Overview

What the Achieve Zapier integration actually does

Achieve is where college advisors keep track of their students and the work around each application. Hooked up to Zapier, it becomes a starting point: something happens in Achieve, and Zapier carries that news into the other apps you already use. It only works one way. Achieve sends, other apps receive, and nothing comes back.

Three results show what that one-way street is good for. A live roster of enrolled students. New Active Student fires when a prospect turns into a student, and a spreadsheet row lands in the file your director reads. A heads-up when the caseload grows. New Contact Added picks up each new prospect or active client, so a counselor hears about the family before the first call. A clean onboarding checklist for staff. New User notices each account created in Achieve, which is handy when an office adds a part-time advisor mid-season.

Now the part the Zapier app page leaves out. Achieve has no actions and no search steps on Zapier. You cannot create a student, update a tracker or look up a contact in Achieve from a Zap. Every Achieve Zap therefore ends in another tool, and on the free plan that means one Achieve trigger and one action somewhere else, nothing more. All five triggers are polling ones, so none of them is instant.

If the one-way limit is a deal breaker, the Make vs Zapier and n8n vs Zapier comparisons lay out the criteria for choosing another platform.

Vocabulary

Zapier words, in plain English

Seven terms come back on every line of this page. Here they are once, so the rest reads easily.

Zap
The automation you build on Zapier: one trigger, then one or more actions that run each time that trigger event happens.
Trigger
The event in an app that starts the Zap. Once the Zap is switched on, Zapier sits and waits for it to happen.
Action
What the Zap does after it starts: the step that writes, sends or moves something for you in an app.
Task
The unit Zapier bills you for: one action the Zap completes successfully. The number on your plan counts those.
Polling vs instant
A polling trigger is checked by Zapier on a timer. An instant trigger is reported by the app the moment it happens.
Filter
A step that lets the Zap carry on only when the incoming data meets the condition you set, and stops it otherwise.
Search step
A step that looks up something already stored in an app so later steps can use it. Achieve offers none.
Cost

What an Achieve Zap really costs

Short answer: the Achieve side costs nothing. Only the action in the other app counts.

  • Trigger0 tasks
  • Each successful action1 task
  • Free plan100 tasks a month
  • Premium appNo

A trigger never uses a task, and Zapier checking Achieve for new items is free however often it looks. Each action that succeeds is one task, and an action that fails is not counted. Achieve is not a premium app, so it runs on the free plan: 100 tasks a month, unlimited Zaps, a check every 15 minutes, and two steps per Zap. Add a second action or a filter and the Zap becomes multi-step, which needs a paid plan.

Connect

Connect your Achieve account

  1. 01

    Open the Apps page

In your Zapier account, go to Apps and click + Add connection. A connection is your Achieve account linked once, then reused by every step that needs it.

  2. 02

    Find Achieve and start

Type Achieve in the search box of the dialog, pick it from the list, then click Add connection. A new browser tab opens on the Achieve side, ready for the login.

  3. 03

    Sign in and grant access

Log in to Achieve in that tab and allow Zapier into the account. You need your own Achieve account, plus access to any records you do not own and want a Zap to watch.

First Zap

Your first Zap: new students straight into a spreadsheet

GoalEach time a prospect becomes an active student in Achieve, add a row to an enrollment sheet and send a welcome email.

  1. 01

    Build: pick the trigger

Create a Zap, choose Achieve as the app and New Active Student as the event, then select the Achieve connection set up above.

  2. 02

    Test the trigger

Run the test. Zapier brings back the three most recent items from your Achieve account, so you map the next steps on a real student rather than a blank one.

  3. 03

    Add the spreadsheet action

Add Google Sheets as the next step and map the values Achieve returned into the columns of your enrollment sheet. That step costs one task per student.

  4. 04

    Add the email, then publish

Add the Gmail step, test each step once and read what came back, then Publish. Two actions make this a multi-step Zap, so it needs a paid plan.

Triggers

The 5 Achieve triggers

5 events start a Zap when something happens in Achieve. Zapier checks for them at the interval your plan allows.

1

New Contact Added

Polling trigger

In Zapier“Triggers when a new prospect or active client is added to Achieve.”

Fires when Achieve gets a new prospect or a new active client, whichever of the two it is. The Zap receives that contact on Zapier's next check.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
a counselor wants a message in the team channel each time a family enters the pipeline.
Watch out
prospects and active clients both start it, so add a filter on a paid plan if only one kind matters.
2

New User

Polling trigger

In Zapier“Triggers when a new user is created.”

Watches the people who get an account in your Achieve workspace, not the students. Each new user created there starts the Zap once.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
an office manager wants every new advisor added to an onboarding tracker without retyping the name.
Watch out
this is about accounts, so a new prospect never sets it off; that is the job of New Contact Added.
3

New Active Student

Polling trigger

In Zapier“Triggers when a prospect becomes an active student.”

