What the LeadMetrics Zapier integration is for
It feeds LeadMetrics, and only that. LeadMetrics follows your lead campaigns, makes reporting simpler and puts the key figures on one dashboard. Zapier, the automation service, takes events from another app and writes them into that dashboard as leads, deals, payments or custom metric values, so the reporting stays complete.
Three results come from the six operations. A lead list that fills itself: Create Lead adds each new contact, or updates it if it already exists. Revenue that shows up in the reports: Create Deal and Create Payment record the money side of each lead. A figure of your own on the dashboard: Add Custom Metric Value pushes a number into a metric you defined.
Here is what Zapier does not do. There is no trigger at all, so LeadMetrics can never start a Zap: nothing that happens inside LeadMetrics can be sent out to another tool. Every Zap begins in another app and ends in LeadMetrics. There is also no action to delete or edit a deal or a payment once it has been created.
Adding a filter or a search to a Zap makes it multi-step, and a multi-step Zap needs a paid Zapier plan. Since the first step always comes from another app, how fast a Zap runs depends on that app's trigger, not on LeadMetrics. - Zap
- The automation you build in Zapier: one trigger, then one or more actions that run every time the trigger event happens.
- Trigger
- The event that starts the Zap. LeadMetrics has none, so here it always comes from another app you connect.
- Action
- What the Zap does once started: the step that writes, sends or moves something, like creating a lead in LeadMetrics.
- Task
- The unit Zapier bills: one action completed successfully. Your plan's allowance is a count of tasks.
- Polling vs instant
- A polling trigger is checked on a timer; an instant one is reported by the app as it happens. It depends on the starting app.
- Filter
- A step that lets the Zap continue only if what arrived meets your condition, and stops it otherwise.
- Search step
- A step that looks up something that already exists in an app, so the steps after it can use what it found.
- Connection
- Your LeadMetrics account linked to Zapier once, then reused by every step that writes to LeadMetrics.

The trigger, from your other app, never uses a task. Each LeadMetrics action that succeeds counts as one task, and a failed one is not counted. The free plan gives 100 tasks a month and two-step Zaps: one trigger, one action. So a free Zap can do exactly one LeadMetrics action. Adding a second action, a filter, or Find Lead turns it into a multi-step Zap, which needs a paid plan. None of this depends on LeadMetrics.
Connect LeadMetrics to Zapier in 3 steps

Open your connections
Start with a LeadMetrics account that can write to the dashboards you want to fill. In Zapier, open the Apps page of your account and click + Add connection.

Pick LeadMetrics
In the dialog, type LeadMetrics in the search box and select it, then click Add connection. A new tab opens on the LeadMetrics side so you can sign in.

Sign in and allow access
Sign in to LeadMetrics in that tab and grant Zapier access to the account. The connection appears on your Apps page, and every LeadMetrics step can reuse it.
Your first Zap: each new contact becomes a LeadMetrics lead

Set the trigger in the other app
Create a Zap and pick the app where your contacts arrive, with its event for a new item. LeadMetrics has no trigger, so the Zap always starts elsewhere.

Test the trigger
Run the test so Zapier brings back the three most recent items from that app. You will map the LeadMetrics fields on a real contact, not on a guess.

Add a filter if needed
From the plus icon, add a Filter step and set the field, the rule and the value. A filter makes the Zap multi-step, so it needs a paid plan.

Add Create Lead
Add LeadMetrics with the Create Lead action, choose the Dashboard, map the contact's fields, then test this step once and read what came back.

Publish
Click Publish to switch the Zap on. From then on, each new item in the first app lands in LeadMetrics, at the pace of that app's trigger.

The LeadMetrics search
1 search step looks for data that already exists in LeadMetrics, so a later step can use it.
Searches sit at the bottom of the action list in the editor, under the SEARCH heading. Three settings decide what happens when the result is not the expected one.
Find Lead

Looks up a lead already stored in LeadMetrics from the properties you give it, and hands it to the following steps.
The three settings every search exposes
- Successful if no search results are found?Left on its default, a search that finds nothing stops the Zap and skips the steps that relied on it. Switched on, the Zap continues without a result.
- Create X if it doesn't exist yet?Ticking this box turns a search into a find-or-create. LeadMetrics offers no such variant for Find Lead, so this route does not exist here.
- If multiple search results are found?Three ways out when several leads match: keep the first one, which is the default, stop the Zap, or pass all of them on at once.
When it breaks
Zapier links no help article to LeadMetrics, and no limit specific to the app is documented. What goes wrong comes from the general behavior of Zapier.

Past data never reaches the dashboard
A Zap only reacts to what happens after it is switched on. Older contacts or payments in the starting app are not sent, and moving that backlog is a separate job.A sudden flood gets held back
