What the GetAccept Zapier integration does for a sales team

GetAccept is where sales teams build proposals and contracts, send them, follow what the buyer does with them and collect e-signatures. Plugged into Zapier, it reports each step of a document's life and lets Zapier create, send, seal, extend or download documents without a rep clicking through the app.

Three results worth building. A signed-contract pipeline: Document Signed fires once every signing party has signed, Download Document pulls the PDF and Archive Document files it in the contract management module. Proposals that go out on their own: Create Document From Template fills a template's fields and sends it for signing, so a quote no longer waits for a rep to copy numbers by hand. A buyer-intent alert: Document Viewed tells you the first time a recipient opens a proposal, and Update Document Expiration can give a hesitant buyer more time.

What Zapier does not do with GetAccept: there is no action to sign, reject, comment on or delete a document, and no trigger for a document about to expire. Every trigger is about a document; contacts only appear on the action side, with Create Contact.

The trigger never costs a task, and an action that fails is not billed. Every successful action counts on its own: the signed-contract Zap below downloads then archives, so it spends two tasks per signed deal. The free plan caps a Zap at two steps, one trigger and one action. A second action, a filter or a search step makes it a multi-step Zap that needs a paid plan. The interval grid only applies to polling triggers, and GetAccept has none.

    In your Zapier account, open Apps and click + Add connection. A connection is your GetAccept account linked to Zapier once, then reused by every step that uses GetAccept.

    Search for GetAccept in the dialog, select it and click Add connection. You need an existing GetAccept account, and access to the documents and templates your teammates own if the Zap must touch them.

First Zap

Your first Zap: file every signed contract

GoalWhen all parties have signed, the Zap downloads the signed PDF and uploads it to GetAccept's archive with its signing date.

    Build: set the trigger

    Start a new Zap, pick GetAccept and the Document Signed event, then your connection. Choose whether it covers documents sent by you or by any user in the entity.

    Run the test. Zapier brings back the three most recent signed documents of the account, so you map the next steps on a real contract. Check that its Document ID is among the values that came back.

    Download the PDF

    Add Download Document, map the Document ID and enable Download File, so the signed PDF travels as a file. Otherwise you get a link that only works for 10 minutes.

    Archive it

    Add Archive Document, then fill its two required fields, the document name and the signing date, from the trigger test if it shows them. Two actions make this a multi-step Zap, so it needs a paid plan.

When to use it

it makes the Zap multi-step, so a paid plan is required.

Get Document Recipients

Finds who a document was sent to, from its Document ID. Useful when the trigger tells you what happened but you also need the people involved.

When to use it
checking the recipients of a rejected proposal before reaching out.
Watch out
with several recipients, the default keeps only the first; switch the setting if you need them all.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps after it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    This box turns a search into a find-or-create. Neither GetAccept search offers it, so it will not appear here.
  3. If multiple search results are found?
    Keep the first match (the default), stop the Zap, or pass every match on at once.
When it breaks

When it breaks

Zapier ties no help article to GetAccept, so the known failure points are Zapier's general limits. They bite on document flows all the same.

  • No backfill

    A Zap only reacts to documents that move after you publish it. Contracts already signed or proposals already sent are never picked up.
  • A Zap that triggers itself

    Creating documents from a Zap that listens to New Document sets it off again and again, and burns your task count fast.
  • A burst after a bulk send

    Sending a large batch of documents at once can return a huge burst on Document Sent, which Zapier's flood protection may hold back.
  • No Document ID to map

    Seal, Download and Update Document Expiration all need a Document ID. If no earlier step carries it, the action has nothing to act on.

01Is the GetAccept Zapier integration free?
On Zapier's side, yes: GetAccept is not a premium app, so it runs on the free plan. That plan gives you 100 tasks per month and unlimited Zaps, but each Zap stops at two steps, one trigger and one action. A Zap that downloads and then archives a signed contract has two actions, so it needs a paid plan. A single-action Zap, such as setting an expiration date on every sent document, fits on the free plan.
02How many tasks does a GetAccept Zap use?
One task per successful action, and nothing for the trigger. If every signed contract is downloaded and archived, that is two tasks per contract. A failed action is not counted, and a few apps and actions take more than one task when they complete. The 7 triggers themselves are free however often they fire, so the bill depends on how many actions you chain behind each document event, not on how many documents you track.
03Do GetAccept triggers fire in real time?
Yes. All 7 GetAccept triggers are instant: GetAccept tells Zapier the moment a document is created, sent, viewed, reviewed, commented, rejected or signed, and the Zap starts right away whatever your plan. On the free plan that matters, because polling triggers on other apps are only checked every 15 minutes. Here that interval does not apply. In the editor, a Zap built on one of these triggers shows a lightning bolt.
04What does it take to connect a GetAccept account?
A GetAccept account, plus read or write access to any documents and templates you do not own yourself and want the Zap to touch. From the Apps page of Zapier, click + Add connection, search GetAccept, click Add connection, sign in and grant access. On the triggers, the Created By or Sent By setting then decides whether the Zap follows only your documents or every user's in the entity, so pick it deliberately.
05Why does Download Document return a link that stops working?
Because Download File was left off. In that case GetAccept hands back a file URL that is only available for 10 minutes, so any step that tries to use it later finds nothing. Turn Download File on and the response includes the signed PDF itself as a file attachment, which the next step can upload or archive. Test the step once and check what came back before you add the action that stores the file.
06What if the operation you need is not on the list?
Then GetAccept on Zapier cannot do it with a ready-made step. The 9 actions cover creating, sending, sealing, uploading, archiving, downloading and changing expiration dates, and the 2 searches read fields and recipients. Signing, rejecting, deleting or commenting on a document are not available, and no trigger reports an expiring document. Compare with the same app on another automation tool, or ask whether a different trigger gets you close enough.
