Overview

What the LearningSuite Zapier integration actually does

LearningSuite is an e-learning platform: courses, members, groups, hubs and a community space. Zapier links it to your other tools in both directions. Events on the platform start automations elsewhere, and records from your other tools can create members, grant courses or post in the community.

Three results people build first. Access granted on its own: an event in another tool runs Create Member, then Add Courses to Member, and the learner gets in without anyone touching the admin zone. Rewards that follow results: Exam Graded fires when an exam is marked, and Add Community Badges to User hands out a badge. Learners who drift get a nudge: User Not Logged in for More Than X Days spots inactive members and Send Login Information mails them a fresh login link.

What Zapier does not do here. Nine triggers are polling ones, so on the free plan they can lag by up to 15 minutes. Most read operations (Get Members, Get Course Progress of Member and the like) sit among the actions, so they cost a task each time they succeed. Some actions need conditions on the LearningSuite side: a published course, a team member as author, or the LearningSuite mobile app for push notifications. And nothing that happened before the Zap went live is picked up.

Vocabulary

Zapier vocabulary in one minute

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is on, Zapier waits for that event to come in.
Action
What the Zap does once started: the step that writes, sends or changes something for you in an app.
Task
The unit Zapier bills: one action your Zap completes successfully. The allowance on your plan is counted in tasks.
Polling vs instant
A polling trigger is checked by Zapier on a fixed timer. An instant trigger is reported by the app the moment the event happens.
Filter
A step that lets the Zap go on only when the incoming data meets the condition you set, and stops it otherwise.
Search step
A step that looks up a record that already exists in an app, so later steps can reuse what it found.

The free plan gives 100 tasks a month and unlimited Zaps, each limited to two steps: one trigger and one action. A search, a filter or a second action makes the Zap multi-step, which needs a paid plan. Each successful action counts on its own, and with LearningSuite that includes the many Get actions that only read data. A failed action is not counted. The grid below sets how often Zapier checks the nine polling triggers; the nineteen instant ones fire straight away whatever your plan.

Connect LearningSuite to Zapier in three steps

    Open your connections

    In Zapier, open the Apps page of your account and click + Add connection. A connection is your LearningSuite account linked once and reused by every step that needs it.

    Pick LearningSuite

    Search for LearningSuite in the dialog, select it and click Add connection. A new tab opens on the LearningSuite side, which is where the sign-in happens.

    Sign in and grant access

    Log in to LearningSuite in that tab and let Zapier in. You need a LearningSuite account, plus rights on any course, group, hub or forum you do not own and want the Zap to touch.

First Zap

Your first Zap: hand out a badge when an exam is graded

GoalWhen an exam is graded, the member receives a community badge, but only when the result meets the condition you set.

    Set the trigger

    Create a Zap, pick LearningSuite and Exam Graded. Testing it brings back the three most recent items of the account, so you map on a real graded exam.

    Add the filter

    Click the plus icon, add Filter and fill the three boxes: the field, the rule, the value. A number rule only works on numbers, so pick the type that matches.

    Add the badge

    Add Add Community Badges to User. Map the member into User Id and pick the badge in Community Badge IDs; both are required.

    Test every step

    Run each step once and read what came back. The test gives a real badge to the test member, so use an account you can clean up afterwards.

    Click Publish to switch it on. The filter makes this a multi-step Zap, so it runs on a paid plan, at one task per badge awarded.

Fetches a member from their ID, or returns an empty list when no one has it. Groups can be included.

When to use it
checking a member still exists before acting on an ID stored in another tool.
Watch out
an empty result is normal for a deleted member, so plan what the Zap does next.