Catches the moment a prospect turns into an active student in Achieve. It is the conversion event of the whole funnel, which makes it the most telling of the five.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
keep an enrollment spreadsheet up to date for whoever reports on signed students.
Watch out
students converted before the Zap was published will not show up, so copy them over by hand once.
4

Task Reminder Due

Polling trigger

In Zapier“Triggers when a task reminder is due to be sent.”

Starts the Zap when a task reminder in Achieve reaches the point where it should be sent. Zapier then hands that reminder to whichever app you choose next.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
push a deadline nudge into a chat tool the advisor actually opens during the day.
Watch out
on the free plan the nudge can land up to 15 minutes after the due time, which matters for same-day deadlines.
5

Student Tracker Status Change

Polling trigger

In Zapier“Triggers when a student tracker column is marked as "Not Started" or "In Progress".”

Reacts when a column of a student tracker is set to Not Started or to In Progress. Any other status leaves it silent.

How it fires
Zapier goes and looks at regular intervals, and how often depends on your plan: every 15 minutes on the free one
When to use it
alert the lead advisor when an application step moves into progress so nobody chases it twice.
Watch out
a column marked as finished does not fire it, so this trigger cannot announce a completed step.
When it breaks

When an Achieve Zap goes wrong

Zapier ties no help article to Achieve, so the weak spots below are the general ones that apply to every polling trigger.

Most surprises come from timing and from what the Zap does not see. Four cases cover nearly all of them. When a Zap still misbehaves after that, Zapier troubleshooting goes step by step.

  • The past stays in the past

A Zap only reacts to what happens after it is switched on. Contacts or students already in Achieve are never picked up; moving them is a separate job.
  • A bulk import gets held back

When a trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can hold those items back instead of running them all.
  • No duplicates, by design

Zapier keeps track of what it has already seen on a polling trigger, so the same student or reminder does not start the Zap a second time.
  • Late by up to one check

All five triggers are polling ones. On the free plan an event can wait up to 15 minutes before the Zap runs, and no setting makes it instant.

FAQ

Achieve and Zapier: the questions people ask

01Is the Achieve Zapier integration free?
Yes, it runs on the free Zapier plan, because Achieve is not a premium app. That plan gives you 100 tasks a month and unlimited Zaps, with two steps per Zap: one Achieve trigger and one action in another app. Since Achieve has no actions of its own, that action always lives in a different tool, a spreadsheet or a chat app for example. A second action, a filter or a search turns the Zap into a multi-step one, and multi-step Zaps need a paid plan. Nothing else blocks a free account from using all five triggers.
02How many tasks does an Achieve Zap use?
The Achieve part uses none. A trigger never costs a task, and Zapier checking Achieve for new items is free however often it looks. You pay one task for each action that succeeds in the other app. A Zap that sends a Slack message for each new contact uses one task per contact. Add a second action and that becomes two per contact. An action that fails is not counted against the plan, so a broken step does not drain your monthly allowance of 100 tasks on the free plan.
03Does Achieve send data to Zapier in real time?
No. All five Achieve triggers are polling triggers. Zapier goes and asks Achieve for new items at a fixed interval, and that interval depends on your plan: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. The type is set by the app itself and cannot be changed from the editor. On paid plans you can change how often a check runs, and you can also run a check by hand from the editor when testing a reminder flow.
04What does it take to connect Achieve to Zapier?
An Achieve account and a Zapier account are enough. In Zapier, open Apps, click + Add connection, pick Achieve, then sign in to Achieve in the tab that opens and grant access. If the Zap should watch records you do not own, such as students handled by a colleague, your Achieve account needs read access to them. The connection is made once and every Achieve step in every Zap reuses it, so there is nothing to repeat when a second Zap comes along.
05Can a Zap update a student or a tracker in Achieve?
No. Achieve has no actions and no search steps on Zapier, only five triggers. A Zap can react to a new contact, a new user, a new active student, a due reminder or a tracker status change, but it cannot create, edit or look up anything inside Achieve. Data flows out of Achieve toward other apps, never back in. Any workflow that needs to write into Achieve has to be done in Achieve itself or through another route than Zapier.
06What if the Achieve trigger you need is not in the list?
Then Zapier cannot do it today. The editor offers exactly five Achieve triggers, and anything outside them, such as an event when a step is marked complete, is not available. Student Tracker Status Change only reacts to Not Started and In Progress. A workable route is to start from the closest trigger and narrow the result with a filter, which needs a paid plan. If even that falls short, the need has to be raised with Achieve, since the app decides what it exposes to Zapier.
07Zapier, Make or n8n for Achieve?
It depends on three criteria rather than on a winner. First, whether the platform offers an Achieve connector at all and which events it covers. On Zapier that is five polling triggers and nothing that writes back. Second, cost: on Zapier only successful actions count as tasks, and Achieve runs on the free plan. Third, how much setup you want to handle yourself. Check each platform's own app list before committing, because the gap between them is about coverage, not about the idea of automation.
