Overview

What the LeadBridge Zapier integration does for you

LeadBridge helps service businesses keep track of their leads: quick replies, follow-ups and the conversation with each customer. Plugged into Zapier, it works both ways. It tells your other apps when a lead arrives, changes status or gets booked, and it lets other apps create, update or look up LeadBridge leads.

Three results you can build. A booking log: Lead Booked or Converted writes every job that lands on the books into your spreadsheet and pings the team, without anyone exporting anything. A pipeline mirror: Lead Status Changed moves each status change into the tool your team tracks work in, as it happens. A clean import: Find Lead checks whether a lead exists, then Create or Update Lead or Update Lead writes it, so leads coming from another app do not pile up as duplicates.

What Zapier does not do here. There is no delete: a Zap can create and update leads, never remove one. Find Lead brings back one lead at most, the most recent match, so it is not a way to list leads. Editing a lead's name, phone or notes does not count as a status change and starts nothing. And LeadBridge is marked as a beta app on Zapier, so its operations may still move.

Vocabulary

Zapier words in one minute

Eight words come back all over this page. Here they are once, in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event that starts the Zap, such as a new lead or a booking in LeadBridge. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you, like updating a lead.
Task
The unit Zapier bills: one action your Zap completes successfully. The number on your plan counts those.
Instant vs polling
An instant trigger is reported by the app the moment it happens. A polling one is checked by Zapier on a timer.
Filter
A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.
Search step
A step that looks up something that already exists in an app, so the steps that follow can use what it found.
Connection
Your LeadBridge account linked to Zapier once, then reused by every step and every Zap that needs it.
Cost

What it really costs you

LeadBridge is not a premium app, so it works from the free plan. Its three triggers never cost a task, and since all three are instant, the interval grid below does not slow them down on any plan.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • Triggers3 instant, 0 tasks
  • Find Lead then Update LeadMulti-step Zap, paid plan

Tasks go on actions: each successful Create or Update Lead, Update Lead or booking upsert counts once, and one that fails is not counted. The free plan gives 100 tasks a month and unlimited Zaps, two steps each. The usual pairing of Find Lead then Update Lead is already three steps, so it needs a paid plan, like any filter or second action. The grid only matters when the trigger comes from a polling app.

Connect

Connect LeadBridge to Zapier in 3 steps

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. You need a LeadBridge account, plus access to anything you do not own and want the Zap to touch.

  2. 02

    Find LeadBridge

Type LeadBridge in the search box of the dialog, select it, then click Add connection. A new tab opens on the LeadBridge side, where you sign in to your account.

  3. 03

    Sign in and allow access

Log in to LeadBridge in that tab and grant Zapier access to the account. The connection then shows on your Apps page, ready for every Zap that reads or writes LeadBridge leads.

First Zap

Your first LeadBridge Zap

GoalEvery LeadBridge booking lands as a row in your spreadsheet, then as a team message.

  1. 01

    Create the Zap

Start a new Zap in Zapier. You build it from the top: the app and event that start it, then the app and action that follow.

  2. 02

    Set the trigger

Pick LeadBridge and Lead Booked or Converted, then your connection. Test it: Zapier brings back the three most recent booked leads.

  3. 03

    Add the spreadsheet

Add your spreadsheet as the first action and map the booked lead's details into its columns, working from the real lead the test returned.

  4. 04

    Add the message

Add your messaging tool as a second action and write the alert with the lead's details. Two actions make this a multi-step Zap: paid plan.

  5. 05

    Test, then publish

Test each step once and read what came back before going any further. When the row and the message look right, click Publish.

Triggers

LeadBridge triggers

3 events start a Zap when something happens in LeadBridge, and 3 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Lead Booked or Converted

Instant trigger

In Zapier“Triggers when a lead enters booked, scheduled, in_progress, or completed — i.e. a service is on the books. Use this to update your accounting/scheduling system, notify a team channel when a sale closes, or fire any downstream booked-only automation.”