The three settings every search exposes

  1. Successful if no search results are found?
    Left on its default, a search that finds nothing stops the Zap and skips the steps that depended on it. Switched on, the Zap carries on empty-handed.
  2. Create X if it doesn't exist yet?
    Ticking this turns the search into a find-or-create: the setting above disappears and the step asks for what is needed to create the record. LearningSuite offers it on two searches.
  3. If multiple search results are found?
    Three ways out when several records match: keep the first one (the default), stop the Zap, or pass all of them on.
When it breaks

When a LearningSuite Zap breaks

Zapier links no help article to LearningSuite and lists no app-specific rate limit. The cases below come from Zapier's general rules, plus the loop warning LearningSuite puts on one of its own actions.

  • Past events are not picked up

    A Zap only reacts to events after you switch it on. Members, logins and exams from before stay in LearningSuite; moving that history is a separate job.
  • A comment Zap answers itself forever

    Create Community Post Comment with Enable Webhook Triggering on, fed by Community Post Commented, comments on its own comments in an endless loop.
  • A Zap writes where its trigger watches

    Update Custom Fields behind Custom Field Value Changed, or Create Member behind Member Created, sets the trigger off again and burns your tasks.
  • A bulk import is held back

    When a trigger suddenly returns a huge batch, after a mass member import or a migration, Zapier's flood protection can hold it back.
  • Polling triggers seem late

    Nine triggers are checked on a timer, every 15 minutes on Free. Zapier remembers what it saw, so the same item never starts the Zap twice.
  • The filter never passes

    Filter rules are typed: a text rule works on text only, a number rule on numbers only. The wrong type stops the Zap every single time.

01Is the LearningSuite Zapier integration free?
Yes, LearningSuite is not a premium app, so it works on the free plan. That plan gives you 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. Updating your CRM each time a member joins a course fits. Awarding a badge only above a certain grade does not, because the filter makes the Zap multi-step, and multi-step Zaps need a paid plan.
02How many tasks does a LearningSuite Zap use?
One task for each action that succeeds, nothing for the trigger. A Zap that awards a badge after each graded exam uses one task per exam. Watch the Get actions: Get Members, Get Course Progress of Member and the others are actions, so each successful run costs a task even though it only reads data. A failed action is not counted, and frequent triggers like New Login cost nothing on their own.
03Do LearningSuite triggers run in real time?
Nineteen of the 28 do. Those instant triggers, such as Exam Graded, New Login or Course Member Added, fire the moment LearningSuite reports the event, whatever your plan. The other nine, such as Member Created, Group Created or User Not Logged in for More Than X Days, are polling triggers: Zapier checks every 15 minutes on Free, 2 on Professional and 1 on Team and Enterprise. A lightning bolt in the editor marks an instant one.
04What does it take to connect LearningSuite to Zapier?
A LearningSuite account and a Zapier account. Add the connection from the Apps page with + Add connection, pick LearningSuite, sign in in the tab that opens and grant access. The account also needs rights on the courses, groups, hubs and forums your Zaps will touch. For community actions, keep a team member at hand: posts and comments must be authored by one with access to the forum. Ask your platform admin before you build.
05Why does Course Progress Changed not fire for some members?
Because it only fires when progress crosses your threshold from below. If a member was already above the threshold when you set up the Zap, or when the update happened, nothing is sent for them. Also check the threshold field: it takes a number between 1 and 100, typed without the percent sign. For a snapshot of current progress, use Get Course Progress of Member instead of waiting for a crossing.
06What if the LearningSuite operation required is not on Zapier?
Then Zapier cannot do it for LearningSuite today. The editor offers 28 triggers, 53 actions and 5 searches; hidden or retired operations do not count and do not appear in the menus. Look first among the Get actions, which cover many reads people expect as searches. If nothing fits, keep that part manual, or start the Zap from another connected tool and let LearningSuite handle only the steps it supports.
07Zapier, Make or n8n for LearningSuite?
It depends on your criteria rather than on a winner. Zapier gives you a very wide LearningSuite catalogue, with 19 instant triggers, in a guided editor. Many LearningSuite flows chain searches, reads and writes, and each read is a billed action, so compare how each tool prices multi-step workflows. Also check which LearningSuite operations each tool actually exposes, because a missing one cannot be added from the editor. Start from the exact job, then check the lists.
