Overview

What the LetsLigo Zapier integration is for

LetsLigo is a CRM for people whose work runs on their network: contacts, a pipeline, tasks and the history of each relationship. With Zapier, those contacts, stage changes and tasks can start work in your other tools, and other tools can create contacts, update them and attach tasks inside LetsLigo.

A follow-up task for every stage change. Contact Pipeline Stage Changed fires when a contact moves along your pipeline. Follow it with Create Task and the next step is written down, dated and attached to the right person, without you opening the CRM.

Contacts that arrive from elsewhere. Create Contact only needs a name. Someone who reaches you through another tool can land in LetsLigo straight away.

The right contact, found by email. Find Contact looks up a person by their exact email address. Place it before Update Contact or Create Task, and those actions know which record to work on even when the earlier step only carried an email.

What Zapier does not do for LetsLigo: there is no action to delete a contact or to move it to another stage, and the search only matches an exact email, never a name or a partial address. If you would rather not wire this into a wider setup alone, get in touch with our Zapier agency.

Vocabulary

Zapier vocabulary in one minute

Eight Zapier words come back on this page. Here they are once, in plain English.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time the trigger event happens.
Trigger
The event in an app that starts the Zap, such as a new contact. Once the Zap is on, Zapier waits for it.
Action
What the Zap does after it starts: the step that writes, sends or moves something on your behalf.
Task
The unit Zapier bills: one action your Zap completes successfully. Not to be confused with a LetsLigo task.
Polling vs instant
Polling: Zapier checks the app on a timer. Instant: the app calls Zapier itself the moment the event happens.
Filter
A step that lets the Zap go on only when the incoming data meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already in an app, so the steps after it can use what it found.
Connection
Your LetsLigo account linked to Zapier once, then reused by every step that works with LetsLigo.
Cost

What it really costs

LetsLigo is not a premium app, so it runs on the free plan. You pay in tasks, and only for completed actions.

  • Premium appNo, works on the free plan
  • Free plan100 tasks a month, two-step Zaps
  • Triggers4, all instant, free
  • Search in a ZapMakes it multi-step, paid plan

None of the four triggers costs a task, and Zapier waiting for events is free too. Each action that goes through counts as one task, and a failed one is not counted. The free plan gives 100 tasks a month and builds two-step Zaps only: one trigger, one action. A filter, a second action or a Find Contact step turns the Zap into a multi-step Zap, which needs a paid plan. All triggers are instant, so the polling interval of your plan never delays them.

Connect

Connect your LetsLigo account

  1. 01

    Open your connections

In Zapier, go to the Apps page of your account and click + Add connection. You need an existing LetsLigo account first, with access to the contacts the Zap will touch.

  2. 02

    Pick LetsLigo

Type the app's name in the dialog that appears, select LetsLigo in the results, then click Add connection. A new browser tab opens on the LetsLigo side.

  3. 03

    Sign in and grant access

Log in to LetsLigo in that tab and allow Zapier to use the workspace. If the contacts the Zap will touch belong to a colleague, check that your login can read or edit them.

First Zap

Your first Zap: a follow-up task when a contact changes stage

GoalWhen a LetsLigo contact moves to the stage you care about, a dated task is attached to that contact.

  1. 01

    Pick the trigger

Create a Zap, choose LetsLigo as the app that starts it and Contact Pipeline Stage Changed as the event. Select the connection you set up earlier.

  2. 02

    Test with a real move

Run the test. Zapier brings back the three most recent stage changes, so you pick a real contact and map its details in the following steps.

  3. 03

Keep only the stage you want

Click the plus icon, add Filter and fill the three boxes: the field holding the stage, the rule, the value. Use a text rule for a stage name.

  4. 04

    Attach the task

Add LetsLigo again with Create Task. Map the contact from the trigger, write the title and set the due date, all three required. The filter makes this a multi-step Zap, so a paid plan is needed.

