What the GPT Chatbot Zapier integration actually does

GPT Chatbot lets you build your own AI chatbots and put them on your website or social channels. Linking it to Zapier means two things. Every form a visitor submits inside a chat can start an automation elsewhere. And any other app can put a question to one of your bots and get its answer back.

Three results people usually build with it:

A lead that lands where your team works. Form Submission fires when someone fills in the form inside your chat. The next step drops that entry into your CRM, a sheet or a team channel, so nobody copies details from the chatbot by hand.

An answer drafted by your own bot. Send Message sends a question to a chosen chatbot and brings the reply back into the Zap. A new support email, a ticket or a row in a sheet can become a question, and the reply can go wherever the next step writes.

A short chain between the two. A form sent in one chat can be passed to a second bot as a question (say, to sort the request), and the reply goes on to the next app. That is three steps, so it needs a paid plan.

What Zapier does not do here: there is no search step for this app, so a Zap cannot look up an old conversation or an existing chatbot. There is also no action that edits a bot, its training or its form. The trigger only covers form submissions, not every message typed in a chat. If you need any of that, it stays inside GPT Chatbot itself.

The trigger costs nothing, however many forms arrive. Each action that succeeds counts as one task, and a failed action is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stays at two steps: one trigger, one action. Add a filter or a second action and the Zap becomes multi-step, which needs a paid plan. The polling grid (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) does not touch this app: its only trigger is instant.

    Open your connections

    In Zapier, go to the Apps page of your account and click + Add connection. You only do this once: every Zap that uses GPT Chatbot afterwards reuses the same link.

    Find GPT Chatbot

    Type GPT Chatbot in the search box of the dialog, pick it from the list, then click Add connection. You need an existing GPT Chatbot account for the next step to work.

    Sign in and allow access

    Sign in to GPT Chatbot in the tab that opens and grant Zapier access to the account. If a bot belongs to someone else, make sure your account can reach it, or the Zap will not see it.

    Start a new Zap and pick GPT Chatbot as the starting app, with Form Submission as the event. Choose the connection you set up earlier.

Zapier links no help article to GPT Chatbot, and no limit specific to the app is documented. What breaks is what breaks on every Zap.

  • Old forms are never picked up

    A Zap only reacts to what happens after you publish it. Forms sent before that stay in GPT Chatbot, and moving that backlog is a separate job.
  • A Zap that keeps restarting itself

    If the last step writes into the very place the trigger watches, the Zap sets itself off again and again, and the task count drains fast.
  • A sudden wave held back

    When a trigger returns a huge batch at once, after an import for example, Zapier's flood protection can hold those runs back instead of firing them all.
  • The free plan stops at two steps

    The free plan builds two-step Zaps only. A filter or a second action makes the Zap multi-step, and that needs a paid plan before you can publish.

01Is the GPT Chatbot Zapier integration free?
Yes, as long as you stay within the free plan's limits. GPT Chatbot is not a premium app, so it is available without paying. The free plan gives you 100 tasks a month and as many Zaps as you like, but each Zap is limited to two steps: one trigger and one action. A Zap that posts every chatbot form to a sheet fits. A Zap that adds a filter or a second action does not, and needs a paid plan. Check your plan before building something longer.
02How many tasks does a GPT Chatbot Zap use?
One task per action that succeeds, and nothing else. The Form Submission trigger never costs a task, however many forms arrive. If your Zap has one action, each form handled costs one task. With three actions, each form costs three. An action that fails is not counted. On the free plan's 100 tasks, a two-step Zap can handle around a hundred forms a month before you hit the ceiling. Volume is what decides your plan here, not how often Zapier checks.
03Does it run in real time?
Yes, for the trigger. Form Submission is an instant trigger: GPT Chatbot tells Zapier the moment a form is sent, and the Zap starts right away whatever your plan. The polling intervals you may have read about, 15 minutes on the free plan for example, apply to triggers Zapier checks on a timer, and this app has none. In the editor, a Zap built on an instant trigger shows a lightning bolt.
04What does it take to connect a GPT Chatbot account?
An active GPT Chatbot account and a Zapier account, nothing more for the connection itself. You add it from the Apps page with + Add connection, sign in to GPT Chatbot and grant access. To build a Zap, keep the Chatbot UUID of the bot you want to use at hand: both the trigger and the action require it. If the bot belongs to a teammate, make sure your account can reach it before you start, or the steps will not find it.
05Why does a Zap skip some chatbot forms?
Usually because the Zap watches one bot only. The Form Submission trigger is tied to the Chatbot UUID you enter, so forms sent through your other bots never reach it. Each bot with a form needs its own Zap. The second common cause is timing: forms sent before you published the Zap are not picked up, because a Zap only reacts to what happens after it is switched on. A filter whose rule type does not match the value, a text rule on a number for example, never passes either.
06What if the GPT Chatbot operation you want does not exist?
Then Zapier cannot do it for this app today, and no setting will unlock it. The integration has one trigger and one action, with no search step. Editing a bot, reading past conversations or reacting to every chat message are not on the list. You can still handle the part that exists in Zapier, then finish the rest inside GPT Chatbot. Another route is to check whether the other tool you use offers the missing piece on its own side.
07Zapier, Make or n8n for GPT Chatbot?
It depends on your criteria, not on a winner. On Zapier, the facts that count are these. The only trigger is instant, so speed is the same on every plan.
