What the Microspace Zapier integration does for you

It connects your Microspace shared spaces, and what your contacts do in them, to the rest of your tools. A visit, a comment or a file dropped in a microspace starts an automation elsewhere, and your other apps can in turn create contacts and microspaces in Microspace for you.

Three results come out of this pairing more than any other. A follow-up at the right moment: First Visit to a Microspace fires when a contact opens a microspace for the first time, so the next step can alert whoever owns that relationship. Files that land where you store them: New File Uploaded starts the Zap when a contact uploads a file, and the next step copies it to your storage. A contact list that stays in step with your other tools: Create/Update Contact writes or refreshes a contact from an email, and Share Microspace then opens a space to that person.

Worth knowing before you build: three of the eight triggers are instant, First Visit to a Microspace, Microspace Shared With Contact and New File Uploaded. They react at once, even on the free plan. The five others, from New Contact to New Comment, wait for the check interval of your plan.

The free plan gives 100 tasks a month and unlimited Zaps, each capped at two steps: one trigger, one action. Add a filter or a second action and the Zap turns multi-step, which needs a paid plan. Microspace is not a premium app, so it works from the free plan.     Open Apps and add a connection

    In your Zapier account, open the Apps page and click + Add connection. A connection is your account of an app linked to Zapier once, then reused by every step that uses Microspace.

    Pick Microspace and confirm

    Type Microspace in the search box of the dialog, select it, then click Add connection. A new tab then opens where you sign in to your Microspace account.

    Sign in and grant access

    Sign in and grant Zapier access to the account. You need an account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch.

First Zap

Your first Zap: contact uploads saved to your storage

    Create a Zap, pick Microspace and the New File Uploaded event, then choose the Organization, which is required. This trigger is instant, so the Zap starts as soon as an upload happens.

    Test the trigger

    Run the test. Zapier brings back the three most recent items of the connected account, so you map the next steps on a real upload rather than a blank.

    Add the filter

    Add a Filter step from the plus icon and fill its three boxes: the field to look at, the rule, the value to compare with. Use a text rule on text and a number rule on numbers.

    Add your file storage app as the action, pick its upload event and map the file from the trigger. Check at test which file fields the trigger actually returns.

Microspace and Zapier: your questions

01Is the Microspace Zapier integration free?
Yes, you can start on the free plan. Microspace is not a premium app, so it runs without a paid Zapier plan. The free plan gives you 100 tasks a month and an unlimited number of Zaps, but each Zap stops at two steps: one trigger and one action. A Zap that copies each uploaded file to your storage fits in that. Add a filter or a second action, for instance sharing a microspace after creating a contact, and the Zap becomes multi-step, which needs a paid plan.
02How many tasks does a Microspace Zap use?
One task for each action that completes. The trigger itself never costs anything, and neither do the checks Zapier runs on the five polling triggers. In a Zap with several actions, each successful one counts on its own: Create Contact followed by Share Microspace costs two tasks per run. An action that does not go through is not counted. Triggers like New Visit start on every visit, so estimate your runs before you plug an action behind them.
03Is Microspace on Zapier real time?
Three of the eight triggers are. First Visit to a Microspace, Microspace Shared With Contact and New File Uploaded are instant: Microspace tells Zapier the moment the event happens, and the Zap starts right away on any plan. The other five, such as New Comment and New Visit, are polling triggers: Zapier checks at an interval set by your plan, 15 minutes on Free, 2 on Professional, 1 on Team and Enterprise. If speed matters, build on an instant trigger.
04What do you need to connect Microspace to Zapier?
An account on the app, plus read or write access on anything you do not own yourself and want the Zap to touch. The connection starts from the Apps page of your Zapier account with + Add connection: you pick Microspace, sign in in the tab that opens and grant Zapier access. Many steps then ask for an Organization, so connect the account that belongs to the organization your Zaps should work in.
05Why does Update Contact ask for a Contact Id?
Because it changes one specific contact, and Microspace identifies it by its ID, a required field of the action. The catch is that Microspace has no search step on Zapier, so no step can look the contact up by email for you. The ID has to come from the trigger, for instance Contact Recently Created or Updated, or from an earlier action. Check at test that the field is there. If you only have an email, Create/Update Contact may be the better fit.
06What if the operation you need is not in the list?
Start with the app's page on Zapier, which shows the current list of triggers and actions for Microspace. If what you miss is a lookup, there is none today: the values a step needs must come from the trigger or an earlier step. If you miss an event, check whether one of the eight triggers comes close, such as New Visit instead of First Visit to a Microspace. Anything beyond that will need another tool or another connection.
