Overview

What the Letlink Zapier integration does for you

The Letlink Zapier integration plugs your Letlink account into Zapier so that a visit on a short link can set off work somewhere else. Letlink turns long, messy URLs into short ones you can paste anywhere. Zapier waits for the moment one of them gets opened, then passes that visit to the next app in line. One event goes in. You decide what comes out.

Everything here rests on a single trigger, Link Visited, and three results come up again and again. A visit log: every click adds a row to a spreadsheet, so the visits pile up in a file you already open daily instead of a dashboard you forget about. A heads-up: the visit posts a message in your team chat, handy when a link went to one person and the whole team wants to know it got opened. A follow-up: the visit fires an email from your mail tool, so the next step happens while the interest is still warm (and nobody has to remember to send it).

What Zapier does not do here matters just as much. The integration has no action and no search, which means a Zap cannot create a short link, change one, or look one up in Letlink. It only listens. Visits that happened before you switch the Zap on stay out of reach too. If you are weighing other automation tools for this kind of listening job, see n8n vs Zapier and our Zapier review before you commit.

Vocabulary

Zapier vocabulary in one minute

Eight words come back on every line of this page. Here is what each one means in plain terms.

Zap
The automation you build in Zapier: one trigger first, then one or more actions that run every time that trigger event happens.
Trigger
The event that starts a Zap. With Letlink, it is a visit on one of your short links; once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you in another app.
Task
The unit Zapier bills. One action that completes successfully counts as one task, and your plan allowance is a count of those.
Polling vs instant
A polling trigger is checked on a timer. An instant trigger is reported by the app itself the moment it happens. Letlink's is instant.
Filter
A step that lets the Zap carry on only when what arrived meets a condition you set, and stops it right there otherwise.
Connection
Your Letlink account, linked to Zapier one time and then reused by every Zap step that needs Letlink.
Multi-step Zap
Any Zap beyond one trigger and one action. A second action or a filter turns a Zap into one, and it then needs a paid plan.
Cost

What a Letlink Zap really costs

The trigger never costs a task. Zapier listening for visits is free, however many links you watch. What gets billed is the work your Zap does once a visit comes in.

  • Trigger cost0 tasks
  • Free plan100 tasks a month
  • Free plan Zap size2 steps
  • Premium appNo

Each action that succeeds counts as one task, and an action that fails is not counted. A Zap with two actions spends twice as much per visit as a Zap with one. The free plan gives you 100 tasks a month and Zaps of two steps only: Link Visited plus one action. Add a filter or a second action and you need a paid plan. Letlink is not a premium app, so it works on the free plan. The interval grid below applies to polling triggers only; Link Visited is instant, so it skips the wait.

Connect

Connect Letlink to Zapier in three steps

  1. 01

    Open the Apps page

Sign in to Zapier and go to the Apps page of your account. Before you start, check that you have a Letlink account of your own, plus access to any link you do not own but want the Zap to watch.

  2. 02

    Add Letlink

Click + Add connection, type Letlink in the search box of the dialog and pick it from the list. Then click Add connection: a new browser tab opens on the Letlink side.

  3. 03

    Sign in and grant access

In that tab, sign in to Letlink and grant Zapier access to the account. The connection now sits on your Apps page, and every Zap step that uses Letlink picks it up without asking again.

First Zap

Your first Zap: log qualifying Letlink visits in a spreadsheet

GoalEvery visit on a Letlink short link that passes your condition becomes a new row in your spreadsheet.

  1. 01

Create the Zap and pick the trigger

In Zapier, start a new Zap, choose Letlink as the app that starts it and Link Visited as the event. Select the Letlink connection you added earlier.

  2. 02

    Test the trigger

Open one of your short links yourself, then run the trigger test. Zapier brings back the three most recent items from the account, so you map the next steps on a real visit.

  3. 03

    Add the filter

Add a Filter step from the plus icon and fill its three boxes: the field to look at, the rule and the value. Pick a rule that matches the field type, or the filter never lets anything through.

  4. 04

    Add the spreadsheet action

Add the action in your spreadsheet app, then map what the trigger brought back into the columns. With three steps, this Zap is multi-step and needs a paid plan.

  5. 05

    Test, then publish

Run each step once and read what comes back. When the row lands where you expect it, click Publish to switch the Zap on. From then on, each visit that passes the filter adds a row.