  5. 05

    Test, then publish

Run each step once, open the contact in LetsLigo and check the new task is attached to it. Then click Publish to switch the Zap on.

Triggers

The 4 LetsLigo triggers

4 events start a Zap when something happens in LetsLigo, and 4 of them are instant: the app calls Zapier straight away, whatever your plan.

1

New Contact

Instant trigger

In Zapier“Triggers when a new contact is created in the workspace.”

Starts the Zap each time a contact is added to your LetsLigo workspace and passes their details on, whoever created them and however.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a colleague should hear about each new person in the network, in the chat tool the team already reads.
Watch out
a Zap that also runs Create Contact in the same workspace sets this trigger off again and loops.
2

Contact Pipeline Stage Changed

Instant trigger

In Zapier“Triggers when a contact moves to a different pipeline stage.”

Reacts when a contact moves to a different stage of your pipeline. It is the trigger that follows the relationship itself rather than the record.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
a new stage should bring a new to-do, such as a dated task on that contact.
Watch out
it fires on every stage change, so add a filter if only one stage matters.
3

Updated Contact

Instant trigger

In Zapier“Triggers when a contact is updated.”

Fires whenever an existing contact is edited in LetsLigo, and hands over the updated record so other tools can catch up.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to keep a copy of your contacts elsewhere, such as a shared spreadsheet, in line with the CRM.
Watch out
Update Contact in the same Zap edits the contact again, which fires this trigger once more, in a loop.
4

New Task

Instant trigger

In Zapier“Triggers when a new task is created.”

Goes off when a task is created in LetsLigo, so to-dos born in the CRM can show up wherever you actually plan your day.

How it fires
the app tells Zapier the moment it happens, so the Zap starts right away, whatever your plan.
When to use it
to copy each new LetsLigo task into your calendar or your to-do app.
Watch out
if the same Zap runs Create Task, every task it creates starts it again.
Actions

The 3 LetsLigo actions

LetsLigo gives you 3 actions. For each one: what it does for you, when to reach for it, and what to watch out for.

1

Create Contact

Action

In Zapier“Creates a new contact in the workspace.”

Adds a new person to the workspace from data another tool collected. Only the name is required.

When to use it
someone reaches you through a form or an inbox and belongs in your CRM.
Watch out
it does not check for duplicates; put Find Contact before it if the email may already be there.
2

Create Task

Action

In Zapier“Creates a task attached to a contact.”

Attaches a to-do to an existing contact, with a title and a due date, all three required.

When to use it
an event elsewhere means someone in your network needs a follow-up.
Watch out
the contact must already exist; the list shows 10 names per page, or you map its identifier.
3

Update Contact

Action

In Zapier“Updates an existing contact.”

Edits a contact already in LetsLigo once you tell it which one, through the picker or an identifier from an earlier step.

When to use it
another tool holds fresher details than your CRM.
Watch out
it fires Updated Contact, so avoid pairing the two in one Zap.
Searches

The LetsLigo search

1 search step looks for data that already exists in LetsLigo, so a later step can use it.

A search step looks up something already in LetsLigo and hands it to the next steps. In the editor, searches sit at the bottom of the Action event list, under SEARCH. Three settings decide what happens when the result is not a single clean match.

1

Find Contact

Search

In Zapier“Finds a contact by exact email address (single API lookup, no list pagination).”

Looks up one LetsLigo contact by its exact email address and hands the record to the following steps, ready for Update Contact or Create Task.

When to use it
the trigger only gives you an email, and the action needs to know which contact to work on.
Watch out
the match is exact; a different spelling or a second address returns nothing.