Starts the Zap when a lead reaches booked, scheduled, in progress or completed, in other words once a service is actually on the books, and hands that lead to the steps that follow.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when only real bookings should reach your accounting or scheduling tool, or announce a closed sale to the team.
Watch out
it covers four statuses at once, so add a filter (paid plan) if one of them should be left out.
2

Lead Status Changed

Instant trigger

In Zapier“Triggers when a LeadBridge lead's pipeline status changes (any transition — new → contacted, quoted → booked, etc.). Field-only edits (name/phone/notes) do NOT fire this trigger. Use "Lead Booked or Converted" if you only care about bookings/scheduling.”

Fires on any move of a lead through your LeadBridge pipeline, from new to contacted, from quoted to booked, and gives the next steps the lead with its fresh status.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when another tool has to mirror where every lead stands, not only the booked ones.
Watch out
editing a lead's name, phone or notes is not a status change and does not start the Zap.
3

New Lead

Instant trigger

In Zapier“Triggers when a new lead is created in LeadBridge — from any source (Thumbtack, Yelp, Angi, imported forms, or leads pushed in via other Zaps). Use this to notify a channel, add the lead to a spreadsheet, sync it to another CRM, or kick off any downstream automation.”

Runs each time a lead is created in LeadBridge, whatever its source: a lead platform, an imported form, or another Zap that pushed it in.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when every new lead should be copied to a sheet, announced to a channel or synced to another tool.
Watch out
leads created by your own Zaps fire it too, so a Zap that creates leads here can set itself off.
Actions

LeadBridge actions

LeadBridge gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create or Update Lead

Action

In Zapier“Create a lead in LeadBridge. If a lead with the same source and externalId already exists, it is updated in place (safe for retries).”

Creates a lead in LeadBridge, or updates it in place when a lead with the same source and External ID already exists, which makes retries safe.

When to use it
when leads arrive from another system that gives each one a stable ID.
Watch out
the External ID is required; a value that changes between runs creates a new lead every time.
2

Update Lead

Action

In Zapier“Update fields on an existing LeadBridge lead by ID.”

Changes the fields of an existing LeadBridge lead, picked by its Lead ID.

When to use it
when another app learns something new about a lead you already have, and LeadBridge should reflect it.
Watch out
the Lead ID is required and usually comes from a Find Lead step placed just before.
3

Upsert BookingKoala Booking (Calendar Mirror)

Action

In Zapier“Upserts a BookingKoala booking into LeadBridge's calendar mirror. One row per (tenant, BK booking id) — reschedules, provider changes, and cancellations all funnel through here. Set up ONE Zap per BK trigger (New / Updated / Completed / Cancelled / Deleted) and change the Event Type accordingly.”

Copies a BookingKoala booking into the LeadBridge calendar mirror, one row per booking, so reschedules, provider changes and cancellations all land in the same place.

When to use it
when your bookings live in BookingKoala and LeadBridge should show the same calendar.
Watch out
build one Zap per BookingKoala trigger and set the Event Type to match each one.
Searches

The LeadBridge search

1 search step looks for data that already exists in LeadBridge, so a later step can use it.

A search step fetches something that already exists, here a LeadBridge lead, so later steps can use it. In the editor, searches sit at the bottom of the Action event list, under the SEARCH heading. Three settings decide what happens when the result is not one clean match.

1

Find Lead

Search

In Zapier“Look up a LeadBridge lead by phone, email, or source+externalId. Returns at most one match (most recent). Pair with Create or Update Lead for a safe upsert flow.”

Looks up a LeadBridge lead by phone, by email, or by source plus External ID, and returns at most one match, the most recent.

