It lets HappyFox Chat start automations in other apps. A Zap (the automation you build on Zapier, one starting event followed by one or more steps) listens for three moments in your live chat and hands each one to the tool of your choice. HappyFox Chat only starts things here: Zapier cannot write anything back into it.

Three results come up again and again once it runs. First, a missed-chat alert: New Missed Chat fires when no agent picks up, and the next step pings your team so a visitor who waited for nothing gets a follow-up. Second, an after-hours inbox that never sleeps: New Offline Message catches what visitors leave while every agent is offline and turns it into a ticket, a row or an email. Third, a log of every finished conversation: Finished Chat fires when a chat ends, which suits a spreadsheet or a CRM note.

Now the limits, because they shape everything. There are no actions on this app, so Zapier cannot open a chat, send a reply or change an agent's status in HappyFox Chat. There are no searches either: a Zap cannot look up an old conversation. And the three triggers only see events that happen after the Zap is switched on (more on that below).

The trigger never uses a task. Only the action that follows does, and only when it succeeds; a failed action is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger, one action. Add a filter or a second action and it becomes a multi-step Zap, which needs a paid plan. The polling grid (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) does not touch you here, since every trigger of this app is instant.

  • A loop that eats your tasks

    If a Zap writes back into the place its own trigger watches, it sets itself off again and again. With HappyFox Chat as a trigger only, keep the action in another app.
  • A sudden flood gets held back

The catch is size: on Free, each Zap holds one trigger and one action, nothing more. As soon as you add a filter, a second action or a search, the Zap becomes multi-step and needs a paid plan. For a simple alert on missed chats sent to one other app, the free plan is enough.
02How many tasks does a HappyFox Chat Zap use?
The trigger itself uses none. A task is counted only when an action after it completes successfully, and an action that fails is not billed. So a two-step Zap that posts every missed chat to a channel costs one task per missed chat. A Zap with three actions costs three tasks each time it runs. The thing to watch is volume: Finished Chat fires on every closed conversation, so on a busy widget it can go through 100 tasks faster than you expect.
