Overview

What Liaison and Zapier do together

The Liaison integration on Zapier is a one-way door. Another app starts the automation, and Zapier files what it received into Liaison as a form submission, through the only action on offer, Create Form Submission. Nothing comes back out of Liaison through Zapier.

Three things you can get from that single action. First, a form entry without retyping: an answer collected somewhere else lands in the Liaison form you pick, so nobody copies it over by hand. Second, one Liaison form fed from several places: each source gets its own small Zap, and they all point at the same form. Third, a choice about records that already exist: the action carries an UPDATE EXISTING PROSPECTS? option, so you decide up front how a known prospect is handled instead of discovering it later.

What Zapier does not do for Liaison matters just as much. There is no trigger, so a change inside Liaison can never start a Zap. There is no search either, so a Zap cannot check whether something is already in Liaison before it writes. If your plan depends on reacting to Liaison events, Zapier is the wrong tool for that part (see n8n vs Zapier before you decide).

The good news: Liaison is not a premium app, so a two-step Zap that feeds it runs on the free plan.

The trigger in the other app never costs a task, and neither does Zapier checking for new data, however often it looks. Each Create Form Submission that goes through counts as one task; one that fails is not counted. The free plan gives you 100 tasks a month and two-step Zaps only: one trigger, one action. Add a filter or a second action and the Zap becomes a multi-step Zap (any Zap beyond one trigger and one action), which needs a paid plan. How fast the Zap reacts depends on the trigger in the other app, not on Liaison.

    Open the Apps page

    In your Zapier account, go to Apps. A connection (your Liaison account linked to Zapier once, then reused by every step) lives there. You need a Liaison account before you start.

    Add Liaison

    Click + Add connection, type Liaison in the dialog, pick it from the results, then confirm with Add connection. A new browser tab opens for the sign-in.

    Sign in and grant access

    Log in to Liaison in that tab and allow Zapier to use the account. If the forms you plan to fill belong to a colleague, check first that your account can write to them.

    Create the Zap

    Start a new Zap and pick your form tool as the app that starts it. Liaison cannot sit in this first slot: it has no trigger.

    Test the trigger

    Run the trigger test. Zapier brings back the three most recent items from the connected account, so you map fields on a real response rather than an empty one.

  3. 03

    Add the filter

    Use the plus icon, choose Filter, then set the field to look at, the rule and the value. This step makes the Zap multi-step, so it needs a paid plan.

    Add the Liaison action

    Add a step, pick Liaison and Create Form Submission. Select the form, decide on UPDATE EXISTING PROSPECTS?, then map the answers from the trigger.

    Test, then publish

    Test the action and open Liaison to check the submission really arrived. Then click Publish to switch the Zap on; from that moment it runs on its own.

When it breaks

When a Liaison Zap breaks

Zapier links no help article to Liaison, so the known traps are the general ones. They still bite.

  • Older records never arrive

    A Zap only reacts to what happens after you switch it on. Responses collected before that stay where they are; moving the backlog is a separate job.
  • The Zap keeps firing itself

    If the Zap writes into the very place its own trigger watches, it sets itself off again and again and burns through your task count fast.
  • A bulk import gets held back

    When the trigger suddenly returns a huge batch, after an import or a migration, Zapier's flood protection can pause it before anything reaches Liaison.
  • Duplicates are not the trigger's fault

    On a polling trigger, Zapier remembers what it has already seen, so one item does not start the Zap twice. Doubles usually come from the source itself.

Liaison Zapier integration: questions

01Is the Liaison Zapier integration free?
Yes, as long as you stay within the free plan limits. Liaison is not a premium app, so it works on the free plan. That plan gives you 100 tasks a month and Zaps of two steps only: one trigger in another app, then Create Form Submission. The moment you add a filter or a second action, the Zap becomes multi-step and needs a paid plan. Zapier counts the tasks, not the number of Zaps, so you can keep several small Zaps feeding different Liaison forms.
02How many tasks does a Liaison Zap use?
One task per form submission that is created successfully. The trigger in the other app costs nothing, and Zapier checking for new data costs nothing either, however often it runs. A submission that fails is not counted. If you add a second action after the Liaison step, every successful action is counted on its own, so a Zap with two actions uses twice as many tasks for the same number of incoming records. Watch the monthly count on the free plan, where the ceiling is 100.
03Does the Liaison integration work in real time?
It depends entirely on the app that starts the Zap, because Liaison has no trigger of its own. If that app offers an instant trigger, the submission is created as soon as the event happens, whatever your plan. If it is a polling trigger, Zapier checks on a timer: every 15 minutes on Free, every 2 minutes on Professional, every minute on Team and Enterprise. Look at the trigger you pick: the editor shows a lightning bolt on instant ones.
04What does it take to connect Liaison to Zapier?
A Liaison account, and write access to the forms you plan to fill if someone else owns them. The connection is made once from the Apps page of Zapier with + Add connection, followed by a sign-in in a new tab where you grant Zapier access. After that, every Zap that uses Liaison reuses the same connection. Before building anything, check that at least one form exists in the account, because the action cannot be saved without picking one.
05Why is the form list empty in Create Form Submission?
Because the connected Liaison account cannot see any form. The Form field is mandatory, so the step stays blocked until a form appears in that dropdown. Create the form in Liaison, or ask its owner to give your account access, then come back to the step. If several people connect their own accounts, each one only sees what their Liaison account sees, which explains why the same Zap behaves differently depending on who built it.
06What if the Liaison operation you need is not available?
Then Zapier cannot do it for Liaison today. The integration offers a single action, Create Form Submission, with no trigger and no search. Reacting to something that happens inside Liaison, or looking up an existing record before writing, is out of reach through this connector. The practical options are to rethink the flow so the other app does the watching, or to look at another automation tool for that specific part. Zapier also lists the operations of each app on its own app page.
07Zapier, Make or n8n for Liaison?
It comes down to criteria rather than a winner. Zapier is the quickest path if you only need to push form submissions into Liaison and want the free plan to cover it. The question to ask of any alternative is whether it offers what Zapier lacks here: a way to react to Liaison events or to read data back. Also weigh who maintains the flow, how many tasks you expect each month, and whether multi-step Zaps would push you onto a paid plan anyway.
