Overview

What the LedgerBox Zapier integration actually does

LedgerBox reads financial documents with AI and pulls the data out of them. Zapier is what feeds it. When a document appears in another app, Zapier sends the file to LedgerBox with Upload File, and a second action, Get Job Results, brings back what LedgerBox extracted once the job is complete.

Three outcomes come out of those two actions. Every saved document gets processed: Upload File sends each new PDF, JPEG or PNG from your storage to LedgerBox with the model you choose. Extracted data ready for the next step: Get Job Results returns the output of a completed job, so later steps in the Zap can write it somewhere useful. No more manual uploads: nobody drags files into LedgerBox one by one, the Zap does it for every new file.

And what Zapier does not do. LedgerBox has no trigger, so the end of a job cannot start a Zap on its own. There is no search, so you cannot look up an earlier job by file name: Get Job Results needs the Job ID, which comes from the Upload File step. Files must be PDF, JPEG or PNG, under 10MB. A Word file, a spreadsheet or a heavy scan makes the upload step fail.

Any Zap beyond one trigger and one action. Chaining Upload File and Get Job Results makes one, and it needs a paid plan.

The trigger in your storage app costs nothing, and Zapier checking for new files is free however often it looks. Upload File counts one task when it goes through; a refused file is not counted. Add Get Job Results in the same Zap and each document costs two tasks. The free plan offers 100 tasks a month, unlimited Zaps and a 15-minute polling interval, but stops at two steps. Upload plus results, or a filter, makes a multi-step Zap that needs a paid plan.

Connect your LedgerBox account in three steps

    Open the connection dialog

    Go to the Apps page of your Zapier account and click + Add connection. You need a LedgerBox account, plus access to any file you want the Zap to send that you do not own.

    Pick LedgerBox

    Search for LedgerBox by name in the dialog, select it, then click Add connection. Zapier then opens a new browser tab on the LedgerBox side to finish the setup.

    Sign in and allow access

    Log in to LedgerBox in that tab and grant Zapier access to the account. The connection now sits on your Apps page, ready for both LedgerBox actions in any Zap.

First Zap

Your first Zap: from cloud storage to extracted data

GoalEach new document saved to your storage goes to LedgerBox, and the Zap then fetches the results of that job.

    Set the trigger

    Create a Zap and pick your cloud storage with its new file event. LedgerBox has no trigger, so the Zap always starts in another app.

  2. 02

    Test on a real file

    Run the trigger test. Zapier brings back the three most recent files of the connected account, so you map fields on an actual document.

  3. 03

    Add Upload File

    Choose LedgerBox and Upload File. Map the file, write the Filename with its extension, and pick the Processing Model. All three are required.

    Add Get Job Results

    Add a second LedgerBox action, Get Job Results. Map the Job ID from the Upload File step and select the same Processing Model. This makes the Zap multi-step.

    Test, then publish

    Test each step once and read what LedgerBox sent back before going further. When the output looks right, click Publish to switch the Zap on.

When it breaks

When the LedgerBox Zap breaks

Zapier attaches no help article and no documented rate limit to LedgerBox. Beyond the file rules of Upload File, the failures come from how Zapier works in general.

  • The file is refused at upload

    Upload File only accepts PDF, JPEG or PNG files under 10MB. A larger file, or another format, makes the step fail; a failed action costs no task.
  • Older documents are skipped

    A Zap only reacts to files added after it is published. Documents already in storage never reach LedgerBox; sending that backlog is a separate job.
  • A batch upload held back

    If your storage suddenly returns a huge batch of files, after a bulk import or a migration, Zapier's flood protection can hold those runs back.
  • A loop that burns tasks

    If the Zap saves files back into the folder its trigger watches, it sets itself off again and again and eats the monthly task count fast.

LedgerBox Zapier integration: common questions

01Is the LedgerBox Zapier integration free?
Yes, LedgerBox is not a premium app, so it runs on the free Zapier plan. That plan gives 100 tasks a month and unlimited Zaps, but each Zap stops at two steps: one trigger and one action. A new file sent to Upload File fits. As soon as you add Get Job Results after it, or a filter, the Zap becomes multi-step and needs a paid plan. What LedgerBox itself charges is outside the scope of the Zapier facts on this page.
02How many tasks does processing a document use?
One task per LedgerBox action that succeeds. A Zap that only runs Upload File costs one task per document. A Zap that uploads and then runs Get Job Results costs two. The trigger in your storage app never costs anything, and neither does Zapier checking for new files. A refused upload, for example a file over 10MB, is not counted. So on the free plan's 100 tasks, the two-action version handles half as many documents in a month.
03Does it run in real time?
It depends on the app that starts the Zap, since LedgerBox has no trigger. If your storage app offers an instant trigger, it alerts Zapier the moment a file arrives, and Upload File follows straight away on any plan. If it uses a polling trigger, Zapier checks on a timer: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. A lightning bolt in the editor tells you the trigger is instant.
04What does it take to connect LedgerBox to Zapier?
A LedgerBox account you can sign in to, and access to any file you want the Zap to send that you do not own yourself. From the Apps page of your Zapier account, click + Add connection, search for LedgerBox, confirm with Add connection, then log in to LedgerBox in the tab that opens and grant access. The connection is stored once and reused by both LedgerBox actions in every Zap you build.
05Where does Get Job Results find the Job ID?
From the Upload File step that runs before it in the same Zap. The Job ID field is required, and the integration has no search to look up a job by file name, so mapping it from Upload File is the practical route. Get Job Results also needs the Processing Model, so pick the same one used at upload. Keep in mind the action reads the results of a completed job; a Zap with both steps is multi-step and needs a paid plan.
06What if the LedgerBox operation you want does not exist?
Then Zapier does not offer it for LedgerBox today. The integration has two actions, Upload File and Get Job Results, with no trigger and no search. A finished job cannot start a Zap by itself, and an earlier job cannot be looked up by name or date. If your process needs more than sending a document and reading back its results, that part has to happen in LedgerBox directly or through another route than this integration.
07Zapier, Make or n8n for LedgerBox?
Compare them on criteria rather than on a ranking. On Zapier the facts are set: two actions, no premium fee, a free plan that covers a single upload step, and one task per successful action. Ask the other platforms the same questions: which LedgerBox operations they expose, whether they offer a trigger when a job ends, and how they bill a multi-step run.
