Overview

What the Let's Level Up Zapier integration is for

Let's Level Up bundles funnels, newsletters and a built-in CRM for coaching businesses. Through Zapier, its contacts can leave the app (each signup, update or new tag starts a Zap) and come back in, since other tools can create, tag, update or delete contacts in Let's Level Up.

A signup list per funnel. New Contact Added From Funnel reacts only to the funnel you pick. Send each of those contacts to a spreadsheet and you get a clean list of who came through which page, without exporting anything.

Tags that come from outside. Add Tag to Contact lets another tool label a contact in Let's Level Up. A form answer or a change in another tool can end up as a tag on the right person, found by email.

Records that stay in sync. Contact Updated fires when a name, email, tag or status changes. Pair it with your other address book and the two stop drifting apart.

What Zapier does not do here: there is no search, so a Zap cannot look up a contact and reuse its details. Every action finds its contact through the email you give it, nothing else. There is no trigger on newsletters either, even though the app sends them. If you are still weighing platforms, have a look at our Make vs Zapier comparison first.

Vocabulary

Zapier vocabulary in one minute

The page uses seven Zapier words. Here they are once, in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run every time that event happens.
Trigger
The event in an app that starts the Zap, such as a new contact. Once the Zap is on, Zapier waits for it.
Action
What the Zap does once it has started: the step that writes, sends, tags or deletes something for you.
Task
The unit Zapier bills: one action your Zap completes successfully. Your plan's allowance is counted in tasks.
Polling vs instant
Polling: Zapier checks the app on a timer. Instant: the app calls Zapier itself the moment the event happens.
Filter
A step that lets the Zap go on only when the incoming data meets the condition you set, and stops it otherwise.
Connection
Your Let's Level Up account linked to Zapier once, then reused by every step that works with Let's Level Up.
Cost

What it really costs

Let's Level Up is not a premium app: it works on the free plan. You pay in tasks, and only for actions.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • Triggers5, all instant, free
  • Each successful action1 task

None of the five triggers costs a task, and Zapier listening for new contacts costs nothing either. Each action that goes through, whether Create New Contact or Delete Contact, counts as one task; a failed one is not counted. The free plan gives 100 tasks a month and builds two-step Zaps only: one trigger, one action. Add a filter or a second action and you have a multi-step Zap, which needs a paid plan. Since all triggers are instant, the plan's polling interval never slows them down.

Connect

Connect your Let's Level Up account

  1. 01

    Open your connections

In Zapier, open the Apps page of your account and click + Add connection. You need an existing Let's Level Up account before you start, with access to the contacts the Zap will use.

  2. 02

    Find Let's Level Up

Type the app's name in the dialog that appears, select Let's Level Up in the results and click Add connection. A new tab opens on the Let's Level Up side.

  3. 03

    Sign in and allow access

Log in to Let's Level Up in that tab and grant Zapier access. If the contacts the Zap will touch are not yours, check that your login can read or edit them.

First Zap

Your first Zap: log every funnel signup in a spreadsheet

GoalEach contact who comes through a chosen Let's Level Up funnel lands as a row in your spreadsheet, then gets a tag.

  1. 01

    Pick the trigger

Create a Zap, choose Let's Level Up as the app that starts it and New Contact Added From Funnel as the event. Select your connection, then the funnel to watch.

  2. 02

    Test with a real contact

Run the test. Zapier brings back the three most recent contacts from that funnel, so you map the next steps on a real person rather than an empty template.

  3. 03

    Add the spreadsheet row

Click the plus icon, pick your spreadsheet as the action, and match each column to a contact detail from the test, the email first.

  4. 04

    Tag the contact back

Add Let's Level Up again with Add Tag to Contact. Map the email from the trigger, type the tag name. Two actions make this a multi-step Zap, so it needs a paid plan and costs two tasks per signup.

  5. 05

    Test, then publish

Run each step once, check the new row in the spreadsheet and the tag on the contact in Let's Level Up, then click Publish to switch the Zap on.

Triggers

The 5 Let's Level Up triggers

5 events start a Zap when something happens in Let's Level Up, and 5 of them are instant: the app calls Zapier straight away, whatever your plan.

1

Contact Updated

Instant trigger

In Zapier“Triggers when an existing contact's details are updated (e.g., name, email, tags, or status).”

Starts your Zap whenever an existing contact changes in Let's Level Up, be it the name, the email, a tag or the status, and passes the new version of the record along.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to keep a second address book or a spreadsheet in step with what changes in the CRM.
Watch out
Update Contact or Add Tag to Contact in the same Zap would change the contact again and restart it in a loop.
2

New Contact Added

Instant trigger

In Zapier“Triggers when a new contact is added to the platform.”

This one catches every contact that appears on the platform, whatever the source, so it is the widest net of the five triggers.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when you want one place outside Let's Level Up that receives all new contacts, funnel or not.
Watch out
if you also run a Zap on the funnel or product trigger, check that the same person cannot be handled twice by both Zaps.
3

New Contact Added From Funnel

Instant trigger

In Zapier“Triggers when a new contact is added to the platform from funnel.”

Fires only for contacts who arrive through the funnel you choose, which lets you treat each funnel differently instead of sorting signups afterwards.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
one funnel, one destination, for example a separate list per offer.
Watch out
picking the funnel is mandatory, so the funnel has to exist in the account before you set up the trigger.
4

New Contact Added From Product

Instant trigger

In Zapier“Triggers when a new contact is added to the platform from product.”

