What the LeadWinner.AI Zapier integration does for you

LeadWinner.AI answers incoming leads for home-service businesses with an AI. Plugged into Zapier, it can feed every lead event to your other tools and take orders back, without code. You build a Zap (an automation: one starting event, then the steps that follow) and it runs on each new event.

Three results come up again and again. A live log of every lead: New Lead passes the contact and job details from Yelp, Thumbtack, Google Local Services Ads or another connected source the moment they land. A human takeover on demand: Pause AI silences the auto-responder on one lead, Send Reply posts your own message in that lead's conversation, and Resume AI hands it back. Bark leads in the same pipeline: Send Bark Lead to LeadWinner turns a purchased Bark into a LeadWinner lead the AI can text.

What Zapier does not do here matters just as much. There is no action to edit or delete a lead. Find Lead returns basic details only, never the messages. Some platform messages arrive without their text: New Inbound Message carries the words of an SMS reply, not those of a Yelp, Thumbtack or Google message. And nothing that happened before you switch a Zap on is picked up.

Connect your LeadWinner.AI account in three steps

    Open the Apps page

    In Zapier, go to Apps and click + Add connection. You need a LeadWinner.AI account, plus access to any business on it that you do not own yourself and want the Zap to touch.

    Pick LeadWinner.AI

    Search for LeadWinner.AI in the dialog, select it and click Add connection. A new tab opens on the LeadWinner.AI side so you can sign in to your account there.

Search

The three settings every search exposes

  1. Successful if no search results are found?
    Left as is, a search that finds nothing stops the Zap there and skips the dependent steps. Switched on, the Zap goes on without a result.
  2. Create X if it doesn't exist yet?
    This box turns a search into find-or-create on apps that offer it. LeadWinner.AI offers no such variant, so Find Lead never creates a lead.
  3. If multiple search results are found?
    Three choices when several leads match: keep the first one, the default, stop the Zap, or pass all of them on at once.
When it breaks

When a LeadWinner.AI Zap breaks

Zapier links no help article to LeadWinner.AI and no rate limit is documented for it. The failures below come from the app's own rules and from how Zapier works.

Six cases account for most surprises. Read them before you publish; if a Zap still misbehaves, see our Zapier troubleshooting guide.

  • Older leads never show up

    A Zap only reacts to events after it is published. Leads that were already in LeadWinner.AI stay out; moving that backlog is a separate job.
  • A reply that never leaves

    Send Reply skips a message identical to one sent to the same lead in the last 48 hours. The step reports previously_sent instead of failing.
  • Phone Captured stays silent

    When the lead already arrived with its phone number, New Lead carries it and Phone Captured does not fire. Build on both if you need every number.
  • The AI ignores a Bark lead

    If Automated Contact Consent is false or empty, the lead is created for manual handling only and the AI never messages it.
  • A Zap that sets itself off

    A Zap that writes into what its own trigger watches starts itself again and again, and the task count drains fast.
  • A sudden flood is held back

    When a trigger sends a huge batch at once, after an import or a migration, Zapier's flood protection can hold those runs back.

Yes, for two-step Zaps. LeadWinner.AI is not a premium app, so the free plan covers it, with 100 tasks a month and unlimited Zaps. 02How many tasks does a LeadWinner.AI Zap use?
One per action that succeeds, and none for the trigger. All seven triggers are free to run, whatever the volume of leads, messages or calls. Each Pause AI, Resume AI, Send Reply or Bark import that goes through counts as one task. A Zap with two actions counts both, so it costs twice as much per run. An action that fails is not counted. Multiply your expected events by the number of actions to size your plan.
03Do LeadWinner.AI triggers work in real time?
Yes, all seven are instant. LeadWinner.AI notifies Zapier as soon as a lead, a message, a call, a text or a disconnection happens, and the Zap starts right away. The plan interval, 15 minutes on the free plan, does not apply to them. In the editor, these Zaps show a lightning bolt. For a free-plan user, that is the key point: speed does not depend on what you pay, at all.
04What do you need to connect LeadWinner.AI to Zapier?
A LeadWinner.AI account and a Zapier account. You open Apps in Zapier, click + Add connection, search for LeadWinner.AI and confirm with Add connection, then sign in to LeadWinner.AI in the new tab and grant access. If the Zap must act on businesses you do not own yourself, your account needs read or write access to them. For Bark imports, the business must also be connected as a Bark source on the LeadWinner Sources page.
05Why does the AI keep replying after Send Reply?
Because Send Reply does not always stop it. In most setups the AI treats your message as the business taking over and stops answering that lead, but the exact behaviour depends on your AI settings. To be certain, put Pause AI before Send Reply in the same Zap, with the same Lead ID. That adds a second action, so the Zap becomes multi-step and needs a paid plan. Resume AI hands the lead back later.
06What if the LeadWinner.AI operation you want is missing?
Then Zapier does not offer it today. The editor lists 7 triggers, 4 actions and 1 search for LeadWinner.AI, as read from the app page on 2026-10-06. There is no action to edit or delete a lead, and Find Lead does not return message content. No setting in the editor unlocks an operation that is not there. Either the flow is built around what exists, or another automation tool is worth checking for that specific need.
07Zapier, Make or n8n for LeadWinner.AI?
