What the Leadfox Zapier integration does for your contacts
Leadfox is web software for managing leads, and the integration connects its contact base to your other apps without code. Leadfox tells Zapier when a contact is created or changed. Zapier, in turn, can create or update a contact, put a contact on a list, or find a contact by email.
Contacts that arrive from everywhere. Whatever app collects a lead, Create/Update Contact writes it into Leadfox by email. If the person is already there, the record is updated instead of duplicated.
Lists that fill themselves. New Contact followed by Add Contact to List files each newcomer on the right list the moment Leadfox records it, with no sorting by hand at the end of the week.
A copy of every change, outside Leadfox. Contact Modified fires whenever any detail of a contact changes, so a row in your spreadsheet can follow the record as it evolves.
What Zapier does not do here: there is no action to delete a contact or take one off a list, and the only search looks up a contact by email, nothing else. - Zap
- The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
- Trigger
- The event in an app that starts the Zap. Once the Zap is switched on, Zapier waits for that event and nothing else.
- Action
- What the Zap does after it starts: the step that writes, sends or moves something for you inside an app.
- Task
- The unit Zapier bills. One task is one action your Zap completes successfully, and your plan counts those.
- Polling vs instant
- A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app the moment the event happens.
- Filter
- A step that lets the Zap carry on only when what arrived meets the condition you set, and stops it otherwise.

- A step that looks up something already stored in an app, so the steps that follow can use what it found.

What a Leadfox Zap really costs
Leadfox is not a premium app, so it works from the free plan. The trigger never costs a task, and Zapier waiting for the next contact costs nothing either.

Each action that succeeds is one task: a Zap running Create/Update Contact then Add Contact to List uses two per run. A failed action is not counted. The free plan gives 100 tasks a month and stops at two steps, one trigger and one action. Add Find Contact, a filter or a second action and the Zap becomes multi-step, which needs a paid plan. The interval grid below applies to polling triggers only; both Leadfox triggers are instant, so it never slows them down.
Connect Leadfox to Zapier in three steps

Open your apps
In your Zapier account, go to the Apps page and click + Add connection. A search dialog opens. You need a Leadfox account, plus access to any contacts or lists you do not own and want the Zap to touch.

Pick Leadfox
Type Leadfox in the dialog, select it, then click Add connection. A new tab opens on the Leadfox side: the sign-in happens there, not inside the Zapier editor.

Sign in and allow access
Log in to Leadfox in that tab and grant Zapier access to the account. The connection then appears in your apps list, and every later Zap reuses it without asking you to sign in again.
Your first Leadfox Zap, step by step

Create the Zap
Start a new Zap and pick Leadfox as the app that starts it. Choose New Contact as the event, then select the connection you just added.

Test the trigger
Run the test: Zapier brings back the three most recent contacts of the account. Pick a real one, since every step after this is mapped on what it holds.

Add the filter
Click the plus icon and add Filter. In Configure & test, set the field to look at, the rule and the value to compare with. Use a text rule on text, or it never passes.

Add the action
Add Leadfox again and choose Add Contact to List. Pick the Client and the List, then map the contact from the trigger. Test the step once and read what came back.

Publish
Click Publish to switch the Zap on. The filter makes it a three-step Zap, so it needs a paid plan; remove the filter and it fits on the free plan.

Every contact created in Leadfox starts the Zap, with what was recorded for that person. It only reacts to creation: a contact that already exists and changes later belongs to the other trigger.
Contact Modified

Any change to any detail of an existing Leadfox contact sets this one off. That makes it broad: a corrected typo counts just as much as a real update, and each one starts a run.

Create/Update Contact

One step that covers both cases: the contact is created if the email is new, updated if Leadfox already knows it. Email is the one required field, and a Subscribed setting sits alongside it.
Add Contact to List

Files a contact on one of your Leadfox lists. It asks for the Client that owns the list, the ID of the contact and the List, all three required.
The Leadfox search, and what happens when it finds nothing
1 search step looks for data that already exists in Leadfox, so a later step can use it.
A search step reads Leadfox without changing anything. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Some action fields also offer + Add search step, which inserts the search just before and wires its result in for you. Three settings decide what happens next.
Find Contact

Looks a Leadfox contact up by email, its only required field, and hands the record to the steps after it. Nothing else can be searched on Zapier: no name, no list.
The three settings every search exposes
- Successful if no search results are found?On its default, a search that finds no contact stops the Zap there and skips the steps that relied on it. Switched on, the Zap carries on empty-handed.
- Create X if it doesn't exist yet?This box turns a search into a find-or-create. Leadfox offers no such variant on Zapier, so Find Contact only ever looks; Create/Update Contact handles creation.
- If multiple search results are found?Three ways out when several contacts match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When a Leadfox Zap breaks
Zapier attaches no help article to Leadfox and documents no rate limit for it. The failures are the general ones of Zapier, and one of them is very easy to trigger with this app.
None of these appear as an error inside Leadfox. You spot them in the Zap history, or in a task count that climbs much faster than your contact list. When the cause is not obvious, our Zapier troubleshooting page is the next stop.