The three settings every search exposes

  1. Successful if no search results are found?
Left on its default, a search that finds nobody stops the Zap there and the dependent steps are skipped. Switched on, the Zap carries on without a contact.
  2. Create X if it doesn't exist yet?
Ticking this box would turn the search into a find-or-create. LetsLigo offers no such variant on Zapier, so Find Contact only ever looks.
  3. If multiple search results are found?
Three ways out: keep the first match, which is the default, stop the Zap, or pass all matches on at once.
When it breaks

When it breaks

Zapier attaches no help article to LetsLigo and documents no limit specific to it. What breaks comes from Zapier's general rules and from the required fields of the actions.

Four cases come back most often. None of them shows up while you build, which is why they catch people out. When a run fails, start from our Zapier troubleshooting page and the task history of the Zap.

  • Old contacts and tasks never arrive

A Zap only sees what happens after it is published. Contacts and tasks already in LetsLigo fire nothing; moving them is a separate job.
  • The Zap triggers itself

Create Contact under New Contact, Update Contact under Updated Contact, Create Task under New Task: each run fires the trigger again and burns tasks fast.
  • A bulk import is held back

When a bulk import or a migration creates a huge batch of contacts at once, Zapier's flood protection can hold that batch back.
  • Find Contact returns nothing

The search needs the exact email. With the default setting, an empty result stops the Zap and the task or update after it never happens.

FAQ

LetsLigo Zapier integration: questions people ask

01Is the LetsLigo Zapier integration free?
Yes, as long as the Zap has two steps. LetsLigo is not a premium app, so a free account can use its triggers, actions and search, with 100 tasks a month. The limit is the size of the Zap: one trigger and one action. New Contact followed by a chat message fits. Add a filter, a second action or a Find Contact step and the Zap becomes multi-step, which needs a paid plan. That matters here, since the search is most useful in longer Zaps.
02How many tasks does a LetsLigo Zap use?
One per action that completes, and none for the trigger. A Zap that posts a message for each new contact uses one task per contact. A Zap that creates a contact and then attaches a task to it uses two. An action that fails, for example a Create Task without a due date, is not counted. Zapier listening for LetsLigo events costs nothing, however many of them arrive, since only completed actions are billed.
03Do LetsLigo triggers fire in real time?
Yes, all four. New Contact, Contact Pipeline Stage Changed, Updated Contact and New Task are instant triggers: LetsLigo calls Zapier as soon as the event happens, and the Zap starts at once. That holds on every plan, including the free one, so the 15-minute polling interval does not apply. In the editor, a lightning bolt marks a Zap built on an instant trigger. The trigger type is set by the app and cannot be changed from Zapier.
04What does it take to connect LetsLigo to Zapier?
An existing LetsLigo account, plus read or write rights on any contacts you do not own and want the Zap to touch. The connection is made from the Apps page of Zapier: add a connection, pick LetsLigo, sign in on the tab that opens, then grant access. Every Zap using LetsLigo then reuses that connection. For Create Task and Update Contact, the contacts you target must already exist in the workspace.
05How does a Zap pick the right contact for Create Task?
Through the Contact field, which is required. You can choose a name from a list that shows 10 contacts per page and can be searched, which suits a Zap that always targets the same person. For a Zap that handles many people, map the contact from an earlier step: the trigger itself, or a Find Contact step placed just before, which turns an exact email into the matching record. Title and due date are required too.
06What if the LetsLigo operation required is missing?
Then the integration does not cover it, and it is better to know before you build. Zapier offers four triggers, three actions and one search for LetsLigo: nothing to delete a contact, to move it between stages, or to edit or complete a task. The choice is to work within the eight operations that exist, or to check another automation platform for what LetsLigo exposes there. Avoid workarounds that rely on an operation the editor does not list.
07Zapier, Make or n8n for LetsLigo?
Choose on criteria, not on a ranking. Zapier gives a fast start here: eight operations are ready, the triggers are instant on every plan, and the search covers the common lookup by email. Make and n8n are worth a look if your team already runs one of them, but whether they connect to LetsLigo has to be checked on their side, since nothing here confirms it. Compare pricing models, the operations on offer and who will maintain the automations.