Reacts when a contact is added through a specific product of yours, so the Zap knows exactly what that person signed up for.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to hand each new buyer of one product to the tool that delivers or follows up on it.
Watch out
the product must be chosen in a required box; a Zap per product is the way to cover several.
5

Tag Added to Contact

Instant trigger

In Zapier“Triggers when a specific tag is added to a contact.”

Goes off when the tag you name is put on a contact. Tags become switches: label someone in Let's Level Up and the follow-up happens elsewhere.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
when a manual decision taken in the CRM should set off work in another tool.
Watch out
a Zap that also runs Add Tag to Contact with that same tag will feed itself.
Actions

The 4 Let's Level Up actions

Let's Level Up gives you 4 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Add Tag to Contact

Action

In Zapier“Adds a tag to an existing contact on your platform.”

Labels an existing contact, found by its email, with the tag name you give. The contact must already be in the account.

When to use it
an event in another app should change how you treat that person from now on.
Watch out
combined with Tag Added to Contact on the same tag, it loops.
2

Create New Contact

Action

In Zapier“Adds a new contact to your platform when triggered by an external tool.”

Puts a new person into Let's Level Up from data another tool collected. Email and first name are both required.

When to use it
someone signs up outside your funnels and should still land in the CRM.
Watch out
without a search, the Zap cannot check first whether that email is already there.
3

Delete Contact

Action

In Zapier“Deletes a contact from your platform based on a trigger in another app.”

Removes a contact from the platform, matched by email, when something happens in another app.

When to use it
a contact removed from another tool has to leave the CRM as well.
Watch out
a wrong email mapping removes the wrong person, so test it on a dummy contact before publishing.
4

Update Contact

Action

In Zapier“Updates an existing contact’s details in your platform.”

Changes the details of a contact you already have, located by email, so corrections made elsewhere reach the CRM.

When to use it
another tool of yours holds fresher details than Let's Level Up.
Watch out
it also fires Contact Updated, which can restart a Zap built on that trigger.
When it breaks

When it breaks

Zapier links no help article to Let's Level Up and documents no limit specific to it. What goes wrong comes from Zapier's general rules and from the email-based matching of the actions.

Four cases come back most often. None of them blocks you while building, which is why they catch people out. Once a run goes wrong, start from our Zapier troubleshooting page and the task history of the Zap.

  • Older contacts never arrive

A Zap only sees what happens after you publish it. Contacts already in Let's Level Up do not fire anything; moving them is a separate job.
  • The Zap keeps restarting

Update Contact under Contact Updated, or Add Tag to Contact under Tag Added to Contact with the same tag: each run sets the trigger off again and burns tasks.
  • An import arrives in one go

A bulk import or a migration can push a huge batch of new contacts at once, and Zapier's flood protection may hold that batch back.
  • The action finds nobody

Tag, update and delete all locate the contact by email. A typo or an address that is not in the account means the action has nobody to work on.

FAQ

Let's Level Up Zapier integration: common questions

01Is the Let's Level Up Zapier integration free?
Yes, within the limits of the free plan. Let's Level Up is not a premium app, so a free account can use all five triggers and four actions, with 100 tasks a month. The real limit is the size of the Zap: two steps, one trigger and one action. A funnel signup sent to a spreadsheet fits. The same Zap that also tags the contact back has two actions, which makes it multi-step and requires a paid plan.
02How many tasks does a Let's Level Up Zap use?
One per action that succeeds, and none for the trigger. A Zap that copies each new funnel contact into a spreadsheet uses one task per contact. If it then adds a tag in Let's Level Up as well, that is two tasks per contact, because each action counts on its own. An action that fails, for instance an update on an email that is not in the account, is not counted against your plan.
03Do Let's Level Up triggers fire in real time?
Yes, all five of them. Every Let's Level Up trigger is instant: the app calls Zapier as soon as the contact is added, updated or tagged, and the Zap starts at once. That holds on every plan, so the 15-minute polling interval of the free plan does not apply. In the editor, a Zap built on an instant trigger shows a lightning bolt, which is the quickest way to check. The type is set by the app and cannot be changed.
04What does it take to connect Let's Level Up to Zapier?
An existing Let's Level Up account, plus read or write rights on any contacts you do not own and want the Zap to touch. The link is made from the Apps page of Zapier: add a connection, pick Let's Level Up, sign in on the tab that opens, then grant access. After that, every Zap using Let's Level Up reuses the same connection. For the funnel and product triggers, have at least one of each set up already.
05Why can a Let's Level Up action fail to find the contact?
Because tag, update and delete all find the contact by email, and only by email. If the address mapped from the earlier step is empty, misspelled or belongs to someone who is not in your Let's Level Up account, the action has nothing to act on and fails. A failed action costs no task, but the work is not done. Check the email field in the test step before publishing.
06What if the Let's Level Up operation required is missing?
Then the integration does not cover it today, and it is better to know before building. Zapier offers contact operations only: five triggers on new, updated or tagged contacts, four actions to create, tag, update or delete them, and no search. Nothing touches newsletters or funnels themselves. The options are to stay within the nine operations that exist, or to check another automation platform. Avoid any workaround that assumes an operation the editor does not list.
07Zapier, Make or n8n for Let's Level Up?
Pick on criteria, not on a ranking. Zapier gives the quickest start here: nine operations are ready and all triggers are instant, even on the free plan. Make or n8n make sense if your team already runs one of them, but whether either connects to Let's Level Up has to be checked on their side, since nothing here confirms it. Compare pricing models, available operations and who will maintain the automations over time.