Triggers

The Letlink trigger

1 event starts a Zap when something happens in Letlink, and one of them is instant: the app calls Zapier straight away, whatever your plan.

When it breaks

When a Letlink Zap breaks

Zapier attaches no help article to Letlink, and no rate limit is documented for it. The risks are the general ones every Zap runs into.

None of them shows up as a big red error at first. They show up as missing rows, a task count that drops faster than planned, or a Zap that looks on but does nothing. When one of them hits, start with Zapier troubleshooting.

  • Old visits never come through

A Zap only reacts to what happens after it is switched on. Visits from before you published stay in Letlink, and moving that history is a separate job.
  • A loop that eats your tasks

A Zap that writes into the very place its own trigger watches sets itself off again and again, and burns through the task count fast. Keep the two apart.
  • A sudden flood gets held back

When a trigger suddenly returns a huge batch at once, Zapier's flood protection can hold it back instead of running every item through the Zap.
  • A filter that never passes

Filter rules are typed: a text rule only works on text, a number rule only on numbers. Pick the wrong kind and every visit stops at the filter.

FAQ

Letlink and Zapier: common questions

01Is the Letlink Zapier integration free?
Yes, on Zapier's free plan. Letlink is not a premium app, so you can connect it without paying anything. The free plan gives you 100 tasks a month and lets you build Zaps of two steps: the Link Visited trigger and one action, for example a new row in a spreadsheet. As soon as you want a filter to skip some visits, or a second action such as a chat message on top of that row, the Zap becomes multi-step and needs a paid plan. The trigger itself never costs a task, so only what happens after the visit counts.
02How many tasks does a Letlink Zap use?
One task per successful action, per visit. The trigger is free, and Zapier listening for visits is free as well. If your Zap does a single thing after each click, a link opened 40 times uses 40 tasks. A Zap with three actions uses three tasks per visit, so the same link costs three times as much. An action that fails is not counted against your plan. A few apps take more than one task per action, so look at the app on the action side if the count drops faster than you expected. On a busy link, 100 free tasks go quickly.
03Does Letlink trigger Zapier instantly?
Yes. Link Visited is an instant trigger: Letlink tells Zapier the moment a visit happens, so the Zap starts right away whatever your plan. The polling intervals of the plan grid, 15 minutes on Free down to 1 minute on Team and Enterprise, do not apply to it. In the editor, a Zap built on an instant trigger shows a lightning bolt next to it. That makes this one of the cases where the free plan does not slow you down at all: a visit reaches the next app without waiting for a scheduled check, and you do not pay more to get that speed.
04What does connecting Letlink to Zapier require?
A Letlink account, a Zapier account, and access to any link you do not own but want a Zap to watch. The steps are short: open the Apps page in Zapier, click + Add connection, search for Letlink in the dialog and pick it, then click Add connection. A new tab opens where you sign in to Letlink and grant Zapier access to the account. That is the whole setup. The connection then sits on the Apps page and every Zap that uses Letlink reuses it, so you only go through this once per account, not once per Zap.
05Can Zapier create Letlink short links for you?
No. The integration has one trigger and no action or search, so a Zap can react to a visit but cannot create, edit or find a link in Letlink. If the plan was to shorten URLs automatically from a form or a list, that step is not on offer in Zapier for this app. You still create the links in Letlink itself, then let Zapier take care of what happens once people open them. Keep in mind as well that a new Zap starts from zero: visits from before you published it are never sent through, whatever the plan.
06What if the Letlink operation you need is not on Zapier?
Then it is not available through Zapier for this app right now. The editor lists one operation for Letlink, the Link Visited trigger, and nothing that writes into Letlink or reads from it on demand. For that part of the work, the options are to handle it inside Letlink by hand, or to look at what other automation tools offer for the same app. Before building a workaround, describe the exact result you are after: often the visit trigger plus an action in another app covers more of the need than it first seems.
07Zapier, Make or n8n for Letlink?
Decide on criteria, not on a ranking. Coverage: on Zapier, Letlink offers one instant trigger and nothing else, so check what each tool lists for the app before choosing. Cost: on Zapier the trigger is free and every successful action is a task, so estimate your monthly visits and multiply by the number of actions. Complexity: a two-step Zap fits the free plan, while anything with a filter or several actions needs a paid plan. Run the same three checks on each tool with your own numbers, and the answer for your case usually becomes clear.
