDF Zapier integration: common questions

01Is the iLovePDF Zapier integration free?
Yes, on the Zapier side it does work on the free plan, because iLovePDF is not a premium app. The free plan gives you 100 tasks a month and unlimited Zaps. The real limit is size: a free Zap has one trigger and one action, nothing more. As soon as you chain Watermark PDF and Protect PDF, or add a filter, the Zap becomes multi-step and needs a paid plan.
02How many Zapier tasks does an iLovePDF Zap use?
One task per action that completes successfully, and nothing for the trigger. A Zap that waits for Task Event: Merge PDF and then runs Compress PDF costs one task each time a merge finishes. Add Add Page Numbers after it and each run costs two. An action that fails, for example Unlock PDF with a wrong password, is not counted against your plan. Watch the loop case: a trigger that feeds the same tool restarts the Zap on each result and can empty a monthly allowance quickly.
03Do iLovePDF triggers run in real time?
Yes. All 14 iLovePDF triggers are instant: iLovePDF tells Zapier the moment a job completes or fails, and the Zap starts right away, whatever your plan. The polling interval of the free plan, 15 minutes, applies only to triggers that Zapier has to check on a timer, and this app has none. In the editor, a Zap built on an instant trigger shows a lightning bolt. Keep in mind that the trigger reports on processing jobs, not on every file you upload to iLovePDF.
04What does it take to connect iLovePDF to Zapier?
An iLovePDF account and a Zapier account, nothing else. From the Apps page in Zapier, click + Add connection, search for iLovePDF, then sign in to iLovePDF in the tab that opens and grant access. The connection is made once and reused by every Zap. Before building, check that the files you plan to process are reachable: actions want a file from an earlier step or a public link that opens the PDF directly, and files owned by someone else need read access.
05Why does HTML to PDF fail on some pages?
Because heavy pages take too long. The field description of HTML to PDF says it plainly: iLovePDF recommends small or less complex pages, and on heavy ones its processing can outlast what Zapier waits for, which ends in a time-out error. Simple pages convert fine. If you rely on this action, build a second Zap on Task Event: HTML to PDF set to Task Failed, so a page that did not come through reaches you instead of disappearing quietly.
06What if the iLovePDF operation you need is not available?
Then it is not available through Zapier for now. Zapier lists 33 visible operations for iLovePDF: 14 triggers and 19 actions, and no search. iLovePDF has more tools than that on its own site, but only these 33 can be placed in a Zap. Check the exact operation names in the editor before planning a workflow around a tool. If the missing piece is central, compare with how the same app is covered on other automation platforms before committing.
07Zapier, Make or n8n for iLovePDF?
It depends on your criteria, not on a single winner. On Zapier, the iLovePDF triggers are all instant, the app is not premium, and setup is a three-step connection, which suits a team that wants results without technical work. The constraint is the free plan's two-step limit, which bites quickly because useful PDF chains have several actions. On Make or n8n, check which iLovePDF operations each one actually exposes and how it bills a multi-step run, then compare on your own volume.
