What the Lancerkit Zapier integration does for a small business
The Lancerkit Zapier integration connects your Lancerkit account to the other tools you run the business with. Lancerkit can start a Zap when a new contact, document or transaction is created, and it can receive new contacts and documents created by a Zap. That makes it both a source and a destination.
Three results freelancers build with it. A money log: every New Transaction is copied into a spreadsheet your accountant can read, without exports. A contact sync: a lead captured by a form or a booking tool becomes a Lancerkit contact through Create Contact, so the client file starts complete. A document alert: each New Document posts a note in your team chat or your inbox, so nobody misses that a new file exists.
One thing to plan for: all three Lancerkit triggers are polling triggers. None of them is instant, so each waits for the check interval of your Zapier plan, which is 15 minutes on Free. That is fine for bookkeeping, less so for anything urgent.
What Zapier does not do here. Lancerkit has no search, so a Zap cannot look up an existing contact before creating one, and duplicates are your job to avoid. There is no update or delete action either: the integration creates and reports, it never edits. If you want to compare tools first, see our Make vs Zapier comparison and our Zapier review.
Zapier words in one minute
Eight Zapier terms appear on this page. Here they are, one plain line each.
- Zap
- The automation you build on Zapier: one starting event, then one or more steps that run every time that event happens.
- Trigger
- The event in an app that starts the Zap; once it is on, Zapier waits for it. Lancerkit offers three: contact, document, transaction.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you. Lancerkit has two creation actions.
- Task
- The unit Zapier bills. Each action that completes successfully is one task, and your plan is a monthly allowance of those.
- Polling trigger
- A trigger Zapier checks on a timer: it asks the app for new items at an interval set by your plan and keeps only what it has not seen.
- Instant trigger
- A trigger the app reports itself the moment the event happens, with no wait. Lancerkit has none of these on Zapier.
- Filter
- A step that lets the Zap go on only when the data meets your condition, and stops it otherwise. It makes the Zap multi-step.
- Connection
- Your Lancerkit account, linked to Zapier once and then reused by every trigger and action that touches Lancerkit.
What a Lancerkit Zap costs
Lancerkit is not a premium app, so it works on the free Zapier plan. Zapier counts tasks, and only a successful action is a task.
- Premium appNo, works on the free plan
- Free plan100 tasks a month, unlimited Zaps
- Lancerkit triggers3, all polling, never billed
- One contact or document created1 task when it succeeds
The three Lancerkit triggers cost nothing, and neither do the checks Zapier runs every interval to look for new items. You pay one task each time an action succeeds, whether it is Create Contact in Lancerkit or a row added elsewhere after New Transaction; a failed action is not counted. The free plan gives 100 tasks a month and unlimited Zaps, two steps each, with checks every 15 minutes. A filter, a second action or a search makes the Zap multi-step, which needs a paid plan.
Connect Lancerkit to Zapier
- 01
Open the Apps page
In your Zapier account, open the Apps page and click + Add connection. You need a Lancerkit account first, since Zapier only links an account that already exists.
- 02
Pick Lancerkit
Search for Lancerkit in the dialog, select it, and click Add connection. A new browser tab then opens on the Lancerkit side so you can identify yourself there.
- 03
Sign in and grant access
Sign in to Lancerkit in that tab and allow Zapier to use the account. The connection is saved once and reused by every Lancerkit trigger and action in your Zaps.
Your first Lancerkit Zap
GoalCopy every new Lancerkit transaction into a shared bookkeeping spreadsheet.
- 01
Create the Zap
Start a new Zap, choose Lancerkit as the app that begins it, and pick New Transaction as the event. Connect your account if Zapier asks for it.
- 02
Test the trigger
Run the trigger test. Zapier pulls the three most recent transactions of your account, so you can choose a real one and see which details it carries.
- 03
Add the spreadsheet step
Add an action in your spreadsheet app, select the bookkeeping sheet, and map the transaction details from Lancerkit into the matching columns.
- 04
Test the action
Run the action once and check that the row appears with the right values. Fix any mapping mistake now, while you only have one test row to clean up.
- 05
Publish
Click Publish to switch the Zap on. New transactions are picked up at each check of your plan. Transactions created before publishing are not copied.
Lancerkit triggers on Zapier
3 events start a Zap when something happens in Lancerkit. Zapier checks for them at the interval your plan allows.
New Contact
Polling triggerIn Zapier“Triggers when a new contact is created.”
Starts your Zap whenever a contact is added to Lancerkit, and passes that person's details to the next steps. It is the natural way to keep your mailing list, your CRM or your team informed that a new client or partner now exists in the business file.
New Document
Polling triggerIn Zapier“Triggers when a new document is created.”
Fires when a document is created in Lancerkit, handing what Zapier receives about it to the following steps. Use it as a heads-up or an archive feed, so the people who need to know about a new document hear of it without logging in to Lancerkit.
New Transaction
Polling triggerIn Zapier“Triggers when a new transaction is created.”
Reacts to each transaction recorded in Lancerkit and sends its details down the Zap. This is the trigger to build bookkeeping flows on, because it turns money movements into rows, alerts or notes in the tools your accountant or partner already reads.
Lancerkit actions on Zapier
Lancerkit gives you 2 actions. For each one: what it does for you, when to reach for it, and what to watch out for.
Operations index
Create Contact
ActionIn Zapier“Creates a Contact”
Adds a new contact to your Lancerkit account from data that arrived in an earlier step, so a lead or a client gets a proper record without you typing it in.
Create Document
ActionIn Zapier“Creates a Document”
Opens a new document in Lancerkit using details passed from the steps before it, which saves you starting from a blank page each time work comes in.
When a Lancerkit Zap breaks
Zapier links no help article to Lancerkit, and no app-specific limit is documented. The cases below are the general limits that hit Lancerkit Zaps, made concrete for its triggers and actions.
When something looks off, open the Zap history first: it lists every run and the step that stopped. See also our Zapier troubleshooting guide.
Contact loop
A Zap that starts on New Contact and ends with Create Contact creates a contact that starts the Zap again. It repeats until you stop it, burning tasks fast.No catch-up on history
A Zap only reacts to contacts, documents and transactions created after you publish it. Your existing records stay where they are; moving them is a separate job.Items arrive with a delay
All three triggers are polling, so a new item waits for the next check of your plan, up to 15 minutes on Free. Paid plans check more often.Bulk imports held back
Importing many contacts or transactions at once can return a huge batch on the next check. Zapier's flood protection may hold it rather than run the Zap for each one.
