Overview

What the Bidsketch Zapier integration actually does

Bidsketch is a tool for writing and sending sales proposals. The Zapier integration follows each proposal through its life (created, sent, opened, accepted or declined) and lets a Zap create clients, fees and proposals for you, without writing any code.

Three results come up most. A follow-up that starts on its own: Proposal Viewed and Proposal Accepted or Declined tell you where a deal stands the moment the client acts. A client list that fills itself: Create Client adds a contact from a first name, a last name and an email. A proposal ready to edit: Create a Proposal opens a new one for a named client, and Create Fee adds a line to your fee library.

The good news for a free plan: every trigger here is instant. Bidsketch calls Zapier as the event happens, so the 15-minute free-plan check never applies. That is rare enough to say plainly.

What Zapier does not do for Bidsketch: there is no search step, so a Zap cannot look up an existing client or proposal. The trigger itself never costs a task, so a proposal being viewed ten times costs nothing until an action runs. Each action that succeeds counts once: three actions in a Zap means three tasks per run. A failed action is not counted. The free plan gives you 100 tasks a month and unlimited Zaps, limited to two steps. Add a filter, for instance to keep only declined proposals, and the Zap needs a paid plan.

    Open the Apps page

    In your Zapier account, go to Apps and click + Add connection. A connection is your Bidsketch account linked once, then reused by every step that touches Bidsketch.

    Find Bidsketch

    Type Bidsketch in the search box of the dialog, select it, then click Add connection. You need an existing Bidsketch account, with access to any proposals you do not own yourself.

    Sign in and grant access

    Sign in to Bidsketch in the tab that opens and grant Zapier access to the account. Every Bidsketch step in your Zaps can then reuse that same connection.

First Zap

Your first Zap: a heads-up on each new draft worth reviewing

    Build: pick the trigger

    Create a Zap, choose Bidsketch, then New Proposal. It fires on the first save of a proposal, while it is still a draft, so the review happens before any send.

    Test the trigger

    Run the test. Zapier brings back the three most recent items of the connected account, so you build the rest on a real proposal, not a blank sample.

    Add the filter

    Add a Filter step from the plus icon: pick a field that is already filled at the first save, such as the proposal name, a text rule, and your value. This makes it a multi-step Zap, on a paid plan.

    Add the message, then publish

    Add your chat tool as the action and map the proposal details into the message. Test the step, read what came back, then Publish to switch the Zap on.

When it breaks

When a Bidsketch Zap breaks

Zapier attaches no help article to Bidsketch and the source lists no limit specific to the app. What breaks is what breaks on any Zap.

  • Past proposals never come through

    A Zap only reacts to what happens after you switch it on. Proposals already sent or answered stay out of it; moving that history is a separate job.
  • A Zap that keeps setting itself off

    New Client feeding Create Client on the same account: the client you create is a new client, which fires the trigger again and drains your tasks.
  • A bulk import held back

    Import a large batch of clients at once and New Client suddenly sends a flood of events. Zapier's flood protection can hold that batch back.
  • Repeat views, repeat runs

    Proposal Viewed and Proposal Sent to Client fire on each view or send. The same proposal can run your Zap several times, each run billed per action.

Bidsketch Zapier integration: questions

01Is the Bidsketch Zapier integration free?
Yes. Bidsketch is not a premium app, so it works on the free Zapier plan. That plan gives you 100 tasks a month and unlimited Zaps, but each Zap stays at two steps: one trigger and one action. As soon as you add a filter, for example to keep only some proposals, or a second action, the Zap becomes multi-step and needs a paid plan. A simple two-step Zap, like New Client to another tool, stays free within the monthly allowance.
02How many tasks does a Bidsketch Zap use?
One task per action that succeeds, and nothing for the trigger. A Zap from New Proposal to one chat message costs one task per new proposal. Watch the triggers that repeat: Proposal Viewed fires on every view, so a client opening the proposal four times means four runs and four tasks per action. An action that fails is not counted. Count your expected events per month, multiply by the actions, and compare with your allowance.
03Is Bidsketch on Zapier real time?
Yes, for all five triggers. New Client, New Proposal, Proposal Sent to Client, Proposal Viewed and Proposal Accepted or Declined are instant: Bidsketch tells Zapier the moment the event happens, whatever your plan. The polling grid (15 minutes on Free, 2 on Professional, 1 on Team and Enterprise) does not apply to them. In the editor, a Zap built on an instant trigger shows a lightning bolt, which is how you can check it yourself.
04What do you need to connect Bidsketch to Zapier?
A Bidsketch account, plus access to any proposals and clients you do not own but want the Zap to touch. In Zapier, open Apps, click + Add connection, search for Bidsketch, then click Add connection. Sign in to Bidsketch in the tab that opens and grant Zapier access. That single connection is then reused by every Bidsketch step in your Zaps, so you set it up once per account and pick it from the list afterwards.
05Why does Create Fee fail on the fee type?
Because the Fee Type field only accepts five values: fixed, hourly, monthly, yearly or custom. If an earlier step sends anything else, such as a label in another language, the step will not go through. Set the type by hand in the step or map it from a field that already holds one of those five words. Remember also that the amount is a total for a fixed fee but a price per unit for a calculated one.
06What if the Bidsketch operation you need is not there?
Then the integration does not do it today. There is no search step, so a Zap cannot find an existing client or proposal, and no action updates, sends or deletes a proposal. The workable route is to start from a trigger that already carries the proposal or client, then act on it. If the gap blocks a real process, a Zapier agency can tell you whether another route covers it, and Bidsketch remains the place to send proposals by hand.
07Zapier, Make or n8n for Bidsketch?
It depends on your criteria, not on a ranking. On Zapier, Bidsketch gives you five instant triggers and three actions, billed per successful action, in an editor built for quick setups. The useful criteria are whether these eight operations cover your process, how many runs repeated views and sends will cost you in tasks, and which tool your team already uses. This page says nothing about how Make or n8n handle Bidsketch: check their own operation lists before you choose.