When to use it
just before Update Lead, to get the Lead ID it needs, or before Create or Update Lead for a safe import.
Watch out
when two leads share a phone or an email, only the most recent one comes back.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nothing stops the Zap and the steps that needed it are skipped. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
Ticking it turns a search into a find-or-create. LeadBridge offers no such variant on Zapier: pair Find Lead with Create or Update Lead instead.
  3. If multiple search results are found?
Three ways out when several items match: keep the first, the default, stop the Zap, or hand them all on. Find Lead only ever returns one lead.
When it breaks

When the LeadBridge Zap breaks

Zapier links no help article to LeadBridge and documents no app-specific limit. What goes wrong comes from Zapier's general rules, and with triggers and actions on the same leads, loops are the first risk.

Four cases to know before you rely on a LeadBridge Zap. If one of them hits you, see our Zapier troubleshooting guide.

  • A loop between New Lead and Create

New Lead also fires for leads pushed in by other Zaps. A Zap that creates a lead in LeadBridge from New Lead sets itself off again and again and burns your tasks.
  • A status loop with Update Lead

If a Zap started by Lead Status Changed updates the status of that same lead, it writes where its own trigger watches and keeps firing.
  • Find Lead finds nothing

By default an empty search stops the Zap, so Update Lead never runs. Switch on the no-result setting only if the Zap should carry on.
  • Older leads never come through

A Zap only reacts to what happens after it is switched on. Leads and bookings from before are not picked up, so the history needs its own transfer.

FAQ

LeadBridge Zapier integration: the questions people ask

01Is the LeadBridge Zapier integration free?
Yes, on the free plan. LeadBridge is not a premium app, so a two-step Zap runs without paying: one of the three triggers followed by one action, or a trigger from another app followed by a LeadBridge action. The free plan gives 100 tasks a month and unlimited Zaps. The limit is the shape: one trigger and one action. Find Lead before Update Lead, a filter or a second action make it multi-step, which needs a paid plan.
02How many tasks does a LeadBridge Zap use?
One per successful action. The three LeadBridge triggers cost nothing, so a Zap that logs every booking in a sheet uses one task per booking. Each Create or Update Lead, Update Lead or booking upsert that goes through counts once. A Zap with three actions uses three tasks per run. An action that fails is not counted. Watch the loops, though: a Zap that keeps setting itself off spends tasks on every turn.
03Are the LeadBridge triggers real time?
Yes, all three. New Lead, Lead Status Changed and Lead Booked or Converted are instant triggers: the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan. The plan interval grid, every 15 minutes on Free, does not apply to them. A Zap built on one of them shows a lightning bolt in the editor. The type comes from LeadBridge and cannot be changed.
04What does it take to connect LeadBridge to Zapier?
A LeadBridge account you can sign in to, and a Zapier account. Open the Apps page, click + Add connection, search LeadBridge and click Add connection, then sign in in the tab that opens and grant access. The connection is then reused by every Zap. Two actions need IDs: Update Lead wants the Lead ID, usually from Find Lead, and Create or Update Lead wants a stable External ID from the source system.
05Why does Lead Status Changed not fire when a lead is edited?
Because it only watches the pipeline status. Moving a lead from new to contacted, or from quoted to booked, starts the Zap right away. Editing the lead's name, phone number or notes does not, since those are field edits, not status changes. If you only care about leads that end up booked, scheduled, in progress or completed, Lead Booked or Converted is the narrower trigger to use. Pick the one that matches your need.
06What if the LeadBridge operation you need is not on Zapier?
Then Zapier cannot do it for LeadBridge today. The app offers three triggers, three actions and one search: there is no way to delete a lead, and Find Lead returns a single match, so it cannot list leads. What you can do is create, update and look up leads, mirror bookings, and react to new leads, status changes and bookings. Since LeadBridge is in beta on Zapier, check the app page now and then.
07Zapier, Make or n8n for LeadBridge?
It depends on your criteria, not on a ranking. On Zapier, LeadBridge gives three instant triggers, three actions and one search, and works on the free plan for two-step Zaps. Look at how many steps your flow needs, since the Find Lead then Update Lead pairing already takes three and needs a paid Zapier plan, and at how you will guard against loops. Then compare the same points on the other tools.
